Who are we and what do we do?

IESC provides the following services to all international (F1)

students once they have been formally admitted to the

university:

1) Ensure that students comply with the laws and regulations of

the U.S. Citizenship and Immigration Services (USCIS);

2) Refer students to the appropriate department for academic

advising in their major field of study;

3) Advise students with personal or academic related problems;

IESC FUNCTIONS (con’t)

In addition to providing immigration advisement services, the IESC also coordinates cultural and social events so that international students can share their national heritage with the campus educational community. A New Student Orientation Program is provided before the semester begins to assist international students in adjusting to the campus environment and American customs.

Maintain a valid passport at all times.

Renew your passport at least six months prior to the expiration date.

Your passport can be renewed within the United States at your country’s consulate office or embassy. (Please contact your country’s consulate office for instructions on how to renew your passport.)

Submit a copy of the passport ID and expiration page to IESC.

Form I-20

An I-20 is the official immigration document that is issued to the student once s/he has been formally admitted to a university.

Student must have an I-20 from the school they wish

to attend for the F1 visa interview.

Student may enter the U.S. up to 30 days prior to the program start date that is printed on ITEM #5 of I-20.

Student must enter the U.S. by the program start date printed on ITEM #5 of the I-20.

Student must have a valid I-20 at all times when studying in the U.S. as an F1 student.

The I-20 expires on the date student complete his/her studies. This cannot be extended once s/he has graduated.

If your I-20 gets lost, stolen or damaged, you must

request a replacement I-20 by filling out the Request for New I-20 form.

F1 Visa

A visa is a stamp or sticker that is placed in your passport at a U.S. consulate or embassy outside the U.S. Students need a valid F1 visa to enter the United States.

You may remain in the U.S. with an

expired visa, as long as you have a valid I-20 and you are otherwise maintaining your F1 status.

If you travel outside the U.S., you must make sure that your F1 visa is valid for your entry or re-entry to the U.S.

F1 Visa Renewal

An expired visa must be renewed at a U.S. consulate/embassy outside of the U.S. prior to re-entry.

Students who plan to travel outside the U.S. and need to renew their F-1 visa must do the following:

Schedule an appointment with the U.S. Embassy/Consulate in

their home country. Check with the U.S. Embassy in home country for list of required

documents and processing times. Request IESC for a travel signature on page 3 of their most

current Form I-20. Students are responsible for paying all required fees associated

with the F1 visa renewal procedure.

Form I-94

Arrival/Departure Record

A white I-94 card, also known as the Arrival/Departure card, is given to you when you enter the U.S.

The immigration officer at the port of entry must stamp this card with the date of arrival and a stamp indicating D/S which means “Duration of Status.” • It covers the period of time for the completion of your

course of study plus any periods of authorized practical training, plus 60 days for your preparation to depart the United States.

Student must surrender this card whenever s/he departs

the U.S.

Automated Form I-94

Arrival/Departure Record

• Effective April 30, 2013, for travel via air and sea, the U.S. Customs and Border

Patrol (CBP) will no longer issue paper versions of the Form I-94 upon your entry to

the U.S. Instead, the Port of Entry Officer will place an admission stamp in your

passport marked with the visa status (F1, J1, etc.) and the letters “D/S” to indicate you

have properly entered the U.S. Your arrival and departure information will be recorded

electronically in the CBP’s database. If you are traveling by land, you will be issued a

paper Form I-94.

• International students may access their electronic Form I-94 at www.cbp/gov/I94

within approximately 24 hours of their arrival to the U.S. All students should keep a

printed Form I-94 with their passport in case they apply for future benefits such as

work authorizations, social security numbers, or driver’s licenses.

Entry to the U.S.

Students must have the following documents at the Port of Entry in order to enter the U.S.

• Original CSUN I-20 (copies are not accepted) • Valid passport • Valid F1 visa stamp

IMPORTANT: You must enter the U.S. by August 19, 2013. Please plan your trip accordingly.

MANDATORY HEALTH INSURANCE

Medical attention is quite costly in the U.S. To prevent major medical

expenses, CSUN requires all international students to have health insurance

coverage while studying at CSUN.

All international students will have a "Foreign" registration hold at the

beginning of every registration appointment as a reminder to submit proof of

health insurance to IESC for review.

ALTERNATE HEALTH INSURANCE

Government Sponsored Students

Students who are financially sponsored by the home country’s government must

email a copy of their Financial Guarantee Letter as their proof of health

insurance to [email protected]. Please include your first name, last name,

and CSUN ID number in the subject line of the email.

Alternate Student Health Insurance

If you prefer to purchase an alternate health insurance policy, please ensure that

it meets CSUN’s minimum health insurance policy requirements--see next slide

for these requirements. You must email your proof of insurance to

[email protected] for review. Please include your first name, last name, and

CSUN ID number in the subject line of the email.

MINIMUM HEALTH

INSURANCE REQUIREMENTS

Your health insurance company must provide you with proof of insurance. The document must include ALL of the following information; otherwise, it will be denied. Health insurance cards are not accepted as proof of insurance.

Student’s first and last name must be clearly stated on the proof of coverage;

Students should be covered for the entire academic year or at the very least, the entire semester. The effective coverage start and end dates (mm/dd/year) must be clearly indicated on the proof of coverage;

Students are required to show minimum coverage of at least $100,000 for medical benefits;

In addition to the medical benefit, students must show at least $30,000 for emergency evacuation and repatriation benefits;

The deductible must not exceed $500;

Policies purchased in countries other than the United States must be officially translated in English;

All relevant amounts must be shown in U.S. dollars.

Please note: Policies that require students to pay for medical services first and then apply for a reimbursement will not be accepted.

Health Immunization Record

Required Immunizations: All students must show proof of health immunization for the following: Measles, Mumps, Rubella and Rubeola Hepatitis B (for students who are under 19 years)

Please submit your proof of immunization to the Klotz Student Health Center (SHC) as soon as possible. NOTE: Students will be unable to register for classes for their second semester at CSUN until each immunization requirement is met. Login to the web portal to check the status of the immunization hold in the middle of your first semester at CSUN. Contact the SHC for more information on services, costs and availability.

WHAT IS SEVIS?

Student and Exchange Visitor Information System

SEVIS is an online database that allows United States Citizenship and Immigration Services (USCIS) and the Department of Homeland Security (DHS) to track all international students. IESC communicates with immigration through SEVIS.

MAINTAINING YOUR F-1 STATUS

To maintain your student status, you must comply with immigration regulations and university policies by:

Registering in a full course of study;

Meeting deadlines;

Obtaining permission from IESC for certain situations.

Always consult with a FSA about the implications on your immigration status.

REGISTRATION APPOINTMENTS

Each academic term has three registration periods:

• Registration-by-Appointment Period – By appointment only, eligible students may access

SOLAR to add, drop or swap classes; change the grading basis of a class; and confirm their

schedule. Registration in repeated courses is not permitted at this time.

• Nonrestrictive Registration Period – Students may access SOLAR to add, drop and swap

classes; change the grading basis of a class; and review or confirm schedule. No appointment

is necessary. Registration in repeated courses is permitted beginning with the date published at

Repeat Policy.

• Late Registration/Schedule Adjustment Period – Late Registration and Schedule

Adjustment begins with the first weekday of classes. You may add and swap classes online

with permission numbers only, drop classes and change the basis of grading. Registration in

repeated courses is permitted with a permission number. To learn more, see Add and Drop

Required Exams

ELM/EPT Exams

The CSU requires all students to take the English Placement Test (EPT) and the Entry Level Mathematics Test (ELM) after admission and prior to enrollment in classes at CSUN. Please click here for additional information on the ELM/EPT exams.

The Upper Division Writing Proficiency Exam (UDWPE)

The UDWPE is a graduation requirement for ALL students.

Undergraduate students- university policy requires that you take the UDWPE no later than the semester in which you complete 75 units. If you do not take the exam by this deadline, you will have a hold placed on future registration for classes.

Graduate students- usually required to pass the UDWPE in order to achieve “Classified” status.

Concurrent Enrollment Definition: Taking a class(es) at another school in the U.S. while enrolled for classes at CSUN for fall and/or spring semesters. SEVIS record (I-20) remains at CSUN. Students may take classes concurrently at another school provided: They are enrolled in a minimum of 6 units (undergraduate) or 4 units

(graduate) at CSUN; The combined units will add up to a full-time course load each semester; They submit a completed Concurrent Enrollment Request form; Students submit proof of enrollment from the school where concurrent

enrollment is permitted within ONE WEEK of receiving the concurrent enrollment letter.

Students are responsible for: clarifying transfer requirements with academic departments; making sure that the classes they take at other institutions do not exceed the

permitted number of transferrable units to CSUN; getting permission from financial sponsor—if sponsored by home country’s

government/embassy. Please note: Summer and winter intersessions are considered optional sessions; therefore, continuing students may be permitted to take classes concurrently during winter and summer sessions and are not required to be enrolled at CSUN.

Online Courses

F1 students are permitted to enroll in one online class (equivalent to 3 units) per semester to count towards their full-time requirement. Please register for classes accordingly.

For example:

An undergraduate student can enroll in 9 units of in-class courses, and 3 units of an online course and still maintain his full-time status.

Note: If you have only one class left to graduate, this class must be an in-class traditional course to be in compliance with legal guidelines governing your F-1 status.

EXCEPTIONS TO THE FULL-TIME REQUIREMENT

All F1 students are required to be enrolled in full-time units. Only under special extenuating circumstances that fall within USCIS regulations and result in the inability to maintain full-time enrollment this semester, students may submit a completed Part-Time Request Form and supporting documents (if applicable) to IESC by the posted deadline for review. Failure to submit requests by this deadline will affect student’s immigration status. Please click here for information about the exceptions to the full-time enrollment requirement and then meet with your Foreign Student Advisor at the IESC. Important note: Dropping below full-time status without PRIOR authorization from IESC is a violation of your F1 status, which will jeopardize your legal immigration status.

Leave of Absence

Under certain circumstances, students can request a semester off during their program. This is called a Leave of absence. Students must meet with a FSA to discuss their situation and options. They are required to submit a completed Request for Leave of Absence form along with supporting documents. A student can request up to 2 semesters of a leave of absence; however, a leave of absence will be approved for one semester at a time.

Students who need to request a leave of absence for personal reasons may not remain in the U.S. in F-1 status. The I-20 for a student who will remain outside the U.S. will be terminated. A new I-20 may be issued for the semester in which the student will resume studies. Students who do not resume studies after two semesters will need to reapply to the university.

Medical Leave of Absence

Students approved for a complete medical leave of absence may return to their home country or remain in the U.S. based on the written recommendation of a qualified medical practitioner. They may request part-time status or a complete leave of absence based on medical reasons for no more than a total of 12 months during their academic program. Students who do not resume studies after two semesters will need to reapply to the university.

Personal Contact

Information

New students must update their U.S. address, telephone number and

emergency contact by updating the Student Portal. Once you update your

address, IESC will receive an automatic notification of the address

update, and we will report the changes in SEVIS. You have 10 days to

report any changes to your personal information through the CSUN

Student Portal.

Important: IESC cannot activate your SEVIS record if we do not have a

U.S. address for you. Please make sure you update your U.S. address

upon your arrival to the U.S.

Reporting Changes to IESC

Extension of Stay (please click)

If you are unable to complete your program of study by the expiration date noted in item #5 on your I-20 form you must apply for a program extension at least 60 days prior to that expiration date. Please fill out the “Extension of Stay” form.

Change of Major (please click)

You must report any change of your major and degree level to the IESC no later than 10 days after the change has been made by Admissions and Records and is visible on your web portal. IESC is required to report these changes in SEVIS. Please fill out the “Request for New I-20” form.

Transfer of SEVIS Record to new school

Students who wish to attend another school in the U.S. must submit a Transfer Release Form and a copy of the new school’s admission letter to IESC for review. Deadlines: New students who intend to transfer out to another school must request and

process their transfer no later than the first day of classes.

New students who entered the U.S. on an “Initial” CSUN I-20 and want to transfer to another school must request their SEVIS record to be transferred out no later than 30 days after their arrival into the US.

Continuing students must request their SEVIS record to be transferred out no later than the add/drop deadline of the following semester (at CSUN) in which they wish to transfer out OR no sooner than the last day of their final semester.

Traveling Outside the U.S.

To re-enter the U.S. as an F1 student, you must have the following: • a valid passport (must be valid at least 6 months into the future); • valid F1 visa; • valid CSUN I-20; and • A valid travel signature—see below.

Travel Signature Students should request a travel signature on their CSUN I-20 from the IESC

before they leave the U.S. Travel signatures are granted to students who are eligible to continue in their

program upon their return to the U.S. Each travel signature is valid for one year provided the student continues to

maintain legal immigration status. Students who need to travel during the semester will need to notify all of their

professors to inform them of their absences. Students are responsible for making arrangements with their professors for any missed assignments/exams.

EMPLOYMENT

OPTIONS

WORKING IN THE U.S.--LEGALLY

On-Campus Employment

On-campus employment is a benefit of an F-1 student. Employment is not guaranteed. International students are permitted to work on-campus:

• Part-Time (up to 20 hours per week) for spring and fall semesters • Full- Time (20+ hours per week) during summer and winter breaks

The Verification of International Student Status form must be endorsed by the IESC and submitted to the Office of Human Resources on campus.

You may start working AFTER employment authorization documents have

been submitted to HR.

Social Security Number: Students need to apply for a Social Security Number in order to get paid from their employer. If you need a Social Security Number, you must apply for one at a Social Security Administration Office.

Off-campus Employment F-1 students are non-immigrants; therefore, they are not eligible for Financial Aid. Sometimes students may experience severe financial hardship caused by unforeseen circumstances beyond their control. For example, the financial sponsor may become seriously ill, retire from employment, a natural disaster may impact the student's home country, etc. Eligible F-1 students may request a recommendation for Off-Campus employment authorization from the International and Exchange Student Center (IESC). Students must submit an official application to USCIS for work

authorization. If approved, international students are permitted to work off-campus:

• 20 hours per week or less when school is in session. • 40 hours per week during summer and winter breaks.

You may start working AFTER you receive your employment authorization document.

PRACTICAL TRAINING

Practical Training for F-1 students is intended to provide hands-on

practical work experience that is complementary to their academic

program. There are 2 types of practical training:

• CURRICULAR PRACTICAL TRAINING (CPT)

• OPTIONAL PRACTICAL TRAINING (OPT)

Third Party Consent

IESC respects your privacy and will not share your personal, academic or

immigration information to anyone without prior written consent from you.

If you are unable to get in contact with an FSA or pick up documents from

IESC, you may authorize friends or family members (third party) to act on

your behalf. You must give permission in writing to IESC by completing

the Third Party Consent Form.

All new CSUN students must purchase a Photo ID card.

To obtain your Photo ID, you must bring $5.00 and additional identification

(e.g. valid California Driver's License, a DMV ID card, or a passport) to

University Cash Services in Bayramian Hall.

Your student ID card is required:

• for all transactions at CSUN

• to obtain campus services from the Library

• for the Student Health Center

• for the University Student Union

• to Vote in Associated Student elections

• to obtain tickets from the Associated Student Ticket Office at reduced rates

and to attend CSUN athletic events and selected other campus programs

free of charge.

the west side of the campus, just north of University Hall. The Transit

center offers a convenient on-campus location to be dropped off or

picked-up on weekdays (no weekend service).

Bicycle Theft Prevention

Do:

• Register your bicycle with CSUN's Bicycle Registration

Program.

• Use a quality, hardened "U" type lock, securing the main

(largest) portion of the frame and the front tire.

• Secure your bicycle to a bicycle rack. (University regulations do

not allow bicycles in campus buildings or securing your bicycle

to trees, sign posts, hand railings, etc.)

• Record the make, model, and serial number of your bicycle and

keep it in a safe place.

Don't:

• Leave your unlocked bicycle unattended "just for a minute". Use

a cable or chain lock, no matter how large as they are easily

defeated with bolt cutters.

Incidents of computer theft, particularly laptops, are frequent on college campuses nationwide. (S.T.O.P.- Security Tracking of Office Property) for computer equipment and other electronic valuables such as cameras, PDA's (personal desktop assistants), projectors, iPods, etc.

THE FACTS:

• 97% of them are never recovered, according to the FBI.

• Data stored on the devices-financial data, personal documents, student records, etc - is critical.

• The equipment itself - notebooks, Blackberry's, PDA's, iPods, cell phones-are expensive.

The S.T.O.P. (Security Tracking of Office Property) program incorporates a security plate and warning label which are applied to the equipment being protected. This highly visible warning label and security plate (registered with S.T.O.P headquarters) warns would-be thieves by clearly marking the property ("Warning Police Identifiable") - making it difficult to resell the item.

If the security plate is tampered with, a chemically bonded "tattoo" stating "Stolen Property, Call 800-488-STOP" will be left behind on the surface of the property underneath the S.T.O.P security plate.
