Where and Why? – New York City, 86th Macy’s Thanksgiving Day Parade
How long? – Monday Nov 19th – Friday Nov 23rd
Who can go? – Band Members, (11th – 8th grade, present year)
– Color Guard Members
– Majorettes
How will we get to NYC and get around? – Two Boeing 737-800 (344 total passengers) Grueninger Music Tours
(GMT) Chartered Aircraft from VPS/ NYC/ VPS, Chartered Buses to and
from Airport, Hotel ,NYC and in/around NYC
Cost to go? – $1850, A/C surcharges could increase cost modestly
When is deposit due to reserve your place? – 1 December 2011
More Details…
Away From Niceville for 5 days
– New Jersey Hotel to keep cost down
– 4 students per room (quad occupancy)
– 2 chaperones per room, chaperone ratio is 1 to 10 students
– All but three lunches provided
– Special Thanksgiving Dinner event
– Kids will be assigned to busses and chaperones as we do for all our
trips
– 2010 Carnegie trip was a good precursor – returned with same
number we left with – the NHS band has a great chaperoning system
– not first big trip
Family and Friends Shadowing Package
– Package almost finalized, Similar to Carnegie Trip Package
– Includes Air fare, City Hotel, Airport/Hotel transfers, major
attractions, shows and dinners with band, subway pass

What to Do In NYC

– Thanksgiving Dinner/DJ
– Christmas show at Radio City Music Hall
– Bus Tour of NY City
– Walking time around Times Square
– Little Italy/Chinatown
– Central Park
– Intrepid Museum
– Natural History Museum
Payment and Cancellation
$200 non-refundable deposit is due by 1 Dec – Deposit may be made by check or student fundraising funds in their CHARMS account 30 Nov – Insufficient CHARMS student account balance must be subsidized with check
Two methods for making payments – Check – Credit Card (5% non-refundable service charge to travel company) – Once a method of payment is chosen, it can not be changed – First recurring payment is $200 dollars, due 1 Feb 12. – A payment is due the first of every month after, Mar, Apr, May, Jun, Jul, and $250 on 19 Sept – CC accounts will not be permitted to use student CHARMS accounts until mid March and after 19 Sep
payment – Overpayments will be credited back to CCs. – Cash customers can use student CHARMS accounts as available but amounts less than $200 must be
made up by check – Refund policy is outlined in handout to be distributed next week

Student Fund Raising Opportunities
Remaining Fundraisers for Student Accounts before Macy’s final
payment is due Bagging – continuing throughout until Macy’s
Wal-Mart – continuing throughout until Macy’s
Citrus this fall – Major fundraiser – please consider making this one of your big
ones (Orders Due 4 Nov)
Holiday Gift Wrapping/Playing at Belk’s
Draw Down – Tickets will be $50 with $25 going directly to the student’s account,
Draw Down ticket entitles 2 people to nice evening out with food and
entertainment and chance to win $10,000 Grand Prize, along with $3000-$5000
worth of other prizes – will occur on night of Band on the Run in Feb 2012.
Massive multi-location Car Wash - We may do several of these if successful -

Cruise Ticket Sales – Each ticket will cost $5.00 and $4 of that will go directly to
the students account. Win a Caribbean cruise!
Next year we will only get in QSP Magazine Sale and hopefully the Pasta Sale
before final payment for trip is due.
General Fund Raising Opportunities
Other General Fund Raisers for the Band This Year
• Other fundraisers which are to help support the band in general and are also
important support to keep things running:
• Concessions
• 50/50, Band on the Run
• Jazz Dinner Silent Auction
• Motorcycle Run
• We can’t make a go of it without these things doing well.
• Sponsorship Program – Individuals, Businesses, and other service organizations
are being solicited to sponsor the band to Macy’s
• Different levels of giving come with various benefits: such as signage on HWY 20
or tickets to the Jazz Dinner. See Sponsorship form for details
