FOREWORD

This Indian Standard (First Revision) was adopted by Bureau of Indian Standards, after the dratl finalized by theDocumentation and Information Sectional Committee had been approved by Management and Systems DivisionCouncil.

This standard was first published in 1985 for creating computer based bibliographic data records of different printdocuments available within the various Indian libraries.

Keeping in view the global changes in bibliographic formats suchasAACR2,ISBD,1S02709 (Format of Informa-tion Exchange), various MARCS, etc. and its structure due to exponential growth of e-resources, this change is anendeavour towards the demand of the twenty-first century’s machine-readable cataloging (MARC) system.

Bibliographic description of a document is a collection of information, which is intended to provide a unique andunambiguous reference, such as, will enable a librarian to identify and retrieve the document, or an intending userto order it from the publisher or other sources. Such bibliographic descriptions in computer readable form consti-tute records in bibliographical databases. These bibliographic records facilitate rapid communication and exchangeof information on scientific, technical social science and other kinds of documents. It is desirable that appropriatemechanisms be developed and utilized for the convenient control of bibliographic records.

The,provision in the guide for bibliographic description of different kinds of documents helps in such control ofbibliographic records and facilitates the processing of the records for library and documentation purposes and theexchange of this information between different libraries, documentation and information centres. It ensures cofiis-tencies, uniformity and compatibility in the creation, exchange and utilization of the bibliographic databases.

Bibliographic databases could be used specifically for SDI/alert services, preparation of select bibliographies onspecific subjects, preparation of national bibliography, union catalogues, etc, and for the exchange of bibliographicinformation among national and international agencies.

1.1 This standard specifies the requirements for acomputer readable record format which will hold anytype of bibliographic record and data elements forbibliographic description of different kinds ofdocuments, such as;

Books — Textual materiaI that is monographicin nature.

Continuing Resources — Textual items witha recurring pattern of publication, for exampleperiodicals, newspapers, yearbooks.

NOTE — Prior to 2002, continuing resources werereferred to as serials.

Electronic Resources — Used for computersoftware, numeric data, computer-orientedmultimedia, online systems or services. Otherclasses of electronic resources are coded fortheir most significant aspect. Material may bemonographic or serial in nature.

Maps — All types of cartographic materials,including sheet maps and globes in printed,manuscript, electronic, and microform.

Music — Printed and manuscript notatedmusic.

Sound Recordings — Non-musical soundrecordings, and musical sound recordings.

Visual materials — Projected media, two-dimensional graphics, three-dimensionalartifacts or naturally occurring objects, andkits. Used for archival visual materials whenformat or medium is being emphasized.

Mixed Materials — Primarily archival andmanuscript collections of a mixture of formsof material. Material maybe monographic orserial in nature.

1.2 This standard gives an illustrative list of dataelements to be used in a bibliographic record. Theformat of a bibliographic record is taken to constitutea logical record without any regard to the physicalrecord on a recording medium. It does not define the

different data elements or expand the different codesused.

2 DEFINITIONS/TERMINOLOGY

2.1 For the purpose of this standard the followingdefinitions shall apply (Italicized terms withindefinitions are terms for which definitions are alsoprovided).

2.1.1 Base Address of Data — A data element in theleader which specifies the first octet of the first variablefield in the record and is equal to the sum of the lengthsof the leader and the directory, including the fieldterminator at the end of the directory.

2.1.2 Bibliographic Level — A data element in theleader of bibliographic records which providesadditional information about the characteristics andcomponents of the record, and is used in conjunctionwith the type of record data element of the leader.

2.1.3 Bibliographic Record — A collection of dataelements describing or identifying one or more unitstreated as one logical entity.

2.1.4 Blank (SP) — ASCII character 20(hex) (it isgraphically represented as ~ or #), which is used inindicators and data elements containing coded values(and occurs in data content). Generally, blank standsfor “undefined”, but in some instances it has beenassigned a meaning. ASCII name is space.

2.1.5 Character—A member of a set of elements usedfor organization, control, or representation of data. InMARC a character maybe encoded using one or morethan one octet, depending on the character set. AllASCII characters are encoded using one octet in theASCII encoding and the Unicode UTF-8 encoding,thus a character is equivalent in length to an octet whenan element’s values are restricted to ASCII.

2.1.6 Content Designation — The codes andconventions established explicitly by MARC to identifyand further characterize the data elements within arecord and to support the manipulation of that data.

2.1.7ControlField—A variable field containinginformation useful or required for the processing ofthe record. Control fields are assigned tags beginningwith two zeroes. Control fields with fixed length data

elements are restricted to ASCII graphics.

2.1.8 Control Nutnber — An ASCII graphic characterstring uniquely associated with a record by theorganization transmitting the record and located in aspecific variable field.

2.1.9 Data Element — A defined unit of information.

2.1.10 Data Element Identljier-A one-character codeused to identify individual data elements within avariable field. The data element may be any ASCIIlowercase alphabetic, numeric, or graphic symbolexcept blank.

2.1.11 Data Field — A variable field containing

bibliographic or other data. Data fields are assigned

tags beginning with characters other than two zeroes.Data fields contain data in any MARC21 character set

unless a field-specific restriction applies.

2.1.12 Delimiter — ASCII control character lF(hex)

(it is graphically represented as * or $), which is

combined with a data element identifier to make upthe subfield code which precedes each individual dataelement within a variable field. The ASCII name for

the delimiter is unit separator (US).

2.1.13 Directory — An index to the location of thevariable fields (control and data) within a record. The

directory consists of entries.

2.1.14 Encoding Level — A data element in the leader

of authority, bibliographic, classification, and holdings

records which provides information about the fullnessof the information and/or content designation in therecord.

2.1.15 Entry — A field within the directory which gives

the tag, length and starting character position of avariable field.

2.1.16 Entry Map — A data element in the leader which

specifies the structure of the entries in the directory.Always set to 4500 in MARC records.

2.1.17 Field — A defined character string that may

contain one or more data elements.

2.1.18 Field Terminator (FT) — ASCII controlcharacter 1E(hex) (it is graphically represented as FTor ‘), which is used to terminate the directory and each

variablefield within a record. ASCII name for the fieldterminator is record separator (RS).

2.1.19 Fill Character — ASCII graphical vertical bar

( I )[7C(hex)], which fills a required character positionand has the meaning ‘no attempt has been made to code’.

2.1.20Fixed Field — A jleld whose length does notvary. The term is occasionally used to refer to variable

control fields, especially those that contain coded datasuch as fields 007 or 008.

2.1.21 Identifier Length — See 2.1.37.

2.1.22 Indicator — A data element associated with adata field that supplies additional information aboutthe field. An indicator may be any ASCII lowercasealphabetic, numeric, or blank. Indicators are not usedin control fields.

2.1.23 Indicator Count — A data element in the leader

which contains the number positions reserved forindicators in each variable data jield. The indicatorcount is always set to 2 in MARC records.

2.1.24 Leader — A fixed field that occurs at thebeginning of each record and provides information for

the processing of the record.

2.1.25 Length — A measure of the size of a data

element, field, or record and is expressed in number ofoctets.

2.1.26 Logical Record Length — A data element in

the leader which contains the length of the entirerecord, including itself and the record terminator.

2.1.27 Octet — A string of 8 bits. In some cases (for

example, ASCII) each octet represents a charactec in

other cases (for example, Unicode) multiple octets mayrepresent a character.

2.1.28 Record — See 2.1.3.

2.1.29 Record Label — See 2.1.24.

2.1.30 Record Length — See 2.1.26.

2.1.31 Record Status — A data element in the leader

which indicates the relation of the record to a file (for

example, new, updated, etc.).

2.1.32 Record Terminator (RT) — ASCII controlcharacter 1D(hex) (it is graphically represented as RT

or \), which is used as the final character of a record,

following the jield terminator of the last data jield.

ASCII name for the record terminator is ‘group

separator (GS)’.

2.1.33 Space — See 2.1.4.

2.1.34 Starting Character Position — The position,

relative to the base address of data, of the first octet of

the first character in the variable field referenced bythe entry. The first character of the firstjield following

the directory is numbered O.

2.1.35 Status — See 2.1.31.

2.1.36 Subfield Code — The two-character

combination of a delimiter followed by a data element

identifier. Subfield codes are not used in controljields. subdivided into sub-elements contained in subfields

2.1.37 Subfield Code Length — A data element in the

leader which contains the sum of the lengths of thedelimiter and the data element ident+er used in therecord. Always set to 2 in MARC records.

2.1.38Tag — A three character string used to identifyor label an associated variable jleld. The tag may

consist of ASCII numeric characters (decimal integersO-9) and/or ASCII alphabetic characters (uppercase orlowercase, but not both).

2.1.39Type of Record — A data element in the leader

that with bibliographic level, specifies thecharacteristics and defines the components of therecord.

2.1.40 Variable Control Field — See 2.1.7,

2.1.41Variab[e Data Field — See 2.1.11,

2,1.42 Variable Field — A field whose length is

determined for each occurrence by the length of datacomprising that occurrence. There are two types ofvariable fields controi fiek4s and da~a jk/ds.

3 RECORD FORMAT AND DATA ELEMENTS

3.1A guide for bibliographic description of documentsin computer based bibliographic data bases should

provide the layout of the bibliographic record formatand a specification of the data elements forming thebibliographic description, Annex A gives the layout ofthe record format, Annex B gives illustrative dataelements together with the corresponding tags,indicators, and subfield identifiers. An illustrative

example is given in Annex C.

3.1.1A bibliographic record includes a bibliographicdescription of the document in question, some form ofclassillcation and/or indexing applied to the subjectcontent of the document, an abstract or summary or

annotation and other information.

3.1.2 Bibliographic record refers to the structure withinwhich the bibliographic description is stored in

computer readable form. It has three distinct parts: afixed length leader, number of directories based on

available fields, and variable data fields associated withthe directory.

3.1.3A piece of specific information forming part ofthe bibliographic description and having a specificfunctional relationship with the content of the

document to which the record refers. Data elements

are separately identified within the bibliographic recordso that each element can, if desired, be independently

assessed and manipulated by a computer programme.

3.1.4 The data elements are contained in different fieldsidentified by tags (field tags). Data elements are further

introduced by subfield identifier. An indicatorassociated with data field supplies further informationabout the data element contained in it.

4 GENERAL RECORD STRUCTURE

4.1 The general structure of a bibliographic record isshown in Fig. 1. A more detailed structure is shownschematically in Annex A.

Each record begins with a leader (see Fig. 2 and Fig. 3),which is a fixed field containing information for the

processing of the record. Following the leader is thedirectory, which is an index to the location of thevariable fields (control and data) within the record. Thefields following the directory are all variable fields.

The first variable field is the control number field (thatis, Fixed fields 001, 003, 005, 006, 007, 008), which

contains an ASCII graphic character string uniquelyassociated with the record by the organization

transmitting the record. Following the control numberfield are the rest of the control fields, which containinformation useful or required for the processing ofthe record. Following the control fields are data fields,which contain general data. A fieid terminator (lT),ASCII control character 1E(hex), is used to terminatethe directory and each variable field within the record.

A record terminator (RT), ASCII control character

lD(hex), is used as the final character of the record,following the field terminator of the last data field.

4.2 Leader

The leader is the first field in the record and has a fixedlength of 24 characters (position O-23), Leader allowsonly ASCII graphic characters. The structure of the 24characters leader is shown in Fig. 4. The numbersindicate the character positions occupied by each partof the leader.

4.2.1Record Length (Character Position 00-04)

It contains a five ASCII numeric character string equalto the length of the entire record, including itself andthe record terminator. The five-character numeric string

is right justified with zero fill, if necessary. Themaximum length of the record is 99999 octets.

4.2.2 Record Status (Character Position 05)

It contains a single ASCII graphic character, whichdescribes the relation of the record to a file, such as;

a) a – Increase in encoding level

The encoding level (Leader/1 7) of the record

has been changed to a higher encoding level.

b) c – Corrected or revised

A change other than in the encoding levelcode has been made to the record.

4.2.3 Type of Record (Character Position 06)

It contains a single ASCII graphic character, whichspecifies the characteristic of the record and definesthe components of it, such as;

For these classes ofmaterials, if there is a significant aspect thatcauses it to fall into another Leader/06category, the code for that significant aspectis used instead of code m (for example, vectordata that is cartographic is not coded asnumeric but cartographic). Other classes ofelectronic resources are coded for their mostsignificant aspect (for example, languagematerial, graphic, cartographic material,sound, music, moving image). In case ofdoubt or if the most significant aspect cannotbe determined, consider the item a computerfile.

o – Kit

Contains a mixture of components from twoor more types of items, none of which is thepredominant constituent of the kit.

p - Mixed material

Indicates that there are significant materialsitt two or more forms that are usually relatedby virtue of their having been accumulatedby or about a person or body. Includes archivalfends and manuscript collections of mixedforms of materials, such as text, photographs,and sound recordings,

r – Three-dimensional artifact or naturallyoccurring object

Includes man-made objects, such as models,dioramas, games, puzzles, simulations,sculptures and other three-dimensional artworks and their reproductions, exhibits,machines, clothing, toys, and stitchery, andnaturally occurring objects, such asmicroscope specimens and other specimensmounted for viewing.

t – Manuscript language material

4.2.4 Bibliographic Level (Character Position 07)

It contains an ASCII graphic character, which alsoprovides information about the components andcharacteristics of the record, such as;

a) a – Monographic component part

A monographic bibliographic unit that isphysically attached to or contained in anotherunit such that the retrieval of the componentpart is dependent on the identification andlocation of the host item or container. Therecord contains fields that describe thecomponent part and data that identify the host,field 773 (Host item entry).

b – Serial component part

A serial bibliographic unit that is physicallyattached to or contained in another serial unitsuch that the retrieval of the component partis dependent on the physical identification andlocation of the host item or container. Therecord contains fields that describe thecomponent part and data that identify the host,field 773 (Host item entry).

c – Collection

A made-up multipart group of items that werenot originally published, distributed, orproduced together. The record describes unitsdefined by common provenance oradministrative convenience for which therecord is intended as the most comprehensivein the system.

d – Subunit

A part of a collection, especially an archivalunit described collectively elsewhere in thesystem. The record contains fields thatdescribe the subunit and data that identify the

host item entry (field 773).

i – Integrating resource

A bibliographic resource that is added to orchanged by means of updates that do notremain discrete and are integrated into thewhole. Examples include: Updating loose-leaf and updating web sites.

m – Monograph/Item

An item either complete in one part(monograph) or intended to be completed ina finite number of separate parts (multivolumemonograph).

s – Serial

An item issued in successive parts bearingnumerical or chronological designations andintended to be continued indefinitely (forexample, serials, journals, series,newspapers).

4.2.5 Type of Control (Character Position 08)

Italso contains an ASCII graphic character, which alsoprovides information about the components andcharacteristics of the record, such as a – for archival orblank space — for no specific type.

4.2.6 Character Coding Scheme (Character Position

09)

It contains a code that identifies the character codingscheme used in a record, such as blank space – forMARC-8 or a – for UCS/Unicode. But in Indianlibraries, where documents are available in different

languages and Unicode is the only option providesproper solution for the multilingual encodkg of thevarious documents. Thus, a — should always beimplemented as a character encoding scheme.

4.2.7 indicator Count (Character Position 10)

It is an ASCII numeric character specifying the numberof indicators occurring in each variable data field. Here,its value will be always 2.

4.2.8 Subjleld Code Length (Character Position 11)

It contains one ASCII numeric character indicates thesum of the lengths of the delimiter and the data elementidentifier used in the record for identifying thesubfields. This character position always represents 2as a subfield code length.

4,2,9Base Address ofData (Character Positions 12-16)

Five ASCII numeric characters that describes the firstcharacter position of the first variable field in the record.It is equal to the sum of the lengths of the leader andthe directory, including the field terminator at the endof the directory. The number is right justify with zerofill, if necessary.

4.2.10 Implementation Defined (Character Position

17-19)

4.3Directory

A directory entry is made up of a tag, length-of-field,and field starting position. The directory begins incharacter position 24 of the record and ends with afield terminator. It is of variable length and consists ofa series of fixed fields, referred to as entries. One entryis associated with each variable field either controls ordata present in the record. Each directory entry is 12characters in length. The number of directories dependson the number of fields available with the record. Thestructure of each entry is shown in Fig. 5, where thenumbers indicate the character position of therespective occupied parts.

4.3.1 Tag (Character Positions 00-02)

It consists of three ASCII numeric characters used to

identify or label an associated Vdriable field. The tagis stored in the directory entry for the field. It does not

appear in the variable field itself.

4.3.2Length of Fieki (CharacterPositions 03-06)

It consists of four ASCII numeric charactersrepresenting the length, expressed as a decimal number,of the variable field to which the entry corresponds.This length includes the indicators, subfield codes, dataand field terminator associated with the field. It is rightjustify with zero fill, if necessary. A field may containa maximum of 9999 octets.

4.3.3 Starting Character Position (Character Positions

07-11)

It contains five ASCII numeric characters, which givethe starting character position, expressed as a decimalnumber, of the variable field to which the entry

corresponds relative to the base address of data of therecord. This five-digit ASCII numeric character is rightjustified with zero fill, if necessary.

4.4 Variable Fields

The variable fields consist of control fields and datafields following the leader and directory in the record.

4.4.1 Control Fields

Control fields are fixed in the length, comprised of dataand field terminator. They do not contain indicators

and subfield codes. Control fields include tag numbers001,003,005,006,007 and 008, where 001 is controlnumber field and contains the control number of therecord. Each record contains only one control numberfield with tag 001, which is always located at the baseaddress of data.

4.4.2 Data Fields

Data fields always vary, and it is not fixed in length.

These fields contain indicators and subfield codes, aswell as data and a field terminator (see Fig. 6).

4.4.2.1 Indicators

Indicators are the first two characters in every variable

data field, preceding any subject code (delimiter plusdata element identifier), which may be present. Each

indicator is one character and every data field in therecord includes two indicators, even if values have not

been defined for the indicators in a particular field.

Indicators supply additional information about the

field, and are defined individually for each field.

Indicator values are interpreted independently;meaning is not ascribed to the two indicators taken

together. Indicators may be any ASCII lowercase

alphabetic, numeric, or blank. A blank is used in an

undefined indicator position, and also have a definedmeaning in a defined indicator position.

4.4.2.2 Subjleld Codes

Subfield codes identify the individual data elementswithin the field, and precede the data elements they

identify. Each data field contains at least one subfield

code. The subfield code consists of a delimiter [ASCII

lF(hex)] followed by a data element identifier. Data

element identifiers may be any ASCII lowercase

alphabetic or numeric character. In general, numericidentifiers are defined for data used to process the field,

or coded data needed to interpret the field. Alphabeticidentifiers are defined for the separate elements, which

constitute the data content of the field.

4.5 Record Terminator

The Record Terminator, the ASCII control character

lD(hex), is a last character of the record, followingthe field terminator of the last data field of the record.

The record format described in this guide is in conformity with that of IS 14873: 2000/ISO 2709:1996 ‘Informationand documentation — Format for information exchange’, but at the same time it has certain distinctive features.Apart fi’omdescribing the record format, this Guide gives an illustrative list of data elements different for differentkinds of documents together with the corresponding tags, indicators and subfield identifiers. This facilitates thisguide for being used for the bibliographic description of different kinds of documents. All the variable data fieldsin this record format have the same structure. This will facilitate easier manipulation of data. Moreover, a separatelocal use block has been provided in this format for communicating variations in data or new data for local use.
