USDA Contacts
• Two people that Maine DOE can get in contact with by either phone or email.
• Very important! This is how we contact you for recalls or holds of USDA Commodities!
Direct Certification
• List of students from DHHS who are SNAP/TANF/Foster
• Law requires every school district to review the direct certification list at least 3 times during the school year
• DOE suggests the beginning of each quarter and more frequently if able
• List is in NEO and once reviewed, press “reviewed” button on bottom of page to validate it was done
Filing Your Claim
• Reimbursement tab in NEO
• Done every month
• Deadline is the 8th of the month
• Must be approved by the legal agent
• Order:
– Start with School Monthly Details and work your way up
Claims
• School Monthly Details
– Completed for each school in the district
– Fill in the blanks
– Will tell you what you will receiving in reimbursement for each school
– 60 day window for revision

• FFVP School Detail (if applicable)
– Completed for each school in the district that participates in FFVP
– Operational and administrative costs

– Completed for the entire district
– Fill in the blanks
– Asks for inventory by school

– Can be revised anytime but needs to be reapproved if revised

– Calculated by looking at the CBB of the month prior and adds receipts and subtracts disbursements
– Will not take anything out of the voucher

– Legal Agent will need to review and approve

Important Dates
– 8th – must be approved by Legal Agent and submitted to DOE
– DOE submits for payment on the 12th or first business day after
– Can be revised within 60 days
• Can have a 60 day exception once every three years with DOE approval
