2018 4-H Dairy Promotion Program presented by Dairy Farmers of Wisconsin (Formerly WI Milk Marketing Board) All 4-H youth organizations in Wisconsin are invited and encouraged to participate in the 2018 Dairy Promotion Program, presented by the Dairy Farmers of Wisconsin. Please read the information below carefully to take advantage of the opportunity to earn dairy promo-tion merchandise.

The 4-H Dairy Promotion Program is open to all Wisconsin 4-H clubs in good standing.

Any 4-H Club who conducts a local dairy promotion and educational activity that builds excitement and trust for Wisconsin dairy products and/or Wisconsin Dairy farmers during June Dairy Month are eligible.

Successful dairy promotion reports will receive $50 towards merchandise from the Wisconsin Cheese and Dairy Gear online store: www.CheeseAndDairyGear.com. Gift certificates will be issued beginning July 1, 2018 and will expire June 30, 2019. *One per club, per year.

All 4-H clubs will submit their own dairy promotion report form online.

The completed dairy promotion report form must be well-organized with a complete event de-scription.

Club Banners If you’d like your banner displayed at the County Fair you will need to have the banner in to the UW-Extension Office by June 29th. Put a dowel in the top with a cord for hanging. The banner will be kept for Open House and clubs can take them at the end of the evening.

Summer Outreach Program—Youth Leader Opportunity Looking for a fun and engaging experience this summer? Washington County 4-H is continuing to offer a variety of youth outreach programs this summer. To make these programs the best that they can be, we need the help of our great YOUTH LEADERS! Please see the outreach program flyer with all of the information. We know that there are outstanding project and activity volunteers in Washington County clubs who may not get recognized at the county level. If your club has an outstanding volunteer award that you would like to publicize be-yond your club, please send us information about your top-notch volunteers so that we can tell their story in the fall Cloverline. County Fair Info on 4-H Web Page The County Fair page on the UW-Extension website is a one-stop shop for all things related to County

Fair and 4-H. This is a central spot for information about County Fair and especially helpful for easy ac-

cess to many links for online sign-ups related to 4-H roles at fair (Ziegler building volunteer roles, action

and promotion center, youth fair assistants, club booths judging time selection).

Volunteers are still needed in all areas so please encourage families in your club to check out these

opportunities and sign up by June 29.

Fair Park updated their ShoWorks Online Exhibit Entry Instructions which have posted to the County Fair page on the UW-Extension website

4-H Action and Promotion Center This is an opportunity to engage community members attending the fair in a hands-on activity and pro-mote 4-H. Each club is encouraged to organize a small group, 2-4 members (any age) and 1-2 adults, to cover one shift. There are 20 shifts. Shifts are two hours in length and available Tuesday, July 24 -Sunday, July 29. Action is the key to the success of the "4-H Action and Promotion Center." Clubs can create and pro-vide their own activity or indicate when signing up that they’d like the County Ambassadors to provide one for them. The activity should be hands-on and attract fair goers to the booth. The activity could be a science experiment, a matching game in which they learn about the body parts of an animal (or any other topic), art based, learning how to identify plants, animal interaction, etc. This is an opportunity to ask the youth running the booth what they’ve learned in their projects this past year and how they could teach others and share a favorite activity. 4-H promotional materials will be provided. Top 5 Reasons to Volunteer at the Action and Promotion Booth at Fair 1. It is an easy way to get adult volunteer hours for an adult volunteer season pass 2. It is a fun group or family activity 3. Bylaw Revision Clarification

Thank you to all of you who attended our General Leader meeting in April. We reviewed all of your questions and spent time answering all of them. If you haven’t yet, please take the time to read the Answers to Bylaw Revision Questions that Megan emailed out on May 9th and has been added to the Bylaw Review Resources section of the leader page. We recognize we’ve given you many resources already and appreciate you making the time in your busy schedules to read the Answers to Bylaw Revision Questions as it will help clarify some key questions. We again want to highlight that your bylaws could include something that reads like this: “Youth who fulfill the following earn the privilege of representing _________ (name of the club) at the Washington County Fair:

Participate in/contribute to one of the club fundraisers by the June meeting.

Set goals in their record book by _____ (date-i.e. March 1).

Participate in _(#)_ of club meetings by the June meeting.

Give a demonstration at a club or project meeting by the June meeting.

‘By the June meeting’ is used because youth would need to complete these before registering for Washington County Fair. These are just examples of what the club members could decide to include. They need to evaluate if what they list is reasonable. Does it encourage members to participate in multiple aspects of 4-H? Or does it create barriers for participa-tion? 4-H is a great organization and we want as many youth to benefit from it as possible! Calendar - You can fill out the included template or attach a separate document. Either way, it needs to include all

three parts of a meeting:

Financial Report – Fruit Sale income and expenses should be categorized as Fund Raising Income and Expenses

rather than Pass Through Funds.

This year, each club or group is asked to write one or two club goals that focus on reaching out to youth and families

who are underrepresented in their 4-H club/group. Highlight how these goals will be met in the club yearly calendar.

Below are several topic areas that you can use to brainstorm with the youth members to help them think about how they can expand access and learn more about others.

What steps will you take to help underrepresented youth join your club? How will the club or group make specific efforts to learn about other cultures? How can club members get to know youth from other cultures? Is there a community center that your club could

partner with on an event; family activity or community service project? What welcoming activities will the club do to ensure youth and families feel included?

Breakfast on the Farm allows anyone to experience the sights and sounds of a Wisconsin dairy farm first-hand. Washington County Dairy Promotion Association has sponsored the annual event for 31 years. Gehring View Dairy, LLC, Eugene and Christine Gehring and their family, will host the 2018 event on Saturday, June 9, from 6:30 a.m. – 11:30 a.m. They are located at 4630 State Road 83, Hartford. Breakfast will be served rain or shine. The goal of Breakfast on the Farm is to promote the dairy indus-try with its 43.5 billion dollar economic activity to the state’s economy, showcase a ‘home-made’ breakfast made with many local ingredients, and give an up close and personal tour of how a typical Wisconsin dairy farm functions in a typical day. Volunteer at Breakfast on the Farm Many 4-H families have been involved as volunteers in the past years. From parking cars to making coffee, feeding the ducks to feeding the nearly 5,000 guests, or serving ice cream to serving as a guest tour guide, volunteers are the success of the event. We are collecting our volunteers by using a tool called Sign-Up Genius. Volunteer roles will include kitchen refill, volunteer tables, runners, food servers, table waiters, milk haulers, and garbage detailers. Shifts, generally, are from 5:30 a.m. to 9:00 a.m. or from 8:30 a.m. to 12:30 p.m. Once you sign up, you will receive a job description to help you prepare. opportunities, contact the UW-Extension Office.

Silent Auction Each year at County Fair the Washington County 4-H Leaders Association holds a silent auction to raise funds for 4-H members and leaders to help finance educational training, trips, camps and other various activities. This is the second largest fundraiser for Washington County’s 4-H program. Last year, we were able to raise over $6,000 and this year we hope to raise even more! 4-H Clubs are encouraged to make either a monetary donation to the silent auction fund, or donate items for the silent auction itself. Themed gift baskets are popular ideas. This is a great opportunity for youth to learn about shopping on a budget. Donations can be dropped off at the UW-Extension Office now through July 20th or in the Zeigler Building South Meeting room on Monday, July 23.

County Fair Premium Book & Entries: EXHIBIT ENTRY DEADLINE JUNE 29TH! The Washington County Fair website and Premium Book state, “Entries must be received in the Fair office or submitted online before June 30, 2018.” We clarified with Fair Park staff that this means it must be submitted by 11:59 pm on June 29th. This will be new for many families so appreciate your help clarifying.

The 2018 Washington County Fair Premium Book is now available at http://www.wcfairpark.com/fair/exhibitors/. It is very important that youth planning to exhibit read the sections of the premium book related to their project areas, because specific rules and guidelines are listed for each department. If a youth does not follow the guidelines for exhibits in a certain department, they risk having their placing lowered or being disqualified.

County Fair Club and Livestock Booths

The theme for club booths continues to be the Special Emphasis theme which is ‘4-H: Grow With Us’.

If your club is interested in exhibiting a club or livestock booth at County Fair, you need to see depart-

ment 132 of the Premium Book and register in ShowWorks by June 29.

Booths need to be in place by 9:00 am on Tuesday of fair week and is preferred if they are in place by Monday. Face-to-face judging will take place on Wednesday from 11:00am-3:00 pm. Clubs need to have a team of 3-5 youth members to meet with the judge and answer questions about their booth. Livestock booths don’t need to have youth present but it’s highly encouraged. County Fair Judging Assistant Information We are looking for Youth Fair Assistants to help out during judging at the county fair. Purpose: The Youth Fair Assistants contribute their time and talent to facilitate the face-to-face judg-ing process at the Washington County Fair. They help the exhibit entry process run smoothly and quick-ly so that we can avoid delays in judging. Fair assistants help the superintendents function effectively, and they help exhibitors have a positive experience during face-to-face judging. Responsibilities:

Help the exhibit entry and judging process run smoothly Arrange articles within the department as directed by the superintendent Work with the fair office to retrieve ribbons, stickers, and other supplies during judging Assisting the superintendents as needed with other tasks throughout the day A few of the fair assistants will be assigned the role of greeting exhibitors and helping them find

their judging areas Training: An orientation for youth fair assistants will be offered on Thursday, July 19, 4:00 – 4:30 pm at the Fair Office in the Ziegler Building at Washington County Fair Park. This is required for new assis-tants and highly recommended for returning assistants. Time Required: Fair Assistants are needed during the entire face-to-face judging times on Monday, July 23, Tuesday, July 24, and Wednesday, July 25. Youth can choose which session they sign up for.

County Fair Judging Assistant Information—continued How to Sign Up: Fast and easy sign up is being done through SignUp Genius. To sign up, go to the County Fair section of our webpage and select Youth Fair Assistants. Sign up by June 29th. If you don’t have internet access, contact Ginny Bichler at 262-335-4478 to sign up. Early Judging Available: An early judging time is offered for youth fair assistants on Monday, July 25. You may bring your exhibits to be judged from 11:30 am – 12:20 pm in the Ziegler Building, and must have completed your own face-to-face judging before your shift begins. Qualifications:

Must be youth member currently enrolled in Washington County 4-H.

Must be mature enough to handle a fast-paced work environment. This opportunity is recom-

mended for youth in 6th – 13th grade.

Should be friendly, helpful, and encouraging.

Must be available to work the entire shift.

Open House Save-the-Date It worked well to reduce the time frame of the Open House at Fair Park so that it’s 2 hours instead of 3 hours as we had the same number of people participate and maximized our volunteer’s time!

County Ambassadors will be sending out more details in a few months, but please mark your calendars for the following:

Wednesday, August 15, 5:00-7:00 pm, Washington County Fair Park (Main Open House) and/or Monday, August 27, 6:00-8:00 pm, United Way Hartford Resource Center (Mini Open House)

We expect that all clubs be present for at least one Open House, whichever they feel is most appropri-ate for their club. Of course clubs are welcome to be present at both.

Record Book Project Awards

It’s never too early to be thinking about record books! The 2018 Project Award Application and Record

Book Review Rubric are available on our website on the Projects/Record Book Page. Please encourage

youth to review these guidelines and see if they are on track with meeting the qualifications to be eligi-

ble for an award this year. Youth can also use the rubric to do their own self-assessment of your record

book. This will help them think about what they want to include to tell the story of what they have

NEW Cloverbud Record Book and Curriculum

The county-wide record book team is excited to announce that a new Cloverbud friendly record book is now available on our projects/record book page of our website! You can find the word version and a PDF fillable version in the first section on that page. It’s the last document. Look directly above the 4-H project sheet heading. This new record book is the result of the Achievement Committee’s survey, the Record Book Focus Group’s feedback, and our new Record Book Team’s hard work! Thank you to Rachel Demmon for creating the document and to Sharon Kiselicka for getting feedback from Clover-bud youth leaders. Clubs can use this record book this year or they can start using it next year. A WI 4-H statewide team has also released Cloverbud Curriculum Years 1 and 2. Each activity features a different 4-H project area and targets the development of age-appropriate life skills. The instructions have been tested to be easy to follow for both youth and adult leaders, using materials that are low-cost and easy to find. Adults who volunteer a minimum of 4 hours of work related to 4-H at the Washington County Fair can purchase an Adult Volunteer Season Pass for $15.00. This option is available to enrolled 4-H adult volunteer leaders and parents/guardians, grandparents, and adult siblings of 4-H youth members. The pass is good for all days the fair is open for the current year. The pass is a wristband with a barcode on it that will need to be scanned each day. Anyone with a season pass wristband, youth or adult, will need to get their hand stamped if leaving and wanting to re-enter on the same day. A stamp can be obtained at each entrance/exit.

1. How are passes ordered? One leader from each club needs to submit an Adult Volunteer Season Passes at Washington County Fair Form which includes a comprehensive list of volunteers from your club who will be ordering passes. The form needs to include how the volunteers will be fulfilling the 4 hour volunteer minimum requirement. Volunteers are responsible for signing up themselves for their desired volunteer roles and shifts. Details are included in the May/June Cloverline.

2. How are passes paid for? It is up to each club to decide if they help offset the costs for volunteers and how they manage this. Many clubs ask that volunteers pay for the pass in advance. One check per club needs to be submitted with the form. All forms and checks need to be submitted to UW-Extension Office by June 29. Checks are to be made payable to: Washington County Fair.

3. How will passes be distributed? Ideally, passes will be given to the leader when the Adult Volunteer Fair Passes Form and check is brought into the UW-Extension Office. We’re anticipating to receive the wristband passes by mid May. You will be notified via email when passes are available at the office. Please call the UW-Extension Office prior to coming in so the passes are ready for you. Passes should not be picked up individually, it is the responsibility of a leader to distribute passes to adults in their clubs.

4. How do key leaders order passes? County volunteers who are not involved with a 4-H club will receive a letter via email, if available, informing them of this process. They will need to submit a form and check in the UW-Extension Office as well.

5. How will the use of passes be evaluated? We trust that passes will only be ordered for approved family members, as defined above, who have registered to volunteer the minimum four hours.

6. What if a pass cannot be worn at work? Adult leaders who cannot wear a season pass to work due to safety reasons can stop at the Fair Office before they leave the fair with the wristband still on and they will be issued a pass for the next day.

WI 4-H International Opportunity for You!

“Do you know what I learned from this child?” asked one host father. “That you can live together and not understand what the other is saying, and yet still communicate and learn to love each other.” Comments like this from a local family sum up the joy which can result from participating in the Wisconsin 4-H International Exchange Program. You, too, can join in the Wisconsin 4-H International Program as a host family this summer. The program's primary purpose is to promote global awareness through friendship and cultural exchange. Wisconsin families host more than 60 youth from various countries between the ages of 12 and 16, as well as several adult chaperones, for periods of 2-4 weeks. Families open their hearts and homes by sharing their everyday lives and American culture. Many types of families – dual-career, urban, rural, etc. – are needed. Some programs require that the family has a youth of the same age and gender as the international visitor. Families need not be 4-H members to participate, although through hosting they will automatically become part of the organization.

Japan/Korea Exchanges: July 22 – Aug. 17, 2018

Mexico Exchange: July 1 – July 31, 2018 Families provide room and board and an opportunity for visitors to experience daily life in Wisconsin. Exchangees provide personal spending money and 4-H provides medical insurance and other fees. Exchangees are members of organizations similar to 4-H in other countries. Several Japanese, South Korean, and Mexican summer inbound exchangees are waiting for host family assignments. Do you know anyone who’d be interested in this great opportunity? If so, please tell them about the exchange but tell them to hurry – these great young people will be assigned soon! See the attached list of available young people who are coming to Wisconsin this summer who still need hosts.
