LEASE DISBURSEMENTS (GREEN FORM) (Non-Seasonal)– Vicki Worsham - [email protected]
Lease Disbursement Forms - Please make sure that all information on the Green Lease Disbursement sheet is filled in correctly. We need this form completely filled out prior to processing. It is especially important to: - Include both FIRST and LAST NAMES to whom the check should be cutInclude your branch location Fill in the dollar amount (not a percentage) on the formPRINT CLEARLY
New Leases – When submitting a lease deposit for new leases, a fully executed copy of the lease or promise to lease needs to accompany the deposit transmittal form.
Lease Disbursement Procedures – Please make sure that either you or your Administrator fill out a lease disbursement form when a check is being requested. As we receive these, we note the date to disburse on the top of each based on the type of funds we receive. The check will be cut according to this date, and set aside for EVENING signature. These checks are processed the next morning and sent out to your respective branches on your next normal scheduled delivery date. In-house courier schedules are as follows:

LEASE DISBURSEMENTS - SeasonalWe normally schedule cutting both owner’s and agents commission checks no sooner than 30 days prior to the lease commencing. If you find you need the owner’s check sooner, please give us a call to let us know or note this on the Lease Disbursement form at initial time of presentation. All funds must be clear in order to disburse.

SALES ESCROW DISBURSEMENTS (BLUE FORM)-Vicki Worsham - [email protected]
Please make sure to COMPLETELY fill out the form, PRINT CLEARLY and submit it to us AT LEAST 5 days prior to closing. We usually cut a check to the title company/attorney or issue a wire transfer within 2 days of receiving your request, HOWEVER as with any check or wire transfer we are dependent on an authorized signer being available to sign checks.
If it is an emergency, and something has fallen thru the cracks, please email Vicki Worsham at [email protected] so she can watch for the paperwork and take care of this as quickly as possible.
If you require an escrow letter, please fax or email your request on the “Escrow Letter Request” form to Vicki’s attention at [email protected].
DEPOSITS (GOLDENROD FORM)Deposit Transmittal Form – Please make sure to completely fill out the form and attach to the check along with a signed escrow authorization.
Incoming Wire Transfers – If you are expecting funds to be wired into our account, please fax or email a copy of the deposit transmittal form to [email protected] and note the dollar amount you are expecting and the approximate date these funds are expected.
BY LAW we are required to DEPOSIT ALL EARNEST money within 72 hours of receiving it. This means you must get it to us immediately. In order for us to process the deposit, you must have your Administrator enter the sale information. If you do not have all the contract info for the sale, please have her enter in at least the address and buyer’s name and fill in the information for the sale once you receive it.In the rare occurrence that your buyer is requesting that you hold their funds until a certain date (using a postdated checks) please do not turn these checks into accounting until they are ready to be deposited.
Please have your buyer sign the Escrow Authorization form with ANY escrow fundsIllustrated Properties will be holding for them. This is a mandatory requirement.

COMMISSION CHECKS (PURPLE FORM)[email protected]
Contract Cover Sheets – Please make sure that the form is completely filled out and that your Administrator has entered the sales into Profit Power PRIOR to sendingit to accounting for processing. Please also make sure that a copy of the HUD all checks are attached to the purple Contract Form for accounting. We CANNOT process a check for a sale that has not been entered into Profit Power.
Transaction Fee – Our current Transaction Fee is $ 275 per transaction. Please make sure you instruct the closing agent to cut this fee separate of the commission check. If IPRE has both Selling & Listing side – a $ 275 fee will be due for each side. Non collection of this fee must be approved PRIOR to closing by Virginia Spencer or Tom Day to avoid having it deducted from your commission check.
Rental Commission Checks – are NOT sent with the other rental disbursements. There is a one business day lag in cutting and sending out a rental’s corresponding commission check in order to transfer funds from our rental escrow checking account to our commission checking account.
CANCELLATION OF CONTRACT (PINK FORM)Use this form to refund monies to buyers (fall thru), Offer not accepted and to transfer escrow deposits from one property to another. LEASE COMMISSION CHECKS
Any commission checks that relate directly to a lease will follow the next business day. These checks are NOT cut by Escrow, so for any questions regarding commissions please email: [email protected] to answer your questions about ALL commission checks.
Lease Disbursement Dates – All funds must clear our bank in order to pay the landlords. Clearing times as instructed by our bank are as follows:FUNDS CLEARING TIME

U.S. Funds drawn on an international bank – If your client insists on paying with a check which states: U.S. funds but it is drawn on an out of country bank (i.e. Canada, Jamaica etc). Please be aware that these funds take 8 WEEKS to clear any American bank. It is highly recommended that a wire transfer be requested if your closing is scheduled to close in less than 8 weeks.
Copies of leases and rental checks – We encourage you to please make a copy for your files of all checks and leases. When an agent/owner needs a copy of the lease and/or check, you should be able to supply this to your customer.
Rental/Owner/Disbursement checks – Once signed, we will return all checks to your branch. You will need to make arrangements to either mail or disburse these checks to your agents and/or owners.
