This Exhibitors’ Technical Manual is designed to assist you in preparing for a successful event and contains important information.

Please read the information in this manual. It will take you very little time now and could save you a great deal of time later.

The Exhibition will be held in conjunction with the BRAIN 2015 Congress taking place on June 27-30, 2015 at Vancouver Convention Centre.

has been appointed see SECTION 1: Contact Information. Booth furniture and accessories are available

for rent, please refer to order forms at the end of this manual.

Technical Information and Regulations for Designer/Independent Contractor/Space Only Stands

• Exhibitors using independent contractors are required to submit the following for approval no later than Monday, May 11, 2015 :

1. A scaled drawing (including elevation views) of the proposed booth to be built.

2. A list of all Electrical / gas powered devices / appliances to be installed in the booth.

• No free standing booth, fitting or display may exceed a height of 3 meters or extend beyond the boundaries of the site allocated. This includes

company names, advertising materials and logos provided by the exhibitor. Exhibitors who have stands higher than the maximum permitted

height will not be allowed to set up their stands

• All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, or damaging the premises.

• Exhibitors are kindly requested to allow sufficient see-through areas that ensure clear views of surrounding exhibits.

• Booth platforms higher than 4.5cm are required to provide a ramp for handicapped access. This must be incorporated into the design of the

booth and must be included in the booth space provided.

• Multi-level structures are not permitted.

• The Organizers will NOT approve stands that do NOT comply with the accepted standards until the necessary changes have been made. Work

cannot commence until the exhibitor layout is approved by the Organizers.

• We recommend Exhibitors using Independent Booth Contractors to include a site visit in the planning process to assure a smooth and well

planned set up. Please contact Vancouver Convention Centre at [email protected] to coordinate a meeting.

• Exhibitors are required to submit the name and contact details of their respective construction company to Silvia Beiserman at:

[email protected].

• Please Note: Space only booths DO NOT INCLUDE frame or structure, furniture, electrics, electrical usage, lighting, carpet or stand cleaning.

SECTION 5: Exhibition Technical Information

Hall Specs

• Hall Name: Level 1 – West Building - West Ballroom D

• Maximum Build-up Height: is 4 meters

• Floor Finish: color carpet

• Ceiling Height: 34'4"/ 10.50 (m)

Electricity (Exclusive Service Provider)

Temporary electrical services are an exclusive service provided by the Vancouver Convention Centre. The Vancouver Convention Centre does

not allow the reselling of these exclusive services, or others to act as our agent for these services. The minimum electrical service that can be

ordered per booth or exhibitor is 750 Watts, 120 Volts, 7.5 Amp. Services cannot be shared between exhibitors. All electrical equipment used,

offered for sale or displayed must show a label or mark of a certification organization acceptable to the Electrical Safety Branch of the City of

Vancouver. It is the responsibility of the client to ensure their exhibi- tors comply with local electrical safety requirements and approvals.

For additional electricity options and orders for your booth, please refer to SECTION 6: Order Forms. The cost of the additional electricity supplies

as well as special connection fees, where applicable, will be charged to the Exhibitor.

All electrical, data and audio visual cables must be secured and matted to conform to electrical and safety standards and are subject to inspection

at any time. Cables must be run over doorways wherever valances are available. Suppliers must install their own matting which will be inspected

by the Vancouver Convention Centre prior to the event start

Internet (Exclusive Service Provider)

WIFI is provided at BRAIN 2015. Internet stations will be available in the Exhibition Area. Internet supply is exclusive to Vancouver Convention

Centre. For internet options and orders for your booth, please refer to SECTION 6: Order Forms.

Security

The Organizers will provide general security services in the Exhibition Hall during closing hours. Neither the venue nor the Organizers can accept

responsibility for security of the stands and their contents or damage to and theft of any goods. Exhibitors are responsible for the security of

their stand and equipment. If you would like to arrange additional booth security please contact Vancouver Convention Centre at

[email protected]

Booth Catering (Exclusive Service Provider)

Food and beverage orders are to be made exclusively Vancouver Convention Centre. For catering orders or queries, please contact Vancouver

Convention Centre at [email protected] or please refer to SECTION 6: Order Forms.

Booth Cleaning (Exclusive Service Provider)

The Organizers have arranged for general cleaning of the exhibition premises. Booth cleaning is exclusive to Vancouver Convention Centre. For

Deliveries to Venue

West building (1000 block of Waterfront Rd.)

Loading facilities via the west truck route off of Waterfront. Road accessible from Cordova Street or the foot of Main Street

Materials cannot be transported in public passenger elevators or on escalators. Please do not drop off, load or unload on Canada Place into

facility entrances.

Materials will only be accepted during the move-in dates and times for the event. Please note that unexpected early deliveries will be turned

away

Materials must be removed from the facility upon completion of move-out – the facility will not store unclaimed materials and will forward

freight or dispose of such items at its sole discretion and any applicable charges will be applied to the final invoice

Storage

There are no storage facilities available at Vancouver Convention Centre.

Loading Facilities

The Vancouver Convention Centre is located downtown. Loading facilities will be designated and assigned to your event and are to be used for

temporary loading and un-loading. Parking is prohibited in the loading area or truck route. Freight may not be stacked or stored on the truck

route or against fire exits, fire pull stations or fire hose cabinets.

West building Deliveries for the West building should be directed to the West truck route located on Waterfront Road. The West truck route

has two-way access and is 29'6" (9 m) wide with a lane width of 14' 9'' (4.5 m). There is a downward slope moving northbound on the truck

route which falls 4' (1.22 m) over 63'11" (19.5 m). The loading area consists of eighteen loading bays available for event use, which can

accommodate full-size semi-trailers up to 80' (24.4 m) in length. Six bays have dock levellers and there are three ramps off of the truck route

for drive-on access to Exhibit Halls A & B. Loading dock clearance is 17' (5.2 m) high, 12' (3.65 m) wide. Each exhibit hall has limited drive-on

access through roll-up doors for full-sized trailers.

Forklift operators for material movement are available through the Vancouver Convention Centre. Forklifts and operators are an exclusive

service provided by the Vancouver Convention Centre.

Parking

There are two independently operated parking facilities located within the Vancouver Convention Centre. They operate 24 hours per day, 7

days a week on a first come, first serve basis. For any parking inquiries please contact the appropriate provider.

West building (1055 Canada Place) The West building has 440 stalls and is operated by Impark. Impark can be reached at 1 866 277 5501 or at

Vehicles transporting exhibition material remain parked in front of the entrance for the minimum time required for completing the unloading

procedures.

As Vancouver Convention Centre car park is strictly reserved for cars, all vans, trucks and vehicles other than cars will have to be parked at a

reasonable distance from the entrance, not the streets adjoining Vancouver Convention Centre. Exhibition material arriving on the day it is to

be installed must be unloaded in the exhibition zone in the presence of the consignee. The Management of Vancouver Convention Centre will

not take on responsibility in respect of materials not correctly delivered due to the absence of a representative of the consignee.

Acceptable floor adhesives in the facility are poly-coated cloth tape or gaffer’s tape. The only acceptable double sided carpet tapes are Renfrew

#174 or Shur-Tape #642. Vinyl, foam, and packing tape are prohibited in the facility. When taping anything to a non-carpeted floor, including the

lobby, prefunction and delegate concourse floors, please use a protective layer of adhesive pre-mask tape (e.g. Transferite) between the floor

and the carpet tape.

Before any fittings are installed in connection with an exhibition, it is the responsibility of the Exhibitors concerned to verify whether any parts

of their stands may cause damage to Vancouver Convention Centre .

• Electrical Adaptor: Please remember that a special electrical socket is being used in Vancouver.

• Rigging options:

The West Ballrooms have 1000lb (453.6kg) hanging points that are evenly distributed throughout the rooms.

Banner and hanging décor requests must be submitted well in advance of the move-in of your show and should include the following

information: number of banners / pieces of decor to be installed - size (length, width, height and weight) - intended locations for

banners / pieces of decor - banner / hanging decor material. Costs for banner and hanging decor suspension will be quoted based on

details provided. Please note that a custom quote will be required for banners weighing more than 25 lbs or larger than 6’ across and

for all pieces of hanging decor. Exhibitors who require banner installation must complete and return the banner installation request

with full payment. This and other exhibitor forms are available by contacting your Event Manager or online at

www.vancouverconventioncentre.com.

SECTION 6: Order Forms

Exhibitor Badges

• All Exhibitors are required to be registered and will receive a badge displaying the exhibiting company’s name. Individual participant names will not appear

on badges and may be used interchangeably between staff members.

• Two exhibitor badges will be given for the first 9 sqm booked and one additional badge for each 9 sqm thereafter.

Additional exhibitor badges can be purchased for a charge of US$ 150.00 (plus VAT).

• To order additional badges, please complete the Exhibitor Badge Order Form on the next page. Please return the form to the attention of: Silvia Beiserman

at [email protected], no later than Monday, May 11, 2015 .

• Exhibitor badges give free access to the exhibition area, coffee breaks and welcome reception ONLY. To access the Symposia sessions, full registration is

required and can be purchased online via the congress website by clicking here.

• All personnel are required to wear badges to access the venue. Company representatives not wearing their badges will not be allowed to access the exhibition.

• Company name badges are for the use of company personnel for booth staff purposes only and should not be used by companies to bring visitors into the

Exhibition.

• Exhibitor’s badges will not be mailed in advance and may be collected at the Registration Desk on arrival.

Service Passes

Stand contractors and staff must wear service passes during the entire set-up and dismantling period. Service passes are free of charge and may

be collected from the Registration Desk on site.

SECTION 8: Rules & Regulations and General Information

General Congress Rules & Regulations (Binding for all Exhibitors and their subcontractors)

Security

• The Organizers will provide a security services in the exhibition hall during off-show hours.

• Neither Vancouver Convention Centre nor the Organizers can accept responsibility for the security of the stands and their contents and

for damage to, or theft of any goods. Exhibitors are fully responsible for the security of their stand and equipment.

• For ordering additional security, please refer to the contact details provided in SECTION 3: Contact Information.

Stand Cleaning

• The Organizers will arrange for general cleaning of the exhibition premises (excluding exhibits and displays) prior to the opening of exhibition

and daily prior to opening thereafter.

• For ordering daily stand cleaning, for more information please refer to SECTION 10: Official Congress Contractors and Exhibitor Information.

Waste Removal

• Exhibitors are responsible for the removal of all refuse/waste from the exhibition area.

• Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor concerned.

Smoking

• The BRAIN 2015 Congress is a non-smoking Congress.

Disposal of Material

• It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is over, the

exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing this property will

be charged to the exhibitor.

Damage to the Premises

• Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and dismantling periods. No adhesive

stickers and fixtures of any kind are allowed on floors, walls and pillars. For more information please refer to

Fire Insurance (compulsory)

• Exhibitors must be insured against fire. Fire Regulations (General).

• Stand material and fittings must be of non-inflammable materials or impregnated with fire-retardant chemicals. As a general rule, easily

inflammable synthetic substances, foam polyester, and non-fireproof straw and reeds are prohibited.

Poster Hanging, Banners etc.

• Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings or columns within or outside the installations of

Vancouver Convention Centre is not allowed without prior written authorization.

Liability Insurance

• You are obliged to have a public liability insurance that covers all injuries to persons and damages which might cover in connection with the

exhibition.

• We also recommend that you have additional coverage against loss or damage to exhibition material during transport and during exhibition

times. Please make arrangements for insurance coverage through your company’s insurer.

Insurance (Compulsory)

• The Organizers nor the VCC, their representatives or agents will be held responsible for any loss or damage to exhibitor’s property. Exhibitors

must take precautions to protect their property against pilferage.

• The Organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for the

property and persons of his employees through full and comprehensive insurance, and shall hold harmless

Promotional Activities

• All demonstrations or instructional activities must be confined to the limits of the exhibition stand.

• Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands.

• Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits.

• The Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed objectionable.

Special Effects

• Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in the

aisles or on the walls of the hall. Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions stated herein.

What is “Special” Handling?

Special Handling applies to shipments that are loaded in such a manner as to require additional labor and handling to unload or load out. An additional fee beyond the standard crated rate will apply.

Special Handling Includes: Special Handling Examples:

Ground Loading• Vehicles that are not dock height, preventing the use of

loading docks.

Side Door Loading• Shipments tendered for delivery in such a manner as to

prevent access from the rear of the trailer.

Constricted Space Loading• Freight loaded "high and tight" or down one side as to

make shipments not readily available.

Designated Piece Loading• When a trailer must be loaded in a particular sequence

to ensure fit.

Stacked, Cubed-out, or Loose Shipments• Shipments loaded in such a manner requiring items to

be removed to ground level for delivery to booth. • Items that would need to be unstacked/stacked,

unstrapped/strapped, or loadbars to be removed/ installed during the unload or load out process.

Multiple Shipments• Shipments that are loaded mixed on the truck, failing to

maintain shipment integrity and/or have multiple delivery areas.

Mixed Shipments• Pieces for separate shipments that are loaded mixed

throughout the delivery vehicle, or shipments of crated and uncrated goods where the percentage of uncrated is minimal and does not warrant full uncrated rate for shipment.

Improper Delivery Receipts• Shipments that arrive without individual Bill of Lading.

Possible examples might include: UPS, FedEx, company trucks, privately-owned vehicles.

Uncrated Shipments • Material that is shipped loose or pad-wrapped, and/or

unskidded machinery without proper lifting bars or hooks.

7. GES and its subcontractors shall not be liable to any extent whatsoever for any actual, potential or assumed loss of profits or revenues or for any collateral costs that may result from any loss or damage to Exhibitor’s materials which may make it impossible or impracticle to exhibit same.8. Claims for loss or damage must be submitted to GES by the close of the show. No suit or action shall be brought against GES or its subcontractors more than one year after the cause of action.9. The Exhibitor agrees, in connection with the receipt,

handling, temporary storage and reloading of its materials, that GES and its subcontractors will provide these services as Exhibitor’s agent and not as bailee or shipper. If any employee of GES or its subcontractors shall sign a delivery receipt, bill of lading or other document, we agree that GES or its subcontractor will do so as the Exhibitor’s agent, and the Exhibitor accepts theresponsibility thereof.

10. GES and its subcontractors shall not be liable for shipments received without receipts, freight bills or specified unit counts on receipts or freight bills, such as a courier or van lines. Such shipments will be delivered to booth without guarantee of piece count or condition.

11. Empty container labels will be available at the GES Service Centre. Affixing the labels is the sole responsibility of the Exhibitor or its representative. It is understood that these labels are used for EMPTY STORAGE ONLY, and GES and its subcontractors assume no responsibility for loss or damage to contents while containers are in storage or for mislabelled containers.

13. The Exhibitor agrees, in the event of a dispute with GES or its subcontractors relative to any loss or damage to any of your materials or equipment, that the Exhibitor will not withhold payment in any amount due to GES for material handling services or any other services provided by GES or its subcontractors as an offset against the amount of the alleged loss or damage. Instead, the Exhibitor agrees to pay GES prior to the close of the show for all such charges and further agrees that any claim the Exhibitor may have against GES or its subcontractors shall be pursued independently by the Exhibitor as a completely separate transaction to be resolved on its own merits.

12. In order to expedite removal of materials from the show site, GES shall have the authority to change designated carriers, if such carriers do not pick up on time. Where no dispostion ismade by the Exhibitor, materials will be taken to a warehouse to await Exhibitor’s shipping instructions, and the Exhibitor agrees to be responsible for payment of charges relating to such handling at the warehouse. GES assumes no liability as a result of such re-routing or handling.

1. GES CANADA Exposition Services herein known as GES and its subcontractors shall not be responsible for damage to uncrated materials; materials improperly packed, glass breakage or concealed damage.

2. Relative to inbound shipments, there may be a lapse of time between the delivery of shipment(s) to the booth by GESor its subcontractors and the arrival of the Exhibitor’s representative at the booth. Similarly, relative to outgoing shipment(s), it is possible that there will be a lapse of time between the completion of packing and the actual pick-up of materials from the booth for loading onto a carrier. It is understood that during such times the shipment(s) will be left in the booth unattended.

Therefore, it is agreed that GES and its subcontractors are not responsible for the loss or disappearance of Exhibitor’s materials after the same have been delivered to Exhibitor’s booth, nor are GES and its subcontractors responsible for Exhibitor’s materials before they are picked up from the Exhibitor’s booth for loading after the show. Consequently, all bills of lading covering outgoing shipment(s) submitted to GES or its subcontractors by Exhibitor will be checked at the time of pick-up from the booth and corrected where discrepancies exist.

3. GES and its subcontractors shall not be held liable for any damage incurred during the handling of equipment requiring special devices to properly load, place or reload unless advance notice has been given to GES in time to obtain the proper equipment.

4. GES and its subcontractors shall not be responsible for loss, delay or damage due to strikes, lockouts or work stoppages of any kind.

6. It is understood that GES and its subcontractors are not insurers. Insurance, if any, shall be obtained by the Exhibitor. Amounts payable to GES hereunder are based on the scope of the liability as herein set forth and are unrelated to the value of the Exhibitor’s property. It is further understood and agreed that GES and its subcontractors do not provide for full liability should loss or damage occur. It is agreed that if GES or its subcontractors should be found liable for loss or damage to Exhibitor’s equipment, the liability shall be limited to the specific article that was physically lost or damaged. Such liability shall be limited to a sum equal to $0.30 per pound per article, with a maximum liability of $50.00 per item or $1,000.00 per shipment, whichever is less, as agreed upon damages and exclusive remedy. Provisions of this paragraph shall apply if loss or damage, regardless of cause or origin, results directlyor indirectly to property through performance services to

5. GES and its subcontractors shall not be responsible for ordinary wear and tear in handling of equipment, nor for loss or damage due to fire, theft, windstorm, water, vandalism, acts of God, mysterious disappearance or other causes beyond their control.

LIMITS OF LIABILITY& RESPONSIBILITY

Be sure your materials are insured from the time they leave your firm until they are returned after the show. It is suggested thatExhibitors arrange all risk coverage. This can usually be done by riders to existing policies. Contact your insurance representative.Be sure your liability insurance is in effect during transit and return of your materials, during storage and at show site.

The consignment or delivery of a shipment to GES or its subcontractors by an Exhibitor or by any shipper on behalf of the Exhibitor shall be construed as an acceptance by such Exhibitor (and/or other shipper) of the terms and conditions set forth in Sections 1 through 13 above.
