I. Welcome and Introductions

Bill Britton welcomed everybody to the first meeting with the Information Technology Management Council (ITMC).

II. IT Governance Overview Reviewed the overall structure of IT Governance and purpose to establish the vision, priority and pace of information technology initiatives at Cal Poly. For details on the new structure please visit the ITS Governance web page: http://www.its.calpoly.edu/governance

III. Workgroup Reports

a. Administrative Solutions – Al Liddicoat: This workgroup prioritizes projects that are estimated at 80 – 240 hours. Held the first meeting in early March and will soon add a representative from Cal Poly Corporation.

b. Data Governance – Dave Dobis: Shared an introduction about data operations and this workgroup being an intersection between data management and data operations. The structure for the workgroup is coming together. Reviewed current projects.

c. Facilities Information Technology Review Board (FITRB) – Anthony Palazzo: Reviewed a project list that Facilities maintains on the wiki, “Facilities’ Capital Project Five Year Plan.” This list represents a long-range plan and is shared with campus and ITS. Using this list as a communication tool with campus partners works well and helps eliminate surprises. ITMC recommends using project names on the wiki that are consistent with the campus 5-Year Capital Plan. DxHub. Conversation continued about Turnitin and it was shared that a small number of faculty are piloting Turnitin and focusing on developing best practice recommendations. Finally, discussed the demand for after-hours classroom support. This winter quarter, there were 3 classes scheduled in university classroom space that do not have ITS after-hours support. There were 401 classes scheduled before 8:00 AM and after 5:00 PM in department-specific classrooms that may not have the technical support they need when issues occur. The spring quarter will have approximately 7 classes in university classrooms and 323 classes in department space that may not have after-hours support. Discussed the desire to find ways to better support all classes.

e. Information Security – Doug Lomsdalen: Information Security (IS) is a long-standing group on campus with 13 coordinators across campus, including each college and division. Current initiatives include the end of life operating systems on Macs and PC’s. The Annual Risk Self-Assessment begins in April. CITC’s are key to driving this effort to a successful conclusion. This self-assessment is important for knowing where sensitive information is stored so that ITS can develop strategies to appropriately protect it. Working on deploying Endpoint protection and multi-factor authentication. Kudos to the Custodial staff for identifying Level 1 data, preserving and notifying the information security office.

f. Student Campus Computing Committee (SC3) – Camron Dennler: This is a long-standing group with a student representative from each college. Reviewed topics that the workgroup discussed: classroom refresh with Charlie Crabb, website rebranding with University Marketing, a new mobile app, and a replacement for the current LMS. SC3 discussed structure and functionality for the new mobile app, emphasizing that this needs to be customizable for each student. Each student has a unique college experience, and the mobile app should reflect that. SC3 discussed that the current LMS is dated and doesn’t function how students need it to. Emphasis on needing an LMS that functions on a mobile platform. California community colleges and 13 California State Universities use the learning management system by Instructure called Canvas.

IV. Project Updates

Attached is a summary of projects that are in progress organized by under 80 hours, 80-240 hours, and over 240 hours, and a list of projects completed by ITS from December 2018 – March 2019.

V. Project Prioritization

ITMC needs to prioritize the initiatives listed in Section I. The information provided about each initiative is provided by the customers and the level of detail that is shared varies greatly. The Provost recommends investing first in big infrastructure over enhancements. Conversation about understanding mandates, business needs, and time sensitivity related to each initiative. Conversation about templates being needed for customers to complete for each project request; include the question “Without this initiative, _______ will happen” and identify funding in the project request template. Additionally, Alison shared that she authored the initiative for the “Workspaces Virtualization of Library Computer Labs – INIT-533” in partnership with the Dean of Libraries, Adriana Popescu. There is an emphasis on virtualizing computer labs so that software can be accessed from anywhere, at any time, with any device. There is a time sensitive need to complete this effort so that the software located in the four computer labs in the library are accessible to the campus when the library closes for renovation. Additionally, four colleges have engaged ITS and shared their needs for virtual computer labs (COE, COSM, OCOB, and CAFE).

VI. Campus Demand Carry forward to next meeting in June 2019.

Action Items: - Mary Pedersen: Invite Sean Hurley (or delegate) and Camron Dennler to the meeting about the LMS on April 17th.

- Bret Heenan and Alison Robinson: Create a template that assists project requestors in developing the business

case to support their request and aid the ITMC in the committee prioritization effort.
