Job Description

1. Job Title: Maintenance Team Leader

Reports to: Estates & Facilities Manager

Accountable to: Director of Retail & Hospice Operations

Salary: Band 3 £16,764.00 – 19,853.00

Hours: 37.5 hours over 5 days

Date: 13 September 2016

2. Job Summary

To provide a comprehensive maintenance/facilities service to Ashgate Hospice to a standard agreed with the Estates & Facilities Manager. To ensure that all maintenance tasks are completed in a timely manner resulting in minimum disruption to patients, visitors and colleagues.

To assist the Estates & Facilities Manager in the completion of duties to ensure all legal, guidelines are fulfilled.

General Maintenance

To assist the Estates & Facilities Manager with the planning and implementation of a Planned Preventative Maintenance programme for the Hospice buildings and grounds.

Establish a system for reactive maintenance.

To assist the Estates & Facilities Manager with the planning and implementation of a rolling redecoration programme and minor projects involving changes to the hospice premise.

Ensure the Estates team carry out any minor and basic electrical, carpentry and decorative repairs and maintenance (if qualified and appropriate).

To supervise contractors whilst on site carrying out planned maintenance or repairs.

Ensure all plant and portable equipment and machinery is monitored and report all defects direct to the Estates & Facilities Manager

Ensure that all portable equipment both hospice and patients is tested, recorded and the appropriate label applied.

Ensure all practical aspects of current legislation are carried out e.g. Fire, COSHH, Health and Safety, Legionella, Medical Gases, etc.

Ensure all working practises are carried out following the Planned Preventative Maintenance (PPM) programme and associated schedules utilising operational manuals.

Ensure that all record keeping is up to date and in accordance with hospice legal requirements.

Ensure all maintenance breakdown requests are completed in a timely & effective manner. (Maintenance Book, Task Manager)

Monitor and report to the Estates & Facilities Manager information to enable improved/cost effective use of resources.

Assist the Estates & Facilities Manager in the ordering of maintenance stores in an efficient and cost effective manner.

Assist the Estates & Facilities Manager in the necessary preparation and support needed for internal/external functions/events.

To manage the receipt of all deliveries to site, signing for and recording of goods and the transportation of the received goods to the appropriate department(s) and liaising with the Procurement team over any issues.

GroundsResponsible for ensuring the general maintenance and upkeep of the Hospice Grounds including gardens, paths, driveways, car parks and drains (in conjunction with any outside contractural maintenance agencies if any).

To supervise any major works undertaken in the grounds by contractors.

To supervise the gardener and volunteers to ensure that a comprehensive planned maintenance programme is followed.

To Establish a system for reactive maintenance.

SafetyResponsible for the inspection of all fire safety equipment and systems.

To maintain a record of certificates of compliance in accordance with current legislation.

To assume the role of Hospice Fire Marshall.

To assist the Estates & Facilities Manager with the Hospice fire procedure by regularly practicing of fire drills.

To ensure that daily checks of the building for any Health and Safety hazards are conducted and the removal of the risk/hazard as appropriate.

To ensure that refuse including clinical and non-clinical waste for disposal is managed in a safe and secure manner with Health & Safety guidelines and best practice.

Ensure that building security is maintained at all times and provide security support to the nursing team after office hours ensuring that the main entrance doors are locked down each evening.

Monitor door access systems for operational continuity and that the CCTV is fully operational at all times.

Supervise the mortuary duties ensuring that all relevant paperwork is completed and correct and assisting the undertaker with the removal of the cadaver as required, working with the nurse in charge.

GeneralTo provide and manage a general portering service to the Hospice including pharmacy runs using hospice transport.

To co-ordinate the patient transport service for the Inpatient unit and Day Centre working closely with the Ward Manager and Day Hospice Sister to ensure that patients are brought in to the day centre and taken for urgent referrals to the acute hospital in a timely manner.

To be responsible for the maintenance of Hospicecare vehicles to include daily checks before use, recording of checks, MOT, service and repairs as required.

Other driving responsibilities will be required.

To support the need to provide a 7 day maintenance support service to the Hospice when required.

Show regard for the clinical and physical environment.

Maintain a dress and personal hygiene standard in keeping with the departmental uniform policy.

Adhere to the policy regarding the confidentiality of patients information.

Ensure that the hospice policies and procedures are adhered to.

Participate in quality courses and training to improve/learn new skills.

Demonstrate a commitment to their own personal development, to take advantage of education and training opportunities and develop their own competence.

Support and encourage good internal and external working relationships.

Make a positive contribution to fundraising and raising the profile of the Hospice.

To ensure that recycling facilities are in accordance with legislation and local guidelines.

Job Description Additional Information

Infection Control

Infection Prevention and Control is everyone’s responsibility. All staff, clinical and non clinical, are required to adhere to the Hospice Infection Prevention and Control Policies and Procedures and must make every effort to maintain high standards of Infection Prevention and Control at all times, thus minimising the risks associated with healthcare associated infections.

Staff involved with patient care, whether directly or indirectly, have a duty to:

Clean their hands before and after direct contact with patients and when entering and leaving a hospice clinical area.

Ensure that patient equipment is cleaned and/or decontaminated appropriately between each patient use.

Ensure that all environments, where patient care is provided, is clean at all times, maintained to a high standard and appropriate for patient care.

Provide patients, relatives and the public with clear and consistent HCAI messages and advice on standard Infection Prevention and Control precautions and key infections (MRSA and Clostridium Difficile).

All staff have a duty to:

Attend/undertake Infection Prevention and Control training programmes provided by the Hospice. Report to Unit Manager any infections that they develop which may be transmissible to patients or

colleagues. Adhere to the Hospice’s Uniform and Non Uniform Dress Code Policies. Challenge and address inappropriate Infection Prevention and Control practice. Report and take action on areas where Infection Prevention and Control standards are not being met.

Health and Safety at Work

You must not wilfully endanger yourself or others whilst at work. Safe working practices and safety precautions will be adhered to. Protective clothing and equipment must be used where provided. ALL accidents / incidents must be reported to your immediate senior officer, and you are asked to participate in accident prevention by reporting potential hazards and to ensure that appropriate forms are completed. A copy of the Hospice Health and Safety Policy document will be given to the successful applicant on appointment.

Patient and Public Involvement

The organisation is committed to complying with its duty to involve and consult patients and the public as outlined in Section 242 of the NHS Act. In practice this means that staff have a duty to practice in accordance with the Public and Patient Involvement Strategy and be involved in the PPI work relevant to their role and the service that they work in.

Protection of Children and Vulnerable Adults

All Hospice employees are expected to adhere to Derbyshire Safeguarding Boards/Ashgate Hospices Safeguarding policies and procedures in relation to the identification and protection of children and vulnerable adults. Hospice employees are also expected to work co-operatively with our partner agencies to ensure the services and systems are effective in protecting children and vulnerable adults.

All staff have a duty to: Attend training on Safeguarding children and vulnerable adults as part of Induction and on an

ongoing basis through Essential Training updates.

All staff working specifically with vulnerable adults have a duty to: Attend Basic Awareness Training

Access to Health Records

All staff who contribute to patients health records are expected to be familiar with and adhere to, the Hospice Record Keeping Policy and other related documents. All staff who have access to patients records have a responsibility to ensure that these are maintained efficiently and that confidentiality is protected in line with the Hospice’s policies and related documents.

Staff are also subject to this obligation both on an implied basis and also on the basis that, on accepting their job description, they agree to maintain both patient/client and staff confidentiality.

In addition, all health professionals are advised to compile records on the assumption that they are accessible to patients in line with the Access to Health Records Act 1998.
