While you are planning for your participation at this event, we are pleased to send you the attached information which will be of some help to you. The build-up and move-in of the exhibition starts on 23 June 2018 (Saturday). EXHIBITS MOVE-IN

Site Installation for Heavy And/Or Large Exhibits Heavy/Large exhibits are those exceeding 2 tons or 3.5m (L) x 1.5m (W) x 1.5m (H) in weight and dimensions respectively. The move-in/build-up schedule for such exhibits is on page 2. For safety reasons and to avoid congestion in the exhibition ground, only the official freight forwarders are allowed to operate mechanical handling equipment (e.g. pallet-trucks, fork-lifts, cranes) inside the exhibition halls. Exhibitors may use their own hand-push trolleys within the exhibition halls. Please contact any of the following for assistance/quotation:

IMPORTANT:

Please remember to appoint one of the official freight forwarders above for on-site handling of heavy and/or large exhibits. Such exhibits must arrive in good time for port clearance and reach the exhibition site on the first day of the build-up period. When stand structures are erected, it may not be possible to move-in/install such exhibits that arrives late. Exhibitor is requested to be on-site early to supervise the positioning and installation of exhibits. A layout plan showing the position of your exhibits should also be attached with Form 19 in the Technical Services Manual, as well as your shipping document to the appointed freight forwarder.

Please refer to Exhibition Rules and Regulations, item 9 in the Technical Services Manual for floor loading specification.

All cargoes consigned to the exhibition site should be properly labelled and marked to include the following: (Exhibitor’s Name) c/o BroadcastAsia2018 (Stand Number), (Exhibition Hall Number) Suntec Singapore Clearing agent/forwarder (if any) The packing list should include the words "Goods are for BroadcastAsia2018 at Suntec Singapore.”

Cargoes MUST NOT be consigned to the Organiser or the exhibitors themselves. It will risk incurring more charges and not having the cargoes cleared in time for the exhibition. Where possible, please name the clearing agent/forwarder as the consignee.

Hand-Carried Goods You may start bringing in your hand-carried goods as of 25 June from 9am onwards. However, you are advised to first check if your stand is ready to receive such exhibits and to take into consideration the risk of leaving valuables, small/light exhibits at your stand too early.

VERY IMPORTANT

Please arrange for your cargo to arrive well in advance to allow your site installation contractors/freight forwarders ample time to clear the cargo from the port before 12 June 2018. These cargoes should NOT arrive at the exhibition hall earlier than 23 June 2018.

If your cargo arrived on site unattended, the Organiser reserves the right to appoint an official freight forwarder on behalf of the exhibitor. All charges incurred, including late surcharges, will be borne by the exhibitor. Please ensure that proper arrangement has been made beforehand with your consignee to receive/handle your cargo at the exhibition site.

Exhibits which require mechanical handling or on trolley will not be allowed in or out of the exhibition halls during show visiting hours. Please plan your exhibits movement carefully.

No storage is available on-site. Please make direct arrangement with any of the official freight forwarders. Local exhibitors may alternatively choose to transport their empty cases or cartons back to their own premises.

The Organiser reserves the right to remove/dispose of any carton, cases and/or packing materials left in the exhibition hall. All cost incurred will be borne by the exhibitor.

STAND BUILDING

Schedule For Exhibitors Using Organiser's Stand Package Exhibitors with any of the Organiser's Stand Package may commence interior stand dressing from 24 June 2018 (Sunday). Note: Exhibits/equipment that require mechanical handling should arrive before this date. Please refer to the Move-in/Build-up Schedule on Page 4 for the schedule on exhibits move-in.

Submits the booth Design viewed from different perspectives (with dimensions included),

Signs the Letter of Undertaking,

Submits the Risk Assessment (RA) and Safe Work Procedures (SWPs), conducted by a competent person who has attended a Risk Management course conducted by a MOM Approved Training Provider or equivalent, and

Lodges a refundable deposit with the Organiser – the amount of which is S$20 per square metre based on contracted space, subject to a minimum of S$500 per stand (for stand area less than 25sqm). This is to ensure that the rules and regulations are closely observed and to cover any damages arising directly or indirectly from any infringement. This is without any prejudice to any claims the Organiser may have on the contractor if the damages exceed the deposit.

Regulations Pertaining To Stand Design & Construction Exhibitors intending to appoint an independent stand building contractor, other than the official stand building contractor (appointed by the Organiser) must return Form 12 (Stand Arranged by Exhibitor) of the Technical Services Manual, duly completed. Exhibitors must ensure that their appointed contractor is well-informed of the appropriate work schedule, rules & regulations pertaining to stand designing and construction, as well as their conduct. For more information, please refer to the Exhibition Rules and Regulations in the Technical Services Manual and Form 12, which should be returned with the joint signature of exhibitor and contractor.

STAND BUILDING (Continued)

All materials used in the stand construction must be fire-retardant in accordance with local regulations, i.e. a minimum flame spread rating of Class 2 as required by prevailing fire safety regulations. Permanent false ceilings are not allowed. False ceiling of egg grid and mesh construction of non-combustible materials may be allowed, subjected to the approval of the Fire Safety & Shelter Department [FSSD]. Provision of powdered fire sprinkler ball is required. Exhibitors who wish to suspend banner and/or balloon are to note that the design & size of the banner/balloon must be approved by both the Fire Safety & Shelter Department and the venue owner, via the Organiser. There will be an airspace charge of S$400 per sqm of surface area - Form 7C in the Publicity Manual refers. The same applies to stand designs which require some area of covered ceiling and/or double-storey exhibition booths. Samples of the ceiling material with certificate must be submitted together with Form 12 and detailed stand design drawing for approval. For your information, the authorities will require some time before responding with their comments/approval. Late submission will not be accommodated. Please be reminded that all Stand Fitting Rules & Regulation as stipulated in the Technical Services Manual must be strictly adhered to. For more information, please refer to the Technical Services Manual, General Information Page and Form 12 – Stand arranged by Exhibitor.

Double Storey Stands The requirements for the double storey submission to Fire Safety & Shelter Department (FSSD) is as detailed. 1. Fully endorsed Structural drawings and calculations, plan and elevation drawings, all in

softcopies 2. Clearly indicate the locations of fire sprinklers (minimum 1 no. per 9sqm) and the floor area

for second level (maximum not more than 50% of ground level). For your information, the authorities will require some time before responding with their comments/approval. Late submission will not be accommodated.

LIGHTINGS & ELECTRICS

Hall lightings will be turned on during the exhibition. Installation of lightings and electrics will begin from 22 June 2018. We target to have power fully turn-on by 24 June 2018 (3pm onwards). If you require electrical power to test your exhibits before this date, please provide the Organiser with full details by 1 June 2018.

ELECTRICAL LIGHTING CONNECTION CHARGES Please note that power points ordered on Form 15B are strictly for running of EXHIBITS / MACHINES ONLY. Connections to lighting fittings should be ordered on Form 15A and charges are as follows:

A LIGHT FITTING CONNECTION For lighting fixture supplied by exhibitors and/or

their contractors and connected/wired to power source by the Organiser's electrical contractor.

S$39.00 per tube or bulb (max. 100 watts per tube or bulb) Or per LED strip up to 3metres run per location.

B LIGHT BOX CONNECTION Single-phase power outlet for connection to

exhibitors' / contractors' own light boxes. S$185.00 per outlet

(max 500 watts per outlet)

VERY IMPORTANT

3-Phase Power Supply for Exhibits/Machinery It is crucial that exhibitors furnish the Organiser with the following details, along with each order for 3-phase supply, so as to ensure no electrical disruption occur during the exhibition: a. The type and quantity of machines to be connected to each 3-phase power supply outlets. b. The number of motors within each machine, and the rating (in horse-power or kilo-watts) of

each motor. c. The method of starting of each motor (i.e. using star delta, auto-transformer or any others).

LIGHTINGS & ELECTRICS (Continued)

Operating Machinery & Exhibits 1. Moving machinery must be fitted with safety devices when the machines are in operation.

These safety devices may be removed only when the machines are disconnected from the power source.

2. No motors, engines contrivances or power-driven machinery may be used without adequate protection against risk of fire and safety.

3. Working machines must be placed at a relatively safe distance from visitors. Use of safety guards is strongly recommended.

4. Working machinery must always remain in the confines of its designated area and operated by qualified personnel only. The machine cannot be left operating on its own without supervision of qualified personnel.

IMPORTANT

Because of tight installation schedule and limited power capacity, we cannot guarantee supply to late orders for power or supplementary lighting.

For reasons of safety and power load distribution, all electrical work from the source must be carried out by the Organiser’s official electrical contractor. If you have prefabricated wiring and fixtures, you may not connect to the source till work has been inspected by the official electrical contractor.

GENERAL SECURITY & BADGES

Badges, Attire & Admission Minors, under the age of 16 whether accompanied or not, will not be admitted into the exhibition hall at any time - from the build-up period through to the last day of dismantling. Buildup and Dismantling Period: As the hall is deemed as a construction environment during this period, for safety reasons, personnel in slippers are strictly not allowed entry into the hall. Show Days: During show opening hours, all personnel must be in proper business attire. The Organiser reserves the right to refuse entry to those deemed inappropriately dressed in bermudas, shorts and slippers. Visitor admission is restricted to trade professionals only. All personnel entering the exhibition hall at any time must wear identification badges which will be issued or approved by the organiser upon submission of Form 18A (for exhibitors) or 18B (for contractors). Badges are not transferable.

Exhibitor’s badges (Form 18A) will be issued at the exhibitor’s check-in counter on-site to exhibitors and their representatives who will be manning the booth.

Temporary badges will be issued to delivery personnel. This will be issued at the entry point upon surrendering their identity card, valid work pass or passport for foreigners. Each delivery visit will be restricted to 1 hour maximum.

Exhibitors are not to apply for Exhibitor badges for visitors or visiting staff who should use Visitor badges. These badges are also not to be given to their contractors who will be given Contractors badge. Please refer to Form 18B for contractor’s badges which will be issued individually to the appointed contractor upon the submission of the following: Duly endorsed and signed Form 12 & 18B together with the printed photo badges (in colour).

Contractor’s badges must be returned on the last day of build-up in exchange for a badge valid for show days. Contractors need not return the badges after the show, but do return all plastic holders to do our part in recycling.

Payment of the performance deposit (refundable) equivalent to S$20 per square metre, subject to a minimum of S$500 per booth.

Risk Assessment (RA) and Safe Work Procedures (SWPs), conducted by a competent person who has attended a Risk Management course conducted by a MOM Approved Training Provider or equivalent.

Abide by the Contractor Terms & Conditions, all Rules and Regulations specified by the Organiser from time to time in relation to the exhibition, rules and regulations applicable set by the venue operator, codes of practices set by the relevant regulatory authorities and all applicable laws and regulations.

IMPORTANT: Exhibitors are strongly advised that passing on your exhibitor badges to your contractors could result in you and your company being violation of Singapore’s work permit regulations. Under the Employment of Foreign Workers Act, any person caught employing foreigners without a valid work permit will be charged in court. Please refer to the Ministry of Manpower website: www.mom.gov.sg for more details.

GENERAL SECURITY & BADGES (Continued) General security provided by the organiser should not be depended on to provide more than a presence to inhibit theft. Security guards will patrol the exhibition hall in general, but their duties will not include specific attention to individual stands.

Security for Individual Stands If your displays are valuable and you would like to hire security personnel to attend exclusively to your stand, kindly contact Mr. Dave Chiam from Fervour Pte Ltd, the official agency for the security services, at Tel: (65) 6759 1003 / 4330, Fax: (65) 6759 4588 or Email: [email protected] for service rates. Please note that you may NOT use any personnel from any other company and your staff will not be allowed to stay overnight in the exhibition hall. It is impossible to provide complete protection against theft. We strongly advise that cameras, telephone handsets, souvenirs, valuable documents, etc. are kept in secured cabinets or rooms. Please also ensure that your exhibits are properly insured. The following simple precautions may be helpful: 1. Lock up all valuables including souvenirs before you leave your stand at the end of each day –

display these valuables only when your booth is manned. 2. On the last evening of the exhibition, once the show closes, remove all valuables for

immediate packing and return to your office or factory. DO NOT leave your stand unattended. DO NOT leave exhibits, souvenir items, consumables etc. at your stand, not even in locked cupboards as all furniture will be retrieved by suppliers once the show is over. DO NOT take chances with your valuables - once they are lost it will be almost impossible to recover them.

Security Procedure a) Please wear appropriate badges at all times within the exhibition complex as personnel

without proper badges will be refused entry into the compound. b) Movement in and out of the exhibition halls will be restricted to designated control points and

this includes freight movement. c) Random identification & security checks will be carried out at the entry points for all personnel,

including exhibitors, visitors and contractors.

IMPORTANT For reasons of security, safety and obligation to exhibitors and visitors, no display material or exhibit may be dismantled before 6pm on 28 June 2018 (Thursday). The Organiser accepts no responsibility for items brought into the exhibition hall by the exhibitor, contractor, or their respective servants, agents, sub-contractors or invitees. Such items shall be stored at the owner’s sole risk within the exhibition stand.

SECURITY NOTICE

All exhibitors are advised to ensure that their exhibits and valuables are kept secured at all times. The Organiser will accept no responsibility for losses or damages of any kind. While the Organiser will provide a general security service from move-in to move-out, the security guards should not be depended on to provide more than a presence to inhibit theft. The Organiser hereby gives formal notice to exhibitors that the Organiser, its agents and its official vendors neither offer nor accept responsibility for exhibitors’ property of any kind.

Exhibitors are reminded that it is a strict condition of their contract to ensure that all items brought into the halls are fully insured by the exhibiting company. During the move-out period on the last day of the show, please take extra caution to ensure that your stand and exhibits are being supervised. Exhibitors or their agents are advised to possess supporting documents of ownership of the exhibits during the move-out period as you may be asked to produce documentary evidence if necessary.

Organiser's Office The Organiser's site office will be operational from 22 June to 28 June – 8.30am to 6pm daily and 8.30am to 12pm on 29 June 2018.

Secretarial & Secretariat Services at Exhibitors’ booths Temporary manpower for your stand and other secretarial support services are available from the official manpower agency, Kelly Services (Singapore) Pte Ltd. They offer various categories of personnel including stand hostesses, receptionists, secretaries and others. Exhibitors who wish to engage the above mentioned services are to submit Form 20 (Manpower & Secretarial Services) in the Technical Services Manual to Kelly Services (Singapore) Pte Ltd directly. Alternatively, exhibitors may direct all enquiries or advance bookings to the follow contact. Business Center There is no designated business center within Suntec Singapore. However, exhibitors may approach the Venue Management Office for printing services. The office is located on Level 3, behind Meeting Room 307 and operates from 8.30am to 6pm, Mondays to Fridays.

Food & Beverage Catering Catering within the exhibition site must be made through the in-house caterer, Suntec Singapore. Please contact the caterer directly (contact details on page 20) if you require food & beverage catering for your stand. Special arrangement for lunch meal may also be directed to the caterers.

Flower & Potted Plants You may order your floral displays and/or potted plants on 24 June 2018, when our official florist, City Garden, comes on site with their display of potted plants.

WiFi Suntec Singapore is offering complimentary wireless internet within the exhibition areas and pre-function areas. Each device will be able to experience up to 1Mbps of internet bandwidth. It is strictly for web-browsing only. Exhibitors who are doing product demonstrations are still required to place order for dedicated/ higher bandwidth internet services. The permanent SSID for this complimentary wireless internet is FREE_WiFi@SuntecSingapore. No password is required.

Rubbish Removal During the build-up period, exhibitors and their contractors will be responsible for the day-to-day removal of their rubbish (i.e. empty paint tins, lumber, scrap, etc.). Removal of debris must be carried out on a daily basis; no accumulation of debris is allowed inside the exhibition hall. No crates, exhibits or packing materials may be placed on gangways during build-up and behind the exhibitors' stands during the exhibition. During the exhibition period, the Organiser will be responsible for the general cleaning (i.e. sweeping and emptying of wastepaper basket) of stand carpet under Organiser’s Stand Packages and gangways daily. It is the responsibility of the appointed contractor to provide cleaning services to exhibition stand that is contracted as space only.

IMPORTANT The Organiser’s cleaning contractor, who will clean the area daily, have instructions to dispose all items left in gangways and behind stands. Apart from general hall cleanliness, this is also a strict enforcement of the Fire and Safety Regulation and a security measure requested by the Police personnel. You may arrange your own storage facility out of the exhibition complex or through any of our official freight forwarders (refer to page 5 for their contact details).

Exhibitor’s Delivery Only vehicles with exhibitor decal and carplate numbers that are registered with the organiser will be allowed to enter the venue’s loading/unloading docks. At all times, there should be 2 personnel in the vehicle – 1 to unload and the other 1 (driver) will drive the vehicle off immediately after the unloading is complete. Do note that it is strictly for delivery only and no parking is allowed at the loading/unloading dock.

Car Parking at Suntec Singapore Exhibitors may choose to park their vehicles at the basement 1 & 2 car park of the exhibition centre, where they can access via Nicoll Highway, Raffles Boulevard (from Bras Basah Road), Temasek Avenue (from Raffles Boulevard) or Rochor Road exit from East Coast Expressway (ECP). There is a height restriction of 2 metres. Hourly Car Parking Rates:

Mondays to Fridays (except Public Holiday)

7am – 5pm $2.20 for the first hour $1.10 per ½ hour or part thereof

5pm – 12 midnight $2.20 per entry

12 midnight – 7am the next day $1.10 per hour or part thereof

Public Transportation

MRT (Esplanade Station) (CC3) – 3 minutes’ walk Esplanade station is the nearest station to Suntec Singapore Convention Centre, linked via the underpass (Exit A). Exhibitors can take the Circle line to/from Bishan Interchange station (NS17 or CC15) or Dhoby Ghaut Interchange station (NS24 or NE6 or CC1) to other parts of Singapore.

MRT (Promenade Station) (CC4) – 5 minutes’ walk Exiting this station via Exit C, exhibitors can walk through Suntec City Mall and follow the signage to the Convention Centre. Exhibitors can take the Downtown line from here or the Circle line to/from Bishan Interchange station (NS17 or CC15) or Dhoby Ghaut Interchange station (NS24 or NE6 or CC1) to other parts of Singapore.

MRT (City Hall Station) (EW13 or NS25) – 8 to 10 minutes’ walk City Hall MRT Interchange station is linked directly to the Suntec Singapore Convention Centre via the underpass. Exhibitors can take the East West or North South line to/from City Hall station to other parts of Singapore.

GENERAL RULES & REGULATIONS TO NOTE

Hazardous Materials Unless otherwise approved by the Organiser, the venue operator and the relevant government authorities in writing at least one month before the exhibition: a) No naked light, open flame or temporary gas may be used in the exhibition centre, this includes continuous welding work and neon lights. b) No explosives, petrol, dangerous gas or highly inflammable substance will be allowed in the exhibition complex. The organiser must be notified in advance of any display of motor vehicles with fuel tank, petrol-engine equipment. c) Radioactive substances shall not be brought into the exhibition centre. Proper transportation and storage of all pressure tanks containing helium, compressed air, argon, carbon dioxide and any other pressurized vessel is required and must conform to all relevant safety standards and regulations.

Smoking In accordance with the Smoking (Prohibition in Certain Places) Act, it is prohibited by law to smoke in the exhibition halls, meeting rooms, air-con walkways, function areas and restaurants with food services.

Sales “Over the counter” sales are not permitted in this trade exhibition. The Organiser reserves the right to take appropriate action as deemed necessary to stop such activities.

Promotions during the Show Exhibitors are asked not to place stickers, signs or posters anywhere in the halls other than within their own stand and on paid advertising poster sites and billboards. Likewise, exhibitor’s representatives may not distribute brochures, invitations etc at the registration areas, entrances/ exits of the exhibition halls, F&B outlets, show hospitality areas, or any other areas which, in the opinion of the Organisers, is deemed inappropriate and causes inconvenience to visitors and other exhibitors.

Licensing & Permits Exhibitor must obtain and keep in force all necessary permits and licences, e.g. copyrights, royalties and trademarks; lucky draw application, etc for it to carry out its activities.

Regulatory Authorities All exhibitors and their contractors and suppliers must abide by the code of practices set by the relevant Regulatory Authorities.

MOVE-OUT INSTRUCTIONS TO EXHIBITORS The exhibition closes at 6pm on 28 June 208 (Thursday). Move-out begins from 6pm to 10pm on 28 June 2018. For the safety of visitors at the show, exhibitors may not dismantle their exhibits before 6pm. On the night of show closes, exhibitors are advised to take note of the following: Please remove all hand-carried or easily movable goods and valuables once the show closes at 6pm. Please do not leave your stand unattended nor leave exhibits/souvenir items for collection on the next day, nor leave them in locked cupboards as furniture suppliers collect their furniture on the same evening of closing. For heavy exhibits which require the use of heavy lift vehicles, like cranes or lorries with build in cranage arms, please do NOT arrange for their removal on the same night of show close on 28 June 2018. These vehicles will also be turned away at the entrance of the car park. The evening of show close is for small, light trolley/hand-carriable items removal only. Your cooperation to ensure smoother and speedier move-out as well as minimize congestion within the loading area, on the evening of show close will be very much needed. Please return on the next day to collect your heavy machines/equipment. Please note that your suppliers and/or contractors will NOT be allowed into the hall until at least one hour after show closes at 6pm on 28 June 2018, unless prior approval has been granted by the Organiser. Removal of heavy exhibits or loaded crates, which can be moved out of the hall using forklift or pallet jack, and dismantling of stands should commence after 7pm to 10pm on 28 June 2018 and 8.30am to 7pm on 29 June 2018. All materials/exhibits must be removed by then.

Electrical Power The above supplies to all stands will be disconnected progressively from 6pm on 28 June 2018 (Thursday). Please note that there will be NO electrical power, from then onwards. If you require extension of power supply on 28 June 2018, please inform the Organiser's office at least one day in advance.

Telephone & Internet Supply of these services will also be terminated at 6pm on 28 June 2018. All loaned items must be returned at the close of the exhibition to the Organiser.

IMPORTANT As it is impossible to provide complete protection against theft, exhibitors should ensure that their exhibits are properly insured. We do remind you that you are responsible for your exhibits at all times and that they will be at greatest risk from 6pm on the move-out day. Do not take chance with your valuables – once they are lost, it will be very difficult to recover them. The Organiser will accept no responsibility for losses or damages of any kind.
