Install the Accellion Plugin for Salesforce

The Accellion plugin enables your customer support team to simply and efficiently exchange large, sensitive files with their customers—without leaving their Salesforce workflow. Lock down security, enforce governance policies, and maintain complete control of your own secure file storage infrastructure outside the Salesforce cloud.

Setting up the plugin involves the following steps:

a. AppExchange – install the plugin.

b. Get a Trial Accellion kiteworks Server – request a trial server if you do not have an existing system.

c. Accellion Server Admin – enable Salesforce clients and get the trust credentials.

d. Salesforce Admin Setup – configure the plugin’s connection to the Accellion server, user authentication and page layout.

Steps A and D require a Salesforce Administrator role. Step C requires an Accellion Application Admin role, which is provided with your trial.

A. AppExchange – Install the Plugin

If you have not already done so, open Accellion's Salesforce AppExchange Listing, and click Get It Now to install the plugin.

B. Get a Trial Accellion kiteworks Server

An Accellion server provides the secure file sharing services required by the plugin. If you already have one you want to use, skip to Step C. If you need one, follow these steps:

1 Submit your trial request.

2 Wait a short time for your server to build.

3 Receive your Getting Started email from [email protected] and follow the instructions to access your trial server.

C. Accellion Server Admin – Configure for Salesforce

1 Go to your kiteworks server and access the kiteworks admin UI page. Click on Application > Client Management kiteworks Applications > Plugins > kiteworks for Salesforce.

2 Make sure that the plugin button is turned ON (green) in the Status column.

3 Select Generate a random key. Click Save.

4 On clicking save, a key gets generated and displays in the box. The Signature Key option sets to Do not change signature key.

Optionally, if you already have a key, you can select Manually enter key and enter the key in the field below.

If you would like to change the Access Token Lifetime or Refresh Token Lifetime, select Do not change signature key.

5 Click Copy Signature Key.

6 You will need to populate the Accellion Secret field with this Signature Key you just copied in the next section.

D. Salesforce Admin Setup

Once you have installed kiteworks for Salesforce, the following Installed Packages page displays.

1 Click on the Configure link for kiteworks as shown below.

The Accellion Settings page displays. You will configure the Accellion Server Address and the Accellion Secret key on this page.

2 Configure your kiteworks server address. In the Server Address field, key in the domain name of your kiteworks installation, for example, yourcompany.kiteworks.com. From this Accellion Settings page you can access the Salesforce plugin installation guide by clicking on Get the install guide. You can also get a free trial to learn more about the plugin by clicking Get a free trial or you can contact Accellion Support by clicking [email protected] as shown in the screen capture below.

Note The Accellion Server Address field will only display for the plugin package “Accellion for Salesforce version 1.4” and up. For the older version “Accellion for Salesforce version 1.3”, the kiteworks Server Address field will display.

Note If you are configuring the Free Trial version you would have received your Getting Started email from [email protected] giving you the Admin URL, Username and Temporary Password. The Admin URL: https://accellion37.kiteworks.com/admin given in the email should be used excluding the https:// and admin.

3 Paste the key which you copied in the previous section in the Accellion Secret field.

Note The Accellion Secret field will only display for the plugin package “Accellion for Salesforce version 1.4” and up. For the older version “Accellion for Salesforce version 1.3”, the kiteworks Secret field will display.

4 Click Save Settings.

Set Up AuthenticationAuthentication

After installation the Admin will need to configure the kiteworks for Salesforce plugin so it can be used within their Salesforce organization.

Seamless Authentication to kiteworks for Salesforce

By default users may self-authorize. If you self-authorize a window displays asking for permissions to run the Salesforce plugin, but the Admin may turn on Seamless Authentication, in this case the users may start using the plugin without any additional steps.

The Admin should perform the following steps for seamless authentication:

1 Go to Setup > Installed Packages.

2 Click on the Kiteworks package.

Note Click on the Configure link to go back to the Accellion Settings page described in Step 2 above to configure the plugin.

3 Go to View Components.

4 In the components list locate Connected App "Kiteworks" and click on it.

5 Go to Edit Policies.

6 In the OAuth policies section in the Permitted Users section and choose the Admin approved users are pre-authorized option.

7 Click Save.

8 The Edit Policies page will display again after the application saves your changes. Scroll to the Profiles section and click Manage Profiles. Click Save.

9 Once authentication is configured by the Admin, users in the organization will be able to access Salesforce cases and kiteworks as shown below.

Note Based on the Accellion for Salesforce plugin version (1.5 or lower) you are using and based on the kiteworks version installed (5.3 or lower), some fields might not match the screenshots shown below. For example, for kiteworks version 5.3, Accellion Files will display. For all other 5.2 or lower versions kiteworks Files will display.

Setting up the Salesforce Properties

1 In Salesforce go to Setup -> Build -> Customize -> Cases -> Page Layouts.

2 In the Case Page Layouts table locate the Case Layout row and click Edit.

3 The layout editing form displays.

4 Choose Visualforce Pages from the control menu.

5 Drag the Section box to the page layout section.

6 Click the Properties button to set up the section.

7 Specify 1-column layout and name the section, for example, Kiteworks Files.

8 Now drag the Kiteworks for Cases box from the control menu to the section that you just created.

9 Click the Properties button to set it up.

10 Specify width 100% and height 500 pixels (this is what Accellion recommends).

11 Click OK and click Save in the control menu.

12 You are now ready to use kiteworks for Salesforce. Create a new case and get started.

13 Click OK and click Save in the control menu.

14 You are now ready to use kiteworks for Salesforce. Create a new case and get started.
