Nebraska MCC Relief Sale Board Meeting September 16, 2018 Page 1 of 2 The Nebraska MCC Relief Sale Board met on September 16, at the home of Frank and Joy Steckly. Present were, Brent Buller, Frank Steckly, Gordon and Rhonda Brubacher, John Quiring, Steve Kyser, Marge and Will Swartzendruber, Tom and Marlene Swartzendruber and Jim Zehr. Beth Miller and Cloy Roth and new member Doyle Roth were unable to attend the meeting. Doyle is the representative from Milford Mennonite. His Address is 668 252nd Milford NE 68405 Phone 402-641-0266. Frank welcomed the group to his home. Brent called the meeting to order. It was moved and seconded to forgo the reading of the March 24 after sale meeting minutes, members having reviewed them before the meeting and approving the minutes as printed. All in favor. Treasurers report was as follows check book balance $10,838.07. Sale proceeds sent to MCC $191,403.00. Golf tournament netted $3,720.64. It was moved and seconded to approve the report as given. Tom suggested we raise the credit card usage fee to 4 or 5 percent. This year we lost $17.00 from the usage of the cards. Tom will check with Lucas if we purchased the machine to do the credit card transfers or it was loaned by the bank. Brent called for nominations for Chairman, and Vice chairman. Jim Zehr was nominated Chairman, and Frank Steckly, vice chairman, the board approved both nominations. The Board then discussed changes to the board members duty list. It was decided that Rhonda should look into a design option (after logo/brand is chosen) and cost to present at the October meeting, working toward to have a magnet available for distribution by the January meeting. A lengthy discussion was held on changing the logo and name for our sale. Perhaps it is time to Brand our sale as the Nebraska Mennonite Relief Sale. Thoughts were that Mennonite is a more visible and known than MCC. There is also another MCC sale held in Aurora. Steve moved and Marge seconded to Brand our event as Nebraska Mennonite Relief Sale. Motion carried.

The Nebraska MCC Relief Sale Board met on September 16, at the home of Frank and Joy Steckly. Present were, Brent Buller, Frank Steckly, Gordon and Rhonda Brubacher, John Quiring, Steve Kyser, Marge and Will Swartzendruber, Tom and Marlene Swartzendruber and Jim Zehr. Beth Miller and Cloy Roth and new member Doyle Roth were unable to attend the meeting. Doyle is the representative from Milford Mennonite. Brent called the meeting to order. It was moved and seconded to forgo the reading of the March 24 after sale meeting minutes, members having reviewed them before the meeting and approving the minutes as printed. All in favor.

Treasurers report was as follows check book balance $10,838.07. Sale proceeds sent to MCC

$191,403.00. Golf tournament netted $3,720.64. It was moved and seconded to approve the report as given.

Tom suggested we raise the credit card usage fee to 4 or 5 percent. This year we lost $17.00 from the usage of the cards. Tom will check with Lucas if we purchased the machine to do the credit card transfers or it was loaned by the bank.

Brent called for nominations for Chairman, and Vice chairman. Jim Zehr was nominated Chairman, and Frank Steckly, vice chairman, the board approved both nominations.

The Board then discussed changes to the board members duty list.

We will be adding grant writing as an assignment. John Quiring will take that responsibility. The list will be revised to reflect the changes and be emailed to the Board.

Following much discussion on publicity, it was moved and approved to have Gary Buller fill that position. At the October meeting Gary will present the Board a detailed list of the duties he will complete as publicity Chair, Web master, including Face book, etc, posters, and other printed items.

Becky Buller will again help with the printing of the (sale) quilt guide.

The Board discussed the value of the ads printed in the Country Register, Discover Mid America, and Farm and Ranch Network. These ads cost $448.00 per year. Would there be other quilt magazines that would be more valuable and bring in more persons. What about giving posters to other Peace Churches.

Next year will be the 40th Nebraska sale. Sale date is April 5-6, 2019. Discussion was held on which printed items are most effective. Posters, brochures, business cards, quilt cards. The Board also agreed to have Sondra Buller work on a new logo/brand and present options to the Board at the October meeting. The Board was encouraged to look on line at how other sales have branded their sale.

It was also brought to the board to make vinyl signs for each of the booths. These would incorporate the new logo/brand. No action was taken.

Discussion was held on how to encourage the Soup Supper committee to continue to make the same amount of soup for the supper. They reported they had several roasters of soup left over. They also need to be prepared with clean containers for that soup. Last years soup was sold on auction for $1500.00, which is good return for their donation.

Churches are reminded to purchase school supplies for school kits. Each church needs to add 24 #2 pencils and 16 metal pencil sharpeners. Frank handed out papers to board members of a website where the pencil sharpeners can be purchased.

The Secretary reminded the board to update names and addresses and email of any new congregation contacts and committee chairpersons. Give that information to the Secretary as soon as possible.

Discussion was held on how we can recognize the 40th Sale.

The board members met at 4:00 pm , as the auction continued, to discuss the 2018 sale. It was agreed to forgo the reading of last year’s minutes.

The treasurer reported a current Sale total of $172,000 as of 4 pm. Credit card usage was available this year. ( Sunday Information… there were 38 credit card transactions totaling $10,715.09.) 10% of those with a bidding number paid with a credit card. .

Penny Buller reported that they were down about 20 bidder numbers. There were some transmission problems using the IPad for sales in the Kids Pizza booth. It was reported that the Friday evening auction was slow and they had a hard time getting bids. It was felt that some items did not fetch the donor value. The crowd was also smaller. Saturday the donated football tickets went extremely well.

Frank Steckly said that the soup supper served 150-175 fewer persons. They had a lot of soup left over and sold it Friday evening. Come comments on the soup were, Chili was too sweet, could hot sauce be available, and the vegetable beef soup had too much beef.

Kids corner went well.

With adding pens, and pencil sharpeners to the school kits they will re allocate items to the churches. Changes will be posted on the web site.

Cloy Roth reported that the pork sandwiches and Soft ice cream did not have a joint booth. It was felt there was not enough room for both in the ice cream spot. They had enough help but needed to be scheduled better. Beemer will do the pork sandwiches again next year. The Zernike noon meal served about the same number of meals.

Dick Penner who makes the Chicken and Pork loin dinners would have liked to be notified about the change in the meal price. We all realize that communication can be improved. After speaking with him they came to an understanding. Meals served were down 50-60.

The bookkeeping crew, were grateful for the way the fair board, telephone company and electricians worked to get things hooked up and ready for the sale this year.

10,000 villages had a change in delivery locations but all worked out. They will send the sale a 10% total of their sales. This is the agreement set up with them.

There were comments that there were no business cards announcing next year’s sale date. Also some kind of hand out would have been used by some before the sale.

Brent talked to Gary about making access to information more user friendly on the web site.

Doyle Hostetler reported that the craft booth did fine. Some items were sold on the auction.

Maynard Knepp from Central States MCC Newton arrived and reported a current sale total of $180,000. He expressed his thanks for all the time and efforts put in at our sale, for the donations made to help MCC do their job. Tina Schrag from the Newton office also attended the sale but did not attend the meeting. His answer to the question of what their administrative costs are was 7%-18% of donations. This does not include the 3-4 million dollars of material donations. We talked about how to make others aware of our sale and our mission. Maynard offered Anna Yoder head of social media in their office as a contact for us. He also invites a board member to go to Haiti with MCC the second week of September to see firsthand where our dollars go.

Rhonda Brubacher said there 2/3 of a box of programs and a few maps left over after the sale. Some suggestion from the suggestion box were, have the MCC Dove Pins available (Maynard said they are available), and have yardstick made for the 40th sale. Some thought is would have been good to have the price change of the meals posted on the web site before the sale.

Music began at 4:00 pm but may have been a little early. Very few people were sitting and listening. Perhaps 5:00 would be a better time. Rhonda would also like more Mennonite groups performing. Perhaps a youth group singing praise songs. Perhaps a choir could be formed to sing next year. Offering collected was $178.00.

Marlene has t-shirts and one sweatshirt available for board members to wear. Long sleeve t-shirt Size L, short sleeve t-shirt XL, Sweatshirt XL, Short sleeve T-shirt XXL. Shirts could be made by the t-shirt booth if we do not have your size

Gordon Brubacher complimented John for the articles placed in the Lincoln and GI newspapers.

Steve Kyser, Golf : Lee Thieszen had a stroke and his son Wade is willing to fill in of the golf planning committee. Is that ok with the board?

John Quiring: the t-shirt booth went well, there were perhaps fewer shirts sold each of the past 3-4 years. Shall we do a special 40th sale T- Shirt for 2019? Perhaps our logo or the original sale logo. Shall we do a 100 years of MCC shirt for 2020?

JayDee Janzen, There were few supply problems. He will continue to look for compostable table service. It was suggested he needs a helper.

He commented of behalf of Wendy for the quilts that they will again have quilts gathered ahead of time. It made taking pictures and hanging the quilts much more efficient. Quilts were ready to view by 11:00 am Friday.

Salem will take the ice cream machine for the year. Salem will pay $100. If your church would like to use it, contact Will or Marge Swartzendruber. There will be a $25.00 rental fee paid to the sale for its use. Transportation is your responsibility. The machine shall be used on the church property.

Jim Engelker : After numerous years on the MCC Board, I am retiring from the board. Jean and I have served on the board somewhere around 12 – 15 years. It has been a great experience helping with the Annual MCC Relief Sale.

In addition, the Julesburg Mennonite Church has decided not to send a representative to the MCC Board at this time. The time required, between 3.0 and 4.0 hours one way plus the meeting time. Trying to find someone within our congregation willing to commit is almost nonexistent at this time. It would have greatly improved our participation if we could have used technology to attend these meetings.

I believe the Kids Auction did very well with about 60 item resulting in $1,700.00.

Jean and I would like to thank Auctioneer Bob and his wife for supporting the Kids Auction.

This will be the last year that Jean will manage the Kids Auction. A replacement will be required for the 2019 MCC Sale.

Jean and I will be willing to be the point of contact for the Julesburg Mennonite Church and will have items put in our church bulletin or collect items that we can to the sale.

For future reference, THE RELIEF SALE WILL BE THE FIRST WEEK END OF APRIL UNLESS EASTER FALLS ON THAT WEEKEND. IN THAT CASE THE SALE WILL BE HELD THE WEEKEND PRIOR TO EASTER. In this way we will not compete with the Kansas Sale.

A big thank you to Jim and Jean Engelker for the all the years that they have driven across the state to attend meetings and the sale. Thanks and blessings to you for your participation and help.

The next meeting will be held in _______________on September 19, 2018. The purpose of the meeting is to discuss publicity, and begin plans for the 40th Nebraska Relief Sale. Agenda will follow.

January 14, 2018 Salem Mennonite Church, Shickley, Nebraska The following board members attended the January 14, meeting in Shickley. Beth Miller, Frank Steckley, Steve Kyser, Marge Swartzendruber, Doyle Hostetler, Brent Buller, Cloy Roth, Jim Zehr, Rhonda Brubacher, John Quiring. Also attending, Lucas Swartzendruber Marlene Swartzendruber, Will Swartzendruber and Kelly Kliewer. Absent Jim Engelker Marlene welcomed the group to Shickley. Brent opened with prayer. Marlene read the October 29 minutes. John moved and Steve seconded to approve the minutes as read. All were in favor. Lucas gave the treasurers report in Tom’s absence. Checking account balance is $11,636.29. Steve moved and Beth seconded to accept the treasurers report. All approved. Marge Swartzendruber is the new representative from the Salem Church. Brent gave each member an information sheet of what need to be done for advertizing. There was a lengthy discussion on the need for a publicity person. John has agreed to do several of the duties that are needed at this time. He will apply for the Hamilton County visitor’s grant. We wondered if it was time to hire someone to do the advertizing. Lucas offered to check with Katelyn Dumas from the Heartland Bank, to give us an estimate of the cost of hiring her to do the publicity for the sale. If she does not work out Marge will check with Val Anderson from Shickley. We all felt it was time for a change. We plan to do fewer printed items, keeping the posters, and do more on face book and other social media. Wendy Janzen, and Becky Buller will put the sale guide together. Pictures are needed for the web page and other advertizing. Steve Kyser will help with setting up for the sale as the Concessions Coordinator. Brent will also be there to help. Due to school activities in Henderson, Tara and Brent Swartzendruber will need more help this year with the printing and selling of the T-shirts. Joy Steckley is willing to help on Saturday. Will and Marge displayed the t-shirt designs that were sent in. The board agreed on two designs, suggesting one for this year and one for next year. John and Frank will work with Tara to get the design made. Lucas had checked out the Farr building at the fairgrounds and found there is a dedicated phone line available in the treasurers office. A card machine will cost $400. He wants to talk to Penny and Ron before going further. The board agreed to keep the same auction schedule again this year. Kelly voiced that he is not in favor of stopping the craft auction during the lunch hour. It is a good time for someone to “get a bargain”.

Brent gave us all the quilt information from Wendy. This is to be given to the person in charge of quilts at your church. This year Wendy would like to have the quilts in her possession by March 10, to take pictures and get information for the sale guide. Pets at the sale were once again discussed. Frank moved and Steve seconded to have a no pet zone at the Nebraska MCC Relief Sale. All were in favor. Rhonda will check to see if there is a group from her Church (First Mennonite Lincoln) that would be willing to run the ice cream booth this year. The music will begin at 4:00 pm on Friday night at the sale. The group donating the sound system would like to set up on Thursday evening. Arrangements will be made for them. Brent will ask Ron Buller to be in charge of the keys at the sale this year. If you know of anyone interested in catching bids at the sale contact Kelly Kliewer. Churches are reminded to bring their items for the school kits to the sale. We are planning on donating 150 kits this year. The list of the needed items are on the sale web site. nebraskamccsale.org Arlo Friesen and family will again do the janitorial duties this year. Steve will contact him. The water quilt is available to display in the churches from now until the sale. It will begin in Beatrice. Brent reported that Orie does not need a bigger freezer for priced foods. Rhonda volunteered to make a bulletin insert this month. Kelly shared that he had attended the Upland California sale. He enjoyed their uniqueness. Kelly also shared that Les Gustafson-Zook enjoyed his visit to our sale and expressed we have a fun sale! Let’s keep it fun! Out next meeting will be held February 18, 2018 at the Bethesda Mennonite Church in Henderson. The board meeting will begin at 2:00 PM. Committee Chairs and Congregation Contacts to join us at 4:00 PM. We need to encourage our Chairpersons and Congregation Contacts to attend. It is at this meeting that we can address questions they may have and give out the final information before the Sale. Sale date March 23-24. October 29, 2017 Beatrice Mennonite Church The following board members attended the October 29th meeting in Beatrice. Beth Miller, Frank Steckley, Steve Kyser, Doyle Hostetler, Brent Buller, Jim Engelker, Cloy Roth, Jim Zehr, Rhonda Brubacher, John Quiring. Also attending, Lucas, Tom and Marlene Swartzendruber, and Ron & Penny Buller. Absent were a representative from Salem and East Fairview. Steve moved and Beth seconded to suspend with the reading of the April 1, 2017 meeting minutes. All were in favor. Tom presented the treasurers report. Checking account balance is $11,647.64. Proceeds from the Golf tournament totaled $2,576.03. Tom reported one unpaid purchase from the sale. Cloy moved and Jim seconded to accept the treasurers report. All approved. Dee Goertzen wrote a letter to Tom resigning from the treasurers department due to declining health, and reported that Frank Steckley will be replacing Dee on the board. Welcome Frank. All approved. Discussion was held on the need of a publicity person. Check in your congregation to see if there would be someone to fill that position. Brent gave each member an, information sheet of what need to be done. Notify Brent if you have an available person or persons. Brent reserved the water quilt to display at the sale and prior to the sale in the churches. He will give it to Wendy Janzen to display. Updated 10-30-17 Board member assignments were reviewed. Frank will fill in Dee’s assignments. If you need help with anything, call CLOY. Brent will talk with Kelly Kliewer, about and changes needed in the auctioning area. The half hour late start seemed to go well. There is still concern about the low numbers in the seats when lunch is served. Do we need to shut down for 30 minutes? It was felt that recycling and compost-able plates, cups and bowls worked well. The bowls did get a little soggy. There was a cost increase of $500-$600 for those items. Lucas presented information to the board on the costs and usage of credit cards for payment at the sale. Penny added information on how the payments could be handled with the accounting department. She suggested charging card users the fee charged to the sale, indicating this fee on the receipt. Steve moved and Doyle seconded to approve the

usage of credit cards at future sales. Lucas will work with Beth Miller and Ron Buller on further details. Is a bigger freezer needed for priced foods? Brent will ask Orie about the needs and report back to the board. A design for the 2018 t-shirt is needed soon. Frank and John will check with the printing company for guidelines for the designs. Several names of persons who may be interested in designing were given to John. Beth checked with Newton MCC for a theme for the next year. MCC discontinued selecting a theme. It was suggested that a theme design and a generic relief sale design should be considered. Up dated 10-31-17 Tom mentioned that we need to fill out a form 13, for tax exemption for the t-shirts. Frank and Beth moved and seconded to increase the price of the ice cream bars to $3.00 and pop to $2.00. All approved. Beth will make magnetic signs for Craft auction- check in, and Treasurers office- bidding numbers. Rhonda wondered about starting the music on Friday evening earlier, and add one or two more singers/groups. She was given several suggestions of groups to contact. Marlene will sent a bulletin announcement to the churches with several items, Publicity chair needed, a group to operate the soft serve ice cream machine, items needed for the Craft booth, The Kids corner co-chairs, Lisa Hendrickson and Sheryl Piening-Keller will continue this year. Updated 10-31-17 The next meeting will be held in Shickley at 2:00 pm at the Salem Mennonite Church 820 Road V, From Hwy 81 go 4 miles west on hwy 74, turn south (left) on Road 9 and go 2 miles south. Board members,

Attached is the 2017 Relief Sale financial report and comparison chart. Tom is now ready to send the sale proceeds to MCC. Check sent to MCC totaled $173,092.75.

If someone has one or two 2017 Sale guides I could use them for our records.

As I look over the April 1 minutes there are a few things I feel we should be keeping in our minds and perhaps be working on before the October meeting.

MCC Relief Sale 2017 Minutes

April 1, 2017

The after sale meeting was called to order by Brent Buller. He welcomed Les Gustafson-Zook of MCC. Les reminded us that he attends many relief sales and that we can contact him about what works with other sales. He appreciates our leadership for such a successful sale in Nebraska. The MCC Hub website has info from the relief sale workshops held at Conrad Grebel a year ago.

Jim Zehr & Gordon Brubacher had to leave before the meeting.

A thank you was expressed to Arlo Friesen, the custodian, for his help.

Craft Booth:

(Doyle Hostetler) Hand embroidered items / wall hangings sold well. About half of the books sold, the rest will go the Etc-etera. The Craft Corner closed at 1 pm and the rest of items will go to etc-etera.

Priced Foods:

We received a shipment of food items from the Indiana Sale (meat, canned items, 400 lbs of pretzels.) We had cheese / pork, etc. to sell. Helpers reported that they could use bigger freezers, but they got by.

Breakfast:

(Will Swartzendruber) There were likely not as many people at the breakfast this year. The composting worked well with 2 trash cans (one for garbage and one for composting) and 2 “gate keepers” to make sure items got in the right bins. The Verenika meal decided to compost their meal as well. There were a lot of positive comments about recycling. Plastic bottle recycling bins were not overly used. Next year we should have one right beside every trash bin. Soup bowls became a bit soft quickly although we used Chinet bowls, which are the most compost-able and best quality.

Advertising:

(Kathryn Goertzen) Committee reports from this year’s sale should not go to publicity, but should go to Marlene. Marlene will see that they get to Gary for getting on the website.

Quilt Books: Number of Quilt books were just about right. (Approx. 40 left over.) This will be Kathryn’s’s last year for publicity, but she has a suggestion of someone who would be interested in taking it over.

Technology / WiFi:

( Penny) There is a lull of about 30 – 35 minutes during the craft auction when things don’t sell for very much. (This is during lunch time at about 11 – 11:30 am when there are only about 20 -24 persons at that time.) We don’t want to make theauction go longer, but it is disappointing during this lull for those who donated. We might consider taking a ½ hour break during that time.

Penny said that It would be beneficial to have others than her and her husband trained and involved -- for the future and just in case there is an emergency.

By Sunday morning prices will be on the website of what was donated and how much they brought. Penny & Gary work late Saturday night to make sure that totals are listed so it can be announced in churches on Sunday if they wish.

Penny thought it would be nice to make an announcement from the stand to thank the folk volunteering their time at the various booths.There are usually very few errors collecting and counting money. People are very honest about what they need to pay.

Auctioneer

( Mark Kliewer) Bidding prices were low for the quilts. The new auctioneer stands were nice to have, because they are so sturdy. It would help to have a couple more auctioneers in the future.

Some complained that the Art Auction didn’t start at 10 as advertised in the booklet (It should have had 10:30 a.m.). Brent mentioned that if something is listed at a certain time, we will never start before that time, but it may start later than the advertised time due to circumstances.

Quilts:

(Wendy Janzen) There were 117 quilts donated.

Quilts did not sell as well this year. Wendy is thinking about making a poster that entails what is involved in making a quilt to encourage higher bids. There were a lot of larger beautiful quilts, and many of the quilts were of exceptional quality.

Some were sent from or were bought in PA. Deadline next year will be March 1st to have a quilt in the booklet. There were only 9 that didn’t make it into the booklet this year.

This year Wendy put up some “Do Not Enter” tape to block off the quilt area before it was open to the public and this helpedkeep people from entering. There was also a sign for no food, drinks or pets. We are one of the few sales who don’t put plastic over our quilts.

Wendy said there were a lot of comments about missing the information tags on the quilts so she will work on putting the individual descriptions on the quilts next year.

Purchasing:

JD will check if Pepsi can sell us some of their recycling containers. We can get more of the white ones. Will wondered if we could educate people to take the lids off bottles and put lids only in garbage. Maybe put a blurb about our recycling effort in the booklet next year. We ran out of plastic spoons, otherwise, everyone had everything they needed. We are still using up our leftover Styrofoam containers and cups. We will continue to use the Styrofoam take-out containers. Plates andbowls are all now paper. JD will continue to check for bio-degradable tableware. Les mentioned that MCC welcomes our using eco-friendly tableware even if it costs more.

The trailer has a minor leak in the roof which will be hopefully repaired by Highway Tailor in Henderson. Cracks for mice getting in is no longer a problem.

Finances:

(Dee Goertzen & Lucas Swartzendruber) This was Lucas’ first year working with sale finances and he thought all went well.

Lauralee Kauffman wants to know if our board would consider renting our quilt display in June to take to Iowa for a rest home fund-raiser and have the Iowa MCC board folk come see it there to possibly replicate it. After discussion, it was decided that we could take pictures of the rack for Iowa to see, but it would be too complicated to rent it out.

Could we begin using credit cards at the sale? Ron / Penny / Tom/ Lucas to credit cards.

Information Booth:

(Rhonda Brubacher) The booth was re-painted this year by Dave Wiebe. Gordon & Rhonda donated a 1st Aid Kit to the booth which was thankfully not needed. There were approximately 30 Quilt Booklets left-over. Approximately 20 map/schedule sheets were handed out.

Music program:

People seemed to enjoy the new acts of Tim Amor and Elaine Peacock. Numbers may have been down. It was suggested

that it could start earlier next year. Choral music would be nice, but may not work so well for sound. Rhonda will continue to explore different individuals or groups.

Soup Supper:

(Croy Roth) We had 45 pies left over, but they go to priced foods and get sold. Suggested that the ice cream bars be raised to $3. Pop should be $2. Noted to make it an agenda item next fall to look over current prices and make sure that they are consistent.

Janitorial:

(Steve Kyser) Called Arlo Friesen over a month ago to check about services for the bathrooms. There was a complaint that toilet paper was out, but it was just that the extra role needed to be slid out. The Arlo Friesen family works at the sale as custodians for bathrooms, trash and locking up on a volunteer basis. Brent suggested that he let Marlene know to send thank you notes to the Friesen family. If anyone on the board has someone they want to thank, they should let Marlene know so that it comes as an official thank you from the board.

Kids Corner:

(Dee Goertzen) We ran out of pencils for the kits. All the kits will be checked at the resource center. Magnetic signs – JD will put them on the trailer to store. Needed signs for next year: “Craft Auction check-in” for the east door and “Bidder Numbers/Treasurer”. Let Dee know if they need any other signs.

It was suggested that we have a check in sheet for churches to mark when they bring items to the sale such as school kits / pies/ bread, etc.

Craft Auction:

(Brent Buller) Very nice items were donated this year. It started at 8:30 instead of 8 a.m. and things sold very well from the beginning. Timing went well so he suggested that we keep it the same (see notes above re: lull at 11:00). Maybe add some meat in the a.m. auction for those who can’t stay until the end.

Set-up: Help was light on Thursday. Needed more people, especially those who know what is going on. There were some challenges, especially since Concession Coordinators were new (Larry Nitcsche – who couldn’t be there, so Jim Zehr came instead). Those there didn’t have much information re: how to set up. Maybe check with Zella to see if she has more information.

It was asked if we have we ever invited Mennonites at Scotia or the Pawnee City/ Ewing Amish. JD said we have but they were not interested.

Next meeting with be in October at Beatrice 1st Mennonite for their pre-sale. Future agenda items: website and ability to use credit cards to pay.

14 Board members attend the meeting, January 22, 2017 at the Milford Mennonite Church. Steve Kyser, Cloy Roth and Madison Farris were not able to attend. Brent opened the meeting with prayer. The minutes were read and approved. The treasurer reported that the Relief Sale account was transferred to the Heartland Bank Shickley Branch on November 14,2016. Checking supplies have been purchased. $200 was sent to Crooked Creek Golf course in Lincoln to reserve the course for the golf tournament. Current balance is $13,973.05. Liability insurance and personal property insurance will be purchased. Jim Zehr moved and Jim Engelker seconded to accept the treasurers report. All approved.

Brent Buller has received some ads for the sale buyers guide. Other ads need to be sent in by March 1. A price list was handed out. Quilt information for the guide needs to be sent in by March 1 as well.

Rhonda Brubacher would like to have permission to repaint the information booth. She has the paint. They will use the information booth as for lost and found items, comment cards, and mug sales. Suggestions for last year indicated that an arrow pointing towards the fairgrounds would be helpful on the road signs. Also adding a current schedule of events on the web site is needed. Three music groups have been asked to sing at the Friday evening program. David Miller, Elaine Peacock, and Wheel of Faith. Rhonda and Gordon are working on revising the map for the sale. New signage was also discussed. They will also purchase a first aide kit to have at the information booth.

Beth Miller is willing to make magnetic signs for the outside of the buildings at the Sale that could be used repeatedly. She has not heard of anyone willing to chair the concessions, set up. Brent is waiting to hear from someone. David Wiebe is willing to help with set up. Kids Korner Chairperson… no information.

John Quiring reported that 10,000 Villages will be at the sale with their items. John, Tara and Kathryn are working on a design for the t-shirt. No theme is available.

Will Swartzendruber, reported that the pork products will again be available with processing in Henderson. He also showed some pictures of how compost-able dinnerware could be handled. Priced foods and Cheese will be ready for the sale.

Jim Zehr asked about the auction times and will we change them. Following discussion the auction will begin at 8:30 am in the Farr building and the quilts at 9:00 am.

Kathryn Goertzen is working on the advertising. She was waiting for times discussed at the meeting to finalize things. She will find out the golf tournament date and Brent will find out if there will be a motorcycle rally.

Doyle Hochstetler reported there will be more quilt space for hanging the quilts since the greenhouse will not be at the sale. Crafts needs more hand stitched things and he would like to see re-purposed items for crafts. He will be ordering the mugs soon. Kathryn offered to pick them up and deliver them to the sale. Jim Engelker wants to remind parents that they must be with their child during the Children's auction. It was mentioned that perhaps the Putt putt golf could be set up for the children as an activity. The game is at the fair grounds in storage.

Dee Goertzen will notify the churches in charge of the soup supper. A list was given to her.

Recycling and compost able food service items. Following discussion Gordon moved that we as a good stewardship action should give JayDee permission to purchase compost-able food service items. Beth seconded the motion. Motion carried.

Gordon moved to create a Recycling committee and recycling coordinator appointing Will Swartzendruber to both positions. Beth seconded the motion. Motion carried.

A policy on pets at the sale was discussed. This discussion will continue at the February meeting. Marlene

will send information to the churches that was discussed.

The next meeting will be February 19th at the Bethesda Mennonite Church the board will meet at 2:00pm and the Congregation contacts and Committee chairpersons will meet at 4:00pm to pick up sale advertising information. Bring along your questions and we will try to help you.

Will Swartzendruber opened the meeting at 2:05 p.m. followed by a devotional and prayer led by Gordon Brubacher. The meeting was held at First Mennonite in Lincoln.

Those attending were Steve Kyser, Kathryn Goertzen, Brent Buller, Will Swartzendruber, Doyle Hostetler, Jim Zehr, Rhonda Brubaker, Kelly Kliewer, Jayde Janzen, Wendy Janzen, Earl and Lori McCullough, Theresa Goertzen, and Glenda Maury.

Secretary’s report was read and approved.

The treasurer’s report was given by Steve Kyser for Lelan. We have a total of $15,734.62.

We are still looking for replacements for Glenda Maury (Secretary), John & Zella Penner, (Concession chairs) T-Shirt booth helpers on Saturday, and an organizer for the Kids Corner. Kelly would like helpers in the ring on Friday and Saturday. (Item holders and ring men) That is a good thing for Junior High and High School kids to volunteer to do. Contact Kelly with volunteers. Leisa Henrichson and Suzanne Nolt and her daughters from Shickley will help in the Kids’ Corner if someone will organize it. We have asked for volunteers. Perhaps we will just have to ask specific people if they will do it. Glenda will contact some possibilities and Will will contact a possibility for Glenda’s position. Someone suggested a bouncy house as a possibility for kids’ entertainment. The Henderson board member will check that out. Board members: Please try to find volunteers from your church to help at the sale!

The Friday night program is in charge of Gordon and Rhonda Brubacher from Lincoln. They have contacted various people and have a good line-up for the entertainment.

Craft Corner: tea towels are good sellers, jewelry made from silverware by the Henderson youth group also sold well.

Churches were reminded to get the items for the school kits to the fairgrounds by 4 p.m. on Friday. Bethesda and Henderson MB are responsible for boxes of colored pencils. They are reminded that these need to be boxes of 12. We would like the school kit items listed on the website.

Doyle ordered 75 mugs for the sale. The first ten are numbered and will be auctioned off.

Beth-el and Bellwood are in charge of the soup supper.

Anna Yoder corresponded with Will, and the MCC office in Newton will make signage for the sale.

Maynard Knepp will bring the signs that will be made.

Quilt cards are on the Website. Those who bring quilts are encouraged to use the cards on the website to submit information on their quilt. These will go directly to the quilt people. The Quilt Committee would like to have the quilts at the sale by 10 a.m. on Friday. It is hard to organize the quilts with people walking through to see them so they will close the area until they can get the quilts displayed. They discourage pets or food in the area. Beth Miller offered to pick up a quilt from the Julesburg Mennonite church if they have one ready at a time she will be in Colorado. Quilts are due in the quilt area by Friday at 10am. The Board asked Cloy to check on the Garden Center for the sale. (Cloy phoned and said we would have a garden spot at the sale.

There will be an MCC rep at the sale this year, it will be Maynard Knepp. We will ask him if he will also do a story time for the children.

The theme for the 2016 MCC Sale will be Relief, Development and Peace in the name of Christ. The theme will be depicted on the t shirts in a tasteful manner. We chose a design that everyone approved of.

No changes for food booth prices were discussed.

We will be having a traveling quilt from the Newton office. It has been sent to us and the churches will have the opportunity to have it in their churches prior to the sale. Please contact Kathryn if your church would like to display it before the sale.

Brent Buller said their church has a sound system that had been used in the youth department. He will get with Kelly and set it up to see how it will work. The auctioneers are providing their own mics.

Tina Schrag said the MCC office will be recognizing alumni workers with MCC at the Sale. Each will receive a sticker and a New Year cookie.

The project for Our Coin Counts will be water. Churches are reminded to not bring their coins, but have their church treasurer write a check and it will be added to the amount.

Churches are asked to donate two items for the Kids Auction. Only children accompanied by a parent will be allowed to bid on these items.

A motion was accepted that the sale board purchase speakers. Cloy will have some brought from Hastings.

The Board voted to compile the sale dates for five years and list in the minutes, sale guide, and website. Vote approved. The following will be the sale dates:

David  Wiebe  opened  the  meeting  at  2:30  p.m.    with  MCC’s  purpose  statement  and  Micah  6:8,  reminding  us  that  while  the  sale  is  a  lot  of  fun,  there  is  a  greater  purpose…blessing  others.    This  year’s  sale  is  March  27  and  28,  2015.   Those  attending  were  David  Wiebe,    Dave  Roth,  Dee  Goertzen,  Lelan  Thieszen,  Brent  Buller,  Earl  McCullough,  Kelly  Kliewer,  Jay  Dee  Janzen,  Will  (Marge)  Swartzendruber,  Cloy  Stutzman,  Steve  Kyser,  Doyle  Hostetler,  Vicki  Hinz-­‐Ensz,  Dan  Kunzman,  Gary  Buller,  Justin  Kyser  &  Adam  from  Digital  Sky,  and  Joy  Steckly  sitting  in  for  Glenda  Maury.   Digital  Sky  had  submitted  a  bid  at  the  last  board  meeting  to  film  this  year’s  sale  and  develop  a  promotional  video  for  next  year’s  use.    Justin  Kyser  and  Adam  from  Digital  Sky  shared  a  video  clip  they  put  together  for  Lincoln  Game  &  Parks,  and  also  raw  footage  they  took  at  the  Lancaster  Event  Center  during  the  home  and  garden  show.    They  demonstrated  the  drone  they  would  use  to  get  the  film  footage  of  the  sale  if  we  decide  to  use  their  services.    They  carry  a  million  dollar  liability  policy.    Their  partner  Grant  does  the  camera  work  and  Justin  navigates  the  drone,  and  Adam  would  capture  the  still  shots.    They  would  only  have  the  drone  up  for  5-­‐7  minutes  at  a  time,  as  the  batteries  only  last  12-­‐15  minutes.    They  can  add  graphics  and  produce  a  1-­‐1  ½  minute  promotional  video,  or  a  5-­‐10  minute  piece  to  keep  rolling  through.    Digital  Sky’s  quote  was  $1,000  and  included  a  1  ½  minute  video  that  they  would  post  to  You  Tube  and  could  be  hosted  on  our  site,  and  also  all  the  raw  footage.     There  was  some  discussion  about  what  we  would  do  with  this  promotional  piece.    Gary  Buller  currently  takes  pictures  of  the  quilts  and  craft  items  and  puts  them  on  the  sale’s  website,  and  is  constantly  updating  things  throughout  the  sale.    The  Digital  Sky  video  would  be  shot  this  year  to  be  available  for  promoting  next  year’s  sale.    Could  it  be  featured  on  MCC’s  website  closer  to  next  year’s  sale?      If  we  used  it  as  a  TV  commercial,  air-­‐time  would  be  an  additional  cost.    Gary  did  a  time-­‐lapse  video  last  year,  and  will  be  doing  this  again  with  better  equipment  this  year.    The  time-­‐lapse  video,  filmed  from  the  start  of  set-­‐up  to  the  clean-­‐up  could  be  shown  in  churches  this  year  to  encourage  attendance  and  drum  up  excitement.    It  was  noted  that  the  drone  could  be  very  distracting  if  used  during  the  sale.    There  was  also  concern  about  flying  the  drone  with  people  in  the  buildings,  and  the  low  clearance  of  the  buildings,  especially  the  quilt  sale  building.   Gary  Buller  does  not  charge  for  his  services,  and  proposes  doing  another  time-­‐lapse  from  set-­‐up  to  clean-­‐up,  filming  video  shots  walking  around  the  sale,  and  taking  still  pictures  of  items.    He  thought  of  panning  the  setup  with  his  drone  after  the  Friday  night  events,  but  someone  commented  that  you  lose  the  connection  when  you  take  people  out  of  the  video.   Cloy  Stutzman  made  a  motion  to  continue  to  discuss  Digital  Sky’s  proposal  for  next  year,  and  let  Gary  do  his  videoing  for  this  year.    Will  Swartzendruber  seconded  the  motion.      In  more  discussion  it  was  mentioned  that  if  we  had  a  clear  purpose  for  the  video,  it  would  be  worth  pursuing.    The  motion    passed.    Vicki  Hinz-­‐Ensz  mentioned  adding  this  proposal  to  the  Hamilton  County  Visitor’s  grant  for  next  year  to  help  defray  expenses.   Vicki  introduced  Dan  Kunzman,  who  is  considering  replacing  her  as  publicity  chair.    She  brought  brochures,  posters  and  post  cards  for  the  churches  to  distribute  and  promote  the  sale.    If  anyone  needs  more,  than  can  contact  Vicki.   There  will  be  no  printed  quilt  cards  this  year.    All  quilt  entries  should  be  entered  online,  either  by  the  donor,  board  member,  or  contact  couples.    Entries  are  due  March  1.    Please  forward  any  pictures  to  Gary  Buller  and  Vicki  Hinz-­‐Ensz  to  display  on  the  website  and  the  sale’s  facebook  page.    Voting  for  the  T-­‐shirts  was  also  done

on  the  website  this  year,  as  Vicki  was  out  of  the  country.    It  worked  very  well,  and  as  of  Sunday  morning  there  were  140  votes.   Brent  Buller  has  been  working  on  the  advertising.    If  you  know  of  anyone  who  has  an  interest  in  advertising  in  the  quilt  guide,  refer  them  to  Brent.    Prices  are  the  same  as  last  year: $600  for  outside  back  cover  ad $400  for  inside  cover  ad $200  for  full  page  ad $100  for  half  page  ad $50  for  quarter  page  ad $25  for  eighth  page  ad   Brent  wondered  about  listing  or  advertising  the  churches  involved  with  the  sale,  including  their  website,  phone  number,  information  on  live-­‐streaming  their  worship  services,  etc.    They  aren’t  currently  listed  anywhere.    Are  ads  needed,  or  could  they  be  listed  on  a  page  with  at  least  their  website  for  this  year?    It  could  be  used  by  people  looking  to  get  involved  in  the  sale  or  one  of  the  churches.    It  was  decided  to  list  them  all  this  year  with  websites,  and  continue  to  discuss  other  information  to  include  in  future  years.   Les  Gustafson-­‐Zook,  North  American  Relief  Sale  Coordinator,  will  be  coming  to  our  sale.    He  sent  some  ideas  that  have  been  tried  at  other  sales  for  our  consideration.    One  of  them  is  attaching  a  “Buy  It  Now”  price  on  the  quilts.    The  value  is  posted  for  everyone  to  see,  and  if  they  can’t  stay  for  the  auction,  they  could  buy  it  on  the  spot  for  the  value  on  the  card.    You  have  to  set  the  bar  high.    It  could  become  subjective,  and  would  you  have  the  donor  or  maker  put  the  value  on  each  item,  or  expect  the  quilt  chair  to  do  it?    How  do  you  appropriately  value  the  quilts?    Since  we  don’t  have  that  many  quilts,  it  was  suggest  doing  absentee  bids  instead.    Wendy  has  been  doing  some  of  this  already.    Kelly  Kliewer  said  some  of  this  has  been  done  on  the  craft  auction  ring  as  well.    It  was  decided  to  let  it  continue  as  it  has  been  this  year,  but  to  keep  visiting  about  it  further,  including  how  to  publicize,  and  developing  a  form  with  required  information.    We  do  not  want  to  pursue  valuing  items  to  let  people  “Buy  It  Now.”   Lelan  Thieszen  gave  the  treasurer’s  report.    There  is  currently  $8,535.22  in  the  checking  account,  and  $4,851.99  in  the  savings  account,  for  a  total  of  $13,387.21.   Kelly  Kliewer  met  with  an  electrician  at  the  4-­‐H  building  on  the  fairgrounds  to  find  a  solution  to  the  electrical  problems  we  experience  during  the  sale,  especially  during  preparation  for  the  soup  supper.    The  local  electrician  gave  a  bid  of  $1,386  to  add  20  outlets  on  the  north  wall  of  the  southeast  room  where  pies  and  breads  are  cut,  with  a  separate  breaker  box.    The  bid  includes  a  10%  discount.    Every  year  the  board  can  specify  where  we  would  like  $500  of  the  rent  money  to  be  applied.    If  the  board  approves  the  bid  today,  it  would  go  to  the  fair  board’s  meeting  on  Thursday  for  their  approval.    The  electrician  said  if  approved  on  Thursday,  the  work  could  be  completed  in  time  for  this  year’s  sale.   Will  Swartzendruber  made  a  motion  to  accept  the  bid  to  do  the  electrical  work  in  the  4-­‐H  building,  and  have  the  board  use  $500  from  2015  and  2016  rent  to  pay  for  most  of  the  work.    That  will  leave  $386  for  the  Hamilton  County  fair  board  to  pay.    Dave  Roth  seconded  the  motion.    The  motion  passed.   Cloy  reported  that  the  green  house  will  not  have  plants  available  this  year,  as  the  plants  are  too  far  behind  due  to  the  earlier  date  of  the  sale.    They  will  furnish  seed  potatoes  and  onions  if  we  have  someone  willing  to  run  the  booth.    We  should  be  able  to  find  someone  to  do  that.

David  Wiebe  opened  the  meeting  at  4:17  p.m.    with  MCC’s  purpose  statement,  reading    Micah  6:8,  and  followed  with  prayer.    This  year’s  sale  is  March  27  and  28,  2015.   UPDATES:   The  Green  House  won’t  be  available  this  year,  except  for  seed  potatoes  and  onions.   The  music  line-­‐up  is  set  for  Friday  evening’s  program,  and  includes  four  returning  musical  groups:                                  Tree-­‐Saw                                New  Beginnings                                                            Highway  58                                Wheel  of  Faith   Vicki  Hinz-­‐Ensz  brought  posters,  post  cards  and  brochures  for  each  of  the  churches  to  take  and  distribute  in  their  communities.    If  anyone  needs  more,  contact  Vicki.    The  business  cards  with  next  year’s  sale  dates  will  only  be  available  at  the  sale  this  year.   Send  pictures  of  crafts  and  quilts  to  Vicki  for  the  sale’s  Facebook  page,  and  to  Gary  Buller  for  the  website.                                Vicki  –  [email protected]                                Gary  –  [email protected]   This  year  the  quilt  guide  will  list  all  the  participating  churches  and  their  websites.   Gary  Buller  said  the  t-­‐shirt  voting  ends  today,  and  was  successfully  hosted  on  the  website  this  year.     Quilts  will  need  to  be  registered  online  this  year.    There  will  be  no  quilt  cards.    This  can  be  done  by  the  quilter,  donor,  or  board  member  or  contact  persons  can  assist  them  by  doing  it.    The  deadline  to  get  the  quilts  listed  in  the  quilt  guide  is  March  10.   Check-­‐in  for  quilts,  crafts  and  priced  food  begins  Friday  morning.    An  official  picture  is  taken  of  each  quilt  and  put  on  the  website  by  Saturday  morning,  and  Gary  updates  the  prices  paid  throughout  the  day  on  the  site.   Check  out  the  website  resource  page  (nebraskamccsale.org).    Minutes  for  board  and  contact  person  meetings  are  posted,  as  well  as  reports  from  last  year,  and  a  form  with  the  cards  to  attach  to  craft  items  are  available  in  the  resource  section,  as  well  as  a  list  of  board  members,  contact  persons,  and  committee  chairs.     Vicki  added  that  when  you’re  checking  out  items  on  the  facebook  page,  anytime  you  “like”  an  item,  it  sends  a  notice  to  your  friends,  so  spread  the  word  and  keep  “liking.”   Jay  Dee  Janzen  reminded  those  with  booths  that  he  will  be  ordering  items  for  the  various  booths  in  the  same  quantity  as  last  year.    If  there  are  any  changes  to  be  made,  please  contact  him  (402-­‐723-­‐5440).   Prices  for  meals  will  stay  the  same  as  last  year.    The  soup  supper  committee  has  decided  to  replace  the  vegetable  beef  soup  with  chicken  noodle  soup  for  2015.   There  is  always  a  shortage  of  ring  helpers,  so  let  Kelly  Kliewer  know  if  you  have  people  interested  in  helping  out  there.

  For  sales  using  bidder  numbers,  last  year  they  experimented  with  using  smart  phones  or  tablets  to  transmit  those  sales  to  the  treasurer’s  office.    It  worked  well  and  sales  were  added  to  the  bidder  numbers  much  quicker.    There’s  no  app  to  download,  they  just  use  Google  Forms.    Gary  encourages  people  to  bring  their  tablets  or  laptops  for  use  in  all  booths  to  increase  the  efficiency  in  reporting  these  sales.    Smart  phones  also  work,  but  larger  screens  are  better.   Several  people  expressed  concern  about  the  designs  on  t-­‐shirts  being  placed  too  high  or  too  far  to  the  side,  and  one  person’s  transfer  came  off.    It  was  suggested  there  should  be  some  testing  and  training  so  transfers  are  placed  appropriately  on  the  t-­‐shirts.   Jim  Zehr  didn’t  have  any  can  wraps  for  the  “My  Coin  Counts”  campaign.    The  name  was  changed  from  Penny  Power  because  Canada  has  done  away  with  their  penny.    Congregations  should  be  able  to  download  or  request  promotional  materials  directly  from  MCC  without  charge.    It  is  best  for  churches  to  collect  the  coins,  and  then  to  send  a  check  to  sale  rather  than  the  coins.    Several  congregations  have  had  success  getting  members  or  businesses  to  match  what  is  collected.      Some  match  a  particular  Sunday’s  receipts,  and  some  match  the  total  received.   Dee  Goertzen  reminded  congregations  to  check  their  responsibilities  for  school  kit  items,  which  are  listed  on  the  website’s  resource  page.   Gary  will  put  the  board  member  responsibilities  on  the  resource  page  as  well.   Meeting  was  adjourned  at  4:41  p.m.   Respectfully  submitted,   Joy  Steckly For  Glenda  Maury

The Nebraska MCC Relief Sale Board met at Bellwood Mennonite Church. David Wiebe welcomed us to the meeting. He asked us if we knew what our purpose was for the MCC sale? We are a blessed people, we need to be of one mind when we work on the Nebraska MCC Relief Sale, and we are called to be peacemakers in a world of conflict.

Those present were: Dave Wiebe, Will Swartzenruber, Doyle Hostetler, Earl (Lori) McCullough, Lelan Thieszen, Teresa Goossen, Brent Swartzenruber, Steve Kyser, Cloy Roth, Joy Steckly for Dee Goertzen, and Glenda Maury. There was a number of our board missing because of prior commitments. All board members will be receiving the minutes.

A report was read from Dee Goertzen regarding the school kits that are assembled. Dee had spoken with the Newton office and they assured her they do check every bag to make sure the correct items are in each school bag and nothing is missing. They do use the bags that make up the kits.

Vicki, our publicity chair sent a report:

• I submitted the Hamilton County Visitors grant proposal on January 7. I submitted it for a total of $4,000, asking for $2,000 (that is the amount they gave us last year)

• I reserved the “Food Traveling Quilt” for our MCC sale. Les Gustafson-Zook from Goshen (North American Relief Sale & My Coins Count Coordinator) will actually be attending our sale and will bring it along and take it back. That is really helpful since we won’t have to arrange for having it shipped here and returned.

• I will be taking the publicity materials to the printer at the end of next week (Jan 23), so they are ready for our Feb 15 meeting. If there are any changes in events, times, or locations that need to be changed in the brochures or posters, please let me know so I can make those changes before taking information to the printer.

• I have not received responses to my call for any pics or information from any congregation contacts yet. I did receive an email from Matt Troyer-Miller about a “Certificate of Slumber” that will be available at the auction.

• I have not received any t-shirt designs. I know it has been in our bulletin for the last 2 Sundays, and I would assume that it has been in all the church bulletins. I did mess up with getting the plea out on Facebook – I should have had that out when it was in the bulletin – somehow I was thinking about just putting them up for a vote when I got them, but I should have also put the plea out there earlier (it is on there now, but wasn’t earlier). Can we give them a little longer to submit it or what does the t-shirt chair want to do? T-Shirt designs should be submitted by January 31 to Vicki Hinz-Ensz. Her email is [email protected] Churches: please make note of this in your bulletins! Congregational contacts should make an effort to be sure this note is in your bulletin.

• I have attached a publicity proposal (it is actually a proposal for next year’s advertising but needs to be made at this year’s sale). It is a proposal to create a digital video from this year’s sale (taken by drone photography during the sale) and then we can make it available to churches, online, etc., for advertising for the 2016 sale. The proposal comes from “Digital Sky” and one of the owners is a young man from our church, Justin Kyser. One of the positive things about a

person like him doing this is that it will be done by someone who is familiar with the MCC sale – he has attended as a kid most of his life! They do really good work and I would urge you to go check out some of their work at their website. We have cut back on our publishing of materials (brochures, quilt books, business cards), so we would have some money from that which could possibly be put toward this proposal, plus if we would get the Hamilton County grant, perhaps that could be used for this (if I would have had this proposal before I submitted the grant, I could have included that.) Anyway, it is up to the board, but I thought it would be good to discuss it and maybe make that decision at this meeting. (I have also put his email at the bottom of this email so you can read more of the detail.)

Here is the email from Justin that details a little more information about the digital advertising proposal:

We would likely come the main day of the sale with our equipment, capture the footage we need to make the video. If we could get any MCC Logo's that you would like included in the video that would be great! We would also need you to help coordinate the indoor part of the filming. We don't want to disrupt the actual auction with the drone, but we want people to actually be in the buildings, so we would just need to send it up between items for a few minutes with the intention of making it look like things were being sold. We would also need an announcement to be made that people shouldn't look directly at the camera, and that they should act normal and "pretend that they are participating in an auction."

We would then take handheld cameras and get some other footage of the sale, and can put all of it to music, or it can have a narration with music in the background.

We would want to get footage from all the buildings, and will film outside as well.

Included, we will get some photographs that you can use to put up on the website.

The cost is $1,000 and it is suggested that Justin attend our next meeting on February 15, to answer any questions. Gary Buller, the webmaster for the Nebraska MCC Relief Sale site, is also invited to the meeting as the board would like to make this a joint project. The board will work on a policy for drone usage at the sale. After considerable discussion it was decided that a motion be made by Steve and seconded by Will that we would table the drone issue and discuss it at the next meeting.

• Finally, I would like to ask the board to find a replacement for me as publicity chair. I will, of course, do it for this year, but would like to have the board find a replacement for me who could start after the sale is over. I will have all my files available for the next person and will be glad to answer any questions they might have. Churches and congregational contacts should make note of this in your bulletins. Any interested person will be given a job description of the publicity director and they can work with Vicki for the rest of the sale planning. It will be good on the job training to work with Vicki. It will include responsibility for Facebook publicity, as well as printing and media advertising.

A motion by Teresa was made that the sale will be advertised and consistently called Nebraska MCC Relief Sale. Second to motion by Will. The name was discussed at length and it was decided it is pertinent that MCC is always in the name. Motion passed.

Kids Korner was discussed and Earl McCullough may have someone who is willing to have this responsibility. Jennifer Roth did an excellent job for the past several years and Cloy will ask her if she will share her notebook of ideas with Amber Koehler. Thanks to Amber for being willing to be used in this capacity!

Dave Wiebe will be coordinating the Friday Evening Program. He is looking for volunteers to sing. He can be reached at [email protected] or [email protected] The time for the program will be at 7:00 pm on Friday of the sale weekend.

The actual sale will begin on Friday night with the Soup Supper being served by East Fairview and Bellwood Mennonite Churches, March 27 and continue on Saturday, March 28. Help is needed to set up on Thursday at 8:00 am, Friday at 8:00 am, and clean up on Monday at 8:00 am.

Board members are encouraged to reach out to businesses in your community to ask for donations for the Nebraska MCC Relief Sale.

Penny Power is being renamed as MY COINS COUNT. Canada has stopped circulating pennies and it is hard to promote a program of Penny Power when there are no longer pennies! A new web page is being built with supporting material and MCC has secured rights to trademark the name. Wrappers, jug wrappers and posters are being made using that name. Please begin using this name immediately.

• The Nebraska Mennonite MCC Relief Sale Board met at First Mennonite Church, Beatrice, NE. David Wiebe welcomed us to the meeting.

• Dave shared the Good Samaritan story with us and reminded us to share with those we come in contact with in our daily lives and also with those at the MCC Sale. Dave told us that MCC helps in over 70 countries of the world, and we have a part in it!

• Board members present were Dave Wiebe, Earl McCullough, Jim Engelker, Dee Goertzen, Dave Roth, Cloy Roth, Steve Kyser, Doyle Hostetler, Brent Buller, Lelan Thieszen, and Glenda Maury. Also present was Gary Buller.

• Before we started our meeting, Gary Buller, webmaster for the Nebraska Mennonite Relief Sale share a summary of things to help us all when we are defining the Relief Sale to others. He asked that when we pass a resolution or make a policy change, we highlight that in the minutes, so they can be accessed better. We should use the terms “congregational contacts and sale guides” consistently. Gary will work on a policy book where big picture decisions are approved and recorded for reference by new board members and volunteers in the future.

• There are quilt forms to fill out on the website for donated quilts. Those forms will go to Wendy Janzen and also to Gary Buller. Eventually, we will have more forms on the website that can be used when bringing items to the sale.

• Gary has purchased Adobe Creative Cloud, and the board recommends that the treasurer reimburse Gary $300 a year to cover the cost. That also includes coverage of the domain name. Motion by Jim Engelker and second by Dave Roth, motion carried.

• Glenda read the minutes from the after the sale meeting and Lelan gave the treasurers report. The treasurer’s report said there is $13,216.26 overall total. ($8366.75 in the checking and $4849.51 in the savings accounts) Our next meeting will be January 18, for board members only, at Bellwood in Milford, at 2:00 pm.

• Cloy said that Marvin Roth is not sure he will be able to have his garden center at the Sale this year because of the early date of the sale.

• School kit reminders are given to each church. Congregational contacts should inform their churches what they are responsible for.

• Cloy said that Jen Roth will not be doing the Kids Korner this next year. The next chairperson may contact her for ideas. Church bulletins should include this need in their bulletins and an interested person may contact Cloy Roth at [email protected]

• Vickie Heinz-Enz will apply for the tourism grant in January. Since we are using email and the website for most of our communications, our printing costs have dropped significantly. If someone knows a need that could be included in the dollar request for the tourism grant, please contact Vicki at [email protected]

• The theme for the 2015 sale will be “Growing Together in Christ.” Please have your t-shirt designs to Vickie by January 15. Posters will be given out at the Congregational Contact and Chairperson meeting in the February 15 meeting at Beth-El church in Milford.

• iPads have been used with great success to record sales. Each booth is encouraged to provide one for use during the sale. Software will be provided.

• The quilt auction would like more space to handle and move the quilts during the actual sale.

• Amounts of food for the soup supper should be similar to past years. Leftover food brings in good amounts that are sold at the end of the sale. Let JD Janzen know as soon as possible how much of each item you will be using so he can order accordingly. He can be reached at 402-723-5440, [email protected]

The Nebraska MCC Relief Sale Board met at Bethesda Church, Henderson, NE on January 26th.

The meeting started at 3:30. Jeff Peters opened the meeting and shared a devotional.

Present were Cloy Roth, Dave Wiebe, Teresa Goossen, Vicki Hinz-Enz, John Thimm, Connie

Treasurer’s report read by Lelan. Total bank account is $18, 671.36.

The Beatrice Mini Auction netted $22,900. Amish Quilt Tops are being purchased from a shop

in PA and then quilted for the sale, with some of the proceeds from the Mini Auction. They will

be good quality and will bring good variety to our sale.

MCC was granted the tourism grant for $1500, from the Visitor Fund for the 2013 Sale. Vicki

applied for 2014 Sale. All publicity packets are ready for distribution.

Gary Buller visited with us regarding the website. The format will remain the same. Forms are

on the website for the sale for quilt and auction items. Be sure to check the forms to see what

your church may need. Dates are on the website for the 2014 sale. There is a disclaimer on the

website as to the legality of quilts being sold. That should cover the quilt sales as to patterns of

the quilts. We would like to stress that all pictures be sent to Gary Buller at the web site or to

Vicki on Facebook. The more pictures we have, the more interesting the sites will be.

Wendy has new bulletin inserts. Quilt information is due by March 1 for the quilt book. Our

sale’s logo is “Striving for Peace: Piece by Piece.” She would welcome help with the quilts.

John Thimm talked about term limits. Each church needs to be sure to always have a board

member appointed so all churches keep up with everything about the sale; otherwise the

current board member should stay on until a replacement is found. Jeff Peters made the

motion to accept this proposal, seconded by Dave Wiebe. Motion passed. We will add this to

the By-laws.

John Thimm will be replaced by Steve Kyser. We will wait until after the sale to appoint a new

chairperson.

Cloy Roth will visit with Kyle Roth and Lewis Miller to ask if they would appoint a board

member.

Set up for the sale will be Thursday; clean-up will be Monday.

The Nebraska MCC Relief Sale Board met at The First Mennonite Church in Beatrice, on October 20th. The meeting started at 2:30. John Thimm opened the meeting and a devotional was read by him on being thankful.

Present were John Thimm, Connie Hollie, Dave Roth, Will Swartzenruber, Dee Goertzen, Dave Wiebe, Lelan Thieszen, Kelly and Henry Kliewer, Vicki Heinz-Enz, and Glenda Maury. Not present were Cloy Roth, Jeff Peters, Teresa Goossen and Chuck Snader.

Glenda read the minutes of the September 8, 2013, sale meeting.

Treasurer’s report read by Lelan. Total bank account is $18,683.49.

The Beatrice Mini Auction will be held tonight, October 20, 2013. Everyone is invited to stay.

Lelan would like an assistant in the Treasurer’s Office on Sale Day. We are grateful to Dee Goertzen for accepting that responsibility. She will line up people to help count the money and make the deposit. This was the position that Dave Schlegel had filled before his death.

Vicki reported that Maynard Knepp will be coming to the sale this year. The theme for this year will be “Sharing God’s Compassion-Piece by Piece to Peace.” We are looking for designs for sweatshirts. Designs should be given to Vicki or any board member and they will be sent to Vicki. Her address is: [email protected] Motion to accept this theme by Connie, seconded by Will, Motion carried. Vicki will send information to Gary Buller for the website regarding the Peace Quilt that will be on display at the sale.

Our new contract has been signed with the Hamilton County Sale Grounds and is good for five years. Kelly Kliewer is our liaison. There is a 10% increase in the rental agreement. Our agreement states that the sale will be on the first weekend in April unless Easter falls on that date, then it will be the weekend before, which is the last weekend in March. A copy of the lease agreement was given to all board members. Motion to accept by John Thimm, seconded by Dave Roth. Motion carried.

The sound system was discussed. We are not sure what the Ag Society will do, if they will be providing the sound system or not. Kelly will stay on top of this issue.

We would like to stress that all pictures be sent to Gary Buller at the web site or to Vicki on Facebook. The more pictures we have, the more interesting the sites will be.

10,000 Villages will be at the sale. They will come from Lincoln.

Kelly will talk with Teresa regarding shelving. The grocery store in Henderson is going out of business and there is a possibility we can buy that shelving.

Les Gustafson Zook sent an email regarding the Light in the Valley Quilt. We must make sure this quilt is not sold at our sale again as it is protected by copyright laws. Wendy Janzen should be aware of that quilt as well as other copyrighted quilts.

The Quilt Guide book will state that the items include Arts and Crafts.

A note was received from Stan and Myrtle Bartels that the requested number of pencils is 1000, and the colored pencils must have 12 in a box. They cannot be used unless they are specific.

Term limits were tabled and will be discussed at our next meeting. A suggestion was made that we go from two 2-year term limits to three 2-year term limits. Would it be just as hard to find replacements? Another suggestion is perhaps a board member can elect to lengthen their term until a replacement can be found for them by their church.

The Nebraska MCC Relief Sale Board met on January 27, 2013, at Bethesda Mennonite Church,

Henderson, NE. Board members present were: Chuck Snader, Lelan Thieszen, Teresa Goossen,

Jeff Peters, Dave Wiebe, John Thimm, Dave Roth, Wes Swartzenruber, Jean Engelker, Vicki

Hinz-Ensz, and Glenda Maury. Absent: Dee Goertzen, Connie Hoille and Cloy Roth

Teresa welcomed us to Henderson and Jeff opened with several verses followed by an opening

prayer. John Thimm thanked everyone for coming.

The minutes of the previous meeting in December were read by Glenda and Lelan gave the

treasurer’s report. He has $8489.08 in the checking account. The proceeds of the mini auction

in Beatrice earned close to $15,000.00. The motor cycle rally brought in $2,359.00. Thanks to

both of those activities for giving a boost to the MCC Sale.

John went over board assignments and that will be sent to board members, contact and

committee chairs.

Maynard Knepp, from Kansas, will be coming this year for our sale. He was a good addition to

our sale last year. Does Jennifer want Maynard to be the Cat at the Children’s Story time? Vicki

will ask Jen if she would like that.

Dave Roth will be ordering the mugs for the upcoming sale. He will ask Audrun Siebert to open

the sale.

Cloy gave his report via Glenda. They are looking forward to bringing the Country Greenery

back to the sale. Along with green plants, they will have seed onions, and potatoes. Cloy is

working on the pastors being greeters. Three have reported they can help. Thanks to Cloy for

working on this project. Jennifer Roth is looking forward to the challenge of providing quality

time for the kids. Cassie Klingenburg has been helpful to her. If there is anyone interested in

helping Jennifer, please contact her.

Connie will be doing the Craft Corner . Thanks to her for putting a lot of time and energy into

that booth. She said that tea towels and pillow cases go well. All craft items are welcome.

Jeff Peters reported on the new trailer that was renovated for the sale. Everything has been

transferred over and is ready for the sale. Jaydee has helped Jeff do the work. If it is ok, the old

trailer will be used for the MCC Meat Canning-to store cans for that project. If no longer

needed, it will be scrapped out.

Priced foods still needs a freezer. If anyone can provide one for the sale, please contact John

Thimm or Jeff Peters. If one is not found, Jeff will look into buying one for the sale. A freezer is

needed by sale goers to put their purchased items in before they go home.

The school kit items are found on the website so churches may shop for those items before the

sale. The churches need to have the items at the sale, so the kids can put the school kits

together.

We discussed signage for the MCC sale to be placed on the corner that turns to the fairgrounds

on sale day. Jeff Peters has worked to create a sign. Thanks to Jeff for doing that. There will be

two new signs and will cost $150. They will be placed in two different locations.

The MCC and Ten Thousand Village relationship with the MCC Sale was discussed. The Kearney

Store will be closing and the sale will help them get rid of some of their inventory. Help is

needed in that booth.

Call Jay Dee if you need anything to be purchased for the sale. Give him head counts on

expected dinners, breakfasts, and lunches.

Vicki has been doing a wonderful job with the publicity. Thanks to Jill for her good reports from

previous years. It is good to be able to pass along information that has been tested and tried.

All publicity items will be given to the churches to take back to their communities.

The bleachers that we always use for the Quilt Auction are no longer available. The city of

Aurora has anchored the bleachers down permanently in their ball fields. It was suggested that

maybe the sale could purchase some for the fair grounds. Kelly will take that to the fair board.

We can use chairs where one set of the bleachers were used.

Helpers are needed to set up for the sale on Thursday at 8:00. All workers are to meet at 8:00

at the gate to go over directions with the fair board as to what the Sale can use and where

things are stored. Jeff Peters will coordinate that meeting.

Jay Dee has fixed the coffee pots that were broken. Thanks to Connie for getting the catalogue

from Hockenburgs. Jay Dee will use it for replacements of special items.

Ideas for T shirt designs are needed. The theme is “Faith in Action.” Please send ideas to Vicki

by February 10. Designs will be placed on Facebook and people will be able to vote for their

favorite design after March 1.

Please have all quilt information in by March 1, to Wendy, so that information can go to Vicki

for the printer for the Quilt Book by March 13. Wendy Janzen is in charge of quilts. Quilt cards

are provided by the contact persons of each church.

The same janitorial services will be used as in the past. We will make posters with numbers we

can use for contacts. John will ask Zella to make that poster.

Dave Wiebe welcomes additional performers for the Friday evening program. Contact him to

register for the performance.

The soup supper will be made by Wood River and Milford Mennonite. Prices will remain the

same as last year for food.

Connie Hoille will be doing the Craft Corner . Thanks to her for putting a lot of time and energy

into that booth. She said that tea towels and pillow cases go well. All craft items are welcome.

Priced foods still needs a freezer. If anyone can provide one for the sale, please contact John

Thimm or Jeff Peters. If one is not found, Jeff will look into buying one for the sale. A freezer is

needed by sale goers to put their purchased items in before they go home.

The school kit items are found on the website so churches may shop for those items before the

sale. The churches need to have the items at the sale, so the kids can put the school kits

together.

Call Jay Dee if you need anything to be purchased for the sale. Give him head counts on

expected dinners, breakfasts, and lunches.

All publicity items were given to the churches to take back to their communities.

The bleachers that we always use for the Quilt Auction are no longer available. The city of

Aurora has anchored the bleachers down permanently in their ball fields. We can use chairs

where one set of the bleachers were used.

Helpers are needed to set up for the sale on Thursday at 8:00. All workers are to meet at 8:00

at the gate to go over directions with the fair board as to what the Sale can use and where

things are stored. Jeff Peters will coordinate that meeting.

Ideas for T shirt designs are needed. The theme is “Faith in Action.” Please send ideas to Vicki

by February 10. Designs will be placed on Facebook and people will be able to vote for their

favorite design after March 1.

Please have all quilt information in by March 1, to Wendy, so that information can go to Vicki

for the printer for the Quilt Book by March 13. Wendy Janzen is in charge of quilts. Quilt cards

are provided by the contact persons of each church.

The same janitorial services will be used as in the past.

Dave Wiebe welcomes additional performers for the Friday evening program. Contact him to

register for the performance.

The soup supper will be made by Wood River and Milford Mennonite. Prices will remain the

same as last year for food.

The Committee Chair and Contact meeting was opened with John Thimm welcoming all of the

Congregational Contact Persons.

Cloy Roth continued with his devotion from Acts reminding us Jesus calls us into service to bring

people to the Lord and minister to them thru the work of the MCC Sale. He closed with prayer.

Dee read the minutes from the MCC Relief sale Board meeting from March 13, 2012 following

the sale.

The inquiry about the possibility of someone having a hamburger stand at the sale was

discussed. There would need to be volunteers willing to be in charge. Churches are welcome to

come up with new vender ideas.

Vicki Hinz-Ensz was introduced to the contact persons.

Leland gave the treasures report. The overall total as of 11-3-2012 is $8,484.36. The golf

tournament grossed $7,300 with a net of $3,438.82. Dennis Peters asked about the motorcycle

run but Lelan did not have that report.

Dave Wiebe is looking for groups to sing on Friday. If anyone knows of someone to sing, let

Dave know.

Cloy Roth felt good about using the pastors as greeters again at the 2013 sale. He will follow up.

John reported on the discussion on the website. The Board decided to leave everything as is.

Churches were reminded to be sure to bring the supplies they are responsible for, to be used

for the school kits. The kids will put the school kits together at sale.

Tara Swartzendruber has agreed to be the T-shirt Chairman.

Cassie Klingenberg will not be able to be the Kids Korner coordinator in 2013. An e-mail will

need to be sent to the churches looking for someone to step up and coordinate the activities.

The signage needs to be change for the MCC sale. Jeff will work on that.

Ten Thousand Villages has become a Preferred Partner with MCC. The Board advertises that all

proceeds go to MCC and the sale does not receive any funds from the purchases at Ten

Thousand Villages. The Board wants to be sure that what we promote is what we do. It was

decided to have a sign by the booth of Ten Thousand Villages stating that any purchases from

Ten Thousand Villages stays with them.

The Nebraska MCC Relief Sale Board met on November 4, 2012, at First Mennonite Church,

Beatrice, NE. Board members present were: Jeff Peters, Teresa Goossen, Dave Roth, Dave

Wiebe, John Thimm, Cloy Roth, Vicki Hinz-Ensz, Will Swartzendruber, Lelan Thieszen, Dee

Goertzen. Also present was Ora Roth. Absent: Chuck Snader, Connie Hollie, Jean Engelker, and

Glenda Maury

Cloy Roth shared a devotion from Acts 1.

Lelan gave the treasurer’s report. To date the overall total is $8,484.36. He also gave the report

from the golf tournament showing a gross of $7,300 and a net of $3,438.82.

Dee read the May 6 Board minutes for Glenda. There were no corrections noted.

Vicki Hinz-Ensz was introduced and welcomed as the new Publicity Chairman. The Board looks

forward to working with her.

Jeff reported Henry Kliewer will not continue as liaison to the fair board. Several names were

suggested. Jeff will follow up.

Tara Swartzendruber has agreed to be the T-Shirt Chairman. Teressa will get a list of board

members that need Board Member t-shirts to Tara for her to order.

Cassie Klingenberg will not be able to coordinate the Kids Korner at the MCC Sale. With a

toddler and newborn, she feels she will be busy enough. She is willing to help with a specific

area (e.g. setting up items for the sale) Cloy Roth had someone he felt would be good in that

position but would need to follow up and report later.

An e-mail from Gary Buller was shared with the Board. Discussion followed with the Board

feeling good communication between Glenda, Gary and Vicki is key to a smooth running

website. Following the discussion, the Board agreed to continue as they have in the past. Vicki

will do the quilt guide and any information she would receive such as pictures would be

forwarded to Gary. The secretary will forward info to the churches.

Jeff reported a trailer had been purchased. He will work on it this winter to change over to the

new trailer. The trailer was purchased for $3,000.

Last year several churches did not have the items for the school kits at the sale for the kids to

pack up. Churches will be reminded to have the items they are responsible for at the sale.

The signage for the MCC Sale needs to be updated. Jeff Peters will work on that change.

Lelan Thieszen read a portion of a letter regarding Ten Thousand Villages. Ten Thousand

Villages has become a preferred partner of MCC. MCC does not receive any funds from Ten

Thousand Villages sales. The sale promotes that all funds go to MCC and the Board wants to be

sure what we promote is what we actually do. It was decided to have a sign by the Ten

Thousand Village booth stating any purchases at Ten Thousand Villages stays with them

Cloy Roth will check with Marvin Roth about the possibility of bringing back the greenhouse to

the MCC sale in 2013.

Discussion on the car show was tabled until a later time.

Cloy Roth felt the idea of using pastors as greeters by the doors worked out well. He will be

responsible for that at the 2013 sale. Glenda will send an e-mail to the churches to let the

pastors know they can help in that area.

Board responsibilities will remain the same with Teressa Goossen in charge of the T Shirt Booth.

John will check with Maynard Knepp to see if he would like to attend the sale again this year.

The next Board meeting will be held Jan 27, 2013, at Bethesda Mennonite Church, Henderson,

NE. at 2 p.m. The congregation contact persons will meet at 4p.m.

The date for the 2013 MCC sale is April 5 & 6.

The Nebraska MCC Relief Sale Board met on May 6, 2012, at Beth-El Mennonite Church,

Milford, NE. Board members present were: Chuck Snader, Lelan Thieszen, Teresa Goossen, Jeff

Peters, Dave Wiebe, John Thimm, Dave Roth, Jean Engelker, Jill Swartzenruber, Dee Goertzen,

and Glenda Maury. Also present was Gary Buller.

Dave Roth opened with several verses from II Corinthians 9:6-8 and Ephesians 2:8-9, followed

by an opening prayer. John Thimm welcomed Dee Goertzen to the MCC Board. Dee replaces

Joy Steckly from Bellwood Church.

Gary Buller shared about the MCC Website. John suggested we try to have better

communication with each other so that the website can be updated on a regular basis. Thanks

to Gary for the work he puts into the website.

The minutes of the After Sale Meeting were read by Glenda and Lelan gave the treasurer’s

report. He went over the report in the sale booklet and did some comparisons over the years.

Lelan thanked everyone for helping to make it a good sale. He said there were 441 bidder

numbers given out. It was decided to send the entire amount of what the sale generated to

MCC now, instead of holding a percentage back. Motion to send by John Thimm, seconded by

Jean Engelker, motion carried.

Jill Swartzenruber reported on the advertising. She won’t be able to carry on with the

Advertising Chair as she has a new job. She has compiled a book with the timeline of her duties

for the sale. A new chairman is needed to begin the new year with us. Anyone interested

should contact a board member. She does not recommend we go with Pioneer Publishing next

year for printing, so the new chair may find a local printer convenient to them.

Jeff Peters said the clean-up went well. Next year there will be a set up meeting at 8:00, before

the sale set up gets started so everyone knows where the things are located that we use for the

sale.

Teresa Goossen will be ordering new boards shirts for anyone who needs one. We need a new

chairman for the T-shirt booth. Please let a board member know if someone would like to take

that position.

We are in need of another 53 foot storage trailer. It will be purchased, but if someone would

like to donate one, that will be accepted as well. It should be rodent free and road worthy.

The school kit items are found on the website so churches may shop for those items they are

responsible for when school supply sales are in progress.

The price for pork processing was discussed. The amount we pay is comparable to other places

that do processing.

We discussed signage for the MCC sale to be placed on the corner that turns to the fairgrounds

on sale day. Jeff Peters will work with someone to create a sign. He will check with Henry

Kliewer to hear his ideas since he is the liaison to the fair board. Henry has suggested that his

son, Dick, may be taking over that spot for him. Jeff will check.

The MCC and Ten Thousand Village relationship with the MCC Sale was discussed. We tabled

this decision until next time so we can all read the draft from April 2012.

The Nebraska MCC Relief Sale Board met following the 33rd Annual Relief Sale 2012, at 3:15. Board members or board member reports were given by: Chuck Snader, Cloy Roth, Lelan Thieszen, Teresa Goossen, Jeff Peters, Joy Steckly, Dave Wiebe, Will Swartzenruber, John Thimm, Dave Roth, Connie Hoile, Jean Engelker, and Glenda Maury.

Invitation to meet with the board was given to Maynard Knepp and JayDee Janzen. JayDee was first to report as Purchasing Agent that he felt the items purchased for each concession was successful. Some items were in surplus but nothing was shorted and we had enough of the items to make it through the sale. He said there is a need to put a plea out for a new storage unit for items that are kept from year to year. Would there be someone in the Nebraska community that would have access to a 53 foot trailer that could be used in the future? Please contact John Thimm or JayDee Janzen if they know of a trailer that may be used. There was a rodent problem this past year and some things had to be destroyed.

Will asked if we had a policy for the ice cream machine. We were reminded the hosting church for the ice cream machine pays $100 to keep it at their church and anyone wanting to use it pays a $25 fee throughout the year. It should be used only for church activities and not post prom and community events. Shickley church will keep the ice cream machine this year.

Maynard Knepp was a very welcome guest at the Nebraska Sale. He spoke throughout the auctions and also was a storyteller for the children. He has a great deal of expertise with MCC. Thanks to Maynard for attending the Nebraska Sale. Maynard said he enjoyed the time he spent with the Nebraska people.

Jean Engelker’s Children Sale report was given to Glenda before she left. They had 39 toys donated and the Children’s Sale lasted 45 minutes. Some items sold for $1.00 and there were 3 items that went over $300. The amount spent on the items depended if the children were sitting with their parents or their grandparents!!!

There were a lot of things to do for children. A great deal of thought went into the children’s activities that kept them busy. The weather contributed to many of the children having fun playing outside. Thanks to Cassie Klingenberg for her excellent organization. She has agreed to be chair again next year.

Eldon Berg is retiring from rope making. Another person will be contacted to follow that tradition. Thanks to his many years of coming to the Nebraska sale.

Joy reported that 225 logos were sold, either on shirts, bags, or aprons. The response was good for selling shirts.

Joy reported that the soup supper numbers were down, compared to last year.

A comment was received that hand sanitizer should be placed throughout the building or at food booths.

One coffee maker quit working. Connie Hoile will check with Hockenbergs to see what they might have that we could use as a replacement.

In the quilt auction ring, it was stopped early because they had moved through the number that needed to be sold at a certain time and even went a little further through the numbering system until the designated stop time for quilts came to that point. It is nice to have the quilt number posted in the other auction ring so people know what quilt is being auctioned at that time.

Board members need new shirts. That will be handled so new board members have them.

Dave Wiebe said 50 mugs were sold at the information booth. They sold for $10.00. The rest were auctioned. All cook books were sold that were allotted to the information booth. They sold for $20.00. The Friday night program was well attended and $162 was collected in the offering basket. Four groups sang.

There was a request that the door in the quilt auction building not be blocked by the supply trailer. It needs to be parked near a door, however, and it was not by a main door.

A request for hamburgers to be sold was received.

10,000 Villages sales were down from last year. A report will be coming. They do offer a variety of attractive things for sale.

Chuck enjoyed the time at the sale as a new board member. He felt his responsibilities went well and he appreciated being part of the team that works together.

Cloy was responsible for trying out a new idea using pastors as greeters by the doors. It went well and the pastors did an outstanding job. Cloy will get feedback from those participating and will write a report.

Lelan was pleased with the preliminary figures for the sale. He had good help and less people are needed to count money since we use bidder numbers to purchase items throughout the day and then the patron pays at the end of the sale. Runners that pick up the envelopes with money from booths should be identified somehow.

Teresa reported that the ladies rest room had plugged toilets throughout the day. They get a lot of use and things like that happen!

Connie said the Kraft Korner went well. Pillow cases and tea towels were a hot item this year. The left over items were sold on the auction and they went well.

Jeff reported that the check in went well and the auction rings moved right along. The auctioneers do a good job at their organizing. People are encouraged to help with the clean up on Monday.

Jeff said he would be unable to fulfill the chairman’s position next year because of commitments to the church. John Thimm will be the chairman for next year again. Thanks to John for being willing to do that.

Will reported that the numbers for breakfast were down to 308 this year. The sausage was made in the Farr Building and that worked well.

Priced foods could use another freezer. Cloy will look into that possibility.

Penny Power received $7100 this year. Many churches challenged matches from individuals or businesses to what the churches collected. That went over well.

Some churches did not bring their items for the school kits. They are reminded those items should be listed on the website and can be pulled from there to see what they should bring. Joy said the kids put together what they could. All churches do have a list of required items for the school kits. Maynard will take the kits back to North Newton and they will be completed.

Maynard said that Central States needs a representative to fill a position, which will put them on a board position with the North American Relief Sale Board.

Our next board only meeting will be May 6, at Beth-El church, at 2:00. If Beth-el is unable to do that, Bellwood will take that responsibility.

John Thimm opened the meeting and a devotional was given by Jeff Peters. Jeff’s devotional was on asking for wisdom from God. What a gift God gives us through claiming James 1:5.

Board members present were: Jeff Peters, John Thimm, Jaydee Janzen, Connie Hollie, Lelan Thisezen, Cloy Roth, Jean Engelker, Jill Swartzenruber, Teresa Goossen, Dave Wiebe, Joy Steckly, Will Swartzenruber, and Glenda Maury. Also present was Maynard Knepp.

Glenda read the minutes of the October meeting.

Treasurer’s report was read by Lelan. Total bank account is $32,947.21. Lelan gave us some information of how our sale compares to others throughout the US. We discussed insurance that we have for the sale. That discussion was generated by other sales asking questions on the Sounding Board used by relief sale boards. We have sufficient coverage and what we pay depends on our sales. It covers all MCC Sale events in Nebraska. Maynard suggested we check with Farm Bureau to get a quote from them.

Jill Swartzenruber, head of Publicity gave her report. Posters and trifolds are ready to be picked up by the contact couples and taken back to churches for distribution. Joy Steckly reminded people to vote for their favorite T Shirt design that Jill has posted on Facebook. The traveling Quilt will be at the Sale. It is the Water Traveling Quilt. The Peace Tree activity will also be present at the sale. We will ask the pastors if they would be willing to be door greeters at the sale. We want our sale to be a welcoming event. Glenda will send out a note requesting their help. Maynard will be bringing items for the sale from Newton. Thanks to him for being willing to transport those items. He is willing to get into character and be Slickfester, the cat, during the sale. We welcome that! Blessing bid offering will be taken Friday night during the program. Do we want to put up plywood awnings by the Farr Building door? It catches the wind. Jeff will handle that. John Thimm will get his pastor to do the opening prayer. Maynard will do the MCC talk at the auction. The Golf Tournament will be held this summer. Glen Riedel will coordinate those efforts. Lowell Hiebner will coordinate the Motorcyle Rally. I will send this information to Tina Schrag to have it posted on the MCC website of outside activities. There was a motion made by Dave Wiebe and seconded by Jean Engelker that Jill Swartzenruber will update the website. Motion passed. Gary has done a wonderful job designing the website. He will be gone for a month prior to the sale. The Nebraska MCC Relief Sale Board met at First Mennonite at Beatrice. The meeting started at 2:00. John Thimm opened the meeting and a devotion was read .

Present were John Thimm, Connie Hollie, Dave Roth, Joy Steckly, Will Swartzenruber, , and Glenda Maury.

Glenda read the minutes of the May meeting. .

Treasurers report read by Glenda. Total bank account is $21,264.62.

Jill Swartzenruber, head of the publicity committee had her report read by Glenda. She has applied for the Hamilton Count Grant in August. She requested the same amount as last year. Special items and descriptions are due to Jill by January 5, 2012. Jill will cut down on items previously ordered. She will update the Facebook page for the Relief Sale. The Shickley library is saving their adult books and childrens books for the MCC Sale.

Since we did not have a quorum at the meeting, we could not conduct any official business.

Board Assignments were made. They have been emailed to everyone. .

Our next meeting will be January 29th at 2:00, at Bethesda Mennonite in Henderson.

The contact person and coordinators meeting followed at 4:00.

Board Meeting After MCC Sale April 2, 2011 The Nebraska Relief Sale Board met after the Sale at 4:00 p.m. in Aurora, NE. Present were Joy Steckly, Jeff Peters, Connie Hoile, David Weibe, Jaydee Janzen, Larry Nitzsche, Jake Hostetler, Tom Swartzendruber, Lelan Thieszen, John Thimm, and Glenda Maury. Board Members unable to attend were Dave Roth and Jean Engelker. Joy welcomed everyone and thanked the board members for coming to the meeting. It was a long day, everyone was tired, but enthusiasm ran high because of the crowd being up this year, bidding was up, and it was a good sale. It was good to see so many people participating. Jaydee thanked everyone for helping him do his job as purchasing agent. He wondered if he could buy all one-two sizes of Styrofoam cups for next year. He will order 12 ounce cups and some 8 ounce cups for the Pluma Moos. He would like to have volunteers help him next year again. He would like to advertise that we do recycle our pop and water bottles. Jeff commented that the craft auction was good and there were quality items available. He suggested having a pastor open the Friday evening program instead of a politician. Perhaps we could run the cycle with the churches of having the pastors take turns, with the chairman asking his pastor the first time. Henry will meet with the fair board regarding the sound system and the wireless set-up. Some people feel the auctioneers are hard to hear, but it is hard to please everyone. Larry felt the auction went well. He had some comments that people felt the underwear aprons were inappropriate. We try to be aware and considerate of people’s thoughts and concerns. John said concessions went well. Jill Swartzenruber did a nice job of entertaining the children who came to the Kids Korner. She had various activities for them to do. We could use a few more activities if someone would volunteer to help and bring some more ideas. It was suggested that we raise the price of New Year Cookies to $1 each, now they are 50cents. Could we raise the price of ice cream to $3? 10,000 Villages went well. A report will follow from them. David did a good job with the Friday evening program. It was suggested that a free will offering be taken during the program. Breakfast went well. 421 people were served. Soup supper fed 929 people, compared to 881 last year. There was 1 ½ rosters of soup left, but it was auctioned off. Bellwood and Beth-El Churches prepared the soup this year. Gift certificates were not used much, but bidder numbers being used were very popular. Many favorable comments were heard regarding their use.

We could cut down on the number of quilt books being prepared. The car parkers do not stay out as long as they used to, so the booklets are picked up at the information booth. We could try putting some out where the bidder numbers are given out. Jake informed us that he is not representing the Wood River Church, but is still willing to help with the auctioneers. We will contact Willis Roth to see if Wood River Church will provide us with a board member. Jake has been very helpful. We would also like to have a board member from East Fairview, Church of the Brethren in Henderson, and the town church in Beatrice. The board meets approximately 4 times a year. Representatives are always appreciated from each church. Maxine Bergin will not work with the quilts next year. There were several suggestions about who we may consider for appointment. Thanks to Maxine for her many years of service and excellent job of organizing the quilts. Lelan said the treasurer’s office functioned well. Dave Schlegel was missed. Preliminary reports are up. Connie said the donations were down in the craft area, but everything sold well. Jean Engelker had 50 items that sold in the Kids Auction and it lasted 45 minutes. Nebraska MCC Relief Sale Board Meeting January 30, 2010 The Nebraska MCC Relief Sale Board met at Bethesda Mennonite at Henderson on January 30, 2011. The meeting started at 2:00. Joy Steckly opened the meeting by thanking everyone for coming and a devotion was read by Jeff Peters. Present were Tom Swartzenruber, Dave Roth, Joy Steckly, John Thimm, Larry Nitzsche, Dave Wiebe, Jill Swartzenruber, Lelan Thisezen, Jeff Peters, Connie Hiole, Penny Buller, Jaydee Janzen, and Glenda Maury. Glenda read the minutes of the October meeting. Minutes approved as presented. Treasurer’s report given by Lelan. Total $$21,113.53 overall. Lelan passed out brochures he had received from the Sounding Board. Penny Buller was present and she informed the board that since Dave Schlegel has passed away, he will be greatly missed as he always helped in the “Sale Bank.” Dave had the foresight to recommend several things to be implemented and Penny is working at some of those things. Many thanks for the years of service Dave gave to the MCC Relief Sale. We do need someone who would be willing to get the cash boxes and money ready for each booth and to count the money when they come back to the Bank. Penny is paid $200 each year for the use of her computers, printers, ink, and paper. Jill Swartzenruber, head of Publicity, has all brochures ready to be picked up today. She got things printed at Pioneer Publishing in Friend, NE. All quilt and art material needs to be to Maxine & Carrie Bergen by February 25 and then to Jill by March 7. Jill has put the Relief Sale on Face Book . Thanks to Jill for using this extra tool for advertising. Joy has talked with Gary Buller regarding updating the web site and he does not need any help. The board requests that updates be made on a timely basis so the website can be current. The Garden Center will not be a part of the sale. The early timing of the sale is the main factor Jill will be the head of the Children’s activities department. JayDee Janzen needs an assistant to help him with purchasing. All churches should consider that a call to any one interested. John Thimm will help him in distribution of items at the sale for concessions. There have been no T-Shirt designs submitted. People are encouraged to submit them by February 18. Jill will put them on Facebook to be voted on by viewers by February 25. The school kit assignments are on the website. Churches should look at what they should be bringing. Dave Wiebe has the Friday evening program put together. There will be no limit to items for the Kids Auction. The overflow will be used in the Kids Korner. We will have recycle containers for water bottles and soft drinks. Will Randy Hueber’s football team come to help with set up on Thursday? Jeff will ask. Meal prices will remain the same-Soup Supper-$7.00. Vernika Dinner will be $10.00. Board Members are encouraged to stay in touch with their committee chairs before the sale to see if they have any needs. The Relief Sale will be April 1 and 2. March 31 is the set up, and the clean up will be on the Monday following the sale. Could an MYF group help on Thursday? Tom made a motion to have Jeff purchased 4 8-foot tables for the Quilts. They are $424 for 4 tables at Sams. The tables will be kept in the trailer.

We will continue to invite The Amish Community in Nebraska to the sale. Jim Zehr asked where to send the money for Penny Power. It is used for food, relief, and water for various projects. No other information is known right now. Joy will request the Peace Tree Activities. Sept 21-23 is the biennial workshop at Camp Amigo. The golf tournament will be at Crooked Creek Golf Course in Lincoln the first or second Saturday in June. A Hustler Mower will be donated to the sale. Bethesda Youth group has asked to sell water bottles for their project. The well project is managed by an MCC person. Proceeds will go to MCC. The Nebraska MCC Relief Sale Committees met at First Mennonite at Beatrice. The meeting started at 4:00 p.m., with approximately 20 there. Joy Steckly opened the meeting and devotion was read by John Thimm from Romans 15.

Treasurer’s report given by Lelan. Checking: $10,507.17. Savings $10,568.17. The mini auction at Julesburg netted $310.50, the motor cycle rally netted $2155, and the golf tournament brought in $6525.25.

JayDee Janzen needs an assistant to help him with purchasing. All churches should consider that a call to anyone interested. Please tell your contact person if you are interested.

The publicity items are due to Jill Swartzenruber by January 3rd. That includes pictures of items that will be donated and anything else that encompasses publicity.

The dates for our 2011 Sale will be April 1 and 2. The theme is “A Table for Sharing.” The traveling quilt will focus on peace. Designs for the T Shirts should be in by January 25. Please submit your designs to your contact couple.

The website will be updated as needed and there is a new Face book page for the sale. Check that out and be a friend to that page. News is added continually to that page.

We want to complete 125 school kits. Your assignments are posted on the website. Please remember to buy for 125 kits instead of 100.

The soup supper will be made by Bellwood and Bethel churches.

Jill Swartzenruber will be the chair for Kids Activities. We need a chair for the Kids Food Booth.

Zella thinks the tables used for quilts are rough and could snag the quilts. Should the Relief Sale check into purchasing more tables?

Each church should donate one boy and one girl item for the Kids Auction. That is a suggested amount. Churches may donate more items. Items are sold for one hour.

Prices for the food items will be discussed at our next meeting.

Other concession ideas are bread by the slice, cake decorating, and pie by the slice.

Penny power items are available from Jim Zehr. Penny Power raises money for Mennonite Central Committee projects of peace, relief and development around the world.

Our next meeting will be January 30th at 2:00, at Bethesda Mennonite in Henderson.

Nebraska MCC Relief Sale

September 26, 2010

On Saturday, September 25th, four of the Nebraska MCC Relief Sale Board traveled to Julesburg, CO, to meet at the Julesburg Mennonite Church and Jim & Jean Engelker for the summer meeting. Most of the board members were unable to attend and since we didn't have a quorum, we couldn't conduct a business meeting to decide or vote on any items. Jim & Jean Engelker planned a hamburger fry with the board and the church members Saturday night. We had a very nice time. On Sunday we joined in their worship service and at noon we enjoyed a potluck with the church members. A silent auction was held and ended Sunday afternoon. There were a variety of items brought in.

At 12:30, Joy Steckly led a brief meeting with board members Dave Wiebe, Dave Roth, Jean Engelker, and Glenda Maury present. Jim gave a devotional on giving of our time and love.

We did not have a quorum to conduct a meeting, but all of us felt very blessed to be there. Lelan had sent his treasurer's report, stating that $9,762.62 is in the checking account with $10,562.96 in the savings. A golf report was read from Glen Riedel.

This thank you was placed in the church bulletins. The 2010 MCC Golf Tournament in Henderson was a huge success. A Thank-You to all involved for raising $6525.52 for the Nebraska MCC Sale Board to pass onto missions.

First Mennonite at Beatrice will be having their annual Mini Auction to benefit MCC on October 31. The board will meet that afternoon in Beatrice at 2:00, contact and committee chairs at 4:00, followed by a meal and the mini auction. (John, will you send directions?)

Gary Buller is working at updating the website. Jill Swartzenruber is going to put the MCC Sale on Facebook. The board encourages that venue of advertising. She would like to link the Facebook page with the website. The board would like to have Gary do that, too. It was suggested that the website also link to the Nebraska Tourism page, as well.

We will ask the Newton office what the theme will be for the 2011 sale. (Ken, Betty, or Maynard, could you send that information to me?)

We would like to suggest that all previous board members whose terms have expired to please send in their replacement names immediately, so the new board members could be at the Beatrice meeting.

The Nebraska MCC Sale Board met on May 2, 2010, at the Wood River Mennonite Church, Wood River, NE, at 2:00. Present were: John Thimm, Dave Roth, Teresa Goossen, Lelan Theissen, David Wiebe, Joy Steckly, Tom Swartzenruber, Cloy Roth, and Glenda Maury. Jill Swartzenruber was also present to give the advertising report to the board. Cloy opened the meeting with a devotional and prayer using Psalm 103. The minutes were read of the January and March meeting. Treasurer’s report was presented. Motion to accept by John, seconded by Dave, motion passed. Thanks to all who helped with the sale. There were 444 biding numbers given out. Usually 460-490 numbers are given out, so the crowd was a bit smaller this year. $9650 was raised for the Haiti Project. Ten Thousand Villages brought in $7247. $1900 was used for gift certificates. Lelan will send $155,700.03 to MCC. Discussion was held on when Lelan should send the money to MCC. John made the motion to send the amount in July, seconded by Joy, motion passed. In 31 years we have given $4,030,918,82. It was decided that Ten Thousand Villages would not donate the money they received to our sale, as the money is already designated for MCC. The Golf Tournament will be June 5, and the Motor Cycle Rally will be May 23. Jill had applied for a $3,000 tourism grant. We received $1500 this year. Jill advertised in the Midwest Discover America flyer. Advertising was the same as last year with the other items. She was on TV for advertising to promote the sale. We will put brochures next year at Ten Thousand Villages and Christian Book Stores. It was mentioned at our meeting in January that there are Amish in Pawnee City, NE, that we should contact to get involved in our sale. Cloy also said there is a group of Holdermans near Scotia. We will get brochures to them next year for the sale. It was suggested that churches should bring items for the 125 school kits next year. Pat Thimm will help to make the school bags as well as the Lincoln Church. Motion to pass by Cloy, seconded by Dave, motion passed. Lelan needs a motion to authorize signers for the checking account at Henderson State Bank according to new regulations. Cloy made the motion that Tom and Lelan remain signers on the checking account, John seconded the motion, motion passed. Election of officers:

Nebraska MCC Relief Sale Board of Directors January 31, 2010 The Nebraska MCC Sale Board met on January 31, 2010, at the Mennonite Brethren Church in Henderson, at 2:00. Present were: John Thimm, Beth Miller, Teresa Goossen, Lelan Thieszen, Dawn Gall, Jill Swartzenruber, David Wiebe, Joy Steckly, Connie Hoile, Cloy Roth, Jim Engelker, and Glenda Maury. JD Janzen was also present to give a purchasing agent report to the board. Tom Swartzenruber opened the meeting. Teresa led in a devotional using the New Hope in the Name of Christ theme from I Timothy 6:17-19. Tom led in prayer. The minutes were read of the November meeting. Treasurer’s report was presented with $27,529.46 in the account. Motion to accept by Jim, seconded by Joy, motion passed. Jill said the posters will be available next week and will be mailed out to the churches. February 26 is the deadline for items to be listed in the sale guide. Dawn has applied for a $3000 tourism grant. Jill suggested we advertise in the Midwest Discover America flyer. Advertising will be the same as last year with the other items. If there is anyone willing to be on TV for advertising to promote the sale, please contact the advertising committee. JD Janzen needs a list of what people need for their committees. Those numbers will be found and given to him. Committee persons need to give a list of the number of people served following the sale. JD mentioned that there are Amish in Pawnee City, NE, that we should contact to get involved in our sale. We could go and get them so they could attend and perhaps they may be interested in participating next year. Merle Friesen from Beatrice is in contact with them. Cloy also said there is a group of Mennonites near Scotia that he will try to contact. $7459 was raised at the Mini Auction in Beatrice in October. Shickley would like to have the ice-cream machine after the relief sale. The fee is $100 for the year and $25 per use of the machine by another group. The T-Shirt design was reviewed. There was discussion as to whether we should add the date of the sale. The NEW HOPE IN CHRIST logo was chosen. A smaller design will also be made. Bring assigned items for the 100 school kits. Eldon Berg will be at the sale with running a rope making booth. He will need help to supervise the kids and collect the money. Dave Wiebe and Julie Schlegel will be coordinating the Friday Evening music program. Cloy Roth will check with Wheel of Faith to see if their sound system could be used. Mugs are ordered and are in Henderson.

The Verenika Meal needs another chair person to help with the committee. We would not want this meal to be discontinued. Scott and Monica are in charge of the fair grounds and their number is (402) 694-5904. Clean up is on Monday after the sale is done, and they are usually done by Monday noon. Art items should be turned into Carrie Bergen and quilt cards should be turned in to Maxine Bergen by February 26. The Art Auction will be ½ hour earlier than last year. If there is any depression glassware, it will be sold throughout the sale and not at a specific time. Our Sale Date is March 26 and 27, 2010, and the sale date for the following year is April 1 and 2, 2011. Board members are encouraged to be at the sale on Thursday at 8:00 to help with set up. We discussed the Kids Korner and it was decided that only new toys would be sold, due to product safety issues. Ron Buller will handle the computer wiring issue. Hook ups for campers are $15.00 per day. Contact Henry Kliewer if you want a hook up. East Fairview and Bellwood Church will serve the Soup Supper. There will be a board meeting at 5:00 after the sale. Bring information from your chairpersons as to how the day went. Ken & Betty Hartzler will be at the sale with the North American Relief Sale Board. If any board member needs a sweatshirt, be sure to let Joy know. Our May meeting will be May 2. Glenda will notify all chairpersons that a report needs to be turned in two weeks after the sale. Reminder: Each church should make sure that they have two items for the Kids Auction. Nebraska MCC Relief Sale Committee Chairs and Contacts January 31, 2010 There were 41 people present. Theresa opened the meeting with a devotional from I Timothy 6:17-19 and Tom led us in prayer. Joy read the minutes of the November 8, 2009 meeting. They were approved. Lelan gave the treasurers report which was then approved. Jill Swartzendruber reported at that the advertizing will be the same as in past years. Contact persons please pick up the items for your church. Posters were not ready for this meeting and will be mailed to the board members to be distributed to the area churches. Joy Steckley showed the designs for the t-shirts. There will be two choices available again this year. The Kid’s auction needs 2 items from each church for the sale. These need to be new items. The purchasing agent, JD Janzen, needs to have the lists of food items and paper products for each concession stand and food booth. Nebraska MCC Relief Sale Committee and Contact November 8, 2009

The Nebraska MCC Sale Committee and Chair persons met on November 8, 2009, at Beth-El Mennonite Church Milford, at 4:00. There were approximately 30 in attendance.

Beth Miller led in a devoltional and welcome. New board member, David Wiebe, was introduced.

In the absence of Tom Swartzenruber, who is having back surgery, Joy Steckly led the meeting.

Treasurer’s report was presented.

The motorcycle rally brought in $3060. The proceeds were sent to MCC to provide transportation of medical supplies in the Congo for 6 months. That donation is appreciated.

Dawn and Jill will need to have descriptions of special items for the sale to them by January 5. All churches should make special note of this date. This includes pictures for the sale bill and items that should be listed there. The advertising should be in by January 31 for the Sale Booklets. Art and quilt item listings should be to Carrie & Maxine Bergen by February 26. The posters and printed material will be out at our next meeting on January 31. People are encouraged to send pictures of their items for the website.

Our Sale Date is March 26 and 27, 2010, and the sale date for the following year is April 1 and 2, 2011.

Beatrice Mennonite will be holding their Mini Auction on November 15, at 6:00. Next year we will combine our November meeting with that activity.

T Shirt designs are needed. The theme for this next sale is “New Hope in the name of Christ.” People are encouraged to submit designs for the shirts immediately. Tammy Ott is the new chairman of T Shirts.

The Soup Supper will be served by East Fairview and Bellwood Church.

The issue of kids running around unsupervised was discussed. It is mostly done in the building with the Kids Korner and the chairpersons are not responsible for watching kids who come in and out. How can we re-direct their energy? It was suggested that perhaps we could have a bouncy house or a youth group could do activities/baby-sit. Henry will check with the fair board on the liability issues with indoor/outdoor kids’ activities.

Our next meeting will be January 31, at the Mennonite Brethren Church in Henderson at 2:00, board meeting; 4:00 contact and committee chairs. A meal will be provided.

Meeting was adjourned at 4:30 and we enjoyed lunch served by the youth group. A mini auction of donated items was held following the lunch.

Nebraska MCC Relief Sale Board of Directors November 8, 2009 The Nebraska MCC Sale Board met on November 8, 2009, at Beth-El Mennonite Church Milford, at 2:00. Present were: John Thimm, Beth Miller, Jeff Peters, Teresa Goossen, Lelan Thiessen, Larry Nitzsche, Dawn Gall, Jill Swartzenruber, David Wiebe, Joy Steckly, Connie Hoile, Cloy Roth, Jim Engelker, and Glenda Maury. A special welcome was given to David Wiebe, who replaced Marlin Kym, Connie Hoile from Milford Mennonite, and Jill Swartzenrube who will be working with/replacing Dawn Gall. Our Sale Date is March 26 and 27, 2010, and the sale date for the following year is April 1 and 2, 2011. Article II, Section 2 will read: A person cannot serve on the board for more than two full consecutive terms. The number of directors shall be no less than 10 and not more than 16, with no more than one member from each church. Motion by John, seconded by Jeff, motion passed. Sentence is for clarification reasons only. A person may fill a board vacancy for someone, and then serve two consecutive terms following the end of the vacancy term. Nebraska MCC Relief Sale Board Meeting June 14, 2009

The Nebraska MCC Board met on May 16, 2009, at Beth Miller’s home at Milford, at 2:00. Tom Swartzenruber opened the meeting. Beth Miller gave a short devotional.

The board members present were: Joy Steckly, Marlin Kym, John Thimm, Larry Nitzsche, Tom Swartzenruber, Jeff Peters, Teresa Goossen, Beth Miller, Lelan Thieszen, and Glenda Maury.

Minutes were read and accepted as presented. The treasurer’s report was given and accepted. The overall total for Nebraska MCC Sale is $155,000.

There was no damage done at the MCC Sale to the tent that was used.

The breakfast sausage will be cooked at the New Year Cookie booth next year. The question was asked if the breakfast could be served in the Kids Activity Building so the noon people could set up earlier. After discussion, it was decided that it would be left as it has been.

It was noted that the Information Booth would need better lighting next year.

It was good to have quilt numbers, pictures, and prices on the website. It is hoped that next year a complete set of pictures can be on the website so people can check to see what quilts brought that they had donated. If people want to have their items up on the website prior to the sale, then they need to send in pictures to Gary and Jennifer Buller.

Lelan gave the 10,000 Village Report. They will give a donation to the sale.

There were 485 bid numbers given out. The special offering will go for Hunger in Zimbabwe.

School kits will be put together in the Kids Korner. The assignments for next year are: 100 note books from Julesburg, Bellwood, Milford, and Beth-El, 400 pencils from the two Beatrice churches, 100 rulers from Shickley, 100 erasers from Beemer and Woodriver, 100 sets of colored pencils from the two churches in Henderson, and 100 tote bags from the Lincoln church. We would like the Webmaster to post these items on the website so churches will know immediately what they are expected to bring and can catch the items on sale throughout the year.

Dawn Gall was not at the meeting to talk about the publicity. Jill Swartzenruber will take over after working with Dawn throughout the sale for next year. Thanks to Dawn for the many years of service to the MCC Sale.

The motorcycle rally had 40 people involved. They rode to Smith Center, Kansas, which is known to be the center of the US. They raised $2360.

The golf tournament brought in $5403, with 21 teams. It will be at Henderson next year. Larry will pursue the possibility of having the golf tournament in Beemer sometime.

Are there any needs that the sale may have? A portion of the rent to the Fair Grounds goes to improvements for sale purposes. Could there be more permanent wiring for the computers?

Election of officers: Tom Swartzenruber was asked to continue as chairman of the sale board. Larry made the motion, Jeff seconded, motion passed. Vice Chair I: Jeff made the motion that Joy Steckly will continue as Vice

Affirmation of appointment for Lelan Theissen as treasurer, Glenda Maury as secretary, Henry Kliewer as liaison to Fair Board, by John, seconded by Jeff, motion passed.

The by-laws were looked at and it was decided that in Article II, section two, it should read that the number of directors shall be not less than 10, but no more than 16, and that a person can not serve on the board for more than two-full consecutive terms. It does not change the by-laws, it just makes them clearer.

Our meeting schedule is: * September 20th board meeting with board members only-at First Mennonite Church, 7300 Holdrege Street, Lincoln, at 2:00. *November 8th Board and Contact/Committee chairs, at 2:00 and 4:00, at Beth-El Church in Milford, *February board and Contact/Committee Chairs at the Brethren Church in Henderson-date to be set.

MCC Relief Sale Post Sale-April 4, 2009 The MCC Sale board met after the Relief Sale at 4:00. It had been a busy weekend for everyone and we were grateful for so many things as we gathered around the tables. John Thimm Tom: *A thank you was given from Tom for everyone working together to make a successful sale. We went around the table to hear comments from the board members. *It was good to allow people to use their bidder numbers through the booths. *We need 3 more chest freezers. *Tom said that someone contacted him about donating a 1955 DW Allis tractor next year. He will keep in contact with him to make sure he understands how the sale accepts donated items. *The breakfast committee said cooking the sausage went well this year. They have checked out the facilities that the New Year Cookies committee uses. The tent they used this year may have been damaged. It belongs to Henry Kliewer and Tom will check to see if we need to replace it. Jim: *The Kids Auction went well this year. There were approximately 47 items. That Auction brought in $911.50. Jean Engelker will be in charge of the Kids Auction again next year. There will not be a limit placed on how many items churches can bring next year. Joy: *There were 1030 persons that were served soup on Friday night. Milford Mennonite Church and the East Fairview Church served the supper. It is suggested that next year there will be the same amount of bread and pies made. A suggestion was made that in purchasing the plastic wear, only a knife, fork, and spoon be in the packet. Next year the soup supper is in charge of East Fairview and Bellwood Church. * The T-shirt booth went well and sold approximately 210 shirts. They will do pocket size logos on shirts next year. *Natalie Nitzsche was in charge of the Kids Korner, She will do it again next year. It went well, however, there were a lot of children running around that building and it is distracting. *The rope maker will be back next year, as he skipped this year. The children enjoy the Rope Maker. We will continue having him come every other year. *School Kits will be up on the website so that churches will know how much to purchase while school supplies are on special. Churches should make special note of this and provide the supplies at next year’s sale. Beth: * A piece of insulation fell during the sale. *Art went well. *Kids’ Food Booth would like to move from the side they are on to the other side. That can be accommodated. *Could the Ice Cream booth (Larry Nitzsche) move to the far end of the building?

Marlin: *The Friday Evening Program went well. There were five groups that participated in the music. Julie Schlegel coordinated the evening. *Diane Sommers did a good job with the craft booth. *The Garden Shop did not have a booth this year. *The MCC Golf Tournament will be June 13. Posters are available. * The motorcycle rally will be May 31, with Lowell Hiebner in charge. His phone number is (402) 723-4948. *The Information Booth needs a light in it. *All afghans were sold that were at the sale. There is still another case with Marlene Swartzenruber. The mugs went well. *Mugs went well. Lelan: Gave figures for the sale. Payments from the public went well. Auction; $108,000.00 Concessions; $51,000.00 Total $159,000.00 These are preliminary numbers. Gary Buller will have amounts on the website by 10:00 tonight. Jeff: *The craft auction seemed to have a large number of donated items. That is good! Could the art auction be moved from 10:30 to 10:00? *It is suggested that the Silent Auction not be held next year. They did not bring good prices this year. John: *He suggested that committee members and chairs remember give correct amounts when ordering their things from the purchasing agent. Jaydee would like to be sure that committee chairs give him precise orders instead of just saying, “order what you did last year.” He is new to the job and that statement has no meaning to him. He wants numbers of items to be ordered. *The 10,000 Villages said their sales went well. They did accept bidder numbers and gift certificates. Dawn: *A new publicity director has been found. Julie Swartzenruber will work with her next year. *There were a few quilt guides left over. They seemed to have ordered a good amount. Glenda: *It was fun to have the barrel ride for the children this year. There were approximately 60 kids that rode it. Cost was $2.00 per child per ride. It was borrowed from Nyle & Lauralee Kauffman from Iowa. Thanks to them for allowing us to use it for our sale. *Reports should be mailed to Glenda by April 18, for the report booklet. Committee chairs have been given a reminder note. Our next board meeting date will be May 31, at 2:00, at Beth-El Mennonite Church in Milford. Election of officers will be on the agenda. accepted.

Dawn reminded everyone she needs a replacement for Publicity. Churches should make this need known to their

members. Any interested person will be trained by Dawn. Advertising material is available for pick up after the

meeting. Ads should be purchased for the Quilt Book by February 27. March 1 is the deadline for quilts and art to

be listed. Please have this information in to Maxine Bergen and Carrie Bergen. Photos may be sent to Gary &

Jennifer Buller for the website. Churches should run this information of due dates in their bulletins on a weekly

basis.

Milford Mennonite and East Fairview will prepare and serve the soup supper. They should contact the churches to

let them know how much bread, pies, and jams are needed.

A design was submitted for the T-shirts. The theme is “Caring….in the name of Christ. There will be a generic shirt

available and also one with the logo.

The 2009 sale will be our 30th Sale. Beth has ordered mugs.

Ron and JD, from purchasing, informed the group of these changes: *There is to be NO duct tape used in posting

items on the walls, not on the floors, etc. Blue painters tape must be used. * Fair Trade coffee will be the only

coffee offered at the sale. *Styrofoam cups, plates, and bowls will be used. * Pop prices will be $1.50 per bottle

this year. *No peanut oil will be used this year.

Meal prices will be the same as previous years.

The sausage committee is still working out the details of breakfast preparation. Jeff will provide a motor irrigation

shed and then it will be sold. That can be used to put over the grill used for the sausage preparation. There is a

possibility that a tent could be used.

The new website is up and running. It has been designed by Gary & Jennifer Buller.

School kits will be put together in the Kids Korner. There will be 100 made. Remember your assignments!
