MCMG BOARD MEETING MINUTES November 28, 2018 Derwood, Maryland 1 ATTENDEES: Steve Dubik, LeeAnne Gelletly, Mandy Gordon, Joe Ginther, Ken Hoyle, Sherry Marshall, Bebe McMeekin, Michael Parizer, Melissa Siegel, Tom Stanton and Linda Waters. President Melissa Siegel called the meeting to order at 10:00 am. APPROVAL OF MINUTES The minutes of the September 28 meeting were approved as revised. COORDINATOR’S REPORT Coordinator Steve Dubik stated that he is expecting more information on the new statewide MG database at next week’s Coordinator meeting. The latest news is that development is behind schedule and it will not be ready for use in January but should be ready shortly thereafter. Steve also indicated that training on the new statewide MG database is expected to begin soon. Steve indicated that the new Statewide MG Coordinator should be hired in January. He then discussed the recent Coordinator meeting which included training on the use of WebEx. MCMG now has several WebEx accounts. There are still questions as to how the Maryland MG programs will be using WebEx and this may be a question for the next State Coordinator. Katie McIe was able to shorten the MCMG web address, however, there may still be some issues. Steve will inform us when this new address is stable. Steve reported that approximately 17,000 volunteer hours have currently been reported compared to about 22,000 hours at this time last year. Don’t know the reason for this underage; we may be behind, or people may just be procrastinating or just nor reporting. The last date for reporting is December 15 th . Katie Mcle will be conducting one in-person training session on entering hours on December 5 th . After closeout on the 2018 hours report Steve will be looking at where the hours are versus where the needs are and try to guide the 2019 Intern class to areas which need volunteers. Steve discussed the need for a central place to store pictures. There are currently at least three groups with digital databases of pictures. All of these are on different platforms and have different levels of accessibility. One possibility is

to use “The Box” (www.box.com), a cloud-based file management and sharing service. Steve also stated that we need photo releases if photos are used in the newsletter, website, or other public venues. The old Derwood Demo Garden shed has been emptied. Steve is working on contracting out its demolition, which should be completed by the end of December. The new shed is on order. Ballard Room repairs are still ongoing. Steve distributed copies of the new Extension publication Food Safety in the School Garden. Steve will be working with a sign shop to get replacement metal signs for several locations with the new MG logo. TREASURER’S REPORT (Attachment 1) Ken Hoyle reported that he estimates about $1,000 in profit for the year (not including the replacement shed) after December expenses. Ken also spoke about the Extension’s Amazon account which permits tax exempt purchase. Getting access to this account is fairly complicated. There was no resolution as to how the MCMG could make better use of this account and further investigation will continue. OLD BUSINESS

There was a discussion of an email from Patricia Eng and the Tech Team asking if Melissa would put out a communication to Committee Chairs and Event Leaders regarding Tech Team contact information and the need for coordinating meeting IT requirements with the Tech Team. NEW BUSINESS Possible Down County Demonstration Garden at Audubon Naturalist Society Woodend Sanctuary Sherry Marshall tabled this discussion until January. There will be an on-site meeting later this month.

In a discussion led by LeeAnne Gelletly it was decided not to award the Lifetime Award this year.

Approval of new committee chairs Karen Kim will Chair the NIH Demo Garden and Beth Meyers will co-Chair Plant Clinics. Linda Barret will be added to Membership and Paula Brooks will be stepping down. Vice-President Michael Parizer gave an update on the evaluation results from the Fall Conference.

Attached are Cash Flow reports for September through October and Yearto Date. Weare on track to have a surplus of about $1000 as there are late submissions for GlEland there will be expenses for the December party. The projected surplus does notinclude expenses for the shed in the Derwood Demonstration Garden.

Extension has accounts established at Amazon and several other online merchants.For us to use them (and avoid sales tax expenses) we need to submit names and emailaddresses of potential users to Extension. Users must then sign an agreement NOT touse the accounts for personal purposes. Given that there is potentialfor abuse, I

suggest that Program Directors/Committee Chairs select a small number of Membersfor this privilege and responsibility and ask the remaining Members to funnel theirexpenses to authorized users to order and submit reimbursement requests. For onlineorders that do not include sales tax, Members can continue with the current process.

Three additional members have paid dues for 2018, bringing our payment rate to a bitover 90%.

MC Master Gardener Membership CommitteeService AwardsIn early Octokr, the Membership Committee met to determine recipients of theOutstanding Service Awards to be presented at the Holiday Party. At another meetingheld in late October, they met with Melissa and Steve to discuss how to handle the l5-year service awards and Lifetime Awards. Linda Barrett plans to present names andinformation to the Board at the November Board meeting so the Board can select winnersof these awards.

Fall Plant SwapAnother successful plant swap, headed by Alex Friedman and Paula Brooks was held onOctober 4.

Holiday PartyA centerpiece-making workshop, headed by Kathy Kircher and Loren Paizwill take placeon December 12. Arrangements for the holiday parly, to be held Dec 13 are under way.

CEWA - (The following are excerpts from PJ Hallberg's full report in the next SeedlFor the 25th year the village that includes 4 Hers and 4 H staff, Soil conservation and Soil and

water management staff, Extension staff, localfarms and farmers, Master Gardeners andMaster Naturalists, as well as support from Parks employees, managed to educate some 4,000Montgomery County 4th graders, their teachers and chaperones.... We had some L25individuals, contributing more than 1500 service hours! lt could not have been done without so

many involved.

Tech Team - Patricia Eng asks that you remind all of your committees that use MG electronicequipment to sign for it electronically and in the book next to the cabinet where the equipmentis stored (in the Derwood garage).
