Introduction The Waste Monitoring Module is a part of the Intranet Property Register (IPR). It is a …………………. A user must have access rights (albeit only as a guest) to the IPR and permission set for the Waste module in order to access the Waste module.

--------------------------- Due to the amount of data and the size of the screens once inside the program, it is recommended that the software be operated on a computer using a screen resolution of 1024x768 (or higher) with small fonts. Using other resolutions and font sizes won't affect the operation of the software but you may find that text on some screens doesn't fit. The use of Microsoft Internet Explorer version 6 or later is also recommended.

--------------------------- Several IPR browser windows can be open at any one time. In some cases this can be advantageous, especially if you need to keep going back and forth between different pages. The software does not however allow a user to log in as another user while on the same machine.

Navigating Around the Waste Monitoring Module

Menu Bar The menu bar appears on the left-hand side of every page. Click on the appropriate button to access that section. Waste Module Main Page Configure Projects Configure Streams Configure Users Assign Service Providers to Streams Configure Service Providers All sections of the Waste Monitoring module can be accessed from the main page.

1.0 Configure Users This section sets specific permissions for the Waste module for people who already have access to the main IPR programme. Listed are all IPR users. The default permission is "No Rights". The Waste module is not accessible by that user. The other options available are:- View Rights. Users can view data, but not configure. Administration Rights. Users can view and edit data, and configure all aspects of the waste module. To modify user rights. Select the permission required from the drop menu, then click to right of the users name. Note. See also section 3 ‘Select which users can view this service provider '

Notes.

1. Adding a User to the IPR and managing IPR access for those Users is dealt with in ‘The Administration Page’, section 3 of the main IPR Guide.

2. If the Waste module has not been used before an initial setup page will appear to allow the setting up of Waste module administrators. The initial administrator setup page will also appear if all configured users are removed from the IPR.

3. The level of permission is specific to the Waste module. For example, someone with only guest access to the IPR programme, could have full administrator rights within the Waste module.

4. The permissions are set for the user, not by location.

2.0 Configure Disposal Methods To add a new disposal method. Add the method in the empty Description field. If required, a code can be added. Enter tick in box if method is 'In House'. When data entry is complete, press button. The page will refresh showing the new disposal method and an button will be added to that row. The new disposal method will also be added to the Disposal Method drop menu in the Configure Waste Streams section. Note. All fields can be updated at any time, but the method of disposal cannot be deleted. Return to main screen by selecting Waste Monitoring from the menu bar.

3.0 Configure Waste Streams

3.1 Categories. To add a Category. Type name in and press the

button. Note. Name must be typed in before pressing the button. Once the category has been added the category name cannot be modified, but can be deleted. To Delete a Category. Press to the right of the Category. A message box appears. 'Are you sure you wish to delete - all data attached to it will be deleted also?' OK/Cancel. Cancel - Category will not be deleted. OK - Category will be deleted. To Change the Category displayed in the right-hand side Category Configuration section. Click on the required category in the Categories menu. The screen will update, showing the required category in the Category Configuration section. Refer to 3.2 Category Configuration

3.2 Category Configuration.

To change category identifying colour. Select from drop down list and click . Note. "Health Technical Memorandum 07-01: Safe Management of Healthcare Waste" specifies the colours to be used by NHS. To Add a Stream. Enter name for new stream [maximum 255 characters] Add the container weight in kg. Select if Recyclable Select Disposal Method from drop menu. Note. If the required method is not listed, additional Disposal Methods can be added in the Configure Disposal Methods. Refer to section 2.0 When stream setup is complete, press . The page will refresh showing the new stream. and buttons will be added to that row. Note. All fields can be modified at any time. To Delete a Stream. Click to the right of the stream to be deleted. A message box appears. 'Are you sure you wish to delete - all data attached to it will be deleted also?' OK/Cancel. Cancel - Category will not be deleted. OK - Category will be deleted. Return to main screen by selecting Waste Monitoring from the menu bar.

4.0 Configure Service Providers To Delete a Service Provider. Click on [Delete] to right of Service Provider name. A windows message box appears “Are you sure you want to delete this service provider?” OK - Service Provider is deleted. Cancel – Message box closes without deleting the Service Provider. To Add a New Service Provider. Enter the name in the ‘New Service Provider’ text box and click on button. Screen will refresh to show the new service provider. Note. Name must be typed in before pressing the button. Once the Service Provider has been added the name cannot be modified. To Configure a Service Provider. Select the Provider from the list at top left of the page. Check that the name of the Service Provider appears at the top of the page. ‘Stuart Test’ has been selected as the provider in the example. Click on tick box at the right of each category waste stream to select / unselect which waste streams the service provider may action. Note. List is automatically updated if the Service Provider is selected to provide the service in section 5 Assign Service Providers to Streams. Select which users can view this service provider Users setup in section1 Configure Users with view access only can be given full edit rights for this service provider by selecting edit.

Return to main screen by selecting Waste Monitoring from the menu bar.

5.0 Assign Service Providers to Streams

To select a Service Provider for an individual room/stream entry. Click in selected room/stream field. In the example we have selected Breast Care Unit/General Waste 240 ltr Container. The cell will expand as shown. Select Service Provider from drop down list.

Service Provider for Stream - Service providers who already provide this service (black text used to identify) Service provider not currently used for this stream. These are listed using grey text. If one of these service provider is selected the stream is automatically added to that service providers list of actionable streams. [Refer to section 4 Configure Service Providers] Select Just This Building; Non-Assigned Building; All Buildings as required When complete click to Submit Data To modify/delete existing entry Click on cell, which will expand as detailed above. To change service provider open drop down list and select Provider. Modify entry for Just This Building; Non-Assigned Building; All Buildings if required. When complete click to Submit Data Waste Monitoring Tool Box. Access via 'Show Tool Box' logo. This toggles open/close a pop up window at top left of page "Autoset streams where there is only one Service Provider configured." If selected will flood fill all cells with the name of that provider. Note. There is no mass undo function. The entry has to be deleted individually for each cell.

6.0 Configure Projects

To Set up a project Appraisal. Enter a new name. Maximum 255 characters All other fields are optional. If no changes are made the default will be used. Description. Maximum 204 characters Start Date. Default is current date. Modify by entering in format dd/mm/yyyy End Date. Default is current date. Modify by entering in format dd/mm/yyyy Occurs. The frequency of occurrence. Select from drop down list- daily, weekly, monthly yearly. Default is daily. Every. When the event occurs. If it occurs monthly select day of month from list; if weekly, select day from list; if yearly enter day/month in format dd/mm. If Daily has been selected then Everyday will be shown, and this is the default. Configure categories. Entered after initial setup is complete. See below. When setup complete, Click button at far right of row. Configure categories. Configure Categories option appears once initial setup has been saved.

Click Configure Categories and a list appears showing all streams. Click within box for each stream to toggle whether this category is part of this Appraisal. When setup complete, Click button at right of row. To delete an existing project. Click Delete Appraisal at far right of row. A message window will appear 'Are you sure you want to delete this appraisal?' OK - delete, Cancel - return without deleting. Return to main screen by selecting Waste Monitoring from the menu bar.

7.0 Data Entry To add/view Data. In the Data Entry section of the main page click on the required project name or Project Date. The screen will refresh to show the data entry page for the selected project. Refer to the section 7.1 below To view a report for the Project. Click on Reports for this Project. A sub menu will open to the side of the Data Entry list. Select report by clicking on the name. Refer to section 7.2 for further information.

7.1 Data Entry/Appraisal

To add/modify Data in 'Percentage Recycle Target. Select date from tabs at top of data sheet

Click within Percentage Recycle Target cell

Page refreshes to show numerical pad and field entry box. Add number directly, or by using numerical pad. On completion click 'Submit' To close without making any changes, click 'Cancel'. Page will refresh to show Percentage Recycle Target and Percentage Recycle Achieved (calculated).

To add/modify Data in 'No. of Containers' cell. Select date from tabs at top of data sheet

Click within No. of Containers cell

Page refreshes to show numerical pad and field entry box. Add number directly, or by using numerical pad. On completion click 'Submit' To close without making any changes, click 'Cancel'. Page will refresh to show no. of containers and total weight (calculated using weight per container entered in Configure waste streams). Note - Refer to section 6.0 Configure Projects to setup additional Waste streams.

For each selected period the total waste recycled / non recycled and the waste in each stream is shown graphically at the foot of the page.

7.2 Performance at Building Level From Data Appraisal Page Select date from tabs at top of data sheet Select Building from list A new page opens showing data for the building.

Return to main screen by selecting Waste Monitoring from the menu bar.

7.3 Project Reports. To view a report for the Project. In the Data Entry section of the main page. Identify the required project. Click on [Reports for this Project] A sub menu will open to the side of the Data Entry list. Select the report by clicking on the name. Example shown is 'University D73 Waste Mass'.

A new page will open as shown. Enter From and To dates and click on The report will appear as shown below. Other reports will be added at the request of users.
