Nomination of Examiners

Examiners are members of teaching staff from various schools, whose job is to evaluate the answer

scripts of the candidates. Each affiliated school is required to nominate at least one examiner for each

subject that is taught in the school. It is the Principal of a school that nominates the examiners from

that school. The nominated examiner must be a subject matter expert in the subject for which he /

she is nominated as an examiner. A person who is nominated as an examiner for ICSE examination

cannot be nominated as an examiner for ISC examination taking place during the same academic year.

An examiner is given a designation based on the years of experience as examiners. The different

designation are

1. CE / COCE - Chief Examiner / Co Chief Examiner

2. EC - Examination Coordinator

3. TL - Team Leader

4. AE - Assistant Examiner

A team of examiners is constituted using the available examiners in a city/centre. If a centre has more

than one Assistant Examiner, one will assume the role of a Team Lead. Similarly, if a centre has more

than one Team Lead, one will assume the role of an Examination Coordinator, and likewise to the top

of the hierarchy. The positions will be based on their experience as evaluating examiners. This

document describes the procedure to be followed for nominating examiners.

Login

Login to the CAREERS System with your Username and Password. This will open the CAREERS Home

page (Fig. 1).

In the CAREERS Home page, click on the Examination System tile. This opens the logged in user's

landing page (Fig. 2).

In the user’s landing page, click on the Examiner Nomination sub-menu under ICSE / ISC. This opens

an instructions page (Fig. 3) which provides a set of instructions to be kept in mind while nominating

examiners.

To the bottom right of the Instructions screen, there is a Proceed button. After going through the

instructions, click on the Proceed button. This will open the Examiner Nomination screen. A pop-up

window in the middle will list the subjects for which the user’s school is presenting candidates, and

for which examiners must be nominated (Fig. 4).

The screen behind the pop-up window shows statistical details regarding Examiner Nominations in

the left margin. The names of the examiners will be shown in a grid, along with the date of nomination,

subject specialization, and city of preference.

To the top left of the grid, there are two tabs: Nomination Request(s), and Withdrawal Request(s). By

default, the Nomination Request(s) screen will be open. Both these screens will be empty for new

schools that have not nominated examiners previously.

To the top right of the screen there are two buttons: Re-nominate Prior Year Examiners, and Add from

School Staff.

Re-nominate Prior Year Examiners

To re-nominate prior year examiners, carry out the following steps:

1. Click on the Re-nominate Prior Year Examiners button. This opens a window showing the prior

year examiners in a grid (Fig. 5). Details shown will include Examiner Code, Name, Designation,

Experience, Qualification, and Subject Paper expertise.

2. Check the checkboxes against the examiners who are to be re-nominated.

3. Click on the Add to List button at the top right corner of the screen. This will take you back to the

Examiner Nominations screen, where the names of the examiners who have been re-nominated

will also be displayed.

Nominating Examiners from School Staff

Apart from re-nominating prior year examiners, a school can nominate staff members who have not

previously been nominated. This can be from the list of teaching staff that has already been saved in

the CAREERS System, as well as from among new teaching staff whose names have not been entered

into the system. To nominate examiners from the school staff, carry out the following steps:

1. Click on the Add from School Staff button at the top right of the Examiner Nomination(s) screen.

This opens the Staff List screen (Fig. 6). The list contains only details of staff members already

saved in the system. Against the name of each staff member, there is a checkbox.

2. To nominate any of these staff members as an examiner, check the checkbox against the staff

member’s name and click on the Add to List button to the top right of the screen. This will take

you back to the Examiner Nomination(s) screen, which will be updated with the names of the

nominees who have been added.

To nominate new teaching staff whose names have not been entered into the system, carry out the

following steps:

1. Click on the Add New button to the top right of the Staff List screen. This opens the Examiner

Nomination Form (Fig. 7). This is a very detailed form with sections to indicate the Examiner

Designation, Appointment Year, Personal Details, Contact Details, Address Details, Bank Details,

Preferred City, and Subject. A text box is provided for adding comments if any.

At the bottom of the screen, there are two checkboxes. The checkbox on the left is for the head

of the institution to certify that he / she is nominating the staff member as an examiner for the

specified subject for the upcoming ICSE (ISC) examination, and that the staff member will not be

nominated as an examiner for the upcoming ISC (ICSE) examination.

The checkbox to the left is for the nominee to declare that he / she does not have a relative or

dependent who is appearing for the upcoming examination for which he / she has been

nominated as an examiner.

There are also two buttons to the bottom right of the screen: Save as Draft and Submit. Clicking

the Save as Draft button will save the details entered and open a new Examiner Nomination Form

for you to enter the details of a new nominee, but the saved form will not be submitted to the

Council. Clicking the Submit button will save the details entered, and submit the completed form

to the Council.

2. Enter the details asked for. Fields marked with a red asterisk are mandatory fields.

3. Clicking the down arrow at the end of the Select Designation field will open a dropdown with a list

of designations. Select the appropriate designation from the list.

4. Clicking the down arrow against the Name field will open a dropdown with a list of titles. Select

the appropriate title from the list.

5. Clicking the down arrow against the Qualification field will open a dropdown with a list of

qualifications. Select the highest qualification obtained by the nominee.

6. Upload a scanned copy of a cancelled Bank Cheque of the nominee.

7. Clicking the down arrow against the Preferred City of Marking field, will open a dropdown with a

list of cities. Select the appropriate city from the list and if the preferred city is not available in the

list, the user can select others from the list and type the name of the city in the popped up textbox.

8. Clicking the down arrow against the Subject field will open a dropdown with a list of subjects.

Select the subject that the nominee is to evaluate from the list of subjects.

9. Enter comments if any in the text box provided.

10. Check the checkboxes at the bottom of the screen.

11. Click on the Save as Draft or Submit button as appropriate.

Linking Examiner

It could so happen that a staff member who was nominated newly from a school may previously have

been nominated from some other school. If the system finds that the name of a newly entered

nominee is same as a name already existing in the system, and the Aadhar Number and/or PAN

Number also match, it is obvious that the person had been nominated previously as an examiner. It

could also happen that the name is the same, but the Aadhar Number and/or PAN Number do not

match. In both these cases, a pop-up window will open enquiring whether the newly entered details

should be merged with the data already in the system (Fig. 8). The pop-up window will have three

buttons: Link, Skip and Continue and Close. If the name as well as the Aadhar Number and/or PAN

Number are the same, click on the Link Examiner button. If you are confident that it is a different

person, click on the Skip & Continue button.

Withdrawing an Examiner

Examiners nominated by schools need to be approved by the Council. An approved examiner may

want to withdraw for some valid reason. The Council’s approval is required for such withdrawal. To

withdraw an approved examiner, carry out the following steps:

1. In the Examiner Nomination(s) screen, click on the Withdraw button against the approved

examiner that you want to withdraw (Fig. 9).

2. This opens the Examiner Nomination Withdrawal screen (Fig. 10). Enter the reason for the

withdrawal request in the Comment text box.

3. Use the Browse button to locate and upload supporting document from your system.

4. Click on the Request Withdrawal button to the top right of the screen.

5. The request will now be submitted to the Council, and the examiner will become visible under the

Withdrawal Request(s) tab (Fig. 11).

6. On final approval from the Council, the nominee will be removed from the list of prospective

examiners.
