eneral Description

1General Description

User AuthenticationThe User Authentication is a function to use devices under the management of a Windows® server. Users must be authenticated before using the functions of the machine (copying, faxing, scanning, and printing). The supported authentication protocol is NTLM v2 and Kerberos v5.

Users• Users log in to the device using their Windows account (user name and password).

System administrator• The system administrator can manage user accounts by using the Windows server.• User authentication can be set independently for each function (copying, faxing, scanning, and

printing).The Job Tracking function allows the system administrator to receive the machine usage log and the send/receive log via Email. The Email sent to the system administrator includes the name of the device user, destination, communication time, and the image of the document that was sent or received.

NTLM authentication is a user authentication protocol used in the Windows NT®*4 family of operating systems.NTLM uses a challenge/response method, and the password is encrypted when sending across the network. In Windows 2000, this protocol can also be used to maintain compatibility between client and server.Kerberos is a user authentication protocol that enhances the security by using cryptosystem.

Job TrackingThe following jobs can be tracked with this function.1. Fax Transmission and Reception via PSTN2. Email Transmission to an Internet Fax or a PC3. Reception from an Internet Fax or a PC

When the Job Tracking function is enabled, the following functions are not available.- On-Hook Dialling- Fax ForwardFor details, refer to the Operating Instructions (For Facsimile and Internet Fax) of provided CD-ROM.If the system administrator cannot receive the Job Tracking logs, check both the network settings and the connection of the LAN cable.

eneral Description

RightFax ServerBy enabling the RightFax® Server function, all faxes are sent via the RightFax server. All the Fax logs can be easily managed by a single server.When using it with the User Authentication function, it will increase the security by controlling the usage and identifying the users.

• The fax document to be sent is passed to the RightFax server via Email.• A user who sends a fax from a device can receive a send confirmation report on the PC from the

RightFax server.

When the RightFax function is enabled, the following functions are not available.- Password Transmission- Deferred Polling- Sub-Address Transmission- LAN Relay Transmission- Polling- Fax Cover Sheet- Direct TransmissionThe document(s) is always stored into memory when sending the document(s).For details, refer to the Operating Instructions (For Facsimile and Internet Fax) of provided CD-ROM.RightFax Ver. 8.0 or later is required.

2Using Machine

Login Procedure (Using Copy/Fax/Scanner/Printer)Users must enter the login name and password before using any devices which have the User Authentication function enabled. Authentication is performed using the user’s Windows account.

When using the User Authentication for the first time, refer to Setting Machine (See pages 12 to 28).The system administrator should set up the User Authentication function.

1 The login screen appears if User Authentication is enabled.

User Authentication can be set independently for each function (copying, faxing, scanning, and printing).If User Authentication is disabled for the function, the Control Panel displays the standby message.The login screen appears only when a function that requires authentication is selected.

2 Select “User ID”, and enter your user name (up to 40 characters), and then select “OK”.The user name is NOT case-sensitive.

Ex: panauser

3 Select “Password”, and enter your password (up to 40 characters), and then select “OK”.The password is case-sensitive.

4 Select “Domain”, and confirm the domain name, and then select “OK”.

Ex: pana01

5 Select “OK” to start the authentication process.

6 This completes the authentication.

After completing the authentication, you can use the selected function (copying, faxing, scanning, or printing).

Press the Reset key twice to log out from the authentication.

If the authentication fails, one of the following messages will appear.

Authentication is cancelled if no operation is performed on the machine within a certain period of time after authentication is completed. In this case, you need to perform User Authentication again before using the machine. The system administrator can specify the ID Timeout Period. For details, refer to ID Timeout Setting (see page 17) and Auto Reset Time Setting (see page 19).The system administrator can specify whether authentication is required independently for each function (copying, faxing, scanning, and printing). For details, refer to Authentication Setting (see page 12).

Message Explanation

Authentication Failed

The login failed.Check your user name and password.Check whether the date and time are set properly.

Logon Attempts Exceeded

The system has been locked because the permitted number of log-on attempts has been exceeded. Please contact the system administrator.

Connection Failed

Unable to connect to the authentication server. Please contact the system administrator.

Protocol Error Unable to connect to the authentication server. Please contact the system administrator.

Server not Found

Unable to locate the authentication server.Check whether the DNS domain name is set properly (See page 15).Check whether the Internet Parameters are set properly.• TCP/IP Address• TCP/IP Subnet Mask• TCP/IP Default Gateway• DNS Server Addresses

Sending a Document via RightFaxWhen the RightFax server is used to send a fax, the following details are entered in the recipient (To) field and sender (From) field.

Using the RightFax function requires the configuration of RightFax server. Refer to RightFax Server Setting (see page 27).

3 Enter the telephone number of the destination using the Keypad.

Ex: 55555 (Manual Dialling)

Manual input of telephone number is not available when “136 Restrict Direct Dial” is set to “Valid” in Function Parameters (Fax/Email Settings > Fax Parameters).When “137 Re-enter Direct Dial” is set to “Valid” in Function Parameters (Fax/Email Settings > Fax Parameters), enter the fax number twice for manual dialling. For more details, refer to Fax/Email Settings in the Operating Instructions (For Function Parameters) of provided CD-ROM.

4 Select “Enter Name”.

5 Enter the recipient’s name, and then select “OK”. (Up to 15 characters)

6 Select “OK”.

7 Press the Start key.

When the machine does not have connection to G3 PSTN, all G3 transmissions are executed through RightFax server as Emails.When the machine has connection to G3 PSTN, only Auto Receive is possible through PSTN.Whether User Authentication through Windows server can be used or not depends on the settings of the machine.Because of the direct connection of PSTN to the machine, getting outside calls is possible.However, manual communications are prohibited.Password transmission is not available if the RightFax server setting is set to “Valid”.

Authentication SettingThe system administrator can enable/disable the User Authentication for each function (copying, faxing, scanning, and printing).

1 Press the Function key.

2 Select “General Settings”.

3 Select “5-9” tab, and then select “09 Key Operator Mode”.

4 Enter the Key Operator password (8 digits), and then select “OK”.

The default password is “00000000”.To change the password, select “80 Key Operator Password” in the General Settings (Key Operator Mode), and then enter the new password.

5 Select “40 - 59” tab, and scroll the screen, and then select “45 User Authentication”.

“46 ID Timeout”, “47 Logon Attempts”, and “48 Lockout Time” are displayed only when “45 User Authentication” is set.1 2

6 Select the function where authentication is required, and then select “OK”.

The Sender Selection function is not available if the User Authentication is set for the Fax function.For details, refer to Fax Parameters in the Operating Instructions (For Function Parameters) of provided CD-ROM.

7 Select “On” to use authentication or “Off” to disable authentication, and then select “OK”.

When User Authentication is enabled for the first time, you also need to specify the time zone, system administrator’s name, and system administrator’s password.

8 Select or to specify the time zone, and then select “OK”.

9 Enter the system administrator name, and then select “OK”.

Ex: panasonic

10 Enter the system administrator password, and then select “OK”.

Ex: pana

The administrator name and password set here are required in the subsequent setup operations (See page 31). Keep them in a safe place.

Copy Select “Copy”.

Fax Select “Fax”.

Print Select “Print”.

Scan Select “Scan”.

Off Disables authentication.

On Enables authentication.

11 The function selection screen appears (return to step 6).To continue with the setup, select the function, and select “On” or “Off”, and then select “OK”.

6 Select the number (“No. 00” to “No. 09”).

You can set up to 10 domain names.

7 Select the authentication method, and then select “OK”.

To select “Kerberos” for the authentication method, set “01 General (03 DNS)” to “Yes” in Network Settings (Key Operator Mode).

8 Enter the domain name or realm name.When “NTLM” or “Clr Text” is selectedEnter the NT domain name (NetBIOS name), and then select “OK”. (Up to 15 characters)

Enter the DNS domain name, and then select “OK”. (Up to 60 characters)

Select “On” to use SSL or “Off” to disable SSL, and then select “OK”.

ID Timeout SettingIf the ID Timeout setting is set to “Auto Rst”, authentication is cancelled if no operation is performed on the machine for a specified time period after performing authentication. The ID Timeout period can be set in Auto Reset Time Setting on page 19.

Before performing this setup, you first need to set “45 User Authentication” (See page 12).

Auto Rst An authenticated user will be logged out if no operation is performed on the machine for a specified time period after performing authentication.

Log-on Attempts SettingThis sets the permitted number of log-on attempts.The system is locked if the permitted number of log-on attempts is exceeded during the User Authentication.

Before performing this setup, you first need to set “45 User Authentication” (See page 12).

Lockout Time SettingThis sets the time period (minutes) for the system lockout when the permitted number of log-on attempts is exceeded during the User Authentication. Wait for the Lockout Time period to lapse before you are permitted to log on to User Authentication.

Before performing this setup, you first need to set “45 User Authentication” (See page 12).

Job Tracking SettingThis enables or disables Job Tracking. If Job Tracking is enabled, set the type of log to record, and the Email address to which the log is to be sent.

Before performing this setup, you first need to register the destination Email address for the log in the Address Book.Furthermore, change the setting of “54 Fax Forward” (Fax/Email Settings > Fax Parameters) to “Invalid”.Set the POP Parameters to receive Emails automatically when using the Job Tracking function. Otherwise, your machine cannot receive any Emails.Make sure that the Fax Parameters are NOT set as below.Auto POP Receive (Fax Parameter No. 147) : InvalidPOP Timer (Fax Parameter No. 146) : 0 minuteThe Job Tracking setting is enabled when “Fax” and/or “Scan” is selected in the Authentication setting (See page 12).

5 Select “01 Fax Parameters”.

6 Select “120 - 159” tab, and scroll the screen, and then select “131 Job Tracking”.

Each Fax Parameter can be directly selected by inputting the corresponding number with the Keypad for quick operation.If you know the parameter number, enter the number with the Keypad, and then press the Start key.Ex: Enter “132” with the Keypad, and then

press the Start key to select “132 Via Fax Server”.

7 Select the Job Tracking function, and then select “OK”.

8 Select the Email address to which to send the log, and then select “OK”.

9 Select the print out method for the received document(s), and then select “OK”.This screen only appears if “Rx” or “Tx & Rx” is selected in step 7.

10 Press the Reset key to return to standby.

RightFax Server SettingThis enables or disables the RightFax server.

Password transmission is not available if the RightFax server setting is set to “Valid”.When the User Authentication function is enabled, you must log in to the machine to change settings.See the following sections for details about how to log in.

- Administrator Login on page 29 for logging in as the system administrator.- Login Procedure (Using Copy/Fax/Scanner/Printer) on page 8 for logging in as a user.The machine will generate the Email address in the format shown below, and then send the Email to the RightFax server.

Ex: “Ifax=5551212/name=Jane/”<[email protected]>

To change the Email address of the RightFax server, set “35 Fax Server Mail Address” (Fax/Email Settings > User Parameters).This setting is displayed only when the RightFax server setting is set to “Valid”.

Each Fax Parameter can be directly selected by inputting the corresponding number with the Keypad for quick operation.If you know the parameter number, enter the number with the Keypad, and then press the Start key.

Ex: Enter “132” with the Keypad, and then press the Start key to select “132 Via Fax Server”.

7 Select “Valid” to attach a cover sheet, and then select “OK”.

8 Enter an Email address of the RightFax server, and then select “OK”.(Up to 60 characters)

9 Select “Close”.

10 Press the Reset key to return to standby.

Administrator LoginThis confirms the system administrator who manages the Panasonic machine. After logging in to the machine, the system administrator can set up the Authentication function.In case of network trouble, the administrator can log in using the Local Machine domain without being authenticated through the network.

Administrator Name and PasswordThe user name and password for the system administrator can be set in Authentication Setting on page 12 when User Authentication is enabled for the first time. Use the following procedure if you subsequently wish to change the system administrator name or password.

1 Press the Function key.

2 Select “General Settings”.

3 Select “5-9” tab, and then select “09 Key Operator Mode”.

4 Enter the Key Operator password (8 digits), and then select “OK”.

The default password is “00000000”.To change the password, select “80 Key Operator Password” in the General Settings (Key Operator Mode), and then enter the new password.

5 Select “40 - 59” tab, and scroll the screen, and then select “49 Administrator Name”.

6 Enter the system administrator name (up to 40 characters), and then select “OK”.The name is NOT case-sensitive.
