Introduction Congratulations on being nominated and voted into the position as Initiate Advisor. Your Chapter truly feels as though you are a great leader, teacher and future of this organization.

As Initiate Advisor, it is your responsibility to guide Initiates throughout their pilgrimage and into Phi Sigma Pi membership. The experience Initiates receive during this time can set the precedent for the rest of their Phi Sigma Pi involvement.

According to the Phi Sigma Pi National Constitution, ARTICLE XI: CHAPTER OFFICERS, Section 9: Initiate Advisor:

The Initiate Advisor shall:

A. Be responsible for reviewing and updating the Initiation Program of the Chapter; B. Be responsible for maintaining and upholding the integrity of the Initiation Program of the Chapter in relation to the rules of the sheltering institution, and any rules established by the Chapter; C. Be responsible for the planning and implementation of the Initiation Program approved by the Members of the Chapter at the meeting prior to the first meet night held by the Chapter; D. Report Initiation activities and send a complete detailed description of the Initiation Program to the National Office by the specified due dates; E. Be responsible for ensuring that all newly Inducted Members be taught the Fraternal grip and word; F. Be a voting Member of the Executive Board.

The information in this packet is to help guide Initiate Advisor(s) through the Initiation Program. This Curriculum Guide is to be paired with The Scholar’s Province, which is now split into five weeks with the National Exam planned for the 6th week. The activities suggested in this guide are merely that, suggestions. However, the weekly readings suggested in the Curriculum Guide should be followed since the weekly quizzes are based off of the information learned in the weeks before.

Planning with the Recruitment Advisor

Before the term begins it is important to have a plan in place for your Initiation Program. (Note: A recruitment calendar for the upcoming term is due with your Form 110 submission) A big factor in your plans is recruitment (the dates, marketing campaign, etc.), therefore, you and the Recruitment Advisor should set up a meeting (or two, or three) to discuss the following questions:

1. How many Initiates do we want for the next academic term? Discuss a number with your Chapter Consultant that your Chapter believes it can feasibly contain. See the table below to help figure out the number of Initiates you should have.

2. When will we hold recruitment events? 3. What rooms do we need to hold our recruitment events? 4. How will we advertise our recruitment events on campus? 5. What should the themes be for our recruitment events (dessert party,

informal dinner night, a “game” day/night, etc.)? 6. How will we give our bids to the Potential New Members? 7. When should we schedule a pre-Pinning Ceremony meeting with Potential

New Members? 8. When will we vote on the Potential New Members? 9. When will we hold the Pinning Ceremony? 10.How will we assign Bigs to each new Initiate? 11. How do we make the Initiation Program fun and exciting for our Initiates?

Once you answer the 10 questions just listed, and any additional questions the two of you or your Committees might have, make a calendar that lists all of the dates, times and locations. Remember, this calendar is due the term before with your Form 110 submission. You can hand this calendar out at your next Chapter business meeting so that your Members know when the important dates are and to your Potential New Members during an information meeting. Giving as much information as you can well in advance will make your job easier and the other Members in your Chapter.

Choosing the Number of Initiates Always set a recruitment goal in terms of number of Initiates you want to admit into the Initiation Program. When coming up with this number it is important to remember to think about the Chapter’s graduation rate and how that will impact your Chapter size. It is also important to discuss this number with your Chapter Consultant.

Use the following table to help give you an idea of the number of Initiates you should aim for during the year.

A: # of Collegiate Members at the beginning of the academic year: Include all active and inactive Members in this count

B: #of Members expected to graduate during the academic year: This should include Members graduating in the Fall, Winter or Spring

C: # of Members you want in the Chapter at the end of the academic year: This number must be equal to or greater than line A, especially if your Chapter has less than 30 Members

D: Subtract Line B from Line A: This will be your Chapter size at the end of the academic year

E: Subtract Line D from Line C: This is your recruitment goal for the entire academic year

F: Divide Line E by two and round up to the next round number: This is your recruitment goal for the next two terms

Other Important Things to Think About Membership balance is critical to the Chapter’s long-term stability. Particularly, it is essential that the Chapter attempts to have equal representation between new students, sophomores, juniors and seniors. This will help your Chapter from dying out in two years due to insufficient numbers of underclassmen

Recruitment and Public Relations Although your job technically starts after the recruitment period and when your Potential New Members become Initiates, it is crucial for you to know what marketing tools are available to your Chapter and that they are being used. Note: The most important rule of marketing is keeping the theme and message consistent.

Recruitment Theme Having a theme is a great way to catch attention. It also will help your Chapter with all of its marketing materials. Appropriate themes are short, catchy and positively highlight the great things about your Chapter. If you are having a hard time coming up with a good theme, remember that the National Office creates a new theme every couple of years. You can also order free recruitment posters, postcards, stickers and emails for free with this recruitment theme. This allows all of the tedious work to be done for you so that your Chapter can concentrate on getting

the Potential New Members in the door.

Advertising and Promoting Recruitment In public relations, there are two types of advertising: ● Direct Marketing- directly reaching out to those members of the campus community who are eligible to join Phi Sigma Pi. ● Indirect Marketing- used to reinforce the initial direct contact in order to encourage those Potential New Members to come out for an information/recruitment session.

Remember, people join people, not organizations, so the initial contact should always be a personal one.

Direct Marketing ● Recruitment Letters

○ Letter Mailing/Mailbox Stuffing- The National Office has a template for you to use for your campus mailboxes. Follow the following steps:

■ Contact the Department on your campus that can give you approval to stuff student mailboxes.

■ Download the template at phisigmapi.org/recruitmentmaterials at and fill out your Recruitment Week information.

■ Print them out on or off campus and make sure they get into the mailboxes.

○ Email- The National Office does this for you for free. Follow the following steps:

■ Obtain an email list of Potential New Members eligible to join Phi Sigma Pi from your institution. To find out who is the person at your school who can get you this information ask your Faculty Advisor, the Registrar, the Office of Information or the Office of Institutional Research.

■ Fill out the form at phisigmapi.org/recruitment at least two weeks before your first scheduled information or recruitment night.

● Word of Mouth

Indirect Marketing Once you have reached out to students via direct advertising, it is important to keep the Phi Sigma Pi image and brand fresh in people’s minds. The more often students hear or see “Phi Sigma Pi,” the more they will want to know more about it. Here are a few ways you can incorporate indirect marketing: ● Recruitment T-shirts

Giveaways Giveaways are a great way for Potential New Members to remember Phi Sigma Pi. Some of these items you can give away can be purchased online, at a local dollar store or your school's bookstore. Remember to add the words “Phi Sigma Pi” (even if it is just a sticker) on all of the giveaway prizes so that the winner remembers where it came from. Some examples of giveaways include: ● Magnets ● Pens & Pencils ● Post-it Notes ● Flavor Ice Pops ● Candy, Gum and Mints ● Bubbles ● Beach Balls ● Bouncy Balls ● Stress Balls ● Key Chains ● Frisbees ● Water Bottles

Learning More About Your Potential New Member The easiest way to get to know someone is by talking to them. Many Chapters learn more about their Potential New Members by holding one-on-one or group interviews. These interviews can be intimidating but are also essential to learning more about the person and to see if they meet the ideals of Phi Sigma Pi. Your Chapter may conduct these interviews above or make it into a group game that can take the pressure off of some of the Potential New Members. It’s your Chapter, and ultimately your decision. For more ideas on how Chapters hold Initiate interviews, reach out to your Chapter Consultant.

Sample Interview Questions: ● Why do you want to join Phi Sigma Pi? ● What’s your major? ● What else do you like to do on campus? ● Who are the five most important people in your life and why? ● How do you balance your class and social schedule? ● What made you decide to pick our school for college? ● Before you graduate, what is one thing you want to do/accomplish? ● Why should we choose you? ● If there was one thing that you wish you could change about the world, what

would it be? ● What is your greatest asset and biggest weakness? ● Name a time when you were a leader of a group and had to delegate

authority. ● Name a time when you had to assume responsibility for your mistakes. ● How did you hear about Phi Sigma Pi?

Note: When thinking of additional questions, consider keeping them in line with the Characteristics of an Ideal Brother.

Giving a Bid A bid is essentially an invitation for a potential new member to join the next Initiate Class for your Chapter. It can be referred to as an intangible item or an actual invitation that is made. Download bid cards at phisigmapi.org/recruitmentmaterials

Before you hand out bids to Potential New Members, check your Chapter Bylaws. Your Chapter Bylaws should include information on the voting procedure for Potential New Members to become Initiates, including when, how and how many votes are needed for each potential new member.

Voting On Potential New Members The voting process may change depending on your Chapter Bylaws, however, generically the following is the case.

At your general business meeting:

1. The Recruitment Advisor will begin the process by saying, “I move to promote [potential new member’s name] to the [class name] Initiate Class of the [name of Chapter] Chapter of Phi Sigma Pi.” and then will proceed to read through a profile sheet, interview sheet, show a picture or any other information gathered about the individual.

2. The Recruitment Advisor(s) are the Chair and are to remain unbiased by not participating in debate or voting (unless in the case of a tie).

3. Debate on the person begins, alternating between pro and con. Try to keep the pros and cons objective and based off of the Characteristics of an Ideal Brother.

4. Each person is only allowed to speak twice. 5. Debate may be called out of order by the Recruitment Advisor(s). An

example of debate, that is out of order, would be the discussion of personal relationships from high school, comments on personal appearance or references to sexual orientation or religious creed.

6. Question is called when Members are ready to vote, which must not be objected. If it is objected to by any voting Member, another complete round of debate must be completed before move to previous question may be called. Move to previous question requires a ⅔ of a vote to continue.

7. Voting Members vote on the potential new member based on your Chapter Bylaws.

8. Repeat this process until the Members of your Chapter have voted on each potential new member, individually.

9. The Recruitment Advisor will end the process by saying, “I move to promote the following people to become Members of the [class name] Initiate Class of the [name of Chapter] Chapter of Phi Sigma Pi following the completion of the Pinning Ceremony.”

Offering a Bid How you offer a bid is different for every Chapter. Some Chapters make an invitation and deliver it to the Potential New Member. Other Chapters might just simply ask the Potential New Member if they would like to accept their invitation into the Initiation Program. Please keep in mind this is an official Phi Sigma Pi procedure. All Risk Management, Operating Procedures and Bylaw policies apply.

Not Offering a Bid If your Chapter truly feels as though the Potential New Member does not meet the Characteristics of an Ideal Brother, it is important to contact them either in person or by email. Be sure to thank them for attending your events and politely let them know that they did not receive a bid.

Pre-Pinning Meeting This meeting should be held after Members get bids and before the Pinning ceremony. This meeting is to properly inform all Potential New Members what is expected of them during the Initiation Program. You should discuss dues, events, Initiate positions and the length of the Initiation Program.

Here is an example rundown on how to make the pre-pinning meeting fun: ● Congratulate the Potential New Members for getting a bid. ● Create a short icebreaker to help form connections in the group early on. ● Give the Potential New Members a handout that has an overview of the

Initiate requirements. Some Chapters have even made this an Initiate agreement that they have to sign and acknowledge that they read and understand what is expected.

● Share Member testimonies. This has been a great way to talk about the Initiate Program and what they can get out of it. Chapters will talk about the elephant in the room about the amount of requirements, but also talk about the fun and unique aspects of the program.

● See if any of the Potential New Members have any questions. This can be in a large group or in smaller groups.

● Remind the Potential New Members about Pinning Ceremony details (date, location, etc.)

● Congratulate the Potential New Members again and get them excited about the Pinning Ceremony!

The Big/Little Program The most effective way to orient the Initiate to the Chapter is through contact with the “Big Brother.” It is much easier for newcomers to relate their concerns and frustrations to somebody who cares about them as an individual. Also, there is a much deeper commitment to help the new individuals when a person-to-person relationship exists rather than simply an Initiate-Chapter relationship.

Selecting Big Brothers There are several methods to use in choosing who will be Big Brothers, and to whom the Big Brothers will be assigned. The best methods involve input from both Members and Initiates. However, it is important that the final decision rest primarily with you, the Initiate Advisor.

A few factors to consider when selecting Big Brothers are: ● Will the Big Brother set a good example? ● Do their personalities complement each other? ● What interest are shared? ● Will the Big Brother be a positive influence academically?

Matching Big and Little Brothers In selecting the Big Brother, criteria for an objective method of selection should be established. Here is an easy way you can make sure that happens:

1. Make a list of active Members who would like to be Big Brothers. 2. Have the potential Big Brothers and the Initiates tell you (in writing, email,

etc.) their first, second and third choices.

Big Brother’s Role It is your responsibility as Initiate Advisor that the Members signing up to be Big Brothers understand their roles and what is expected from them. The role of the Big Brother is threefold: ● Responsible for acclimating the Initiate to Chapter Life and other Members. ● Responsible for ensuring that the Initiate learns about Phi Sigma Pi and your

Chapter through The Scholar’s Province.

● The Big Brother should assist the Initiate Advisor. The Big Brother should be your prime liaison between you and each individual Initiate. See examples below.

Big Brother’s Duties On top of being responsible for their Little Brother the Big Brother must: ● Meet with the Little Brother weekly. ● Act as a personal confidant and close friend to the Little Brother daily. ● Serve as a motivator for the Little Brother. ● Monitor the Initiate’s scholastic progress and provide the Little Brother with

proper assistance when needed. ● Help the Initiate integrate into the Chapter by teaching the Little Brother

about Phi Sigma Pi and motivating the Initiate to accept responsibilities and fulfill the Chapter obligations.

● Attend all ceremonies in which your Little Brother is involved. ● Attend all Initiate events. ● Attend all Chapter meetings, speak for the Little Brother and answer any

questions that arise. ● Arrange family (lineages of Big Brothers and Little Brothers) dinner before

Induction.

If Problems Arise Precautions should be taken to ensure the success of the Big Brother program. Below are several guidelines to help direct a successful program: ● If a Big Brother is not performing the role adequately, the Initiate Advisor

and Initiation Committee should first address the Big Brother in question and if no changes occur then consider replacing the Big Brother.

● Hold regular meetings of all Big Brothers to discuss various problems encountered in the relationship.

● Each Chapter should use the Big Brother Ceremony as a promise that the Big Brothers will fulfill their obligations.

The Initiate Program The main purpose of the Initiation Program is to prepare the Initiate for active membership in Phi Sigma Pi. Each Member of Phi Sigma Pi must be completely prepared for the duties and responsibilities that membership demands. For this reason, the Initiation Program is both a time of learning, as well as an opportunity to assess whether Phi Sigma Pi is the right organization for the Initiate.

As Initiate Advisor for your Chapter, your primary responsibility will be designing and implementing an Initiation Program that will educate the Initiates about the National Fraternity and your Chapter. According to the National Constitution, your program must require Initiates to meet the National goals below in order to participate in The Ritual and obtain active membership:

● Coordinate at least one event ● Learn Phi Sigma Pi History

(National and Chapter) ● Know the content in The

Scholar’s Province, the governing documents of the National Fraternity and the Chapter

● Learn to sing the Fraternal songs

● Attend at least one Chapter meeting to understand how meetings are structured

● Pass the National membership exam with at least an 80%

Program Customization The Scholar’s Province has been set up to help guide you and the Initiates through the Initiation Program. However, your Chapter should feel free to customize and add your own traditions into the program as long as they follow the governing

documents and basic ideals of Phi Sigma Pi. Here are some good ways to customize your Chapter’s Initiation Program:

Big Brother Program

Each Initiate is assigned a Big Brother from the existing active Members. Some Chapters choose to keep the Big Brothers identities secret until revealing them at the Big Brother Ceremony, but regardless, Big Brothers can be great resources and mentors for Initiates.

Study Buddies Requiring groups of two or three Initiates to take time each week to study together encourages Initiates to really get to know each other.

Tripod Event All Initiates must organize and implement events in order to learn about the significance of each leg of the Tripod. However, if a particular Initiate Class is having trouble planning its events, you might suggest holding a collaborative event to benefit Phi Sigma Pi’s National Philanthropy.

Initiate Retreat Some Chapters plan an Initiate retreat during the Initiation Program. Generally, this retreat is a time for Initiates to bond as a class, meet with Members in a non-business setting, elect Class Officers, finalize any requirements for Induction and learn more about the Chapter. These retreats usually last the better part of the day.

Before the Initiation Program Before the start of the Initiation Program, please review each of the lessons supplied at the end of this packet. The lesson plans are designed to include both group learning and individualized reading assignments and activities. Although, the information in The Scholar’s Province should be discussed please feel free to enhance or elaborate on topics and how they pertain to your Chapter.

Starting week two and continuing until the end of the program, a quiz focusing on the previous week’s materials is available to hand out. The weekly quizzes are great study guides for the National Exam that all Initiates must take, and pass with at least an 80%, to become Members of Phi Sigma Pi National Honor Fraternity.

How The Scholar’s Province is Organized You may have noticed that The Scholar’s Province is setup differently than the way it was when you were an Initiate. Some key differences include: ● Weekly Breakout– The Scholar’s Province is now split up into weeks. This

makes it easier on the Initiate Advisor, as well as the Initiate. ● Key– Almost all of the pages in The Scholar’s Province have an icon that

represents how the information on that page represents the ideals of the Fraternity. It is key to talk about the icon on the top of each page and why each page of The Scholar’s Province is important.

● Did you know?/Resources– These sections are just as important as the rest of the book. Some of the information will be found on the National Exam at the end of the Initiation Program. Remember, Initiates might not remember everything you teach them in the next couple of weeks, however, The Scholar’s Province is a great guide and resource for their whole Phi Sigma Pi career.

Initiation Manual Creating an Initiation Manual to give to each Initiate in the Initiation Program is an important characteristic of an successful program. It creates more accountability for the Chapter and the Initiates, and also ensures everyone is on the same page.

● Requirements- The National requirements for Phi Sigma Pi are listed in The Scholar’s Province. However, if your Chapter has additional requirements list them out and make sure every Initiate has a copy.

● Member Contact List- Initiates might want to contact Members with questions, concerns or even just to hang out and get to know each other. Providing them with this list will allow them to reach out to the Members.

● Initiate Class Contact List- The Initiates might need to get ahold of each other throughout the Initiation Program.

● Emergency Contact Sheet- This is a form that the Initiates will need to fill out and turn into you. It should include information such as who to contact in an emergency (with at least two phone numbers), allergies, medication information and insurance information. To make this information more private, give each Initiate an envelope and have each one write their name on the outside. Then have each Initiate put the completed emergency contact sheet in the envelope and seal it, and tell them you will only open them in the case of an emergency. Bring all of the envelopes with you to all events the Initiates attend.

● Calendar- The Initiates need to know in advance what is going on and when they need to be at certain events. Include all information pertinent to the Initiation Program on the calendar- time, date, place of Initiate meetings, Chapter meetings, the Induction Ceremony and any other Chapter events that are planned by the time the Initiation Program starts. On the calendar is a great place to add when Initiate dues should be handed in. Many schools post their calendars on social media or Chapter specific websites.

During the Initiation Program Use The Scholar’s Province to assist with your lesson plans each week. This will keep you on track and will also make sure that the Initiates will learn everything on the National Exam.

Meeting with the Chapter Historian There are two weeks out of the six where it is suggested that the Chapter Historian assist with teaching the history of the National Fraternity as well as your local Chapter. The Historian should be prepared for the lessons by ● Reading over the information for that week ● Coming up with a fun way to teach the lesson ● Bringing scrapbooks, past composites, etc. that will give the Initiates a closer

look into your local Chapter's history

Initiate Class Meetings Each week the Initiates will be required to hold an Initiate Class meeting. This meeting should be run similar in structure to an actual Chapter meeting. These meetings will be run by the Initiate Class President with minutes taken by the Initiate Class Secretary. These meetings will serve as a time for the Initiates to discuss ideas for the events your Class is required to plan and execute. In addition, this allows the entire Initiate Class to see what progress is being made.

Attendance Policy Each Initiate is expected to attend all Initiation events. These events include: ● Weekly meetings with the Chapter Initiate Advisor ● Weekly meetings with the Initiates Big Brother ● Weekly Initiate Events ● Events planned by the Initiate Class

It is up to each individual Chapter on how they would like to be contacted if an Initiate must be excused from a mandatory event. Ask your Chapter Consultant for ideas on what other Chapters have in place.

Note: The attendance policy is designed to help Initiates balance their time. Time management is a quality that one must possess to be an active, productive Member.

If a problem continues with an Initiate, keep records and discuss the issues individually with each Initiate as they come up. This would be a perfect example of what to bring up in a Initiate Mid-Review.

Initiate Voting Procedures Before Initiates can be conferred membership status, the Members of the Chapter need to affirmatively vote to accept them in the Chapter in what is commonly called a “final vote.”

Mid-Review During the course of the academic term, it is important that the Initiate Advisor and the Chapter keep up-to-date on the progress of the Initiate Class.Through the various Initiation projects, Members will develop opinions regarding the performance of each Initiation. One of the most effective means of receiving feedback from the Members on how well the Initiates are doing is to include them in the Initiate Mid-Review process. The Chapter can do this by having Members submit feedback on each Initiate one week prior to the Initiate Advisor’s scheduled Mid-Review with each Initiate. Usually referred to as “mid-review”, these less formal methods of balloting alert the Initiate Advisor to any problems which need to be addressed, giving the Initiate and the Initiate’s Big Brother an opportunity to correct the problem before final vote. The mid-review must be done at a time when Initiates will have enough time to correct any problems that may arise.

One way to conduct mid-review is to have a ballot printed up with the names of each Initiate. The ballot should include a box asking if the Member would vote for this Initiate (If the final vote was being held at this time) and space to explain any problems/concerns/hesitations that the Member has regarding the Initiate. In this manner, the Initiate Advisor can work with the Big Brother in hopes of resolving any problems that have occurred far in advance to the final vote. Note: Initiates should not be removed from the program without a fair opportunity to address any feedback from the Members of the Chapter.

Reminder: Mid-review is mandatory according to the National Constitution, ARTICLE IX: COLLEGIATE CHAPTERS, Section 5.

Initiate Periodic Evaluations The Chapter will evaluate the Initiates periodically throughout the Initiation Program. These evaluations will be conducted to gauge each Initiate’s progress in the program and to decide what changes or adjustments must be necessary before the Initiates are voted on.

Problems with an Initiate If a problem arises with an Initiate follow the following steps:

Step One: Approach the Initiate The Initiate, Initiate’s Big Brother, Initiate Advisor or an active Member who is close to the Initiate should speak privately with the Initiate. The Member should also investigate the possibility of academic or personal problems. In most cases, this personal approach will remedy the problem by simply demonstrating that the Initiate’s performance is being observed and that the active Members are committed to the Initiation Program and the well-being of each Initiate.

Step Two: Chapter Vote If the situation does not improve, it is appropriate to discuss the problem in the Chapter meeting, If desired, the Initiate may be asked to explain the situation before the Chapter. The individual’s name is to be brought up during new business. At this time, an open discussion concerning the Initiate should take place.

After the meeting, the Initiate is again brought before the Initiation Committee. The Initiate is told that the situation has been discussed at the Chapter meeting and the Initiate should be advised of the outcome of the Chapter discussion. If the Initiate is to remain in the Initiation Program, the Initiate must still understand that the Initiates actions will be closely observed and that any future problems may result in being removed from the program.

If the Initiate is asked to leave the Initiation Program, the reasons should be thoroughly explained. In some cases, depending on the reason for asking the Initiate to leave the program, the Chapter may wish to encourage the Initiate to continue with the friendships the Initiate has made in the Fraternity, but to understand that in no way is the Initiate entitled to the rights or privileges of a Phi Sigma Pi Initiate. The Initiate should return The Scholar’s Province and Initiate Pin to the Initiate Advisor.

In most cases, the procedures listed above should be more than sufficient when dealing with disciplinary problems. The process is thorough and fair to ensure that no rash or unjust decisions are made. Make sure you start the disciplinary procedure as soon as problems arise. This will avoid major dissent among the active Members at the end of the Initiation Program when it comes time to vote on the Initiates for membership into the Fraternity. If this is a very difficult discussion or situation, ask for Faculty and Alumni assistance.

Final Voting Unlike a mid-review, final voting is more regimented. According to the National Constitution, ARTICLE IV: MEMBERSHIP, Section 7. Nominating and Voting:

“Phi Sigma Pi Members in good standing may nominate qualified individuals to become Collegiate or Honorary Members. Voting shall be by ballot and shall be completed at least forty-eight (48) hours prior to the scheduled The Ritual: Formal Induction Ceremony at a prior called meeting with quorum and with notice of voting on the meeting agenda. No less than forty-eight (48) hours notice shall be given for this meeting. At least a three-fourths (3/4) vote of the Active Collegiate Members in good standing present and eligible to vote at the meeting with quorum shall be required for confirmation.”

Discussion should take place prior to casting the final vote for each Initiate. The Chapter should follow the procedure outlined in Robert’s Rules of Order, Newly Revised when conducting the discussion session. By using the procedure of positive-negative-positive, the Chapter will prevent a discussion that becomes a gossip session. The positive and negative comments should relate directly to the Initiate’s performance during the Initiation Program and their ability to be a good Member of Phi Sigma Pi as outlined in the Characteristics of an Ideal Brother or those characteristics outlined by the Chapter. As shown above in the National Constitution, final voting must be done by secret ballot.

The Ritual: Formal Induction Ceremony The Initiation Program should conclude with the Induction Ceremony known as The Ritual: Formal Induction Ceremony. Like most other Fraternal organizations, Phi Sigma Pi has a ritual which is secret and known only to those within its circle of comradeship. The Ritual: Formal Induction Ceremony is the means by which an individual becomes a Member.

The Ritual: Formal Induction Ceremony is the primary element which distinguishes Phi Sigma Pi from all other organizations. The Ritual: Formal Induction Ceremony is based upon commitment and is probably one of the main reasons why Alumni remain loyal and actively participate in the Fraternity for many years after graduation. The Ritual: Formal Induction Ceremony should be an inspiration, a reminder of a commitment and a guide to a better way of life for all Phi Sigma Pi Members. The Ritual: Formal Induction Ceremony is the principal link that unites all Members of Phi Sigma Pi.

Performing The Ritual: Formal Induction Ceremony The Ritual: Formal Induction Ceremony shall only be performed in the presence of Members of the Fraternity and Chapter Advisors. Members responsible for the conduct of The Ritual: Formal Induction Ceremony shall ensure that adequate security measures are carried out to provide complete privacy and to maintain the secrecy of the ceremony. It is imperative that the Chapter treat The Ritual: Formal Induction Ceremony seriously. Laughing, rowdiness and buffoonery detract from the sincerity of the ceremony and should not be tolerated.

Initiation Checklist The following checklist is intended to assist the Chapter President and you, the Initiate Advisor, in preparation of a proper and first-class Chapter Induction Ceremony.

❑ The date should be established well in advance to permit each participant the opportunity to familiarize themselves with their part.

❑ Advance notice should be given to the Chapter Advisor(s), Chapter Alumni and any National Officers the Chapter might wish to invite.

❑ If the ceremony and/or the Initiation dinner are to be held outside, advance arrangements should be made for reserving a suitable location as well as an indoor location in case of bad weather. Also, if outside, make sure the area is well lit and that risk management is being considered.

❑ All altar cloths should be clean and all properties in good working condition. If you need any supplies, items should be purchased well in advance of the ceremony.

❑ The Ritual Ceremonies Book(s) should be in good condition. If your Chapter needs a new The Ritual Ceremonies Book(s), your Chapter can order new ones from the National Office at (phisigmapi.org/marketplace).

❑ The words for “Brothers Are We” should be distributed to the Chapter Members who will participate in any Initiation singing. The song should be practiced regularly, and a special rehearsal should be scheduled.

❑ After the Members are assembled in the room, the Chapter President should review special points. The President should also ensure that Big Brothers are prepared to remove the Initiate Pin from the Initiate at the proper time.

❑ After the ceremony, all materials and copies of The Ritual Ceremonies Book should be properly safeguarded.

❑ The Chapter Secretary should ensure that each Initiate sign the Chapter Roll Book.

❑ The Chapter Secretary and Treasurer should ensure that all Initiate dues and fees and Initiation report are submitted to the National Headquarters by the required due date.

The Ritual: Formal Induction Ceremony reminds us that purple is a sign of royalty. In our badge, it reminds us that we belong to a select group; the nature of our work makes it necessary to choose only those fit and ready. The purple is emblematic of the heritage which is our responsibility to pass on to succeeding generations.

We have come full circle. The Ritual: Formal Induction Ceremony acknowledges that it is the Initiate Advisor’s responsibility to pass on the ideas, values, operations, etc. to succeeding generations of the Chapter. So, you must recruit and train new Members for your Chapter to have a strong future.

Initiation Event During your Initiation Program you are required to complete at least one event together as an Initiate Class. The event must be completed in order for you to become an active Member in the Fraternity. However, instead of seeing this event as a mere stepping stones to becoming a Member, please take a proactive approach and use the event to become closer as a class– all while enhancing intellectual growth (scholarship), helping people in the community (service), relaxing and having fun together (social) and/or raising money for your class (fundraising).

Scholarship Event The first leg of our Tripod is scholarship, part of which means promoting learning and knowledge throughout your time in Phi Sigma Pi. This begins during your Initiation Program and will continue throughout your entire life. To help you along with this process, your Initiate Class may select, plan and attend your own scholastic event. Activities that have been planned before include: ● Attending an art exhibit on campus ● Going to a play or musical ● Preparing an ethnic food that you might not otherwise try

Service Event The second leg of the Tripod is leadership, part of which means being leaders in our community. Being a leader in the community starts by helping those less fortunate than ourselves. Brotherhood Web This game will give Initiates a concrete illustration of what it means to belong to a Brotherhood.

Initiate Class Officers

Positions and Duties Directions: Have the Members of your Chapter in attendance discuss the responsibilities of the following positions.*Feel free to adjust this list of Initiate class Officers as appropriate for your Chapter. ● President– Presides over the Initiate class meetings and oversees the

planning and implementation of the Initiate scholastic event. The President provides updates on the progress of the Initiate class at Chapter business meetings.

● Vice President– Presides over the Initiate class meeting in the event that the President cannot attend the meeting.

● Secretary– Keeps minutes during the weekly Initiate class meetings and keeps the Initiate class informed of all upcoming events via phone, email or in person. The Secretary also takes attendance at all Initiate class meetings and events.

Phi Sigma Pi Jeopardy

As the Initiate Advisor, you want to make sure that your history lessons are interactive and engaging. Your Initiates most likely have spent the majority of the day in classes, learning. It is your job to make learning the history of Phi Sigma Pi fun and interesting.

Instructions Before the Meeting

❑ Download the Jeopardy game from the phisigmapi.org resource center. ❑ Bring a computer and a projector to the meeting (you can rent projectors at

most institutions). ❑ Set up the computer, projector and game before the meeting and make sure

that it works. ❑ Round up two other Members to help you run the game:

❑ Host (Initiate Advisor, You)- The host is responsible for introducing the game, reading the categories, reading the clues and judging the answers.

❑ Scorekeeper– The scorekeeper is responsible for keeping score for all of the contestants/teams, If a contestant/team provides the correct response to a clue, the contestant/team earns the value of the clue. If the contestant/team answers incorrectly, the value is subtracted from the contestant/teams score.

❑ Game Operator– The game operator is responsible for running the PowerPoint game board and identifying the first contestant/team to indicate an answer is known (having the contestant or a designated person from the team raise their hand is a great way to indicate the person/team knows the answer)

Instructions at the Meeting ❑ Depending on the size of your Initiate class, split the Initiates into teams or

have them compete individually. ❑ Randomly choose a contestant/team to go first by selecting a category and

monetary value. ❑ The host should read the clue. ❑ The contestant/designated person from the team should “buzz in.” ❑ The game operator will recognize the first contestant/team to buzz in and the

host will call that contestant/team for a response. ❑ The contestant/team should answer in the form of a question (for example,

“Who is Dr. Eldo Hendricks”) Teams are allowed to discuss the response prior to buzzing in, but all conversation must stop when the designated person “buzzes” in.

❑ The correct response earns the value of the clue and gives the answering team the right to select the next clue. If the player gives an incorrect response or fails to answer in time, that amount is deducted from the team’s score and another team may buzz in and respond. If no correct response is given, the host reads the correct response and the team who originally chose the question maintains control of the board.

❑ Once the board is cleared, the host should give each contestants/team a pen and paper. During this time the contestant/team should decide on an amount to risk.

❑ The game operator should then click on “Final Jeopardy.” The host should read the question and give the contestant/teams one minute to record their response.

❑ At the end of the minute, have the contestant/teams display their card in turn (beginning with the contestant/team with the lowest score). The team with the highest score wins.

Alumni Pen-Pals Since week 5 of the Initiation Program is about life after being a Collegiate Member of Phi Sigma Pi it is important to hear from Alumni Members themselves. One way we can stay in touch is by being Alumni pen-pals. As Initiate Advisor, you can choose if you would like to send the letters to your Alumni Members by email or an actual letter.

Instructions Before the Meeting ❑ Members of the Alumni Relations Committee should gather a list of current

Chapter Alumni and their emails/addresses to the Initiate meeting. ❑ Provide the Initiates with paper, pens, markers, stickers and any other

decorative media you wish.

Instructions at the Meeting ❑ Give each Initiate a stamped envelope/an email address. ❑ Have the Initiate write a personal letter (inviting them to an upcoming event,

Recruitment Recruitment is an incredibly special, exciting and important time of year for the Members of Phi Sigma Pi. Most importantly, recruitment is a time where all Members can come together, search for quality new members, like yourselves, and celebrate the beginning of a new era of the Chapter!

All Members play a role in recruitment. The Recruitment Chair(s) will plan the information sessions and events and prepare any logistical arrangements. Members can assist with recruitment in several different ways! We have listed some common recruitment responsibilities below. Which one feels right for you?

Recruitment Committee ● If you are super passionate about recruitment, sharing and improving upon

your wonderful experience with those around you, this is definitely the Committee for you!

● Committee Members may help plan some of the events and help with logistical arrangements for recruitment.
