The talks will be held in the Sherfield Building and the Huxley building (locations 20 and 13 on the campus map).

The exhibition, posters, refreshments and lunches will be held in the Queens Tower Rooms within the Sherfield

Building. Some of the exhibitors will also be positioned within the Sherfield Building foyer.

Accommodation Accommodation is not included in your registration fee and delegates are expected to organise their own

accommodation. Accommodation is available at the halls of residence at Imperial College London. If you do not

wish to stay in the halls of residence then special discounted rates in other local hotels have been organised

Internet access Eduroam is available at Imperial College London for students and staff from participating universities. If you cannot

access eduroam, a password to access the internet can be obtained from the registration desk. Passwords are

allocated on a first-come first served basis with a maximum of 1 account per person.

Photon14 Conference App The new IOP Conferences App will be available to download via the Apple App Store or Google Play shortly. The

multi-app will include a Photon14 App which will allow delegates to create a personalised agenda and search and

download abstracts for this conference. The Photon14 programme will also feature along with exhibitor and sponsor

profiles, speaker biographies and venue plans. The app will be updated in the lead up to and during the conference,

so once you have downloaded the app please check it regularly for the latest information.

Registration Registration will take place on the second floor of the Sherfield Building. The registration desk will be open at the

following times:-

On arrival, each participant will receive a delegate pack containing a pen, pad, participant list, programme, copy of

the exhibitor guide and a badge.

Participants are asked to wear their badge at all times because this will help with security and enable you to identify

your fellow participants. Replacement badges can be issued at the registration desk. On departure, please return

your badge to the conference desk as it can be recycled.

The abstract book with details of all talks will be available to download from the website and via a conference multi

app.

Messages A message board will be placed near the registration desk. Participants should check the board for messages as an

attempt to locate participants will only be made in the case of an emergency. During registration times, messages

can be left by telephoning +44 (0) 7850 311 912.

A drinks reception will take place alongside the poster session in the Queen’s Tower Room from 18:00 – 19:00.

Wednesday 3 September

The conference dinner will take place at 20:00 in the Queen’s Tower Room.

Dietary requirements Participants with special dietary requirements are asked to notify the conference office by e-mail prior to their arrival

if they have not already done so when registering. Those with special dietary requirements other than vegetarian are

asked to make themselves known to the catering team. It will not be possible to provide an alternative menu unless

prior notification has been received. Please e-mail [email protected] if you have any queries.

Programme

The final programme will be provided to all delegates on arrival at the event. In the meantime, please refer to the

website at http://www.photon.org.uk for the latest time table.

Instructions for presenters For oral presenters

Speakers are asked to send their presentation as a PDF or PowerPoint file prior to the conference by email to

[email protected]. Please note in the email, the day and time of your talk, and only send if your

presentation requires no further amendments. We also recommend you bring a back-up copy on a USB stick. If you

are unable to send your presentation in advance of the conference, please bring a copy on a USB memory stick.

You will need to upload your talk into the speaker preview room (SAL3 in the Sherfield Building) in advance of your

session. It will not be possible to load your talk within the lecture theatres..

To optimise compatibility, particularly for the inclusion of multimedia components, PowerPoint presentations should

have been saved using PowerPoint's "Package for CD" facility. Direct connection of personal laptops (with set-up

in the break prior to the corresponding session) is an acceptable but not preferred alternative. Please note the in-

house systems have a VGA connection. If your laptop has any other connections, you will need to bring an adaptor.

If presenting from a MAC, you will also need an adaptor. You are reminded that the UK has 3-pin sockets so, if you

require a plug adaptor, you should also bring this with you. If you do intend on presenting on your own laptop,

please let us know by emailing [email protected] so that we can be prepared for this.

The meeting space is reasonably large so speakers should use a minimum 15-point font size in PowerPoint slides to

ensure legibility. Presenters are asked to prepare their talks to match the allocated times which will be rigidly

enforced by session chairs.

For poster presenters

Posters will be on display in the Queens Tower Rooms.

For those presenting on Monday, you can display your presentation from 10:15 on Monday morning. All

posters must be removed by 09:00 on Tuesday.

For those presenting on Tuesday, you can display your poster from 09:45 on Tuesday morning. All posters

must be removed by 09:00 on Wednesday.

Any posters left up will be removed and saved at the registration desk until the end of the conference. Posters which

are not claimed will be recycled.

Poster boards measure 2m high x 1m wide, are portrait and are Velcro compatible. Velcro will be supplied. Please

ensure your poster fits within these dimensions, no larger than A0 otherwise we cannot guarantee it will be

displayed.

Please bring your poster with you to the conference. It will not be possible to print it on-site.

Travel Participants are advised to travel to the conference using public transport as driving in Central London can be

difficult and expensive. If you are unable to use public transport, you can plan your travel route online for free at

www.theaa.com or http://www.rac.co.uk. For those with satellite navigation the postal code is 'SW7 2AZ'.

Car parking at South Kensington Campus is severely restricted. Parking in the streets surrounding the College is at

pay and display or parking meters but for limited periods only. Below is a list of local car parks, please contact them

directly for rates.

By Underground / Rail

Imperial College London is less than 5 minutes’ walk from South Kensington tube station. The Underground Station

connects 3 major lines, Piccadilly, Circle and District providing good transport links to the rest of London. Please

note that if you are thinking of using Gloucester Road station, the Piccadilly Line is currently not stopping here.

including information on times and fares. Please book rail tickets early to take advantage of discounts.

On foot from South Kensington Station

From South Kensington Station, the campus is only a five minute walk. Either follow the subway signposted to the

museums or walk north up Exhibition Road. The College is next to the Science Museum.

South Kensington Campus is easily accessible by bus. A number of routes pass within easy walking distance of the

By Air

London is one of Europe's central routing points for international air travel and has five major airports that are

served by nearly every major international airline. Participants are recommended to book flights early to take

advantage of discounted fares.

London's five airports (Gatwick, Heathrow, Stansted, Luton and City) all have easy connections into central London

by train, tube, coach or taxi. To plan your onward journey by tube or rail, go to www.tfl.gov.uk or

www.nationalrail.co.uk, and by coach www.nationalexpress.com. The cost of taxi's from each airport will vary

significantly and as traffic can be busy in central London you are advised to use where possible the rail and

underground network.

Health and Safety

Safety and emergency evacuation procedures

In the unlikely event of a fire, a voice activated alarm will sound. On hearing the alarm, please make your way to the

nearest emergency exit. These are well signposted. Please leave the building immediately and in an orderly manner,

and make your way to Assembly Point F which is the area around the East Side of the Queens Tower. Do not re-enter

the building until instructed to do so by security.

First aid

If you fall ill or injure yourself during the conference, please report the incident to a staff member who will call a

trained first-aider. In case of serious injury, paramedics will be called. All three emergency services, fire, ambulance

and police, can be contacted by dialling 999 from any telephone.

Emergency services

As in all major cities, visitors should be aware of their personal safety. In an emergency, the police, fire or

ambulance services can be reached from any phone by dialling 999.

Smoking

In accordance with government legislation smoking is not permitted in any building, temporary enclosed structure or

substantially enclosed space outside of buildings.

Behaviour and conduct

The Institute of Physics reserves the right to charge in full for loss or damage to buildings and property.

Payment

The organiser reserves the right to refuse admission to any participants who has failed to pay their registration fee in

full prior to the start of the event.

Local amenities

A cash machine is located on level 1 of the Sherfield Building. On level 2, you will find a bank with cash machines

and some shops. There are also a number of vending machines within the Sherfield Building.

General information Money

Britain's currency is the pound sterling (£). The closest ATM is in the Sherfield Building.

Electricity

British electrical standards are 50Hz 230 volts, so some North American and European electrical devices may

require converters; all will require plug adapters. Please bring your own adaptor.

IOP membership

Non-member registrants attending this conference will automatically become affiliate members of the Institute of

Physics for 12 months and will receive copies of Physics World. As an affiliate member you will be entitled to attend

all conferences at the members’ rate for the period of your membership and to use MyIOP – the member-only

network.

Full details will be sent to you after the conference. In order to take advantage of this affiliate membership, payment

for the conference registration fee must be received in accordance with our payment terms.
