1. Email is a method of exchanging digital messages from an author to one or more recipients.
Modern email operates across the Internet or other computer networks. Email servers accept,
forward, deliver and store messages. Neither the users nor their computers are required to be
online simultaneously; they need connect only briefly, typically to an email
server, for as long as it takes to send or receive messages.
a. An email message consists of two components, the message
header, and the message body. The message header contains an
originator's email address and one or more recipient addresses.
Usually descriptive information is also added, such as a subject
header field and a message submission date/time stamp.
b. A message can be addressed to an individual;
[email protected], multiple recipients; [email protected],
[email protected], or a group using a name like CB, where
contacts have been added to CB group.
c. Typically, an email message will reach the recipient’s
server within 5 minutes, and many times, much less. If
the recipient is online, a
notification will appear on the
computer.
d. After reading a message, it can be
printed, saved, responded to, or
deleted.
e. As a demonstration, the instructor’s email account ([email protected]) will be
used to: Compose a message, address a message to yourself, type CB email into the
Subject line, in the message body, and type your name and today’s date. Click Send.
i. After a moment, Select and Read the message from oneself.
ii. From the toolbar, select REPLY, add your favorite color to the message, and
then Send it back.
iii. As the final step to this
exercise, Delete this
Reply that was sent to
you. The message will
be Moved from the
Inbox to the Trash or
Deleted folder. Click on the Trash folder to ‘see’ the message. Select the option
to Empty the trash folder.
f. As a demonstration, Create a Folder to store messages from the instructor.
i. Create a Label/folder named CB
ii. Select one of the messages
iii. Move it to a Label/Folder named CB
iv. Click on the Label’s/Folder’s name; the message moved should be displayed
v. Folders in email allow organization just like folders in Windows Explorer

g. Account Maintenance
i. Deleting old and unnecessary messages from Inbox
1. Review old message on a regular basis
2. Delete or print or file
ii. Folder/Label maintenance
1. Create folders/labels for categories of mail
2. Family, hobbies, church, etc
iii. Deleting messages from the Sent folder
1. Normally, a copy of all messages Sent will be stored in
the Sent folder.
2. You will be surprised the number of requests to “send it
again.”
3. Maybe messages older than 60 days should be deleted?
iv. Emptying the Spam folder
1. This folder is created for junk mail.
2. Emptying the Trash folder will vary by your email program.
3. Empty once a week.
v. As an exercise, delete all messages created as a result of this class in Inbox,
Sent, Trash, and CB.
1. Don’t delete your personal messages.
2. Empty Trash last; why?
3. Now delete the CB label/folder.
4. Leave your email account OPEN.
h. My email attachments DO NOT OPEN?
i. A common complaint heard from people using email is their frustration not
being able to open attachments. For example, your 8th grade grandson just sent
you a picture of his football team, and you cannot view it.
ii. The first place to look is at the attachment’s format. A file’s format is related to
the program that created it. For example, a picture will likely be formatted as a
jpeg (basic picture format). A word processing document might use a format
that is incompatible with your computer’s word processor. Or a business sends
an engineering drawing that used a program you do not own. WHAT TO DO?
iii. The first option is to contact the sender asking them to resend in a format that
you can use. Most pictures can be opened with Internet Explorer. For issues
with word processing, ask the sender to resend the document as an RTF
document.
iv. The second option is deleting your cookies and browser history.
v. The third option is to look at the spyware/virus programs on your computer.
Under "settings" and "real-time" protection, uncheck the box marked "Threats
in web mail attachments".

2. Online Storage and Online Documents are Internet-based “personal” storage locations

b. Note, all allow a certain level of “free” storage, but for larger users, fee-based services
are the norm.
c. Personal documents may be created and stored online using ‘web apps.’
d. With a variety of devices connecting to the Internet, such as smart phones, tablets,
and laptops with varying levels of storage space, “Cloud” storage allows access from
any device and will “sync” the documents between devices, so that they will all be the
same no matter when it was last accessed.

3. Create a Google account to access Docs.Google.com
a. Be prepared to access your email account in this process.
b. Watch the YouTube Videos at http://www.youtube.com/docs
Enter required fields:
Enter a current email address, note the example.
Choose a Password at least 8 characters long; for example your First Dog’s name and the year you graduated from high school yields spot1977
Uncheck the Enable Web History box; (it can be enabled later).
Asking a birthday is very personal; Google will use this information if you forget the Password. Note the format for January 1, 1971. 01/01/1971
Verification that you are human is performed by CAPTCHA or Captcha; a type of challenge-response test used in computing as an attempt to ensure that the response is not generated by a computer.
Lastly, click the “I accept. Create my account.” button
A confirmation/verification email message is sent to your email address listed on the first line.
Go to your email account to verify.

c. From the video, the online Google Docs area provides storage for documents, folders,
pictures, and videos from your phone.
i. Files can be uploaded from any computer; files from home, work, or from a
volunteer position
ii. New files can be created in Google Docs; word processing, spreadsheets, …
iii. An important advantage of this storage method is all of your files are accessible
from any computer on the Internet. While sitting at Starbucks in Arizona,
vacation pictures taken 3 years ago may be shared; right from your Google Docs
account.

iv. A second advantage is the ability to “share” documents. For example, if a
committee is planning the next high school class reunion, the mailing list,
announcements, registration forms, and the door prize list, can be stored
online. Committee members can make updates, and all other members will
have instant access.
d. As a demonstration:
Log into Google Account at docs.google.com.
If you have a gmail account, you also have a Google Docs account.
If you do not have a Google account, use the information on page 11 to create the Google Docs account using your present email address.
