1.0 LPMS Instructor Management Overview Purpose of this document: The purpose of this document is to provide Learning Partners with instructions on how to enroll and effectively manage CCSIs in Learning Partner Management System (LPMS). This document will also provide a brief overview of the various supporting systems that are used to determine instructor status and compliancy to the CCSI Certification Agreement. System Overview: The Cisco Instructor Management System (CIMS) ensures CCSIs are qualified instructors delivering the best-in-class training. CIMS will include the essential data required to create a comprehensive and accurate view of all instructor information. With integrations into multiple systems, CIMS has built-in logic that ensures instructors are compliant with their memberships, MTM student evaluations, exam certifications and course teaching requirements. Furthermore, CIMS will enable Cisco to accurately determine which courses CCSIs are authorized to deliver and the customer satisfaction results of that delivery. CIMS will be the single source of truth providing all essential data to and from the various supporting systems such as Learning Partner Management System (LPMS), Metrics That Matter (MTM), Certification Tracking System and Cisco Learning Network. The data collected from CIMS will be pushed to LPMS providing Learning Partners with the information needed to better understand and manage their CCSIs. Learning Partner Admins will no longer be required to manage or update the instructor data in LPMS. Admins will only need to enroll or release instructors. CIMS will automate the course certification process by analyzing the instructor data and certifications compared against our course certification library. This data is pushed to LPMS to the instructors profile displaying the courses Cisco is authorizing the instructor to teach. The instructor’s exams and certifications will also be displayed on the instructors profile with enhanced reporting.

System Improvements: Learning Partners will receive the following benefits from these changes.

• Simplified instructor enrolment process. • Increase program efficiency and reduced administrative effort. • CCSI profiles enhanced with all exam and certification data. • Improved reporting capabilities. • Automated course certification authorizations. Instructor teaching requirements will be mapped

automatically to the CCSIs through system logic that will validate the CCSI eligibility (exam & certifications) to teach the specific Cisco course.

• Improved UI functionality. Learning Partner Admin LPMS Responsibility:

• Enroll new instructors. • Release instructors when sponsorship is terminated. • Reinstate an inactive instructor for enrolment. • Ensure instructor compliance through profile views and reports.

CIMS/LPMS Data Feed Schedule

• Data feeds between CIMS and LPMS will occur once a day at 9:00 am pacific time.

2.0 LPMS Instructor Management Process LPMS Functionality In this next section, you will be walked through the new process steps for instructor enrollment and instructor management. 2.1 LPMS homepage for LP admin

After LP sys admin login to LPMS, there is no change in LP homepage.

2.2 New Instructor Enrolment

To enroll a new instructor, the CCSI candidate must first be associated to the Learning Partner in PSS (www.cisco.com/go/pss). Once association is approved, the CCSI candidate can be enrolled in LPMS (www.cisco.com/go/lpms).

a) Go to Instructor>Enrollment

b) Enter candidate instructor’s CSCO ID and click on Go

c) Instructor details will auto populate. Ensure all required fields are completed. d) LP sys admins no longer need to add the course certifications manually to the instructor profile. These

fields have been removed from the LPMS instructor enrolment view. CIMS will automate the course certification process by analysing the instructor data and certifications compared against the course certification library. The CCSIs profile will display the courses Cisco is authorizing the instructor to teach if all exam teaching requirements have been met for a particular course.

e) If correct instructor information is displayed, Click Submit. Instructor will be enrolled and success message will appear on screen.

f) To view details of instructor information, you will need to wait for the next data feed cycle. Data feeds between CIMS and LPMS will occur once a day at 9:00 am pacific time.

2.3 View Instructor Profile Information: The instructor profile has been enhanced to provide more information regarding the CCSIs qualifications. The new profile now includes three new table grids – LPMS Certified courses, Cisco Career Certifications, Certification Exams. These grids will display all courses the CCSI has met the exam requirements and previously certified courses, certifications completed and all passed passed exams (certifications and specializations). The instructor course certification history and TTT registration history has been removed.

2.4 Update instructor candidate information: All CCSI data is auto populated and very minimal manual entry or maintenance is needed. Fields that can be changed/updated manually:

• Secondary email update • Preferred email • Phone number

• Email address Field which cannot be changed manually:

• First Name • Last Name • CSCO ID • Authorized Course Certifications • Cisco Career Certifications • Certification Exams

a) Go to Instructor>Manage Instructor

b) There will be an option to lookup instructor by CCSI status, CCSI ID or Name.

c) After LP sys admin selects the CCSI, the CCSI details will auto populate. LP sys admin can now update the candidate’s information and submit changes if neccessary. • Secondary email update

d) Once the change has been completed, a success message will appear.

2.5 Instructor Reinstatement: If a CCSIs IK membership has been expired for less than one year, the CCSI may be reinstated back into LPMS.

a) Go to Instructor>Manage Instructor b) Enter CCSI number and click on Go c) Details for the instructor will auto populate. Click on submit button to complete the reinstatement

process. d) Once done, success message will pop up in the screen.

2.6 Instructor Release Learning Partners must release the CCSI if the LP is no longer the acting sponsoring.

a) Go to Manage Instructor> Release

b) On the Release Tab, make a selection. Select CCSI status or select the CCSI from the list. The details will show on screen as below.

c) Click, Submit. A success message will appear on the screen. The CCSI status will move to a transistion status and not assigned to a Learning Partner. The Learning Partner will no longer be able to access or view any information for this instructor.

2.7 Print CCSI Certificate a) Go to Reports>Print certificate and select CCSI certificate. (NOTE: The new CCSI certificate is not currently available in LPMS and will be updated in the next sprint cycle)

2.8 Other Miscellaneous changes: a) Additional Certifications tab removed from the Manage Instruction menu. b) TTT Enrolment tab is removed from Instructor menu. c) Changes have been made to the look and feel of the CCSI profile. d) Improved search functionality. Able to search for a CCSI by typing in their name or CCSI

number. e) Collapse and expand table grids on instructor profile. f) Filter and sort columns in ascending or descending order.

3.0 New CCSI Reports New reports have been created to help Learning Partners better manage and understand the CCSI status and qualifications. 3.1 To run reports, Go to Reports and select Instructor Report or CCSI Reports:

• Instructor Report: List of all CCSIs, CCSI status and membership details • Certified Course Report: List of courses the CCSI is authorized to teach • MTM Report: CCSI instructor rating collected from MTM for courses delivered

• Instructor Certification Report: List of all active and deactivated certifications • Instructor Exam Report: List of all “passed” certification and specialization exams

3.2 Refer to the below table to understand how the data is being pulled within the new CCSI MTM Reports:

and the Instructor have the ability to modify in MTM. Instructor Last Name Instructor last name as populated in field in MTM. Cisco Administrators and

the Instructor have the ability to modify in MTM. CCSI ID Maps to certification ID in MTM. Populated by Cisco Administrators when

new instructors are created in MTM (MTM team is the only other party with permissions to create new Cisco certified instructors). Note: the instructor also has permissions to update / edit their certification ID.

Course Name Maps to course name field in MTM. Populated by Cisco Administrators when new courses are created in MTM (MTM team is the only other party with permissions to create new Cisco certified courses).

MTM XID Learning Partner XID – created when partner is initially set up by MTM. Learning Partner Name Created when partner is initially set up by MTM. Only MTM has the ability

to update / edit Learning partner name. Average Instructor Score YTD for the Course

Average score based on only the questions in the instructor question category for only the deliveries of that instructor for only that course YTD.

Total # of Evaluations Collected YTD for the Course

Total number of evaluations submitted for that instructor’s deliveries of that course YTD.

Overall Instructor Score YTD

Average score of the data for the questions in the instructor question category for all courses that instructor delivered YTD. Note: You will see the same number populate on multiple rows in the file if the instructor is linked to multiple courses.

Total # of Evaluations Collected (YTD)

Total number of evaluations that had data populated in the instructor question category for that instructor YTD. Note: You will see the same number populate on multiple rows in the file if the instructor is linked to multiple courses.

4.0 FAQ’s Q. Is Cisco providing CIMS access to the Learning Partners? A. As of now, the access has only provided to Active CCSIs however access to LPs is being considered for a future releases. Q. What will be the benefit of the CIMS tool for Learning Partners?

A. With the introduction of CIMS, administrative efforts for LP sys admin is significantly reduced. LP admins will only be required to complete new instructor enrolment/reinstatement and instructor release. More information regarding the CCSI qualifications is now available in LPMS with enhanced reporting and UI functionality. Q. What are the steps for CCSI enrolment? Do we need to enter course certification requirement while enrolment? A. Go to Instructor>Enrolment tab and enter the CCSI CSCO ID and submit. All details for the CCSI will auto populate A. No, LP sys admin is not required to add any Course certification information for enrolment. Q. I am unable to enroll an instructor and have received an error message? A. Verify that the CCSI candidate is associated to the correct Learning Partner site ID in PSS. If the correct association is showing in PSS the CCSI candidate has not been released from the prior Learning Partner Sponsor. The CCSI will need to first contact their previous Learning Partner Sponsor requesting to be released. If the Learning Partner is unresponsive, the CCSI will need to open a support case with My Workspace at http://www.cisco.com/cisco/psn/web/workspace. Cisco will contact the Learning Partner requesting release. If the Learning Partner is unresponsive, Cisco will release the CCSI within 3 business days. Q. I am unable to update the CCSIs personal information such as their CCO ID or email address. How do I resolve this? A. There is a discrepancy with the CCSIs details in the Certification Tracking database. All personal information must match the CCSIs CCO profile. You will need to make sure the information matches exactly. Request the CCSI to provide you with the correct information. Q. How often is LPMS updated by the up/down stream system data feeds? A. LPMS will process data feeds every 24 hours at 9:00 am pacific time. Q. How are the CCSI certified course authorizations being determined? A. All course instructor teaching requirements are loaded in the CIMS database. CIMS has built in logic that will map the CCSI exams/certifications to the course teaching requirements. If the exam requirements are met, the CCSI is authorized by Cisco to deliver the course. However, the instructor is still required to complete the necessary preparation efforts such as sit a class or attend the TTT, complete all labs associated to the course, complete 3rd party certification requirements, etc. Learning at Cisco at this point is only tracking if the CCSI has met the exam requirements. Q. Who do I contact for any discrepancies found with CCSI course certifications or other instructor information? A. Contact [email protected] for any queries and support. Q. Is there any change in ICP results update process? A. There is no change in ICP process for Learning Partners, instructors and proctors. Q. How often is the MTM report generated? A. Monthly Q. What is the time period typically included in the report? A. YTD

Q. How do I make sure that I am using MTM correctly so that Cisco will see all my data that was created in MTM? A. It is important that all classes, courses and instructors are set up correctly in MTM so that the data is sent to Cisco. Please refer to the MTM Cisco Job Aid that is available on the Learning Partner site. www.cisco.com/go/learningpartners. Q. Data in the report is different when compared to a report in MTM. Why? A. Possible reasons why the data is different:

• Data was submitted after the report was generated. • A learning partner that was not previously scheduling classes appropriately conducted a data clean-up

to correct this error after the report was generated. • MTM report may be designed to pull data different than the data feed. If A and B do not explain the

different please contact your MTM team so they can review the logic in the report being used vs the data feed.

Q. I am expecting to see learning partner / instructor data in the data feed report that is not there. What do I do next?

• Run a report in MTM to see if data is there (data might have been submitted after the extract was pulled) – see FAQ #3.

• Refer to MTM job aid to identify gaps or errors made in the class, course, or instructor set up. The MTM Cisco Job Aid that is available on the Learning Partner site. www.cisco.com/go/learningpartners.
