Capture � The process starts with the intake of millions of pages of medical records

from a variety of sources to include paper, fax, e-mail or electronic files.

� All incoming hard copy medical records and documents are converted into electronic data through high-speed scanners.

� Applies Image-quality checks and image clean-up to speed processing with minimal manual intervention.

� Allows the ability to store and archive millions of pages of protected health information (PHI) documents securely and efficiently.

TransformClassification / Data Extraction / Validation

� NCI SmartDoc™ employs custom designed automated classification technology that is capable of recognizing up to 50 different Medicare medical record document types without manual separation, separator sheets or barcodes to identify document types.

� The tool employs Optical Character Recognition (OCR) technology and a content based analysis to accurately identify complex and varied document types. This ensures the medical records are available to medical review audit teams already categorized and organized into the various record types (e.g., lab reports, nurse’s notes, and discharge summaries).

� Automated classification has greatly reduced the amount of manual preparation required to organize over 20 million pages of complex medical records each year resulting in lower operating costs, reduced errors and increased productivity.

� Through human-assisted ML, NCI SmartDoc™ is capable of learning from experience, continuing to improve its classification accuracy over time.
