Location and venues

The conference will be held at Aston University. All plenary sessions will be held in the Great Hall and the exhibition/catering will be held in the Litchfield Lounge. Parallel sessions will be held in the Main Building (1 on the campus map)

On arrival on Sunday, delegates should enter the Main Building via the North Entrance as the main entrance doors will be closed and register at the IOP desk situated in the Litchfield Lounge.

**IMPORTANT NOTICE – Delegates will need to enter a 4 digit code to enter the main building via the north entrance. Please use the following 4 digit code - 8435. This is for Sunday only.

Accommodation for residential participants will be allocated in the Aston Student Village and Conference Aston Hotel. Rooms in the student village are en-suite and for single occupancy only. Accommodation at Conference Aston Hotel are for single, double or twin depending on your selection. All rooms must be pre-booked.

Accommodation includes full English/Continental breakfast which is served in the Courtyard Restaurant in the Conference Centre between 07:00 – 09:00.

Bedrooms will be available from 14:00 on arrival and should be vacated by 11:00 on the day of departure. Please check in and out at the Aston Business School reception which is manned 24 hours a day.

Registration

An early registration facility will be available alongside the welcome reception 17:30 – 19:30 on Sunday 2 September in the Litchfield Lounge. The registration desk will remain there throughout the course of the event.

Your welcome pack includes: a pen and pad, a copy of the conference brochure with programme and exhibitor information and general conference information.

You will also receive a badge which you must wear at all times to help with security and to enable you to identify fellow participants.

The registration/help desk will be staffed by the IOP conferences team during the following times.

Catering The conference registration fee includes lunch and refreshments for the duration of the event, the poster session receptions on Monday/Tuesday and the conference dinner on Wednesday evening. ITP registrations include lunch and refreshments on Tuesday and Wednesday only.

Due to our event taking place out of university time, the following cafes will only be available at set times; Café Tierra – 08:00-14:00, Café Libro – 10:00-15:00 and Café 66 08:00-16:00

Exhibition A table top exhibition will run alongside the conference on Tuesday 4 and Wednesday 5 September.

Exhibition ‘Recruitment Corner’ A noticeboard will be set up in White Hall 1 that will allow delegates and ITP attendees to book 30 minute appointments with exhibitors. Exhibitors will use the noticeboard to advertise job openings and other opportunities within their company so we encourage delegates seeking recruitment to visit this area of the exhibition.

If interested, appointments can be booked on the 4th and 5th September, via a signup sheet on the noticeboard, and will be located at the relevant exhibition stand.

Prize draw Participants will have the opportunity to win a £250 Amazon voucher by visiting the exhibitors and completing a prize entry form (available in the welcome pack).

Information for presenters

Oral presentations

The lecture theatres are equipped with the following audio-visual equipment:

• Data projector • Screen • Lapel or hand-held radio microphones • Laser pointer • PC/Laptop • Lectern (fixed) and microphone

Speakers are requested to bring their presentation on a USB memory stick in either Office 2010 powerpoint or .pdf format and preload it onto the PC/laptop located in the lecture theatre. Speakers should save their presentation into the appropriate pre-named session folders pre-set on the desktop and files should be saved by speakers surname and initial.

To optimise compatibility, particularly for the inclusion of multimedia components, speakers should include the original files so that it can be re-embedded if necessary. Direct connection of personal laptops (with set up in the

break prior to the corresponding session) is an acceptable, but not preferred alternative. Mac users should ensure that they bring the correct connection cable (VGA) with them.

The lecture theatres are reasonably large, so speakers should use a minimum 16-point font size in PowerPoint slides to ensure legibility. Presenters are asked to prepare their talks to match the allocated times which will be rigidly enforced.

Poster presentations

Posters will be on display at Aston University in the Litchfield Lounge and White Hall 1, 2 and 3 with dedicated poster sessions as scheduled in the programme.

Please note that during poster sessions, authors should stand close to their boards to answer questions and facilitate discussions on their work. If you are presenting a poster please ensure that you display your poster on the board number that matches your poster number in the programme.

Posters must be no larger than A0 in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. If your poster does not fit within these dimensions, we cannot guarantee it will be displayed. Posters will be fitted to glass panels and fixing material will be supplied.

All posters can be mounted between 10:30 and 14:00 on Monday 3 September and removed by 12:30 on Thursday 6 September. Posters will be on display for the duration of the conference with dedicated poster sessions taking place on Monday 3 and Tuesday 4 September.

Safety and security

Personal property

Aston University and the Institute of Physics do not accept responsibility for the loss of or damage to personal property. Visitors are advised to keep personal possessions with them.

Fire alarm procedure

If you discover a fire, please operate the nearest fire alarm. Ring ext. 2222, or go directly to the Security Control

Room, giving:

a) The location of the fire.

b) Your name and address.

c) Any other relevant details (e.g. visitors with additional needs).

DO NOT re-enter the building until instructed it is safe to do so by the fire officer in charge.

First aid

In the event of medical assistance being required, please contact the Security Control Room on ext. 4803 (internally) or 0121 204 4803 (externally). The office is staffed 24 hours a day and all Security personnel are qualified first aiders.

In the event of any serious problems, or for emergencies, please contact Aston University Security on 0121 204 4803). The emergency number in the UK for fire, ambulance or police is 999.

Smoking

In compliance with the current UK legislation, all meeting rooms, lecture theatres, foyers, public areas, bars, doorways, entrances and bedrooms within the University operate a no smoking policy.

Behaviour and conduct

The Institute of Physics and Aston University reserve the right to charge in full for loss or damage to University property. Whilst on the Aston University site, all guests should show respect that this is a working environment.

• Birmingham Back to Backs - The Birmingham Back to Backs (also known as Court 15) are the city's last surviving court of back-to-back houses. They are preserved as examples of the thousands of similar houses that were built around shared courtyards, for the rapidly increasing population of Britain's expanding industrial towns.

• Culture – Birmingham has invested heavily in its arts and culture for decades. The artistic strengths of Birmingham and the region are unrivalled: the City of Birmingham Symphony Orchestra, the Royal Shakespeare Company and Birmingham Royal Ballet; the region's great galleries - the Barber Institute, the Ikon Gallery, the New Art Gallery Walsall; and impressive venues that include the world acclaimed Symphony Hall, the Hippodrome Theatre and The Drum, one of the UK's biggest African, Asian and Caribbean arts centres.

General information for international visitors

• Money - Britain's currency is the pound sterling (£). Credit cards - especially Visa and Mastercard - are widely accepted in restaurants, bars, cafés and shops. American Express and Diners Club cards are less commonly accepted. There are plenty of cash machines (also known as cashpoints or ATMs) dotted around Leeds.

• VAT - Value-added tax (VAT) is a 20% sales tax levied on most goods and services except basic food items, books and children's clothing. Restaurants must, by law, include VAT in their menu prices. If you are travelling for leisure or business purposes, you may be eligible for a VAT refund. The VAT refund scheme is called the Retail Export Scheme or Tax-Free Shopping. www.hmrc.gov.uk/vat/sectors/consumers/overseas-visitors.htm

• Electricity - UK appliances are fitted with three-pin plugs that can be connected to the UK mains supply through wall sockets. Unlike the sockets in many other countries, these have a switch to turn the power supply on and off - make sure you've turned it on if you're trying to charge your appliance. UK power sockets deliver an average voltage of 230v, although in practice this can be slightly higher. To charge devices that are compatible with this voltage, simply buy the appropriate adapter from the airport or from high street shops. If your device runs on a lower voltage, however, then you will also need a converter to stop it from over-heating. Even if your country uses lower voltages, remember to check whether your device is dual-voltage (look for the 110-240v notation) before buying a converter.

• Telephone - If you're visiting Birmingham from abroad, don't forget that the UK dialling code is +44 (which replaces the 0) and to check your own country's code before you travel. Landline numbers in the Birmingham area start with a '121' area code. If you are in the UK you would call Birmingham by dialling '0121' if you are outside of the UK a Birmingham number would start '0044 121'. If you are travelling to Birmingham from abroad, using your mobile phone may cost you more than it does at home. Check your network's roaming charges before you travel.

• Climate and weather – Birmingham has a changeable climate, the average yearly low is 3°C (37°F) and average yearly high is 15°C (59°F). For the latest local BBC weather report click here.

• Health services - The National Health Service (NHS) is the main healthcare provider in the UK. NHS treatment is free for UK residents. Overseas nationals are not eligible for free NHS treatment except if they need emergency treatment while in the UK. You are strongly advised to take out travel insurance to cover any medical expenses. If you come from a country that holds a UK healthcare agreement, you are entitled to free or reduced-cost medical treatment if needed immediately for a condition that started after your arrival in the UK. If you're visiting from Europe, you need to carry a valid EHIC (European Health Insurance Card) in case you need immediate and necessary medical treatment in an NHS hospital. Without this you can be charged for treatment. Travel insurance is still advisable as it offers greater flexibility over where and how you're treated, and can cover expenses not paid for by the NHS. • Emergencies - Visitors should be aware of their personal safety. Call 999 for the emergency services (police, fire and ambulance) which is a free call from any phone. You can also call 112 for non-life threatening assistance and to report crimes. To report non-urgent crime, call the police on 101 from within the UK.

The green, self contained campus of Aston University sits at the heart of Birmingham city centre, just off the A38 as you approach the city from the M6. The venues are all located within a two minute walk of each other with pay and display car parking, complete with electric car charging points. The conference hotel and meeting suites are highlightd in the pink and magenta colours. Car parking is highlighted in blue. The complimentary sports centre and pool for residential guests is highlighted in green.

Travel Bursaries Schemes for students and early career researchers

The Institute of Physics provides financial support to research students and early career physicists to attend international conferences, major national meetings, and visit international facilities.

Bursaries are available to members of IOP and are worth up to £300.
