Information Management & Technology VicRoads End User Services Remote Access User Guide - Partners October 2016 This document applies to VicRoads Partners. It provides instructions on how to remotely access the VicRoads network. To prepare to connect remotely you need: An internet connection Internet Browser – Explorer is preferred To have registered for Multi Factor Authentication A mobile or Smart Phone (to receive your verification code) A VicRoads laptop, desktop or SurfacePro. This will allow you to access the VicRoads corporate network; including email, calendar, intranet and corporate folders. 1. Remote Access User Guide - PartnersOctober 2016

This document applies to VicRoads Partners. It provides instructions on how to remotely access the VicRoads network.

To prepare to connect remotely you need:

An internet connection Internet Browser – Explorer is preferred To have registered for Multi Factor Authentication A mobile or Smart Phone (to receive your verification code) A VicRoads laptop, desktop or SurfacePro. This will allow you to access the VicRoads corporate

network; including email, calendar, intranet and corporate folders.

2. Remote Access via VPN (ongoing)

1. REGISTER FOR MULTI FACTOR AUTHENTICATION (ONCE OFF)

This is the first and most important step in turning on Remote Access

Review and accept Terms and Conditions

To register provide Username – normal VicRoads LAN ID Password – normal VicRoads LAN password

You will be given two methods to receive your notification. Select Text Message

In the drop down menu change the country code from United States to Australia Enter your mobile number This is the phone you want the verification code sent to Click on Text Me Now to Authenticate.

You will receive a text with your verification code similar to the below

Enter the Verification code your receive on your mobile into the One-Time Passcode field and select Authenticate

Congratulations! Your Multi-Factor Authentication registration is now complete!

2a –REMOTE ACCESS via VPN (Ongoing)

Go to https://vpn.vicroads.vic.gov.au/partner

You will see the below screen

Once the Host has been verified you will be prompted to login to the VPN portal using your normal VicRoads login details

Username – normal VicRoads LAN ID Password – normal VicRoads LAN password

Click Always

Use your normal VicRoads LAN login details

When logging in make sure you have your mobile handy so you can receive your Verification code

You will receive a text with your verification code similar to the below

Enter the Verification code you receive via text in the Response box and select Sign in

The below progress screens will appear while the host checker is loading

The Network Connect pop up box which will appear once the connection is complete. Click Hide to minimize.

The VPN landing page contains quick links to Vnet, the VicRoads website and Real Time Traffic information.

Minimise the window to go to your desktop and start working as per normal

3a - CHANGE PHONE

Select this option to change the mobile number your verification code is sent to.

Click on Change Phone.

Type in the mobile number. Click Save.

3b –ACTIVATE THE MOBILE APP

iPhone - Go to the App store download the “Azure Authenticator” app to your mobile.

Android - Go to Play Store on your mobile and search for “Azure Authenticator”.

iPhone AndroidInstall/Download the App. Once downloaded the steps are the same to activate the App on both Anroid and iPhone

Click on Ok to accept notification iPhone Users will be asked to Add an Account

On your phone you will be asked to scan a code. Scan the QR code that appears on the MFA portal page on your computer.

Once the code is saved the mobile app activation will be successful.

3c –USE THE MOBILE APP

Ensure Mobile App is listed as the preferred method

You will receive a notification and then be directed to the approval screen in the App

Click on Approve:

NOTE: Ensure Push Notifications are turned ON, by checking your phone settings

If you no longer want to use your Mobile App. Deactivate it by Login to MFA portal https://amfa.vicroads.vic.gov.au/multifactorauth/login.aspx Go to Activate Mobile App Click on Deactive to remove the required device
