Training Guide This training is for all TAFE teaching staff who deliver or co-ordinate blended online resources in the new iTAFE Learner Management System (LMS).

Permissions in iTAFE

Permissions vary for users in iTAFE. Most Teachers generally have non-editing permissions and simply just teach the course whereas some Teachers, Educational Support Officers, Course Administrators or Head Teachers may have editing permissions applied at appropriate sections of their course.

Please note: It is recommended that Non-editing Teachers have training however staff who are granted Editing Teacher permissions MUST complete training co-ordinated by Training and Development.

Non-editing Teacher permissions

Non-editing Teachers teach the course eg. They facilitate learning, control group activities by being able to hide and unhide activities as well as mark assignments, moderate forums and monitor student participation. This permission also allows you to access basic reports.

Editing Teacher permissions

The Editing Teacher permissions enables administration support to the Non-editing Teacher in course preparation, maintenance of course materials and can contribute to continual improvement of the online course. They don’t necessarily need to be a teacher, they simply organise the students, create groups, prepare the site settings, upload current resources such as assessments, generate access keys and export reports.

What permissions are applied? These two roles have different permissions within iTAFE. As an Editing Teacher you will need to “Turn

editing on” via the cog icon to access and apply edits.

Student Induction During the build of iTAFE in 2016 we explored more valuable ways to deliver and record student induction that is beneficial for both students and teachers. Induction is for every TAFE student while orientation is more course specific for example, course schedules, campus information etc. One of the advantages of the new LMS system iTAFE is a Student Induction process that is automatically updated each calendar year. This requires each student to complete mandatory student induction tasks before they are able to access their Course Materials.

The student induction currently includes:

o viewing the Harassment Free Video o viewing the Student Handbook which includes the Code of Conduct o viewing the Students Guide to Assessment o Student Acknowledgement that they have read and understood the Student Induction

The list of students that have completed the Student Induction is available to download for each course/group. Learning Resources

Learning materials are in the units. Depending on the layout of your unit layout, learning resources may sit in Topics, Elements or a Resources tab. Learning Resources may take several formats. Your course might contain documents, such as PFD course notes, PowerPoint presentations, Articulates, LOCO’s or 3rd party interactive learning resources.

Learning Activities Learning activities may take several forms including:

o Participating in Forum discussions or online chats o Completing interactive PDF’s o Uploading documents or files to be marked by your teacher o Completing online quizzes o Submitting assignments to receive feedback o Completing surveys

Assessment Process

You should be able to access Student Assessment Guides (SAGs) for your course with a Student Declaration and acknowledgement of the assessment details built into the course design. There are a number of variations on how assessments are managed. They may be managed from a course level or at a unit level and consist of a number of events or a portfolio of evidence. Reports can be exported in Excel format and can include results, teacher feedback and acknowledgement of feedback from the student if they choose.

Communicating in iTAFE There is a number of ways you can communicate with your students in iTAFE. Forums: Class discussion take place in a forum where you can moderate student’s views in a group. You may want to set the forum so that student must post before they can view other students. Announcements: You can post announcement to the group where all students in your selected group can view. Messages: You can private message a student or a selection of students with more specific private information relating o the students’ performance or gentle reminders to submit work. Students can contact you direct through the message my teacher block. Resources

Reports Grader report

Grader reports can be obtained at a course level as well as a unit level. This captures the results and feedback of all items that have a quiz or file upload capacity. To generate a Grader report:

Go to the Administration block and click on the Grades option.

On the main Grader report page you can select:

o What you want to do with the report eg view, export

o If you select export you have several file format options

o You can select which group from the ‘Separate groups’ drop down menu

Report Log

This log will track student participation within the LMS. Go to the Administration block click on the Reports then Logs option

Click on Grades option You can select:

o which group from the drop down menu

o what events or action o select Standard log o click on GET THESE

Once the logs are visible scroll down to the bottom of the page and select the file format you want to export to.

Teaching using iTAFE activities The inbuilt activities in iTAFE can be used to enhance the student’s experience and help engage them. It is important that responses to students are timely and all activities are monitored. Your need to turn your editing on to ‘Add an activity or resource’. Adding activities can be displayed in two different ways depending on if you have your activity chooser on or off.

Discussion Forum

The forum activity allows students and teachers to exchange ideas by posting comments as part of a 'thread'. Files such as images and media maybe included in forum posts. The teacher can choose to rate forum posts and it is also possible to give students permission to rate each others' posts.

Note: The News forum in a new Moodle course is just for teachers to post announcements. It is NOT a discussion forum for students.

Assignment – Document upload

The assignment activity provides a space into which students can submit work for teachers to grade and give feedback on. This saves on paper and is more efficient than email.

Student submissions are together on one screen of your course. You can require them to submit one or several files and/or to type text essays. Assignments can have deadlines and cut off dates which you can also extend if necessary.

Quiz

Choice activity

The Choice activity allows you to ask a question and set up radio buttons which students can click to make a selection from a number of possible responses. They can choose one or more option and they can update their selection if you allow them. Choices can be useful to capture student acknowledgement and agreement for compliance purposes. To enable self-registration you must:

1. Activate self-enrolment in ‘enrolment methods’

2. Type any characters into the ‘Access key field’ as this will trigger the ability for self-enrolments

allowing students to enter a ‘group enrolment key’.

You can also add a custom welcome message to the group and they will receive as an automated message once they have access.

Student Registration

1. Provide link to iTAFE site https://itafe.huntertafe.edu.au/ 2. The student then needs to follow the instructions to Self register

1. Click on Self-register. All fields with a must be completed.

2. Create username (lowercase eg. first.lastname) and password. 3. The password must have at least 8 characters 4. Student to enter valid email address, first and last name. 5. Click Create My New Account

An email will be sent to the student and they need to confirm their registration within the hour or they will need to repeat the process. Please note: An email account can only be registered once on the system. Once a user is registered they can be added into the groups appropriate to their course/s.

Possible errors o Duplicate accounts – one email per student o Using the same email more than once o Use most accessed student email address

Student Access – Self enrolment

Set up groups

This needs to be set up for EVERY course and unit. Same access key is recommended to be used.

1. Create group – In the Administration block click users, then groups.

2. In the window you can see all current groups. Click the Create Group button.

3. Enter Group name – Must use correct naming conventions including year, semester, course number, course name, & other (group/ location) Example: 2017 S2 CHC53215 – Diploma of Alcohol and Other Drugs (Hamilton)

4. Access key - previously enrolment key. Access keys created by faculty to enable students to self-enrol.

Students will need this key to access course/unit materials if they are self-enrolling. Once enrolled, a user can gain access to their courses by using the access key provided to them.

o Student receives link to course with access key

o Student enters key to gain access to course and units o Student will receive welcome message if set (optional) o When student enters the course they can then complete the Student Induction o Student familiarises with course materials as per facilitator’s instruction

Important: Under no circumstances are you allowed to DELETE ANY groups as you will lose student data

Student Access – Manual enrolment Method 1

1. Go to Administration > Course administration > Users > Enrolled users

2. Click the Enrol users button at the top right or bottom left of the page

3. Use the Assign roles dropdown if you wish to change the role. (To enrol users individually click the Browse users button. It should be selected by default.)

4. Browse or search for the user (Note that when searching for users exact matches are listed first) 5. Click the Enrol button opposite the user. The user will indent in the list and the enrol button will

disappear indicating that the user is enrolled. 6. When you have finished, click the 'Finish enrolling users' button (or simply close the enrol users

box).

1. Go to Administration > Course administration > Users > Enrolment methods 2. Click the 'Enrol users' icon in the edit column opposite manual enrolments

3. Select users from the not enrolled users list using Ctrl + click to select multiple users 4. Click the add button to add the users to the enrolled users list

Enrolment start and end dates may be edited for individual students as follows:

1. Go to Administration > Course administration > Users > Enrolled users 2. Click the edit icon in the enrolment methods column for a particular user.

Basic Editing in iTAFE As an Editing Teacher, you can access a wider range of functions. You will need to “Turn editing on” to

access these options using the cog icon.

It will be your task to adjust the courses/units as requested by the Course Coordinator or Head Teacher. To do this you may need to edit teacher permissions to access to your courses. Settings should generally be the same across courses to maintain consistency and predictability.

Start of course Checklist Site Preparation

This list can be used by Editing Teachers to prepare your site for new groups or new course start dates. Some points may not be applicable to your course.

Access - Checked � Do you have all the access you require? Course and units?

� Do your Non-editing Teachers have the correct access?

Preparing the site � Are all course resources up to date?

� Are all the unit resources up to date?

� Are all links working?

� Are the most recent assessments inserted? - Due dates to be reset.

� Have you checked that the SAGs and Assessment Plan information

is correct on iTAFE?

Activities Checked � Check forums for facilitators – make sure all current groups are

visible

� Check document uploads – make sure all groups are visible

� Are all linked documents up to date?

Register Accounts

� Are your students registered?

� Do you have the correct support resources to help them?

� Bulk uploads only - Have you competed the Excel spreadsheet with

accurate student details?

Add Students Have you supplied:

� access keys to your teachers?

� your students with access keys? OR

� your students’ details to the course Editing Teacher?

Course completion Download the following and file on your section team site.

� The grader report

� Student’s assignment submissions if required

� The student log report

� Delete unwanted forum post. If you would like to reuse existing

forum posts for new groups please consult with your eLearning
