Manual for New VC Booking System
1. New VC Booking Process
ü Browse https://reserve.nic.in/v2.
ü Click icon “Book VC” for Booking Video Conference.
ü User will get the pre-filled information like email id, mobile number, name, designation and etc.
ü User can select only those studios as Host Studio which belongs to his Ministry/Department.

ü In the participant studio, User can select any NIC studio but he can’t select all Departmental Studios. ü Only those will be available for which got permission any other groups studios. ü For Destination Studios user can select any one from Studios/ Web Room/External Sites or they can
select all as per their requirements. For Web Room
ü Web room -> Search Web Room participants if already exist and click Add OR select from existing Web Room participants-> Check the selected web room participants
ü Web room-> Add New Web Room participants: If participants are not present in the existing List, Add the web room participants.

For External Sites ü Search External Sites if already exist with IP or studio name and click Add OR ü Select from All External Site -> Check the selected External Sites
ü Add New External site if external site is not present in the existing list, Check the selected External Sites

ü After that fill the purpose of VC, recording of the VC [Yes /No] and presentations [Yes / No]. ü In you are select External studios, but that VC will confirmed by administrator.
ü After filling the entire details click “Continue” then summary page will be open please verify the details
before you “Continue”
ü User can provide one liaison officer’s details [Name, Email and Mobile] of participating users of each
selected studio and click “Continue”

ü Your video conferencing will be booked successful and VC ID will be created. ü Once VC is booked every participant will get an email of scheduled VC.
ü State or Bhawan VC Coordinator can add or modify for the booked VC.
2. Add or Modify Booked VC
ü Click “Update VC” for add modify the booked VC session.

ü User can add or edit their VC session by clicking on drop down menu. ü Edit the desired field which user want to update as per requirement and verify before continue.
ü After updating the required field an updated summary page will be appear and click “Continue”.

ü Your VC has been modified and shows the message for updated VC.
3. Add/Edit Booking Participants ü User can add/edit the booking participants by clicking drop down menu and click the “Edit Booking
Participants”

ü Click Edit Booking Participants icon and Add/ Edit the Participants Details (Email, Name and Mobile No.)
ü Click the icon “Add” and your VC ID has been modified.
4. Cancel VC
ü Click on VC session to “Update VC”

ü User can cancel their VC session by clicking on drop down menu and click the “Cancel” icon.
ü Click Cancel button, give the remarks of the Cancellation VC and click the “OK”. Your VC has been
cancelled.
