1 Introduction to Document

This document gives an overview of the Starnet – IdRelay integration with regards to automatic sync of AD groups and Dynamic Distribution lists.

2 Audience

The intended audience for this document is primarily IT or system administrators (business and IT).

3 Description of ServiceIdRelay is an external service used for sending internal newsletters. Recipient lists are fetched from AD and Exchange on a daily basis. Which groups and lists to export from NCC and import to IdRelay is decided by the business and specified in a specific file. Each night, a scheduled job will read the txt-files and export all recipients for these groups to .csv files that are imported by/ pushed to IdRelay.

Newsletters are set up in IdRelay. If newsletters should be available for subscription in Starnet, they are tagged specifically and automatically available for users.

4 Components

The solution consists of the following components

Fileshare \\CMNFS02\starlightshare$\sendlists Contains files for import and export.

IdRelay portal www.idrelay.com Online portal. Individual logins apply.

newsletters.ncc.se Newsletter RSS feed

Starnet NCC intranet News for newsletters are published from Starnet. Newsletters can be made available for Starnet subscription.

Scheduled jobs on Starnet will import subscriber sendlists from IdRelay and also export recipients to IdRelay on a daily basis.

Scheduled jobs:IdRelay – Import sendouts and categoriesIdRelay – Export sendlists and recipients.

Starnet will also fetch lists of AD distribution lists and their recipients from the Fileshare and push to IdRelay.

4.1 Fileshare

The fileshare is located at \\CMNFS02\starlightshare$\sendlists.

The following files are of importance:

This file is manually updated with all lists that should be imported. All lists must exist in IdRelay to be mapped/imported correctly.

Dyndist.csv Exported recipients from DDL to be imported to IdRelay

7 Recipient List Management

There are three ways to populate recipient lists in IdRelay: automatic import/sync with AD/Exchange, manual import (of Excel file) or via subscription on Starnet.

7.1 Automatic (system) import

All recipient lists that should be imported is manually specified in the files at the Fileshare (see description in section above). The same lists must be set up in IdRelay as well for the import to work properly. Lists are set up in IdRelay as follows:

1. The name of the list must match the name of DL to be imported2. Select country folder3. The same name with an initial “-“ (dash) must be entered in Tagging field.

7.2 Manual import of recipients

To manually import a list of recipients in IdRelay, perform the following steps.

1. Make an Excel list with recipients – make sure the file has a column with email addresses and name the column email

2. Find the list to import to3. Click Import recipients button4. Select file and click continue

7.3 Starnet subscription lists

7.3.1 IdRelay configuration

Some lists are available in Starnet for subscriptions. These lists can be named freely, but must use the following configuration:

1. Name2. Folder3. Tagging: SUBSCRIPTION_SENDLIST

A scheduled job in Starnet, IdRelay – Import sendouts and categories, will import these lists for Starnet availability.

7.3.2 Starnet configuration

All recipient lists in IdRelay with the tagging SUBSCRIPTION_SENDLIST will be imported to Starnet daily. In Starnet – perform the following steps to make a list available for subscription:

1. Verify the list is available in IdRelay and properly configured with name, country folder and tagging.2. Find the Starnet page where subscriptions are available3. Click the tab Newssubscriptions4. Select values accordingly, see example for Norway and Internal Newsletters for Norway:

Newsletters for Norway will now be available in Starnet for user subscription. A scheduled job, IdRelay – Export sendlists and recipients – will export recipients to IdRelay.

8 Distribution List Management

The business decides which AD Groups and Distribution Lists that should be imported to IdRelay.

All Groups and Lists should then be entered manually to the txt-files in the Fileshare. The recipients will then be automatically exported and imported based on those values.

Lists must also be set up in IdRelay matching the exact names of lists in AD.
