The purpose of this Set-Up Guide is to get you through the above steps as quickly as possible. The average set-up

takes about 5 minutes.

This Set Up Guide may appear quite long, but its length is due to the insertion of screenshots highlighting required

actions for described steps – no matter how small or simple – in an attempt to more clearly guide the end user.

1. Create a Match My Email Account

1.1. Go to the Match My Email web site

Point your browser to https://matchmyemail.com, or go to the MME website www.matchmyemail.com shown in the screenshot below and click the button for Login. All major browsers are supported.

1.2. Next to “Don’t Have an Account” click ‘Sign up’.

1.3. Fill in the ‘Sign Up’ Form. Click Submit.

Once you enter your email address, it will automatically fill in as your Username in MME . Please enter

an email address to which you have access. Type a password that is medium to strong (a combination of

lower and upper case text with numbers and characters helps the strength). After reading the Master

Subscription Agreement, check the box.

1.4. Verify Account using emailed Code

For security purposes, you will need to verify your account by entering a verification code. At this time,

check your email account for a MME message in your Inbox. It might go to Junk or Spam folder.

1.5. You may click the link in the email, which will open a new browser tab, or copy the code and paste into the tab where you were working in MME.

1.6. Click Submit

Your account has been set up with you as the Cloud Admin. Any Alerts that show simply indicate you

need to proceed with additional steps of set up.

2. Set Up Salesforce Automatic Authentication

These steps make use of browser popups, so please make sure popups are allowed in your browser for site

2.1. While still in a browser tab pointed to Match My Email’s secure site (https://matchmyemail.com), in the black MME Menu Ribbon, click Settings and choose Salesforce Integration.

2.2. Click New.

2.3. Fill in the fields as follows:

Confirm box for Enabled is checked

For Applies to: field, use the drop down menu to choose your MME username, not your domain.

For Access Type: choose Remote Access OAuth

Click Grant button

2.4. For Organization type, choose Production. (Sandbox is an option for Enterprise and Unlimited editions when MME is installed in a company’s Sandbox.) Click Next.

If red text appears about pop up windows, you need to adjust your browser setting to allow pop-ups, or at

least allow a pop up from https://matchmyemail.com.

2.5. You will be bounced to Salesforce where you login to your Salesforce account. This is the account into which email will be integrated. After logging in, click Allow.

2.6. The newly saved information will be listed in light grey text. Check the box for Override domain rules. Once checked, you will be able to view and modify Matching rules, as well as Upload rules. Click the “+” sign to expand Matching Rules options.

2.7. For Matching Rules, we recommend you uncheck Match Users, Match Opportunities**, and, if you do not use Cases, Match Cases. You can also disable matching to any other objects you do not use. If you are using the Contact Manager edition of Salesforce, ONLY have Match Contacts checked. Click the “+” sign to expand Upload Rules options.

**We recommend manual matching to Opportunities when using SingleMatch due to the way our system

works through trying to make a match with a specific order of Salesforce objects. For more details visit

2.8. Under Upload Rules, you may want to make use of options for uploading attachments. MME stores attachments in your Salesforce organization’s file storage. While more plentiful, you may want to manage what is stored there.

If you uncheck the Upload Attachments box, then NO attachments and ONLY email will be uploaded into Salesforce on match.

If you check the Upload Attachments box, but set it for 0 MB, actual attachments will not be uploaded but LINKS WILL be uploaded with email on match, and you will be able to click a link to view the attachment in the MME cloud for 45 days, after which email will be purged from cloud.

If you check the Upload Attachment box, you can set the size in MB that can be uploaded. Attachments larger than limit will not upload to Salesforce, but as long as attachments aren’t larger than 30MB you will be able to view attachment for 45 days in MME cloud.

Then click SAVE.

3. Add Domain Ignore Rule

It is VERY IMPORTANT to add an ignore rule for an email domain. This is a protective measure against

unnecessary or unwanted matching of internal email into Salesforce.com records that might contain employee

email addresses.

3.1. Click Ignore in black menu ribbon.

There may be only a Personal tab, or both Personal and Domain. If only the Personal tab is present,

perform the following steps there. If the Domain tab is present, perform the steps on the Domain tab in

order to have the rule applied to all Users in the email domain. Reach out to

[email protected] for assistance.

3.2. Click the Add button.

3.3. Fill in the fields per guidelines below:.

For Address to Ignore: type email domain which is everything after the @ symbol. In the example

[email protected], the domain field should contain “acmecompany.com”.

For Ignore Type: choose ‘just address’. This is VERY important for this particular rule.

For Direction of Address: click the button by ‘any’

User to Apply to: this option only shows when adding to Domain tab and should be showing email

domain already.

3.4. Click Save.

4. Set Up Email Importing

Once your Match My Email account is verified and Salesforce.com credentials are set up, the next step is setting

up Imports for emails. To do so, you will be entering your email address and email password. If at a future date

the email password is changed, it is necessary to return to the Import page and update it.

Skip to 4.2 unless you use Google Mail (Gmail). Gmail users can start at Section 4.1 to set up Google Mail

Integration using Google OAuth. The advantage is that future changes to email passwords are automatically

authenticated, eliminating the need to update this information in MME. Google authentication also allows for

one click login into MME with the Google button. This is offered as a convenience to Gmail users but is not

required, and Gmail users can skip to 4.2.

4.1. Gmail Users Only – Set up Google Mail Integration

4.1.1. In the Black MME Menu Ribbon, click Settings>Google Mail Integration

4.1.2. For ‘Account status’ field, choose “Enabled” from the drop down menu and click Grant button. This will jump to Google.

4.1.3. At Google screen, if not already logged in to Google you may be prompted to do so. Click Allow Access button.

4.1.4. Back at MME screen, click Save.

4.2. All users need to set up email importing. Click ‘Import’ in black Menu Ribbon or click ‘Please Provide Information’.

4.3. To Import from a new Email Account click ‘+New’

4.4. In Import settings screen, in fields for Import based on guidelines below:

4.4.1. Gmail Users:

4.5. Once import details are entered, click “Refresh Folders” and the folder structure of your IMAP account will appear in ‘Available Folders’ box (red arrow).

4.6. For Import Folders field, choose “Selected” from drop down.

Most users select “Inbox” and “Sent Items” for synchronization with Salesforce. There may be more than

one outgoing folder, such as “Sent Messages” or “Sent”. NOTE: Account imports limited to 18 folders per

account in basic subscription. DO NOT select an option for All Mail, or Junk, Spam, Draft, etc. These

additional selections will slow down processing of relevant emails. For more details on folder selection,

4.7. Click the top arrow button, the “<” button, to move your selected folders to the Selected Folders window on the left.

4.7.1. Status should be set for “Autorun my import by schedule”. If not, please choose this option.

4.7.2. Click Save.

5. Optional: Adding a Match My Email Web Tab in Salesforce.com

5.1. Click on your name (user menu drop down) and choose Setup

5.2. Under App setup click Create, then click Tabs. Next to Web Tabs click New.

5.3. Choose Tab Layout for Two Column Layout. Click Next.

5.4. Define Content and Display Properties by filling in fields as follows and in screenshot below:

Tab Label: type in “Match My Email”

Tab Name will auto fill with Tab Label

Tab Style: click box and then select one

Leave Content Frame Height as “600”

Click Next

5.5. In box ‘Button or Link URL’, fill in https://matchmyemail.com. Note this is a secure site and thus has “https” as opposed to “http”. Then click Next.

5.6. On the next screen ‘Add to Custom Apps’, leave all boxes checked and click Save.

5.7. You will now see the Web Tab in the list as well as in the top menu ribbon.

As the Cloud Admin, you have all privileges within Match My Email. You will be able to set up

Domains, Domain-wide Ignore Rules, and add Users to each domain. For detailed information on
