Page 4: MICROSOFT BUSINESS SOLUTIONS–AXAPTA 3 · PDF fileThe Microsoft Axapta base package gives you the fundamental technology upon which you can add and build all the features and functionality

The Microsoft Axapta base package provides a foundation of:

• One user• Three company accounts• Three dimensions• Unlimited virtual companies• One specific language• Security and user management capabilities• Menu and form designer with IntelliMorph technology• One Microsoft Axapta Application Object Server (AOS)

Company Accounts and Virtual Companies

The Microsoft Axapta base package comes with three company accounts: • A demo account, which can be used for testing and training purposes

(note that testing can also be performed safely by duplicating the application and database).

• A DAT account, which is used to store non-company-specific data such as user permissions.

• A company data account, which contains all the busines information that will be used by the Microsoft Axapta solution.

You can include any given table in a "virtual company." By doing this, you can set any number of other company accounts to share the data in the virtual company. For example, you can place a currency exchange rate table in a virtual company, and share exchange rate data with any number of other company accounts. You can share inventory across multiple countries or decide to handle the bills ofmultiple companies with one shared application. Any changes in the table in thevirtual company will instantly be reflected in all the other accounts which share that company's data. You can also place any number of tables in a single virtualcompany.

Languages

The Microsoft Axapta base package includes one language, which is used to presentthe user interface, the online help, forms, reports and menus, printed reports, invoices, purchase and sales orders and other business documents, and by remoteusers in Microsoft Axapta Enterprise Portal interfaces. Additional languages can belicensed. See Languages, below. Microsoft Axapta also supports double bytecharacter technology.

System Configuration

All of the functionality of Microsoft Axapta is installed when you perform the initialimplementation, regardless of which modules you have chosen to license. When youfirst implement the solution, you get a series of license keys, based on the modulesyou have licensed. Each license key opens up a set of system and user configurationoptions, and you can choose the specific functionality you need by simply turning onthe appropriate configuration options. Any functionality you don't need to licenseremains hidden until the moment you need to unlock it later. Just enter the licensekey code for the new functionality, and it will appear throughout the system.

Page 5: MICROSOFT BUSINESS SOLUTIONS–AXAPTA 3 · PDF fileThe Microsoft Axapta base package gives you the fundamental technology upon which you can add and build all the features and functionality

Microsoft Financial Management can give you fast, reliable and comprehensiveaccounting, financial reporting and analysis capabilities. It lets you extend theappropriate information access within your business community, so that you canimprove the efficiency of your existing accounting processes.

The simple configuration architecture of Microsoft Axapta leads to fasterimplementation, lower implementation and maintenance costs, lower upgradecosts, and a lower Total Cost of Ownership (TCO).

IntelliMorph

Microsoft Axapta also uses IntelliMorph technology, so that users can hide andshow fields on forms, move fields between tab pages and even add new fields toforms. Users can make all these changes themselves, without needing to call ondevelopers for help. Best of all, when users add or delete items on forms, the forms"morph" automatically so that the user interface always looks appropriate andbalanced.

Database

Microsoft Axapta requires a database for data storage. All your company's businessinformation is stored in a single database. The simplicity of this all-in-onearchitecture can result in easier maintenance and upgrades, resulting in lower TCO.By using a single database, the solution eliminates the need for databasesynchronization and dramatically reduces the risk of data corruption.

The Microsoft Axapta solution itself handles interactions with the database, including operations like creating indexes, sorting and table synchronization.

Microsoft Axapta works with Microsoft SQL Server 2000™ and the Oracle 9idatabase.

Company Accounts

The Microsoft Axapta base package comes with three company accounts: • A demo account, which can be used for testing and training purposes

(note that testing can also be performed safely by duplicating the application and database).

• A DAT account, which is used to store non-company-specific data such as user permissions.

• A company data account, which contains all the business information that will be used by the Microsoft Axapta solution.

Each additional company account allows you to host a separate set of data for eachof your business units or clients. When a transaction is made in one companyaccount, it will not affect the data in any other company account. For example, anApplication Service Provider (ASP) would use a separate company account for eachof their clients, in order to keep the data sets separate. Also, multiple companyaccounts let customers build a separate data set for each of their business groups, plants or offices.

Even though the data in each company account is kept separate from othercompany accounts, it is possible for different accounts to share data tables, suchas zip codes, exchange rates or customer and vendor data. This reduces theamount of redundant data that needs to be stored. If desired, transactions can alsobe made between company accounts.

A thousand separate company accounts may be implemented in a single MicrosoftAxapta installation.

DATA STORAGE AND SECURIT Y

• Company accounts allow separate data sets to be stored within the same database.

• Separate company accounts can be modified independently. Transactions in one account do not affect the data in separate accounts.

• Domains support user setup for multiple company accounts (see Domains, below)

Benefit statement:

Separate company accounts let you divide up your business data to supportseparate business groups in your company. You can also use company accounts tohost sets of data for other companies. Company accounts let Microsoft Axapta storeunique data sets in one installation, and allowing those separate sets interact withcommon tables. This maintains the data integrity of each account and can reduceTCO for your company.

Key Question:

• How do you host separate client accounts, or build and work with separate data sets for different internal business groups, plants or offices?

Prerequisite(s): None

Microsoft Axapta Questionnaire II

Microsoft Axapta Questionnaire II gives you advanced distribution functionality thatlets you select a specific group of respondents and e-mail them a link to aquestionnaire that is tailored for them. The module also helps you carry outadvanced statistical calculations and get an overview of your feedback by viewingsurvey results graphically.

SCHEDULING

• Manage questionnaire planning• Plan and distribute surveys to selected respondents, such as, employees,

applicants, business partners, course participants, networks or organizations• Mail correspondence to all respondents about the survey

REPORTS AND QUEST IONNAIRE ANALYSIS

• Break down survey results by the demographics of respondents.• Display results graphically, with pivot tables and pivot graphics.

Benefit statement:

This module gives you the power to analyze survey results with past survey data, soyou can get a 360-degree analysis of the market feedback your surveys provide.

Key Questions:

• Do your company's survey methods allow you to reach individual groups of respondents with custom-designed questionnaires?

• Is it hard to grasp the meaning of the feedback you get from surveys, because the data is difficult to visualize?

Dimensions

Dimensions help you analyze and classify financial transactions. Financialtransactions are usually organized according to voucher and account number.Additional grouping and classification options are available by assigning additionaldimensions to transactions. There are three default dimensions:• Department• Cost center• Purpose

You can license additional dimensions, to increase the level of detail at which youcan analyze your financial data, or to introduce new perspectives with which to lookat your financial data. Note that all functionality associated with dimensions isavailable with the Microsoft Axapta base package. The extra dimensions license keyjust increases the number of dimensions that can be created.

Dimension settings can be customized by increasing or decreasing the number ofdimensions tracked by Microsoft Axapta. For example, the dimensions "phonesales" and "Internet sales" can be applied to sales data, to give business leadersmore information about their sales figures and results.

Microsoft Axapta keeps dimensions independent from one another.

D IMENSIONS

• Dimensions values are applied and stored at the transaction level • Data can be aggregated by dimensions when running reports and inquiries• OLAP cubes use dimensions to analyze business data even further • Rules can be set on accounts to control postings to the General Ledger, according

to the dimensions applied• Default dimensions can be set on base data, such as ledger accounts and

customer accounts

Benefit statement:

Dimensions help you analyze your company's financial data from differentperspectives, so you can improve the effectiveness with which you track figuresacross accounts. The extra detail that dimensions lets you embed in your data givesyou a powerful tool for analyzing your business information and transforming theraw data into actionable knowledge. By labeling transactions in the same companyaccount with different dimensions, you can also reduce the number of companyaccounts you need to build and keep track of.

Key Question:

• Can you analyze and classify your company's financial transactions on more than three axes, in order to get detailed breakdowns of your figures and business data?

Prerequisite(s): None

Domains (Group of Companies)

Separate company accounts can be grouped together into domains. Domains helpyou define user groups whose members have the same permissions in a number ofdifferent company accounts. The permissions of any given user group can be setuniquely for different domains. A single set of company accounts can belong toseveral domains.

Benefit statement:

Using domains in Microsoft Axapta can greatly simplify setting up user permissionsfor Microsoft Axapta implementations that have many company accounts.

Key Question:

• Do your company's administrators need to set up company-specific user permissions?

Record Level Security

This functionality lets administrators set security and permissions for MicrosoftAxapta user groups at the individual record level. Restrictions can be placed on anynumber of tables on a per-user group basis. Security restrictions are applied withinindividual companies, and therefore allow different settings to be applied withindifferent companies.

For example, a Microsoft Axapta solution with Record Level Security enabled can beset to allow sales people within a user group to view and edit business informationfor only the customer records assigned to that user group.

RECORD LEVEL SECURIT Y FEATURES

• Allows administrators to specify user group-based permissions to each individual record within a table, rather than setting a blanket permission for the whole table

• Restrictions to tables must be explicitly set by administrators. If no Record Level Security has been specified, then all records in a table are accessible

• Note that Security in Microsoft Axapta is controlled by the permission system in the base package. Therefore, users will only be permitted the maximum access to data that is allowed by their user group setup in the core permission system.

Benefit statement:

Record Level Security works in addition to the standard permission system withinMicrosoft Axapta, and allows greater flexibility in setting permissions.

Key Question:

• Can you control security options for employees that only need to view and edit a subset of your business data, such as individual customer, project, vendor or employee accounts?

COM Clients

Component Object Model (COM) technology is a Microsoft standard that can act asan interface between applications, even if they use different programminglanguages. Microsoft Axapta is fully COM-enabled. External applications can use aMicrosoft Axapta COM client to access the functionality of Microsoft Axapta or toexchange application data and business information with the solution.

Microsoft Axapta requires one COM client in order to use the Microsoft AxaptaEnterprise Portal Framework with a single role. One additional COM client isrequired for each additional Microsoft Axapta Enterprise Portal role. Some MicrosoftAxapta Enterprise Portal Roles may also require more COM clients, based on thenumber of users (see Microsoft Axapta Enterprise Portal Roles).

In addition, external applications can use a COM client to interface with MicrosoftAxapta. For example, Microsoft Excel or Microsoft Word users can access MicrosoftAxapta functionality by using a COM client to handle the data exchange. In the caseof external applications, some extra code will need to be written to have theexternal application access the COM client.

Benefit statement:

COM clients increase the connectivity of your entire business, by unlocking thepower of Microsoft Axapta Enterprise Portal, and by letting Microsoft or third-partyapplications leverage the full functionality of Microsoft Axapta.

Key Questions:

• Do your company's business applications act like remote islands of functionality, with no way of leveraging each other's capabilities?

• Can your company's various business applications connect to and leverage the power of your business solution?

Prerequisite(s): None

Database Log

Microsoft Axapta has its own built-in logging feature, which allows users oradministrators to see when a record was created or last changed, and who changedit. However, this information is only tracked for the last change made to eachrecord. If five users edit a given record, information will only be stored about thefinal edit.

By licensing the Microsoft Axapta Database Log, users and administrators get ahistory of the inserts, updates, renames, and deletes for tables and fields that theychoose within a set of company accounts. The log can track every transaction andchange in the system, or can track only selected tables. Users or administrators canview information about:• Type of change to each selected record, and the old and new values of the record

which has been changed.• The date and time of the change• The user who performed the change

Benefit statement:

The Microsoft Axapta Database Log can give administrators a detailed history ofevery transaction and every change that was made to any record in the system, or aselected set of tables. This improves administrators' oversight of company data.

Key Question:

• Can you view a history of the changes made to your tables and records, including a log of who made each change?

Microsoft Axapta registers concurrent users. It is important to understand thatconcurrent user licenses are different than named user licenses.

All Microsoft Axapta users are created in the system by name. But when customerslicense a certain number of concurrent users, the solution only tracks how manyusers are accessing the system at the same time. That means that a 500-userlicense for Microsoft Axapta can support any number of users, as long as no morethan 500 are accessing the solution at any given moment.

A concurrent user license structure is different than the named user licensestructure that some other business applications use. The named user licensestructure makes customers pay for every user that works with the system, no matterhow often they log in or how long they use system resources.

Microsoft Axapta Concurrent Users

Microsoft Axapta Windows Users

Microsoft Axapta Windows users are usually "power users" who spend all or most oftheir time working with Microsoft Axapta. These users can access complexMicrosoft Axapta functionality through a Microsoft Windows client, while alsoaccessing other Microsoft Windows applications, such as Microsoft Office orMicrosoft Outlook. Microsoft Office and Microsoft Outlook functionality can actuallybe embedded in Microsoft Axapta user interface screens as well.

Whether your employees are accessing Microsoft Axapta through a thin or richclient, they will see the same interface and will have access to the samefunctionality. See the Microsoft Axapta Application Object Server (AOS) section formore information on two-tier and three-tier architecture, and thin and rich clienttechnology.

Prerequisite(s): None

Microsoft Axapta Enterprise Portal Web Users

Microsoft Axapta Enterprise Portal Web Users can be thought of as "casual" users. These users access Microsoft Axapta through a Web browser for occasional workwith the solution. They are given a customizable, user-centric and task-orientedinterface that delivers only the functionality required by their role, and most tasksare accomplished using wizards. Because of the Web browser interface, these userscan utilize Microsoft Axapta Enterprise Portal to access the solution at any time, from anywhere in the world.

It is common for a company to license a number of Microsoft Axapta Windowsusers, who work with the system often, and also a number of Microsoft AxaptaEnterprise Portal Web users, who can work inside or outside the company groundsand who access the solution less frequently.See Microsoft Axapta Enterprise Portal Roles for more information about MicrosoftAxapta Enterprise Portal Web Users.

Key Question:

• Do you have employees that need to work with Microsoft Axapta from remote locations, where they may only have access to a Web browser?

• Do all your employees need to access all Microsoft Axapta functionality all the time, or does it make more sense to deliver a limited subset of functionality to casual users based on their role?

Prerequisite(s): Enterprise Portal Framework

Microsoft Axapta can be implemented with any of the languages in the below list. The first language is free, as part of the Microsoft Axapta Base Package. MicrosoftAxapta allows two options for dealing with additional languages. The first option isto license additional languages, and the second is to install but not licenseadditional languages.

By licensing additional languages, each user on the system is given the option ofpresenting the Microsoft Axapta user interface, the online help, forms, reports andmenus in any of the licensed languages. Licensed languages can also be used inprinted reports, invoices, purchase and sales orders and other business documents, and by remote users in Microsoft Axapta Enterprise Portal interfaces.

By merely installing additional languages at no license cost, users can view andprint reports in any of the installed languages, but the user interface must bechosen from the list of languages which have been licensed.

Note that even more languages than these may be available from VARs or MicrosoftCertified Business Solutions Partners.

Benefit statement:

By licensing additional languages, you can spread the power of Microsoft Axaptaout internationally, to subsidiary offices in other language zones, and also tocustomers, vendors and other business partners who speak different languages.

Key Questions:

• Can you support users that prefer to use different languages in their daily job?• Can you print and send business documents to customers and business partners

in any of their preferred languages?

SBUS Layer Runtime

Chosen partners that participate in the Microsoft Axapta add-on program candevelop customized vertical or horizontal solutions or modules that use the BUSlayer. If you want to implement such a BUS layer solution, you can choose to licenseonly the BUS layer runtime needed to execute the partner-developed solution, without licensing the entire MorphX development suite. This saves some expense, but the BUS layer runtime without the MorphX development suite will not allow youto make additional modifications to the partner-developed solution.

Key Question:

• Do you want to license a Microsoft Business Solutions-approved add-on module, without using X++, MorphX and Web development for future customizations?

Prerequisite(s): None
