This guide is intended to provide the steps for implementing Nearby Now for your local
business. Read on if you are ready to sign up and deploy Nearby Now to power your organic
local brand building for your business online.
This guide would not be the right place for you to start if:
1. You’re not already sure you want to sign up for Nearby Now – to learn more, go to
http://nearbynow.co.
2. You’re an agency, web development company, or hosting company that plans to
implement Nearby Now on behalf of clients. To learn more about reseller options, go
to http://nearbynow.co. If you are already a reseller, consult the Nearby Now Getting

3. You plan to implement Nearby Now for multiple locations nationally or regionally. To

3 Storefront Registration & Setup
Basic Storefront Setup
Follow the steps below to create your Storefront Account, signup for your trial and setup
billing information, and invite your initial set of User Accounts.
1. Go to http://www.nearbynow.co/Pricing
2. On Plans and Pricing page, click SELECT PLAN under SEO Pro.
3. On Thank you for choosing the SEO Pro plan dialog, enter your email address and click
REGISTER NOW.
Please note that this email address will become the username for the User Account that will be
Owner of this Storefront Account
4. Open your inbox for the email you entered above.
5. In your email inbox, open the email entitled Welcome to Nearby Now.

6. In the Welcome to Nearby Now email, click Verify and Configure Your Nearby Now
Account.
7. On the Welcome to Nearby Now! page, fill in all of the information and click Complete
registration to finish your Storefront Account registration.
Please note that the password you create in this step will become the password for the User
Account that will be Owner of this Storefront Account. For more about User Accounts, User
Roles, and Storefront Accounts see Onboard Your Employees
You can invite additional users to your storefront account at any time after you have
completed Storefront Setup and Registration.
Google Maps API Key

A Google Maps API Key provides client specific access to the Google Maps API used to serve
the following on a website that has been integrated with Nearby Now:
service area maps with checkin and/or review locations (through the Google Maps
JavaScript API), and
static maps accompanying reviews (using the Google Static Maps API).
Google applies rate limits – caps to the number of requests you may make to the Google Maps
API – for sites that call the API, and every site that is integrated with platform to display
checkins, reviews, and/or service area maps will leverage the Google Maps API automatically.
You should follow these directions to create a Google Maps API Key:

You can apply the Google Maps API Key at one of two levels:
at the individual client storefront level – to do so, insert the Google Maps API Key into
the appropriate place in the Company Profile for your client;
at the agency level – which will serve as a fall-back Google Maps API Key for every one
of your clients that does not have one assigned individually. To apply a Google Maps API
Key at the agency level, please create a key, then send that key to
[email protected] with a request to make that key the fallback key across your
entire agency.
Intelligent Review Routing
Intelligent Review Routing focuses the review process to maximize Google My Business
reviews, Facebook reviews, or a mix of both instead of native Nearby Now reviews.

Facebook: To learn more about how Intelligent Review Routing works for Facebook and

Invite Users

1. Go to http://admin.nearbynow.co/. Enter the Email Address and Password for the
Owner User Account, or any user account that has Admin privileges. Click Login.
Can’t remember your password? Click Forgot your password? to reset your password.
Not sure which User Account is the Owner? Check with whoever created your Nearby Now
Storefront Account – the User Account that created your Storefront Account is automatically the
Owner.
2. Click Team on the left.
Don’t see the menu on the left at all? Click the icon to expand the left menu.
Do you see the left menu but don’t see the Team option? You’re are logged in with a normal
User Account – log out and log back in with the Owner User Account or an Admin User Account.
3. On Team page, click Invite Users.
4. On the Invite one or more users to join the team dialog, enter the email addresses for
any additional User Accounts you would like to add at this time and click Send Invite.
Please note that the email addresses you enter here will receive an email invitation right away –
if you want to hold off on sending invitations you can enter the email address with which you
are logged in only at this stage and you can invite additional users later.

User Registration
Provide, or review, the User Account Registration Walkthrough guide with new users you
invite to provide them all the help they may need in completing registration of their user
accounts, download and installation of the mobile app, and first-time login to the mobile app.
Checkin and Review Request Training
Provide, or review, the Checkin and Review Request Walkthrough guide with new users you
invite to provide them all the help they may need on how to checkin and request reviews
through the mobile apps or the admin portal.
For recommendations on how checkins might be structured, and best practice
recommendations for review requests, provide or review the Review and Checkin Best Practices

4 Activate Site Integration
You can activate your site integration at any time after you have completed Storefront Setup
and Registration.
Integrating Nearby Now with your own web site offers you direct, local, organic search
benefits of every checkin you create, and every review you secure.
If your site is on Joomla or WordPress, you can integrate through our easy-to-use plugins. If
you are on any other content management system, you can integrate through our API.
1.1 WordPress Site Integration
If you’re not familiar with the basics of WordPress site administration, including finding,
installing, and activating plugins, please secure the assistance of your site administrator.
Get Your Nearby Now API Token
1. Go to http://admin.nearbynow.co/. Enter the Email Address and Password for the
Owner User Account, or any user account that has Admin privileges. Click Login.
Can’t remember your password? Click Forgot your password? to reset your password.

Do you see the API tab, but can’t click it? You haven’t upgraded your account to SEO Pro. Please
have the Owner User Account upgrade your Storefront Account to SEO Pro in order to continue
with site integration.
4. Copy all of the text that appears under Your API Token in red, on a light red
background, and hold onto it for the next step
Install the Nearby Now Plugin
1. Login to the WordPress admin dashboard for your web site with a user account that
has WordPress Super Admin or Admin privileges for your site.
The login URL will typically be yourdomain/wp-login.php where yourdomain is the your own
domain including the top level domain, for example: wordpress.org/wp-login.php or
servicepros.nearbynow.co/wp-login.php.

2. Click on Plugins in the left menu.

5. On the Add Plugins page, find Nearby Now Reviews and Audio Testimonials in your
search results and click Install Now
6. On the Installing Plugin page, after plugin installation is complete, click Activate Plugin
7. On the Installing Plugin page, after plugin activation is complete, mouse over Settings
in the left menu then click on Nearby Now

8. On the Nearby Now Settings page, paste your API token (which you copied above in
Get Your Nearby Now API Token) into the box labeled API Token and click Save Settings
9. Success! You have completed installing, activating, and configuring your Nearby Now
plugin on your WordPress site.

Page or Post Setup
After you have installed, activated, and configured the Nearby Now plugin on your WordPress
site, you can add shortcodes to call your Nearby Now content to any page or post.
We recommend adding the shortcode to a page or post for every city in which you have at
least one checkin or review, and even if you have only one. We recommend waiting until you
have at least one checkin before you add the shortcode to a page.
You can add the shortcodes to existing pages or posts, or to existing pages or posts. The
content retrieved by the shortcode will display on your page or post right where you add the
shortcode.
If you’re not familiar with the basics of WordPress site administration, including creating and
editing posts and pages, please secure the assistance of your site administrator.
Add Nearby Now Shortcodes to Your Pages or Posts
1. Add the following shortcode within the body of the post or page on which you would
like your Nearby Now content to appear. Replace STATE with the appropriate state
name, and replace CITY with the appropriate city name. This shortcode configuration
will give you a service area map centered on this city, the most recent checkins from
within this city, and the most recent reviews from within this city.

Please ensure that you add the shortcode in the Text editing view of your page or post, not the
Visual view. In the Text editing view, you will be able to see your HTML tags and other
information exactly as they are written – and this will help ensure that your shortcode does not
get altered by the editor.
Beyond any integration with Nearby Now, please ensure you follow all the SEO best practices
advised by your SEO advisor of choice, for such things as page URL's, title tags, meta page
descriptions, and more. Effective SEO practices are critical to getting the most of using Nearby
Now.

Site Setup through the API
You can integrate your Nearby Now content onto your site provided your site supports some
kind of server side scripting. Examples would include PHP, ASP.NET, and Ruby.
If you’re not sure whether your site supports a server side scripting language, are not sure
what a server side scripting language is, or are not comfortable writing/editing code for the
relevant server side scripting language, please secure the assistance of your site administrator.

5 Monitor
You will get great SEO and reputation benefits from Nearby Now if your team engages in the
platform effectively, and if your SEO and site design practices make them sing.
We also provide a variety of reports that can be setup to be pushed to you and your managers
to keep track of how your team is engaging in Nearby Now, to help you and them to manage
team engagement effectively. See the sections below for step-by-step instructions.
You and your SEO and site development advisors will be the experts on how to design and
build your site, how to optimize the site perfectly, and how to monitor and your SEO
performance. See Monitor SEO Performance below for some high-level recommendations.
You also have a live overview report you can check at any time, by logging in with a user who
has admin access and clicking Reports in the left menu:
1.1 Monitor Storefront Performance Month-Over-Month
The Storefront Performance report provides you with a top level view of team engagement
against weekly performance targets that you define. Color coding provides you an at-a-glance
view of how close they are to meeting your goals for number of checkins, number of review
requests, and number of review conversions both against the targets you set and as a
comparison to the previous month’s results. Red means that your team is more than 25% from

your target. Yellow means they are less than 25% and 10% or more from your target. And
green means you are less than 10% from your target.
You set a weekly checkin target for your team, and we will calculate performance against that
target on a monthly basis. Your review request target will automatically be set at the system
average of 40% of your checkin target, and your review conversion target will automatically be
set at 80% of your review request target. We will test your team’s performance against your
target for an Overall Target performance score, and show performance against the previous
month’s performance for a Overall Variance performance score.

on the schedule you defined, that will provide tallies of your overall storefront
performance against the target you set.
1.2 Monitor Storefront Activity Month-Over-Month
The Storefront Activity report drills a level deeper, providing a detailed view of key activity
metrics for your team.
Checkin data will show you not just the raw counts of checkins, but will also give you insights
into the average number of words per checkin and photo/video inclusion stats.
Review request drill downs also provide detail on the number of bounces and conversions to
help you tune team performance.
And your third-party referral stats will help you understand how many potential reviewers
make the choice to click out to the third-party review sites you choose to include in your
review process.

a time period (we recommend Last Month for monthly monitoring)
5. Click Schedule to setup the pushed report

Delivery Type (we recommend PDF, which will also include a link to the live

1.4 Monitor Team Review Requests Engagement
Use the Team Review Requests report to monitor review performance – requests, response
rate, and more.
To set it up, follow the same directions as in the section above, but choose Team Review
Requests on the Reports page to setup. We recommend naming this report: “Monthly Team
Review Requests Report”).
1.5 Monitor City Activity
Use the City Activity report to monitor your active cities, which tells you which new cities will
need new city pages.
To set it up, follow the same directions as in the section above, but choose City Activity on the

1.1 Coach Staff
Check the scheduled pushed reports you created on a monthly basis. Coach team members
who are underperforming, and recognize your good performers.
In particular, look for the following:
Monthly Team Checkin Report:
Check the quantities of checkins for each team member to ensure your team is posting
as often as you've directed.
Monthly Team Review Leaderboard:
Check the quantities of review requests for each team member to see if they are
requesting reviews as often as you've directed
Check average rating to see if any individuals are averaging significantly lower than their
peers.
Monthly Checkin Quality Report:
Spot check the content of your teams' checkins. Watch, in particular, for repeated
identical checkins, extremely brief checkins (less than a sentence), or irrelevant
checkins.
Maintain Site
Check for new service cities on the pushed Monthly City Activity Report you setup above.
Identify cities that are showing activity in this report, but for which you do not yet have city
pages.
Add the appropriate shortcodes to existing pages and posts, or add new pages and posts, to
reflect newly active cities. Go to Page or Post Setup for more information.
Ensure that your site and each of the pages and posts continues to apply the SEO practices
recommended by your SEO expert advisor of choice.

7 Storefront Account Subscription Changes
Clients are responsible for all billing-related changes for their account including: upgrades,
downgrades, and cancellations.
Preparing to Make a Subscription Plan Change
Overview
Follow these steps to start the process of making any subscription plan paying status change –
including upgrading, downgrading, canceling, and changing billing information.
Process
1. Go to http://admin.nearbynow.co/. Enter the Email Address and Password for the
Owner User Account (the user account you used to create this storefront account).
Click Login.
Can’t remember your password? Click Forgot your password? to reset your password.
Not sure which User Account is the Owner? Check with whomever created your Nearby Now
Storefront Account – the User Account that created your Storefront Account is automatically
the Owner.
2. Double check that you are logged into the storefront account that you wish to
downgrade by going to the menu in the upper right next to your user avatar, and
checking that the correct client storefront account name is listed. If you are not in the
correct client storefront account, or are not sure if you are, please:
Click the menu in the upper right and choose Change Storefront
On the Storefronts page, find the appropriate client storefront account in the list,
or by searching in the box labeled Search My Storefronts, and click the name of
the appropriate storefront account to switch to it.
3. Go to Settings in the left menu.

4. Go to the Company Profile tab, scroll to the bottom of the page to the green Billing
section.
No green Billing section. If you do not see a green Billing section like the
ones shown below, then you are not logged in
with the correct user account. You must login
with the Owner User Account (the user account

Not sure which User Account is the Owner? Check with whomever created your Nearby Now Storefront Account – the User Account that created your Storefront Account is automatically the Owner.
If this section is blank, as shown at the left, then
this storefront account is currently in non-paying

Overview

Process

correct user and ensure you have switched to the relevant storefront account.
2. On the Company Profile tab, scroll to the bottom of the page and click on Change Plan.
3. On the Pricing page, click Choose Plan beneath SEO Master or SEO Pro.
4. On the Change Plan page, enter your credit card information and click Change Plan.

Downgrading Your Account
Overview
Moving a client storefront account from paying status to non-paying status.
Process
1. Follow the steps under Preparing to Make a Subscription Plan Change to login with the
correct user and ensure you have switched to the relevant storefront account.
2. On the Company Profile tab, scroll to the bottom of the page and click on Cancel
Account.
3. On the Deleting Your Account page, enter the email address for the user account with
which you are logged in in the box labeled your email address, then click Delete my
account to complete the cancellation process.
4. Your downgrade is complete – your client storefront account is no longer being billed.
Please note that you can continue to access this downgraded account although the

features associated with paying status will no longer be accessible. You can also choose
to upgrade this account again in the future.

Changing Billing Information
Overview
Changing the credit card on an account that is currently in paying status.
Process
1. Follow the steps under Preparing to Make a Subscription Plan Change to login with the
correct user and ensure you have switched to the relevant storefront account.
2. On the Company Profile tab, scroll to the bottom of the page and click on Update
Billing.
3. On the Change Billing Info page, enter the different credit card information and click
Change Billing Info.
4. You have completed changing your credit card information.

Changing Subscription Plan
Overview
Changing from one membership plan -- for example, SEO Pro--to another--for example, SEO
Master.

8 Key Terms
1.1 Storefront Account
Your Storefront Account represents your business on Nearby Now.
User Account
User Accounts provide individual users with access to the platform through access to
Storefront Accounts.
Simply put, User Accounts represent people on Nearby Now.
User Roles
User Roles determine the privileges for each User Account within each Storefront Account.
The key roles for this guide are:
1. Owner
The user who created a Storefront Account is automatically designated the Owner
- and the Owner automatically also has all Admin role and normal User role rights.
For each Storefront Account, there is one and only one user with the Owner role
and that user is the only user who has the right to see and change billing
information.
Changes to Owner status need to be requested through Support.
2. Admin
Admin user role privileges include: add/remove storefront users, add/remove
admin rights, add/remove Integration Access rights, add/remove Reports Access
rights, change company NAP information, enable/disable storefront integrations
such as Facebook and Twitter, modify other company settings, and access
reporting.
Admin user role privileges in a normal Storefront Account are enabled/disabled by
other Admin users for that Storefront Account in the Team view or the Edit User
view.

3. Normal User (normal Storefront Account):
Normal User role privileges in a normal Storefront Account include: publish
checkins and request reviews through the admin portal, full use of the mobile
application including publishing checkins and requesting reviews, changing their
personal profile information including password and avatar.
Normal User role privileges in a normal Storefront Account are enabled/disabled
by Admin users for that Storefront Account in the Team view or the Edit User
view.
Checkin
Checkins are one of the two core types of content that you, your team, and your clients will
generate through Nearby Now (the other is Reviews). A Checkin is a keyword-rich brief
description of a job, sale, service, or other customer interaction. They can include media
(photos today, and currently in beta, videos) and carry detailed location information to
provide you with local organic benefits for each and every Checkin.
Checkins can be published from the field using our Android and iOS mobile apps, from
anyplace you have access to a web browser using our admin portal, and through our API if you
create an integration.
Reviews/Review Request
Review Requests are sent from the same places that a Checkin can be sent from – our mobile
apps on iOS and Android, or from anyplace you have access to a web browser. Review
Requests send a link to your customer to provide you a Review – and you can choose to send
that review via SMS (by providing the customer’s cell phone number) or via email (by
providing the customer’s email address).
