Job Purpose

Silverstone Heritage Ltd, the charity that runs Silverstone Interactive Museum, are seeking a a proactive and highly organised individual to work across the organisation providing office management and administrative support to the senior leadership team.

Role Responsibilities

Personal AssistantProvide administrative support to the Executive Team including but not exclusively:· act as a first point of contact, dealing with correspondence and phone calls· manage diaries and organise meetings and appointments· book and arrange travel, transport and accommodation when required· support the organising of events hosted by the Executive team· remind the CEO of important tasks and deadlines· word processing, compiling and preparing reports, presentations and correspondence· provide administrative support to ensure project/event timescales are met· provide minute taking at Board, Management Team and external meetings· provide financial support by raising purchase orders and liaising with the Finance

Manager to follow up any payment requests

Office Management· organise and maintain the condition of the office, meeting rooms and communal areas

including filing systems· maintain supplies of stationery, equipment and refreshments· be committed to good health and safety practice

HR Administration· assist with arrangements for recruitment including booking interviews with candidates· arrange new starter induction meetings with key personnel across the business· monitor access, assessment and completion of new starter compliance training· maintain and prompt the SHL team regarding annual leave requests and recording· remind SHL team members of deadlines for personal development review deadlines and

maintain a record of completions

Key Relationships

· Executive Team (including the CEO, Director of Collections, Finance Director and Head of Commercial Operations)

· SHL permanent team

Person Specification

Knowledge, Skills and Qualifications:· Strong IT and typing skills with knowledge of Microsoft Office (Word, PowerPoint, Excel,

Outlook and Teams)· Excellent organisational skills, with the ability to manage own workload and prioritise

tasks· Flexibility and adaptability to changing and challenging workloads· Excellent interpersonal, oral and written communication skills · Ability to work with people across all levels of the organisation· A minimum of 4 years’ experience in a similar role is essential· Commitment to working within the ethos of SHL, to own skills development and an

awareness of how own values, attitudes and cultural assumptions have an impact on others.

Summary of Terms and Conditions

· The post holder will hold a current driving licence· The post will be offered subject to two acceptable references and DBS check· The post holder will participate in monthly supervision sessions and will have an annual
