Minutes of Hotspots meeting held on 09.07.2008 at 8.30 a.m.at the Conference hall

The meeting was chaired by Mr.S.Rangarajah, Chief Secretary, NPC.

Attendance attached.

Matters discussed and decisions taken.

1) Assumption of duty by the Hon.Governor, NPChief Secretary informed that the newly appointed Governor for NP has

already assumed duties and is awaiting completion of infrastructure in

Varothaya Nagar complex to function from here.

2) Matters to be discussed with Hon.GovernorsChief Secretary wanted to know from Secretaries and HoDs details of matters

to be discussed with the former and the present Governor of NP.

3) Governors office, Northern Province Varothaya NagarSince the Hon.Governor has decided to locate his office in Varothaya Nagar

complex and to function from this office from 7th August 2008, the following

matters have to be attended to urgently:-

Required construction work, roads, water and electricity supplyincluding security lighting have to be attended to on a priority basis.

Generator supply to be provided in the event of power failure /interruption

Internal decor of Governors office will be attended to by Sec to theGovernor Action by:-Sec.to the Governor

Furniture and office equipment required will be procured by Sec to theGovernor Action by:-Sec.to the Governor

Communication facilities 2 CDMA phones and intercom extensionswith direct dialing facilities for the Hon. Governor and the Sec. to the

Governor to be provided. DCS/F to write to Sri Lanka Telecom and

arrange for CDMA phones. He will also write to Dialog GSM to

strengthen signal in Varothaya Nagar area.

D/Buildings to arrange for installation of additional card for theintercom to provide extensions to Governors office

Video Conferencing facility also to be provided.Action by:-DCS/PPA

All procurements for the Governors office will go through the Sec. tothe Governor, Sec/ISD will assist in procurements

Staff Details - Details of all Head Quarters staff to be given to the Sec.to the Governor by DCS/PPA on CDs. List of casual employees to be

given separately by DCS/F on CDs.

Opening ceremony of Governors office

Invitations, seating arrangements, public address system etc. to beorganized by the Sec. to the Governor. PPA will assist.

4) Documents called for by General AuditD/Industries was directed to furnish documents called for without further

delay.

5) Board of SurveyHealth, Buildings and PPSC to expedite their board of survey work and

submit reports without delay.

6) Office accommodation for Indigenous Medicine sectorS/H was directed to sort out the problem.

7) Vacating portion of NEIAP QuartersPart of the ground floor of the NEIAP quarters used as stores by Education to

be cleared and kept ready for allocation as quarters.

8) Servicing of VehiclesQuotations to be submitted to TEC and Tender Board for recommendations.

Action by:-S/IFD

9) Girls hostel No. 253, Dockyard Road, TrincomaleeNPC to take over the above building as successor to NEPC. DCS/PPA will

take over and get tenancy agreement suitably amended. Chief Secretary/EPC

to be kept informed.

D/B to give an estimate of essential repairs to be carried out to the hostel and

DCS/PPA to get the consent of the owner to recover the expended sum from

rent payable.

10)House occupied by PDHSTo be negotiated by PPA with the owner to continue tenancy.

11)Procurement of medical equipment for Vavuniya hospitalPDHS to seek tender board approval for procurement.

12)Opening of Ayurvedic dispensary in NPC complexChief Secretary said that an Ayurvedic dispensary will be opened on 09.07.08

at 11.45 a.m. in the complex to cater to the NPC staff. This will be functioningon weekdays from 12.00 noon to 2.00 p.m. He invited Secretaries and HoDs to

participate in the opening.
