Delivery of Services

Tele-Management™ Services has achieved tremendous popularity amongst medical businesses over the past few years. The model offers valuable benefits such as:

v Cost saving with payrollv Assisng internal teams (Medical Receponists and Pracce Nurses)to focus on daily

operaonsv Off-loading strategic goals

This model provides increased focus on innovaon and profit.

When you look at a modern day business (even people you may work with in your building), you somemes don't see them for days or weeks on end. Most communicaon is done via email, Skype, telephone etc. The majority of mul-naonal companies work with virtual management soluons.

Consider the familiar role scenario below:

“I've run a virtual team for the past 18 months in the development and launch of (a website.) I am located in Toronto, Canada. The website was designed in Zagreb, Croaa. The soware was developed in St. John's, Newfoundland; Zagreb, Croaa; Delhi, India; and Los Angeles, USA. Most of the communicaon was via email with periodic discussions via Skype. I had one face-to-face meeng with the team lead for the technology development this past December.”

Managing a medical pracce is no different. Your Pracce Manager needs to work ON the business not IN the business. You don't want your Pracce Manager involved in daily issues which can be resolved easily by experienced medical administraon support staff or pracce nurses.

v Roles of the team are clarified. There is more focus on peoples job descriponv Cung edge technology is FREE:

Ÿ SkypeŸ Team ViewerŸ Conference callsŸ EmailsŸ SMSŸ Remote access to computers to view soware, i.e. Pracso, Best Pracce,

Medical Director

v Pracce Management team can focus on what is important to the praccev Medical Receponists / Pracce Nurses are allowed to “Do their job” – look aer

paentsv Mentoring is provided to all support staffv The team maintain clear goals, performance standards, and communicaon rules.

The pracce management services outlined in this proposal can be tailored to suit the requirements of your pracce and also give you an idea of what we can be ulmately responsible for. During the transion of this model we develop a flow chart for staff so everyone in the pracce knows what they are responsible for and what to do if there is a problem. An example is aached.

Please note that ALL dues on the table below can be provided via Tele Pracce Management™. We can even monitor how long the paents have been sing in your waing room! NJHTC oen phone the pracces and enquire why the doctor is running late! We can see this happening via remote access using the “Waing Room” facility in your medical soware. This assists the medical receponists analyse the problem, but also convey informaon to the paents.

An On-sitefull me pracce manager for a 3-4 FTE GP can cost up to $ 80,000 including Superannuaon, WorkCover and Insurance. Our Tele- Management fees are very compeve and all centres are assigned three members of staff to work on your pracce.

As well as Nicky Jardine's Direcon your staff members will include:v Arianne Everard - Accounts and administraonv David Ludbrooke - Banking and Real Estate advice

Ms Melissa Stegert - Pracce administrator

Revenue and Item NumbersRevenue is directly linked to paent t h r o u g h p u t a n d t h e u s e o f t h e appropriate Medicare Benefit Schedule (MBS) items to support service provision. Pracce revenue is decreased when GPs do not take up new models of care that are able to earn more for the pracce, or when GPs do take up the new models of care but do not claim the appropriate MBS items. NJHTC analyse the item reports connually and give doctors feedback on their pracce.

New Medicare items, including Enhanced Primary Care (EPC) items, have been progressively introduced which now provide rebates for services from a broader range of health professionals. Commonwealth and state governments connue to encourage primary care service providers to develop collaborave models of care for paents.

A training program can be implemented to ensure doctors use appropriate item numbers. Well trained staff and systems can increase remuneraon so the pracce is profitable.

AccreditaonA systemac approach ismapped for accreditaon, not only to gain cerficaon but maintenance ohe RACGP standards. Both RACGP 4th Edion Standards and Queensland Health (QH) standards are introduced. Some of the Queensland Health standards do not fall within RACGP standards however, from past accreditaon experience, the

accreditaon team tend to comment on the QH standards also. This is definitely the case if you use General Pracce Accreditaon (GPA).

NJHTC have recently been through accreditaon with a pracce adopng the dra RACGP 5th Edion Standards. NJHTC was commended for the inducon of new systems and analysing the new standards as part of a pilot program for Australia General Pracce Accreditaon Limited (AGPAL).

Medico-LegalTraining is provided for the Privacy Act 2002 Act and the introducon of further Privacy Act legislaon on 14th March 2014.A risk analysis is performed which will ensure:Œ GP's have val id insurance and

registraon with APRHA. Pracce nurses or injury management

officers have valid insurance includingmembership of their nursing unions.

Ž The pracce will receive a pro ratapayment of $25,000 for a praccenurse through the Pracce NurseIncenve Program (PNIP) . Therequirement is that the nurse is aregistered not enrolled nurse.PNIPdon't give grants for enrolled nurses oremergency medicine technicians.

The team leader or pracce leader isinsured ( if not under the praconersinsurance )

The pracce staff and stakeholdershave a complete understanding of thePrivacy Act legislaon.

Paent Service TrainingP a e n t s e r v i c e t r a i n i n g c a n b e implemented. This benefit of this is to ensure paents are being cared for and treated appropriately. A happy, proacve and supporve team is essenal in retaining paents and a great markeng tool for a pracce.

Soware and Informaon Technology TrainingNJHTC can advise on the most suitable soware for your pracce to ensure a smooth, efficient service to paents. If you have already chosen your soware, NJHTC is an accredited trainer for two major soware companies in Australia – Medical Director and Best Pracce and so can organise structured training for your doctors and staff. NJHTC is regularly asked to speak at workshops, seminars or parcipate in webinars to train or consult invarious components of medical soware.

Online Pracce Manuals using Standard PracceOnline Pracce Manuals are an invaluable tool in the accreditaon process. Standard Pracce is easy to use and an efficient way for all pracce staff to access a wrien policy or procedure. NJHTC has extensive experience using Standard Pracce™ and can train your pracce staff on all aspects of the soware.

The soware includes a task management system to assist staff in compliance i.e. validaon of steriliser, paent recalls, banking etc.

GP Medical Management/Clinical sowareThere are three predominant GP medical m a n a g e m e n t / c l i n i c a l s o w a r e packagesavailable in Australia. These include:- Ÿ Best PracceŸ Medical DirectorŸ PracsoNJHTCprovides training programs andmanuals for all three soware products.

Online Appointment Soware through Health Engine and HotdocsAn online booking system can improve pracce efficiency by freeing up staff me, increasing new paent registraons and decreasing telephone traffic. The soware is a “live” online appointment system which integrates with your pracce management soware.

Some soware packages also contain prescripon request capability. This soware is now being used in many centres throughout Australia and is streamlining the process of prescripon requests from paents.

NJHTC pride themselves on staff retenon strategies which include a happy, healthy and safe environment for all staff. Our belief is that all employees are there for a purpose and each member of the staff respects everyone's posions. A strong team environment is encouraged and inslled in the management process.

The recruitment and retenon approach we have offered GPs provides an opportunity to develop specialist clinics in areas of professional interest to them. This coincides with a priority need of the local community, such as occupaonal or industry medicine, skin clinics or children's health etc. Similarly, offering the General Praconers the opportunity to parcipate in research has also assisted with recruitment and retenon. These opportunies are rare in private pracce.

Recruing General Praconers in a highly compeve market requires innovave approaches. The Directors of NJHTC have used many markeng strategies including the use of mainstream adversing (internet, publicaons), and adopng language to make the pracce more aracve to potenal recruits. It is imperave to sell a “Pracce of Excellence” to all potenal staff. Promong the strengths of the pracce is an encing recruitment methodology to both employees and paents.

We have also negoated contracts with Allied Health Professionals and Pathology companies.

Nicky has been an asset to our medical pracces. We contract her on a retainer and she is available anyme of the day or night to give us valuable knowledge about our industry. It was hard trying to find someone we could really trust. Nicky looks at the business as if it was her own and has a fantasc relaonship with all of our staff. We have recently handed over our bookkeeping to Nicky and we have already saved hundreds of dollars in bookkeeping fees per month. Her approach is systemac and always on me! In summary, for anyone who values their business, I would ONLY recommend Nicky and her team. Ps . Took first holiday in four years last month! J. Harding and Co
