Background• The requirements of the Public Records Act 2005 (PRA) create a

compelling event over the next 2 years for government agencies to implement new or upgrade their existing document management systems.

• Under the Public Records Act, all public offices and local authorities are required to create and maintain full and accurate records in accordance with normal, prudent business practice. They must also be accessible over time.

• Departments and agencies are required to have a framework and plan for implementing the act by 2008. Independent audits of agencies recordkeeping practices will commence in 2010 and take place every 5-10 years.

• Microsoft Office SharePoint will enable Public Sector agencies to meet the requirements of a PRA compliant document management system.

PRA Kick Start Pack• Microsoft New Zealand is currently undertaking work to provide a “Kick Start

Pack” that will be made available to our customers and partners.  • The purpose of the kick start pack is to enable customers to ensure they have

the correct people, processes and systems in place to be able provide a PRA compliant solution using Microsoft Office SharePoint Server.

 • The Kick Start pack will provide frameworks, guidance, samples & examples

including:

• Pre Deployment Processes (Business Analyst Guide , Decision Trees . . .)• Prescriptive Project Guidance• Definition of types of roles needed during the design, deployment and

ongoing use of the system.• NZ/PRA focussed versions of infrastructure Deployment Guides• Code Examples e.g. Aggregated Reporting, Folder and Item cut off. 

• This work is scheduled for completion in October ‘07.

Aim: To give government agencies the chance to address their business challenges by developing proof-of-concept prototypes using MS and MS partner expertise.

Terms:Funding is available bi-annually to G2006 licensed government agencies, however MS partners are often very involved in this process for these customers.A Steering Committee assess each application against a list of criteria (see website).Successful applicants must be prepared to talk publicly about their project.Upon completion of the project, the IP is packaged and can be shared freely with other government agencies.

Deployment Funding

Aim: To assist government agencies in deploying the latest Microsoft technologies.

Funds:Funding is available up to the value of $150,000, however this money cannot be used to buy hardware or licensing, design, configure or implement non-MS products or subsidise MS Premier Support Agreements.

Terms:Funding is available four times per year and must be used within a year of allocation.
