LEADSMATE

TRAVELSThere are 3 levels of login.

1) CSE - This is for the users, normally Travel Customer Support Exceutives who attend to the sales calls.

2) Admin - This is a user with power create users, manage and assign enquiries to different users and generate MIS information and do the follow-up operations.

3) Super Admin - This is the user with all the powers of Admin plus the power to do housekeeping of Databases

How it Works ?Any typical travel agency business will have an online channel like a website to accept any online enquiry from visitors/customers. Most of them will have at least a quick enquiry form to accept requests from the visitors of the website. In most of the travel agencies, a lot of time is being wasted in the maintenance of these records manually or by spreadsheets for tracking these enquiries which are supposed to be the main source of generating business. And any lack of timely follow-up can result in loss of business and revenue.

Leadsmate Enquiry Management System captures all the relevant information, the visitors fill-in at the source itself (from the website). The enquiries are stored in a database from where it can be pulled up and sent to your enquiry management queue so that you can go through them one by one in the order it was received and distribute them to the relevant Travel Support Desk or to the Agents/Sub-agents without missing any of the potential leads. The status of enquiries can be marked as PENDING/CANCELLED/CONFIRMED and all the pending items can be sent to the FOLLOW-UP Desk for further efficient Follow-up actions. Also, there is provision to set the priority for enquiries and alert mechanism for setting the follow up date and time.

When one login as Super Admin or Admin, this default Dashboard is presented. Dashboard displays the following :

MENU for Navigation

Enquiries coming from website forms will be automatically captured by the sytem as and when the enquiries arise and shall be displayed in the Update Enquiries Menu.

Display enquiries between a specific period with selection for All, Pending, Confirmed and Cancelled enquiries

Displays a specific enquiry on entry of Ref. No.

Shows Alerts for the enquiries follow-up

Shows the priority alerts for enquiries

Shows the Monthly enquiry statistics for different categories with graphical representation

Shows the daily enquiry statistics for different categories with graphical representation

Using this option, any enquiry coming via telephone, walk-in, e-mail or any other source can be put into the system for further action.

Enquiries coming from website forms will be automatically captured by the sytem as and when the enquiries arise and shall be displayed in the Manage Enquiries Menu.

Select enquiries between any date with option to display All, Confirmed, pending and Cancelled enquiries.

Each enquiry is assigned a ref. no. automatically.

Name of the enquirer and email id. is shown here.( Not displaying herereason of disclosure of identity)

Date on which the enquiry was made

Enquiry Status shown here as Pending, Cancelled, Confirmed. Pending (in progress) means, it is being attended on the same day. Pending (1 day) means it is attended and is pending for more than 1 day since the last follow-up. Cancelled means the person is not interested and the enquity is cancelled. Confirmed means the enquiry has got confirmed.

There are 4 types of functions provided.

Functions explained :

Setting Priority helps in follow up operations.

On clicking this function, a pop up will ask whether to set the priority for the enquiry.

If the priority is set, it will be shown as RED.

When the priority is OFF, it will be WHITE

When the enquiry with priority is attended by the Customer Desk, it will turn YELLOW.

Only Admin/SuperAdmin can set the priority for the enquiry.

Functions explained :

This function is used for setting up the Follow up alert.

On clicking this function, a pop up will be displayed where one has to set the follow up alert date and time. One can also enter any details in remark space.

Also it will be shown as PINK in Ref. No. from that set date and time onwards.

Functions explained :

This function used for previewing and updating enquiries.

On clicking this function, a pop up will display all the particulars of the enquiry. Customer Support Desk can update information and status.

Here one can select the customer desk to which the concerned enquiry can be assigned.

Here enquiry status can be updated asPending, Confirmed, Cancelled.

Here TAC (Travel Agent Commission) can be entered on confirmation of the enquiry.

Functions explained :

This function used for removing duplicate enquiries and junk/unwanted mails.

On clicking this function, a pop up will ask whether to move the enquiry to TRASH. Only Admin can use this function and once it goes to Trash, only Super Admin can revoke it.

On clicking here, a pop up will be displayed through which users can be created.

Account Settings can be modified by clicking this function.

Using this function, logins can be disabled and enabled back.

Using this function, logins can be deleted.

Apart from these utilities, Manage CSE Records Menu displays the list of all logins showing the number of Confirmed, pending and cancelled items till date.

This menu displays the performance of the Customer support desk for a given period. It will shoe the TAC earned by each desk and also other details like No. of confirmed, %, No. of pending, cancelled, no. of packages pending and no. of packages confirmed

MIS Graph Report menu will display a graphical statistics of the enquiries for any given period.

Priority enquiries needing immediate attention shall be shown as a RED Star and those attended but incomplete shall be show in YELLOW.

Follow up enquiries alert shall be show as RED in ID. Column.

Also, one can view and update the details of enquiry and the follow up status by clicking on the appropriate functions.
