Problem: Because of the addition of dream tags, applicants with an existing application are now allowed to proceed further into the application process than was previously allowed. As a result, youth clients applying for spring turkey were allowed to apply for both the regular hunt and the youth hunt.Scope: 1 ClientCause: Programming oversight and QA test script error.Short Term: Programming Corrected. Problem: A new elk depredation hunt 4107 was added this year. Clients may submit one elk application plus one elk dream tag application. The web site allowed clients applying for 4107 to apply for a second regular elk hunt.

Scope: 13 clients

Cause: Programming bug, QA script

Short Term Resolution: Programming corrected and clients were refunded their choice of applications



4 Big Game application error:

Problem: Client on an elk waiting period was allowed to apply for elk due to a specific set of circumstances relating to late harvest report fines. Once the application entered the Application Hunt System it was rejected.

Scope: 1 client

Cause: Programming bug

Short Term Resolution: Programming corrected and client was refunded for the application

Problem: Junior hunters were allowed to select choices with seasons that ended after they turned 18. (The requirement for eligibility in junior hunts is that the client must be 12 before the start of the first season and not turn 18 by the end of the last season.)

Scope: 10 clients.

Cause: Programming bug.

Short Term Resolution: Programming corrected and clients were allowed to withdraw or amend their applications.

Problem: A client paying for his PIW donations by cash was later contacted to collect the fees again. He paid them a second time.

Scope: 1 client

Cause: Bad procedure for cash collections at the counter

Short Term Resolution: Client issued a refund for the second collection

Long Term Resolution: Procedures updated


7 Declined credit card PIW donation collection error:

Problem: Two clients that applied separately without providing SSNs were assigned the same fictitious SSN in error when their applications were imported into AHS. When the error was discovered, the second client was assigned another SSN and their comingled records were separated. At this time, a lion tag purchased by client 1 was duplicated onto client 2’s records. Both clients were issued the same lion tag.

Scope: 1 Tag or 2 clients

Cause: Duplicate fictitious SSN assignment

Short Term Resolution: Second client contacted and duplicate tag retrieved.

Long Term Resolution: The root problem has not been duplicated and as a result cannot be identified to be corrected.

Problem: A client that was unsuccessful in the main draw and then successful in the remaining draw was issued an alternate tag for his unsuccessful app in the main draw.
