Internship Duration & Rationale for Selection

At the end of 6th semester of BBA programme, students are required to pursue a minimum 6 weeks internship in a recognized organization of Pakistan. This compulsory internship is of 3 credit hours and essential for the completion of degree. The main objective of the internship is to provide students the opportunity to test their interest in a particular career before permanent obligations are made. As in the last year of BBA (Hons.) programme, the students choose respective areas of specialization. The internships help in making a more logical and a .better choice My internship duration was from 23rd June, 2010 to 4th August, 2010. I worked for six weeks with Bank Alfalah Limited to complete my Compulsory Internship which included extensive training in Bank Operations based on rotational plan. The departments in which I :worked are given below .Accounts Opening .Remittances .Clearing/ Collection .Accounts .Credits I attempted my chance for internship in BANK ALFALAH through reference of my elder sister friend, who's employed in BANK ALFALAH. My sister friend Miss. Ayesha Iftikhar is working as a MTO in BANK ALFALAH and helped me throughout this entire phase of .internship from finding a internship to placement

I worked for one week in the account opening department at the bank and learned a lot from the caring and helping staff in the department. This department was administered by Mr.Atif .Shah and helped me in learning all about the opening and closing of accounts A). Functions) :The major functions of the account opening department include It provides complete information to the customers about new account opening at Bank .Alfalah It provides relationship contract form and related documents to the potential .customers It helps customers to choose suitable account type, such as basic banking account, .current account or saving account It also assists potential customers to choose suitable product of Bank Alfalah such as .Alfalah Kifayat Account, Royal Profit Account, Alfalah kamyab karobar Account etc It assists customers to complete the account opening documents and guides them fully .during the whole process It also provides phone banking services to the customers such as answering the customers queries regarding balance in their accounts, provision of information about any new product of Bank Alfalah and the queries related to credit and debit cards; .their issuance, delivery and reissuance etc B). Work Environment & Staff) I found the staff of this department very friendly, devoted and sincere towards customers. The working environment is cooperation based and professional. Although sometimes the customers illogically made their queries irritating, the employees showed great patience in .such situations C). of interest rates offered on accounts. My supervisor showed me prescribed formats of partnership mandate and certificate of commencement of business. As an assignment I .completed 10 to 15 account opening forms and got them checked from my supervisor In the meanwhile I was familiarized with products of Bank Alfalah regarding different types :of accounts for its various customers. These are given below Saving A/C offers 5% profit and requires a minimum balance of Rs. 5000, if less than this amount is maintained Rs. 50 are deducted from the account. 10% of the interest earned is paid to the government. Annual Zakat is also deducted from this account. .The interest is calculated monthly and credited to the account semi-annually Royal Profit Account requires initial deposit of Rs. 50000, and minimum balance should be maintained is Rs. 5000. The interest offered is 5% but interest is negotiable according to the deposit and may be increased. Zakat is deducted from this account. The main feature of this account is that, the interest is calculated on daily basis and .credited to the account at the end of each month Alfalah Kifayat Account requires minimum balance of Rs. 10000 and maximum Rs. 1000,000. The main feature of the account is that 7% quarterly interest is paid on the .account. The minimum age of the account holder should be 18 years Alfalah Mahana Amdan Account is opened with Rs. 100,000 balance and maximum deposit can be up to Rs. 15000,000. Only one account with Alfalah at a time. 10% .expected rate is credited on 1st of every month

Suggestions) Based on my observation and a work in the account opening I have some suggestions for :improvement Bank Alfalah needs to consider importance of internet banking as its competitors are offering internet banking services more and more. The customers should be able to go .online and check their own accounts whenever they require so The bank should offer new products to increase its customer base as other banks like Habib bank etc. are offering higher interest on saving accounts and fixed deposits .which include time limit BBA account is not online while mostly students open BBA accounts. Students living in Islamabad always require money for fee purposes etc from parents living in other cities. They need an online account for such transactions. Bank Alfalah should offer .some new product to facilitate this segment and should earn money

REMITTANCES

The second and third week I was advised to spend few days in Remittance department and try to learn its functions and working of this department. This department was administered by .Miss. Amna and helped me in learning all about the local remittance and foreign remittance .I became motivated to join banking after working in this department :A). Functions) :The major functions that I learned of the local remittance department are It deals with the remittances or fund transfers that occur within the country between banks or individual people and organizations. The fund transfer was identified by me .simply as inflow and outflow of the money .It deals with the provision and receiving of pay orders and demand drafts and TTs etc .Also all types of utility bill payments are entertained by this department

:The major functions that I learned of the foreign remittance department are It deals with the transfer of funds which are in a foreign currency form such as US dollars, Euros etc This fund transfer may be at international level between the banks and individuals and banks or between the individuals and organizations etc but the currency used is other .than PKR :B). Work Environment & Staff) At Remittance department the work environment was very worthy. I found my supervisor for this department very cooperative and also hardworking. I enjoyed working in this department .and my supervisor teaches me something related to the functions of these departments Miss. Amna was kind enough to teach about the general working of the bank, concept of term .deposits and fixed deposits and many other important concepts related to the banking .I also learned the customer dealing in this very department :C). Learning) My major learning was about the concept of Transferability and Negotiability and the .Negotiable instruments

i). Transferability and Negotiability: We can relate this concept to the transfer of ) ownership of funds. The concept of transferability depends on the medium or instrument of transfer of funds such as Pay Order, Demand Draft, and Cheque etc. These are called negotiable instruments and give drawer the right to transfer the ownership of funds to payee. On the other side non-negotiable instruments such as TDR (Term Deposit Receipt) do not give the right of transfer of funds by the drawer to the payee. We cannot negotiate on its basis in day to day business activities. Using instruments of negotiability, payee has the better title or he is in better position to take .ownership of funds ii). Pay Order: The instrument is used for transfer of funds within the premises of a ) city. Using the cash in hand, if pay order is up to the limit of Rs. 200,000, the bank charges are Rs. 232. If it is more than Rs. 200000, bank charges 0.1% of the pay order money. If using the bank account (cheque), the customer is charged Rs. 58 when the pay order money is below Rs. 100,000. For the pay order above this amount, charges .are increased iii). Demand Draft: The instrument is used to transfer the funds from one city to ) .other within a country. Bank charges are same as for the pay order mentioned above iv). TT (Telegraphic Transfer): There are four forms of telegraphic transfer which ) include the transfer of funds (from other countries also such as UAE etc) using :internet. These are .Cash payment is made to the customer .The account of the individual customer is credited .Funds are transferred to the some other bank .(Funds are transferred to the account of an organization (a company The important thing about the telegraphic transfer is bank do not charge any .commission on such transfer v). R-Form: I was told about the meaning and purpose of this important document ) .and in foreign remittance department I practically completed some forms vi). HO Account And Agent Bank: My supervisors actually taught me the) mechanism involved in the transfer of funds at local level and use of head office account (HO Account). I learned how different accounts are credited and debited until finally process of transfer is complete. I was also told about the mechanism of transfer at international level and purpose of having an agent bank such as Standard Chartered .and HSBC Global Bank etc vii). Meaning of crossing and Stamps On a Cheque: I also learned about the types) of crossings that are customary, the meanings and importance of these crossings such as general crossing as well as crossing that restrict the transfer etc. Also I was

familiarized with the meaning and use of different types of stamps that are used by .these departments such as signature verification, HO account, and Transfer stamp

My supervisor in this department practically involved me in daily routine work which comprises as follows:

Helping customers in filling form of Foreign Remittances. Assisting Customers in filling form if Local Remittances. Printing Pay Order and Demand Draft. Matching the HO accounts on daily basis.

Suggestions) Based on my learning and observation, during this whole week, I have some suggestions :which I think will improve the local remittance department at this very branch I observed that sometimes due to technical problems in intranet and internet connectivity, the employees were annoyed and so were the customers. Customers had to wait before a computer system was in working condition, and they complained to the employees. By resolving this problem the efficiency of the department will be .improved

CLEARING/ COLLECTION

In the fourth week, I was shifted to Clearing/ Collection department. I was supervised under the supervision of Mr. Farhan. In this department I learned all the important functions and .working related to clearance of a cheque :A). Functions) :The major functions that I learned in this department are First the officer receives the cheque, then see the condition of the cheque whether it is crossed or not, then by entering the account number in system software checks the balance in account, and then by doing necessary functionalities, like, signature, photo, .clears the cheque :B). Work Environment & Staff) As compared to other departments, the load of work in this department was considerably high and the officer throughout the day remained busy in receiving and clearing the cheques. Though, still in this hectic work, the officer attended me very well each day and helped me in .learning about this department :C). Learning) :Specifically, I learned in this department are as follows ."Software use by BANK ALFALAH is "BANK SMART It was in this week that I also learned some important concepts related to banking. :These include -:The bank earns money (income) through

Interest that it earns during financing activities such as small level financing and syndicate financing. This financing is based on the .advances the bank makes From the commission it earns for providing facilities such as transfer .of funds, provision of lockers etc

Especially the individuals and in some cases the organizations provide the money that bank uses in financing. After the bank receives an offer of deposit (such as term deposits); it suggest an interest on the money to the organization or individual (the owner of funds). This interest rate is calculated by the experts using market research and speculation techniques. Once the interest rate is agreed and the bank receives the deposit. The fund is available for .lending During this process, the bank also asks for a KYC document. KYC is Know Your Customer. This document tells about the sources of income of the .potential customer or the type of business the customer is involved in The reason for KYC is essential for the bank is to keep a check on the customer to avoid money laundering (converting black money into white .(money using bank The regulatory bodies such as FATF (Financial Action Task Force) and State .Bank keep a strict check on the banks for any type of illegalities

.Method of clearance of cheques Date, words and figure, signature are important consideration in cheque before .clearing it .If cheque is not cleared, it is then returned by mentioning the reason on it .Credit Voucher: Mail of cheque from other bank

ACCOUNTS

I engaged my fifth week in the accounts department and learned some important concepts and assumptions that are used in the accounting for banks. My supervisor in this department was .Mr. Zamil Shah :A). Functions) :The major functions of this department include .Keeping accounts of income and expenses of the bank Keeping records of the daily transactions in hard copy and soft copy, that is all type of .book keeping Reporting the daily, weekly and monthly performance reports to the .respective offices .Preparing the annual reports /financial statements (final accounts) of the bank .Keeping a check on daily expenses and controlling the expenses Department deals with the sale and purchase of required assets for the branch, .reimbursement of daily expenses by bank staff and medical cover etc :B). Work Environment & Staff) Comparatively in this department I found the staff members less motivated and a bit less enthusiastic. The work environment was dry. Though they were hard working but due to technical nature work in this department, they found it boring. So in my opinion the staff members working in this department need some fresh cool air. Also I found harshness of weather in this department as air conditioned were not working properly, and in my observation this may be one of the reason that makes working in this department less .comfortable :C). The major learning was of reporting that is carried on by this department for area office, state :bank and regional office. The types of reports that I came across with include Daily Activity Report: A summary of daily activity (in major account of the branch) .is prepared and reported to the chief manager daily Withholding tax report: 10% of the profit earned by the account holders is paid to the government, and report is prepared and submitted to the area office on monthly .basis Asset and Liability Report: Monthly asset and liability report is prepared for the State Bank of Pakistan. It includes the balances of current and savings accounts and .term deposits etc FE 25 Utilization Report: To maintain the record of foreign currency deposits, this .report is prepared and sent to the area office on monthly basis Administrative Expenses Report: The administrative expenses are recorded and monthly report is sent to the area office as well as to the expense control department .for check and control

:Some other reports include .Monthly business achievement report for area office .Budget Review Form .Monthly Monitoring statements for Finance department :D). Suggestions) The staff needs some spur and some technical assistance as some of the main employees of the branch have been transferred to the new Corporate Branch at F-10 Markaz . Working environment should be improved by improving air conditioned facility in the .department

CREDITS

In my last and sixth week at Bank Alfalah, I learned many important concepts of interest in a very important department of a bank i-e Credits. But due to economic crisis, the working in this specific department was low. BANK ALFALAH was not providing its credit services in this specific branch for long term loan (house loan). It recently restarted its Auto loan service .in this branch after a long span of gap :A). Functions) :Major functions of the department include .(Credit Evaluation (new customer evaluation .Maintenance of loan :B). Work Environment & Staff) The work environment was very comfortable and based on team spirit and cooperation. The officer in this very department was enthusiastic and hard working. They had in-depth .knowledge of activities related to credits department :C). Learning) Asset s& Liabilities in Bank: I learned the credit evaluation process in general, role of treasurer etc. There are two aspects/sides of banking, asset and liability. Credits deals with the assets, utilization of assets in the best possible way and thus it is all about earning of the bank, profit, the ultimate goal of every organization. Interest rate is offered to the potential customer after adding the branch profit and the .deposits/assets are utilized in the best possible way to earn an income for the bank

After evaluation of the loan, a disbursement schedule is determined which is based on .the agreed terms between the two parties Also maintenance of the loan healthy is carried on to avoid any default by the .customer etc :Key Terms: some important terms that are used in this department are Credit: any arrangement, however named or described, that is irrevocable and thereby constitutes a definite undertaking of the issuing bank to honour a .complying presentation Complying Presentation: means a presentation which is in accordance with the terms and conditions of the credit, the applicable provisions of these rules and .international standard banking practice .Advising bank: the bank that advises the credit .Applicant: the party on whose request the credit is issued .Beneficiary: a part in whose favour the credit is issued .Issuing bank: the bank that issues the credit I learned different terms used in the lease transactions such as RV (residual Value), .IRR (Internal Rate of Return) and Lease Tenure period etc

Following is the SWOT Analysis of BANK ALFALAH on my personal based experience :and the recommendations proposed STRENGTHS For an organization to have a corporate advantage over its competitors they need to focus on their resources and invest in them .The bank has highly trained and skilled employees and it has succeeded to attract the finest banking professionals from across .the country due to its emergent pace and sound reputation The owners of the bank belong to UAE and the type of their investment in Pakistan is a foreign investment, the government is fully taking sides the bank management due to its policy to maximize the foreign investment in the country, to get the economic .success The administration of the bank is extremely anxious for the enlargement of a healthy working atmosphere. development of its workforce to create an atmosphere which is in coalition with their .vision and strategy From the financial statements of the bank, the financial shape of the organization is very sound and its profitability is mounting despite the recent financial crisis in which the profitability of organizations has been shrinking. The profitability indicator earning per share has improved on a rate of about 50%, which is a very encouraging .sign From its well-built financial position the bank has undergone a massive extension plan to race with the existing bank all over the country and with the passage of time .the branch network is growing at a very fine pace As from its thriving business strategy and the well-built monetary position, the bank .has accomplished the repute of fastest growing financial organization in the country As the bank has its own training & development, the bank hires young and energetic workforce. So, they trained them and get maximum output from these young .individuals with attractive compensation The bank is also in course in Islamic Banking as well. It has a separate network for it and currently comprises 16 branches in country and is expanding in this division .speedily

WEAKNESS During my stay at internship, one of the weakness I observed Bank Alfalah facing is that it charged some remuneration on Cheque Book, Statement Charges etc. Most of the client complaint about it and compare it with other banks functional. As other .banks are providing free or with less charges The branch was having huge business, but the workforce in branch was not in that number that it can handle the maximum customers, so resulting in loss of customer and loss of revenue. So as a weakness, there must be more workforces to handle the .business in a branch

This tendency can outcome into the merger of some top banks which can give harsh time to the bank and it will become .hard for the bank to battle with them There is a trend of initiation of mega project in the country. And majority is involved in this trend. This can outcome into the crash of these project which can make it hard .for the banks to recover their funds from these defaulters As in recent years, the political condition of Pakistan remained disturbed. So, it act as .a threat sometime for continuing operations

It .helped me in gaining knowledge and knows how about the business and banking area Internship grooms the person professionally and let you know about the organization .environment I am putting up some recommendations, which will enable BANK ALFALAH to battle with :other banks in market more professionally and successfully One of the major issues was that employees were overburdened with work, which was directly attacking their efficiency. BANK ALFALAH must use more marketing efforts to attract customer for its .financial products As, I was working in between the dates of salary taking days, I felt that salary structure for the employees must be revised otherwise they might switch on to other .positive options, which will result in a major concern for the bank .The IT infrastructure should be more powered for smooth operations .Expenses occurred in a branch must be controlled for a favourable revenues

CONCLUSION:The aim of internship for the internee can be concluded as .To build up skills in the application of theory to practical work situation To gain this opportunity to test my talent for a particular career before permanent .commitments are made .To be aware of the organizational environment and gain a real world experience .To be aware of the working of a bank and banking system in Pakistan To benefit the opportunity to develop attitudes contributing to to effective .interpersonal relationships .To build up skills and techniques directly applicable to my career .To enhance my sense of responsibility To plan myself to enter into full-time employment in their area of specialization upon .graduation .To observe and obtain good work habits .To build up employment records/references that will boost employment opportunities To add an in-depth knowledge of the formal functional activities of a participating .organization .To be aware of and observe the nature of informal organizational interrelationships

My internship comprised in working in five different departments, my personal learning encompasses extensive training in Bank Operations--Account Opening; Remittances; Clearing/Collection; Account and Credits. This has been a great and valued experience and .exposure for me in the Business and Banking Area

This internship helped me in learning about how to deal with the customers. More .importantly I learned that every work is done under a systematic process :The results for my SWOT Analysis can be interpreted as .BANK ALFALAH is considered to be leader in the Pakistan banking industry .The financial position of BANK ALFALAH is very strong BANK ALFALAH should lower their transaction rates, so that can retain and attract .more customers BANK ALFALAH is directly facing severe competition from its competitors, so it .must constantly devise strategy, so that its market share remains unaffected .BANK ALFALAH should have more workforces to handle its operations

:My recommendations for BANK ALFALAH can be summed up as follows There must be a proper IT department in each branch of BANK ALFALAH, so that .IT problems can be adjusted immediately There must be more rotation on job, so that employees can have experience of .different areas .There must be a Customer Care Officer in every branch of BANK ALFALAH Scholarship programmes must be introduced for employees so that they can increase .their qualification which will become a Human Resource asset for the bank
