Integrating Clinical Practice into the MAVEN Disease Surveillance System

Background The Massachusetts Virtual Epidemiologic Network (MAVEN) is a web-
based surveillance and case management system that enables state and local health departments to appropriately share public health, clinical, and case management data efficiently and securely.
Clinical Practitioners (aka Infection Preventionists) communicate with DPH-Epi-of-the-day (EOD) regarding reportable disease cases of importance that need additional information and follow-up by Infection Preventionists.
The functionality allowing CP’s to access identified cases was integrated into MAVEN in April 2017 Created email notification for disease events Created two workflows for notification and follow-up for cases
assigned to you/facility
Using MAVEN: Splash screen Once you have an account and are trained on how to you MAVEN you
will log into the system, you will initially be brought to the splash screen which will highlight any notifications and your recent events

Follow-Up Pending workflow to manage pending events/cases that you are still working on
Shared Cases workflow – when DPH/Local Boards of Health need to ask for information for relevant cases
Captures all data elements required for surveillance and case management
Mirrors the case report form for all events

Captures relevant clinical and risk information within the question packages that is needed by EOD and LBOH
Quicker data entry of information using the wizard Specific wizards created for each events/cases

Notes are where you can enter general information regarding events/cases.
See notes from Epidemiologist/Local Board of Health. Enter information into the wizard/question packages for
event/case.

Attachments allow for medical notes or other types of documents you want to share via MAVEN
Key Concepts and Tips MAVEN is a web-based surveillance system. Events/Cases are used to track specific kinds
of information, including disease, town and facility-specific information.
Permission to see events in MAVEN and the information in those events is based on access assigned to your username.
You will only see the event ID associated with your facility.

Always select the “X” at the top right of the event when you are finished working in your identified event.
Never use the browser’s back button. Instead use the Dashboard buttons to navigate. Log out when you are finished working. Access the Help Button for MAVEN tip sheets,
guides and links to pertinent information.

Never share your password with anyone or allow anyone to log on to MAVEN using your username.
If you have staff members that need to use MAVEN, someone from MDPH will be happy to set them up with an account.
Account histories are maintained and accessible for all events for security and tracking purposes"
The MAVEN case/event ID associated with your facility can be emailed which does not violate HIPAA rules.
