Automate Business Processes

Livelink provides Workflows to automate business processes

Workflow predefines a sequential path that a business process should follow, from

start to completion and involves multiple users and tasks Workflow Map is used to design a business process in Livelink

Workflow Map has a graphical authoring tool called workflow Painter

Workflow Painter has a predefined set of workflow steps

In Workflow Painter, drag-and-drop steps and connect steps to define a process

To make effective design, a Workflow chart must be developed and each function

should be broken down into steps

Workflow User Types

Workflow steps define work assignment and events in a workflow

Each workflow step is associated with a definite functionality

Livelink users and groups can play different parts in a Workflow such as

Designer, adds Workflow Map to Livelink, defines process and work package

Initiator, initiates a Workflow Map to start a Workflow process

Assignee, is a participant in a process assigned a task to complete

Manager, monitors status of a Workflow or assigns tasks to users or groups

Initiate Workflows

To start a business process in Livelink, initiate a Workflow

When initiated, Livelink creates a working copy of a Workflow Map and executes it

Any work that occurs during execution of business process is stored within a Workflowinstance

User should initiate workflow map to execute a business process at any time

At initiation, Initiator may perform few functions as designed by Workflow Designer such

as specify Due Date for completion, attach file, etc

Once initiated, active workflow appears in My Workflows page of an Initiator

To initiate a workflow, user should have See Contents permission on a Workflow Map

Work Packages

Workflow Work Package is instructions, tasks, files, and other information that are used

in a Workflow

Work Package is composed of following elements Attachments

Attributes

Comments

Roles

Forms

When user initiates a workflow or performs tasks assigned in a workflow, user can View, modify, and add information to Work Package

Depending on workflow design and permissions, user may or may not be able to view,

add, or modify all work package items

Work Packages - Attachments

Attachment is a Livelink item or a file that contains information related to Workflow

As part of completing a step task, user can review, edit, or add a Workflow attachment

StepsAttachments pageprovides access to a workflow instances attachments

Attachments Folder is a special Livelink Folder that stores attachments for a Workflow

instance

Users having required permissions can add Attachments from Livelink orDesktop

When Delegate orSend a Workflow Step for Review to a sub-Workflow, user can specify

to pass workflows attachments to sub-Workflow

Passing an attachment means that attachment is available in Sub and Main Workflows

If attachments are added during workflow steps in sub-Workflow, they are available in

Main workflow as well

Work Packages - Attributes

Workflow attributes enable to store and track information throughout a work process

As part of completing a step task, user can review, edit or enter Workflow attribute values

StepsAttributes page provides access to all attributes and their value in a workflow

If no attributes defined or user does not have permission to view attributes, Steps

Attribute page is not available

All Workflow attributes of a Workflow is defined on Attributes page, and later made

available at different steps in Workflow

User can mark certain attributes as Required

Work Packages - Comments

Enables Workflow Participants to record their thoughts about step task and workflow

As part of completing a step task, user can view orenterWorkflow Comments

Comments appear in chronological order(most recent step is shown as first)

In Previous Comments section, each comment is identified by Step Name, Performer

and Date

Comments can include HTML formatting code and to use special characters such as < or

> symbol, use HTML character codes of each symbol (< or >)

Work Packages Forms & Roles

Forms

Livelink Forms is an optional module that enables user to create electronic documents

Forms can be used to organize, collect data and pass information through Workflow

Forms Work Package is available only when Livelink Forms module is installed

Allows user to specify data in fields on a Form attached to a Step

Roles

Workflow Designer can enable Roles in a Workflow Map Roles enable Workflow Initiator to select userorgroup while initiating a workflow

Provides an option to dynamically assign users to workflow steps instead of assigning

users while designing a workflow
