1 Information Technology Services Initializing Your Remote Workstation Lotus Notes Release 7.0.X After you have installed Notes on your home PC for the first time (not version upgrades) you must configure the software. If you are performing an upgrade, when you launch Notes you will not be prompted for all these settings. These steps will help guide you through the process. Initializing Your Remote Workstation

Lotus Notes Release 7.0.X

After you have installed Notes on your home PC for the first time (not version upgrades) you must configure the software. If you are performing an upgrade, when you launch Notes you will not be prompted for all these settings.

These steps will help guide you through the process. Before you begin, we suggest that you glance through the instructions and confirm any uncertainties with the IT Services Helpdesk.([email protected] or by calling

This module was written for individuals who are already using Notes at the office and therefore have achieved a basic level of experience with this software.

Before you start Notes for the first time after installat ion, connect to your regular Internet Service Provi der (ISP) as if you were browsing the web using Internet Explorer, Netscape, or any other Internet application. If you need to set up Dial-up Access to the University of Windsor, contact the IT Services Helpdesk at 253-3000 ext. 4440 for further information.

Launch Lotus Notes from the icon on your desktop. (See Fig.1). When Notes starts for the first time, it will greet you with information on setting up your work-station. Click Next.

Information Technology Services Type in your name and the Domino server name: ZEUS/University of Windsor or VENUS/University of Windsor (Please refer to the Lotus Notes & Domino Web Access Information sheet that was given to you from the Help-desk). If you do not have this information, please contact the Helpdesk at ext. 4440 or at [email protected]. Once you have typed this in, click Next. If you get a message that “Server is not responding” or “unable to connect to server” see appendices at the end of this document.

****Note If you are a ROAMING USER, go to PAGE 6 after this step.

If you do not see this, skip ahead to page 4. If you have this dia-logue box come up during the initializa-tion, follow the in-structions on this page. Here you will leave the default set-ting Set up a connec-tion to a local area network (LAN), even if you are using a dial-up connection

Information Technology Services Under where it states, Please pro-vide network information to help locate this server it asks you to Se-lect a network type. Click on the arrow to the right and choose TCP/IP. Then click on the Options button on the right. In the TCP/IP Port Setup dialogue box, change the value from 0 seconds to a longer period of time (e.g. 120 sec-onds) and the click OK.

Under Server address type in venus.uwindsor.ca or zeus.uwindsor.ca depending on your home server. Click on Next -> in the Lotus Notes Client Configuration dialogue box

Notes Setup will prompt you for the location of your Notes id file. Your id file would have been supplied to you if you had ob-tained your Lotus Notes CD from the UWin SoftwareDepot. If you do not have a copy of your user id, please e-mail the [email protected] or con-tact the helpdesk extension at 4440 to make this request. Click on Browse to locate your id file on your hard drive and click Next.

The password dialogue box will appear. Enter your password as shown on the Lotus Notes & Domino Web Ac-cess Information sheet, then click OK.

In the Additional Services dia-logue box, it is not necessary to select other services at this time. Click Next.

Information Technology Services You will then see a dialogue box for setting up Sametime Messaging . Please use the following settings: Sametime Messaging server name: apollo.uwindsor.ca Port: 1533 (default setting) When to connect: At Notes logon (default setting) Protocol: Direct connection using IBM Lotus Sametime protocol (default setting) Note*** If you do not wish to log onto the Sametime server when opening your Notes client, you can cho ose the following settings: Sametime server name: apollo.uwindsor.ca Port: 1533 (default setting) When to connect: Manually Protocol: Direct connection using IBM Lotus Sametime protocol (default setting)

You will then be prompted to enter your password. Enter your Domino password, which may be differ-ent from your Notes password. (If you never had a Domino password assigned, or you do not know it, please contact the Helpdesk at ext. 4440 to have it reset). Choose to select Save your password and then click Log on .

If all has gone well, Notes will now find your Mailbox on the server and create your bookmarks and links on your Welcome Page. Congratulations!

Information Technology Services For Roaming Users: You are a roaming user if you were set up through IT Services to access the same address book, bookmarks and id file in all locations where you use the Lotus Notes client. If you are not sure whether or not you are a roaming user, you may contact the [email protected] or at extension 4440 to verify your profile. If you are a roaming user, initialization of the Lotus Notes client will behave a little differently than the previous ini-tialization procedures. After imputing your name and Domino Server, then choosing Next > , the password dialogue box will come up prompting you to log into Lotus Notes.

After you entered your pass-word, your roaming files will be migrated to your Lotus Notes client.

Once the migration of your roaming files has completed, you will be prompted to choose a location to log into and to enter the password. You are have now completed your Lotus Notes setup!

Sametime Messaging Sametime Messaging is a feature that is more integrated in Lotus Notes 7.0.X. You no longer need to install a separate client to use Sametime because the Sametime features and functions are now built into the Lotus Notes client itself. Enclosed is a link to our website to assist you in using Sametime Messaging. It is recommended that you review documentation before getting started. It is available at http//:apollo.uwindsor.ca . Select Documentation from the menu. If, during your installation, you did not save your Domino password for logging into the Sametime Messaging Server, you will be prompted to log in when starting up Lotus Notes. (Remember to use your Domino Password which may be different from your Lotus Notes password.). To begin a chat, start a chat meeting or add contacts, use the icons in the top left hand corner of your Notes. (See Window below.).

Creating and Using a Local Replica of Your Mailbox To Increase Response Time When you access data from or send data to a Notes database (i.e.., send e-mail, open or save documents, etc.), that information must travel from the server on campus to your computer, or vice-versa. As you know, this can be time-consuming, depending mostly on your Internet connection speed. You can minimize download or upload time through a process called Replication . The Notes Replicator creates a twin copy, or Replica, of your databases, such as your mailbox, on the hard drive of your computer, allowing you to disconnect from the server while you read new mail, reply to messages, edit documents, etc. Replication is the process that Notes uses to keep the two cop-ies of the same database (one on the server and one on your local hard drive) synchronized with one another. The first step is to create a Local Replica of your mailbox. Go to the Mail Icon on your Workspace and right click to get the short cut menu (below). You will choose, New Replica.

You will leave the Server setting as Local and then click on the yellow folder to the right of File path to browse to where on your hard drive you would like the database to be stored. In the example below, the database will be cre-ated in the C:\Lotus\Notes\Data directory. Make sure that you have enough space on your hard drive before pro-ceeding. Then click on OK.

Information Technology Services At the bottom of your Lotus Notes, the status bar will show that it is replicating your local mailbox with your server replica. When Replication is finished you will see the Local Mailbox Icon on your workspace. You will notice an arrow in the upper right hand corner. This is a “stacked” icon, and you can click on the arrow to switch between your local rep-lica and your server replica. Double-click on the Local Mailbox icon, and you will see the messages that you have pulled off the server through the replication process. Use your local mail replica as you would the one on the server, but remember that any mail you try to send will be queued until you reconnect through your ISP and switch back to your Office (connected) location. You may disconnect from the server and work in offline mode Island (Disconnected) while you read your e-mail and edit documents. Before disconnecting from your network, change your location from Office (Network) to Island (Disconnected) by clicking the location pop-up menu in the bottom right-hand corner of your Notes workspace and selecting Island (Disconnected) from the menu. ***This is useful when you are using dial-up (i.e. Laptop with dial-up) but not necessary on a high speed Internet connection such as through a cable modem where you are connected to the Internet all the time.

While you are in Island mode, you can read and compose messages, just as you would, if you were still connected to the server. However, when you send messages in Island mode, they are temporarily stored in your Outgoing Mail database. You can view your queued mes-sages by double-clicking the Outgoing Mail icon.

Before you attempt to replicate and before you send outgoing mail, you must reconnect to the server (through Uni-versity dial-up or your ISP), and change your location from Island to Office (Network) . When you change to your connected location, you will see the message below stating that you have outgoing mail pending and asking if you would like to send it now.

Information Technology Services To keep your Local Mailbox current, you will want to replicate with the server replica of your mailbox. To do this, again, you will want to make sure that you are on-line through University dial-up or your ISP and that your Lotus Notes location is set for Office (Network) . You will then go the to the Replicator bookmark and then choose Start Now . The Status Bar, at the bottom of your Lotus Notes will give you a replication indicator and let you know when replication is finished.

You can also enable Replication to take place automatically in the background through the Replication settings on your Office location document. To check Replication settings; Click on File, then Mobile , then Locations and then double-click your Office location. Click on the Replication Tab to see the settings. You will have to click on the Edit Location radio button to modify any settings, then click on Save and Close. .

Troubleshooting a Connection Problem

Some new computers come with a personal firewall installed. You can also download PC-cillin from our ITS website which by default has an Internet Security/Firewall enabled. You may not be aware that you are actually using this Firewall. By default, the port 1352 is disallowed by this software. Port 1352 is the only TCP port for communication between Lotus Notes clients and Lotus Notes servers. If this is blocked (disallowed), no connection can be established from your Lotus Notes client to VENUS or ZEUS. Steps to determine the problem Open a Command Prompt by clicking on the Start Button, and choosing Run. Here, you type in the word command and click OK.

Then type in the com-mand (see below) at the prompt and press enter: nslookup venus.uwindsor.ca

If the resulting IP address is 137.207.90.101, it means that you have the correct IP setting and that you can con-nect to venus.uwindsor.ca

Firewall/Internet Security Settings for PC-cillin

If you are using the PC-cillin Firewall, please permit (allow) the port 1352 on your Personal Firewall/Internet Security to let the traffic on port 1352 go through. Following our Software Support policy, we support PC-cillin only as an anti-virus solution for our users at home. Please check the Firewall settings below: 1. Go to PC-cillin settings. Click Network Security and then choose Personal Firewall. Click on the Profile that you are currently using and choose Edit .

2. Click the Exception tab and click the Add button.
