Objective The objective of conducting the post implementation audits is to maximize the continued satisfaction with current software solution. The intent of the audit is project management / implementation review and identifying areas where the business can better apply the software to meet the business needs of the organization, and not to identify the short comings or faults of specific individuals. The Need During the implementation of the software, there is often a sense of urgency to complete the project. Sometimes project issues were not clearly defined or handled correctly or according to priority. Very often low priority issues were not handled at all. Often times the business and the environment it operates in have also likely changed. While the maintenance agreements are paid to ensure that software enhancements are available, without reexamining the changing business needs and applying the existing corrections and enhanced software capabilities, the relative value of the software remains static. If the business consistently takes software updates and implements the changes the business needs, the software appreciates in value. Common Questions

• Are you getting the highest ROI from your software?

• Do your users have continued reliance on manual processes?

• Is there effective use of computing resources?

• Is the company working efficiently and at optimum productivity?

• Has a independent company audited the implementation?

• Has there been turnover in your departments?

Duration The typical high level Post Implementation Audit can be completed during a four-six week period if the standard Implementation Approach or One Methodologies were utilized and the resulting documentation is available. Otherwise a scoping exercise would have to be conducted to determine the number of modules implemented and system enhancements performed. The interview questionnaires, the Project Issues Master Checklist, the prototype scripts, custom design documents, the status reports, solution assurance, and other documents provide: • Information about the way the system was setup • Issues that may have been put aside to complete the implementation • Insights into key processes Deliverables Feedback and Action Planning Results Documentation and Feedback—based on the above evaluation, a detailed report on findings, conclusions, and recommendations is prepared. Identify current gap or potential based on findings and original objectives. Mitchell & Associates experience with industry and software solution best practices are used to suggest the performance gap. Validate the report findings and recommendations with all personnel to ensure that all documentation is both factual and realistic. Present the report to management and key personnel and seek agreement on the analysis. Develop an action plan based upon approved recommendations and establish a schedule for implementation. Sign-Off on Action Plan Having developed an action plan, a signoff acknowledges the completion of the Post Implementation Audit. A separate engagement proposal is written and signed for services to be provided related to the work defined in the action plan if system tuning, custom design, custom development, reinstall support and consulting, to resolve needs created by a changing business. All of these services are designed to maximize the software value.
