TO: ADU OFFICERS FOR THE ACADEMIC YEAR 2013-2014 RE: MEETING FOR INITIAL PLANS AND PER-SECTION PROPOSALS FOR THE FIRST SEMESTER ______________________________________________________________________________ Date of Publication: April 4, 2013 Gentlemen: I would like to thank Mr. GLENN WILLIAM S. ALCALA for organizing the Union Meeting and Elections last April 2, Tuesday, and for his contributions in enhancing the Union’s training protocols and UDEP; refining the ADU Constitution and other pertinent policies and by-laws; and as well strengthening the networks of the Union to the alumni and as well as to other institutions in the city and in Mindanao. Last year’s leadership was indeed one of the best years of the Ateneo Debate Union, having won the Most Outstanding Organization Award for the sixth consecutive time and the Club Management Award; and having bagged the Mindanao Parliamentary Debate Championship for the fourth time. In order to ensure that we show the same strength and quality of performance in Mindanao and Philippine debates, and as well to refine further our UDEP, training program, and other internal and external functions, we shall meet on April 16 this year at 9:00 in the morning at the Conference Hall located in the second floor of Manuel Sauras Hall. The following are the general agenda of the meeting:

1. Deciding on the official seal of the Ateneo Debate Union 2. Review of the Union members’ membership 3. Issuance of joint statements regarding social, political and other issues in Ateneo, and the

greater communities 4. Preparation of calendar of activities for the next semester 5. Review of the organizational chart and the areas of responsibility per officer 6. Assessing the strengths and weaknesses of the Union in the following areas:

a. Training of debaters and adjudicators and tryouts b. Communications, advertisement and public relations of the Ateneo Debate Union c. Union Debate Education Program, public debates and forums (or fora) d. Funding, solicitations and financial policies e. Compilation of documents for the purpose of drafting bids for sponsorships,

organizational awards, and application for accreditation with the Office of Student’s Affairs

7. Presentation of per-section proposals by each officer

The following are the per-section agenda that need detailed proposals by the officers: 1. Internal Vice-President

Recruitment of members for the upcoming Orientation Seminar

Training module for both debaters and adjudicators

Module for tryouts

Execution of policies regarding absences and tardiness during the trainings

Other matters 2. External Vice-President

Union’s advertisement for the upcoming Orientation Seminar

Communications and public relations of the Union

Updating the Facebook and Twitter pages of the Union

Other matters 3. UDEP Coordinator

Detailed proposal on the upcoming ASSP Debates

Compiling contact information of partner institutions for the UDEP

Detailed proposal on the upcoming UDEP activities, and initial discussion for the Union Debate Camp

Scheduling of public debates and forums (or fora) for the entire semester

Other matters 4. Finance Officer

Proposal regarding sponsorships and additional subsidy for the Union

Presentation of the financial position of the Union as of date

Drafting of financial and subsidy policies for the members (payment of dues, allocation of subsidies, etc.)

Other matters 5. Union Secretary

Record-keeping of the attendance and participation of the members

Documentation of all union events for the purpose of drafting bids for sponsorships and organizational awards
