Written for KYOCERA Net Manager administrators, this document describes new andupdated features available in this version of the product. Using this guide, admins canimplement the new features as needed.

What is KYOCERA Net Manager?KYOCERA Net Manager is a server-based web application that manages your printingdevices and user policies to provide secure printing and copying, and to provideaccounting of print-related expenses. Efficient use of your printing resources isprovided by the Print&Follow function which allows users to securely print to anyprinter managed by KYOCERA Net Manager.

AuthenticationAccess printers using a PIN or an ID card, or user name and passwordcombination. KYOCERA Net Manager can be set to use a two-stepauthentication combination such as ID card and PIN.

SecuritySecure printing, data encryption and the Print&Follow function ensure thatyour documents can only be accessed and printed by authorized people.

ReportingKYOCERA Net Manager keeps detailed statistics about all aspects of printingand printers, scanning and copying, projects, accounting, and users andgroups.

Personalized FeaturesKYOCERA Net Manager allows KNM admins to show different functions andapplications per user based on the user’s requirements.

Easy ScanOne click changes the destination of your scanned documents and theirmetadata. You may choose between your home folder, fax server, or emailaddress.

Mobile printingPrint documents from your mobile device by sending the job to the KYOCERANet Manager server using the mobile app.

ConventionsThe following conventions may be used in this guide:

• Menu items and buttons appear in bold text.• Screen, text box, and drop-down menu titles are spelled and punctuated exactly as

they appear on the screen.• Document titles appear in italics.• Text or commands that a user needs to enter are displayed as text in a different

font or in a text box as shown in these examples:

Language supportSupport for the following languages is now available on the KNM server Web UI andEmbedded Terminal UI:

• Dutch: Nederlands (Nederland)• Flemish: Nederlands (België)

Minimum upgrade versionOnly KNM versions 6.0 and later can be upgraded to version 7.5. If an attempt ismade to upgrade from a version earlier than 6.0, a message is displayed and theinstallation is stopped.

Support removed for 32-bit Operating Systems32-bit Operating Systems are no longer supported for KNM Print Server installation.Installation on a 32-bit OS results in an error message displayed and the installation isstopped.

Code Books: Edit default valueIn a Code Book, Terminal Actions with a Parameter tab allow the default value for anyavailable parameters to be edited.

1 Go to Settings > Terminal Actions and select the Terminal Action where youwant to set a default value.

2 Select the Parameters tab.

3 Open the Parameter to be changed.

4 Select the Default value menu and choose the new default value.

5 (Optional) Clear the Prohibit change of value check box to allow a user tooverride the new default on the Embedded Terminal. This example shows thatMonochrome will be the default value displayed on the Embedded Terminal andthat users are able to change to a different selection.

Code Books: Internal code list rights set to All users by defaultWhen adding codes for an Internal code list Code Book, All users are added bydefault to the Rights field.

Remove All users and reassign the rights if All users is not intended.

Code Books: MS Exchange Address BookThe MS Exchange Address Book is a Code Book used to retrieve the personalcontacts from a Microsoft Exchange server of the user logged in to an EmbeddedTerminal. These personal contacts can be used as a destination for scanned files.

A special account must be established on the MS Exchange server for use by KNMbefore setting up the MS Exchange Address Book. This MS Exchange server accounthas special rights that allow the account to access other user's mailboxes to retrievecontacts from user's Personal Address Books via EWS (Exchange Web Services).

The KNM server does not change any data on the Exchange servernor is any data saved in the KNM database except for items marked asfavorites. In that case, the name of the contact and value are retained. Forexample, only auser and [email protected] are retained if this user is madea favorite.

Using the MS Exchange Address Book, it is possible to set scan profile parametersto retrieve personal contact email address, phone number, and fax number from anExchange Server.

Only 50 items can be displayed on the Embedded Terminal, includingfavorites. If a contact has two email addresses, they count as two items.Contacts that are not displayed due to the 50-item limit can be searchedand selected.

There are three steps to set up this feature:

1. Create a special account on the MS Exchange server to be used by KNM.2. Create an MS Exchange Address Book Code Book.3. Create a Terminal Action that uses the Code Book.

Set up Microsoft Exchange Server for MS Exchange Code Book

An account must be set up on the Microsoft Exchange server with theApplicationImpersonation role to access the Personal Contacts of a userlogged on to the Embedded Terminal.

The ApplicationImpersonation role enables applications toimpersonate users in an organization to perform tasks on behalf of theuser.

1 Open the Exchange Admin Center.

2 Select permissions > admin roles > + to create a new admin role.The Role Group / new role group window displays.

The following login information for this account is needed to create the ExchangeCode Book on KNM:

• Exchange server IP address or hostname• User name of the account that has the ApplicationImpersonation role• Password for the account• Security type: SSL or none

Set up MS Exchange Address Book Code Book

After the account has been set up on the MS Exchange Server that has theApplicationImpersonation role, a new Code Book can be set up on KNM.

1 Go to Settings > Code Books.

2 Select +Add.

3 Select MS Exchange Address Book.

A blank Code Book window displays.

4 On the General tab, complete all the required fields:

• Name: The name of the new Code Book• Server: The Exchange Server IP address or hostname• User: The User name that was created on the Exchange Server that has the

ApplicationImpersonation role to access other users' mailboxes• Password: Password of the user• Security: None or SSL

5 Select Test to check that the connection is operational.

6 Select Save.

The new Code Book is ready for use.

Easy Scan: Create a Terminal Action that uses MS ExchangeCode Book to send as email

After the MS Exchange Address Book Code Book has been created in KNM, createa Terminal Action to use the Code Book to send a scan as an email.

These instructions assume that users on the KNM server are set to usean authentication server so that usernames and passwords for email andEmbedded Terminal login match. This lets the Exchange Server displaythe correct personal contacts for the user when they log in.

1 Select Settings > Printers > Terminal Actions > +Add > New Node > EasyScan to create a new Easy Scan Terminal Action.

2 Enter a Title for the new Terminal Action and select Save.

3 Select the Parameters tab.

Add the Exchange Code Book to a Parameter for email:

4 Select +Add.

5 Enter a Title for the new Parameter. For this example, type Exchange mail.

6 From the Type menu, select Code Book.

7 From the Code Book menu, select the name of the Exchange Code Book thatwas created. For this example, the name is Exchange Codebook.

8 From the Default value menu, select Email. This will display the emailaddresses of entries in the user's Personal Contacts on the EmbeddedTerminal.If Phone is selected, the Embedded Terminal displays phone numbers. If Fax isselected, the Embedded Terminal displays fax numbers.

9 Select Advanced to reveal the Reference text box.

10 In the Reference text box, type exchange. This is how you will refer to thisparameter on the Destinations tab.

11 Select Save.

Add an Email Destination:

12 Select the Destinations tab.

13 Select +Add.

14 In the General area, from the Type menu, select Email.

15 In the Parameters area, in the Recipient text box, type %exchange%.

16 Select Save.

This Terminal Action is now available for use on the Embedded Terminal. A logged-in user will see their personal contact list as possible destinations to send a scan viaemail.

Easy Scan: Create a Terminal Action that uses MS ExchangeCode Book to send as fax

After the MS Exchange Address Book Code book has been created in KNM, aTerminal Action can be created to use the Code Book to send a fax.

The fax numbers in the user's MS Exchange Personal Contacts listshould be listed as Business Fax or Other Fax for KNM to recognize anddisplay the fax numbers on the Embedded Terminal.

These instructions assume that users on the KNM server are set to usean authentication server so that usernames and passwords for email and

Embedded Terminal login match. This lets the Exchange Server displaythe correct personal contact information for the user when they log in.

These instructions also assume you are using a Microsoft Fax server ora 3rd-party online fax system to accept emails with attachments from theKNM server to forward as faxes. On any 3rd-party online fax systems,make sure that the KNM Outgoing SMTP Server Sender email address isset as an address that can send outgoing faxes.

1 Select Settings > Printers > Terminal Actions > +Add > New Node > EasyScan to create a new Easy Scan Terminal Action.

2 Enter a Title for the new Terminal Action and select Save.

3 Select the Parameters tab.

Add the Exchange Code Book to a Parameter for fax:

4 Select +Add.

5 Enter a Title for the new Parameter. For this example, type Exchange fax.

6 From the Type menu, select Code Book.

7 From the Code Book menu, select the name of the Exchange Code Book thatwas created. For this example, the name is Exchange Codebook.

8 From the Default value menu, select Fax. This will display the fax numbers ofentries in the user's Personal Contacts on the Embedded Terminal. If an entryin the User's Personal Contacts list does not have a fax number, the entry is notdisplayed.

9 Select Advanced to reveal the Reference text box.

10 In the Reference text box, type exchange. This is how you will refer to thisparameter on the Destinations tab.

11 Select Save.

Add a fax Destination:

12 Select the Destinations tab.

13 Select +Add.

14 In the General area, from the Type menu, select Fax Server.

15 In the Parameters area, in the Fax address template text box, type:

%exchange%@faxserverdomain.com

where faxserverdomain.com is the fax server for your domain.

16 From the Sender menu, select the email address that matches the emailaddress at Settings > Network > Outgoing SMTP Server > Sender email.This email address is associated with the fax being sent out.

17 Select Save.

This Terminal Action is now available for use on the Embedded Terminal. A logged-inuser will see their personal contact list as possible destinations to send a scan via fax.If there are entries in the User's Personal Contacts list that do not have fax numbers,those entries are not displayed.

Easy Scan: Use Terminal Action with Exchange Code Book

When a Terminal Action is set up to use an Exchange Code Book:

• Personal contacts are retrieved from the user mailbox defined in the KNM user'semail.

• Only the first 50 items from the user's personal contacts are shown. To use acontact that is not displayed, the user needs to perform a search.

• Searching for contacts is done by contact name.• Contacts retrieved are parsed. If a contact contains multiple values, such as

3 email addresses, each value is displayed as a new item on the EmbeddedTerminal.

• To add a Favorite contact, select the star icon (Favorite) next to the contact name,select the contact name, and then perform a scan. Any Favorites set appear at thetop of the list the next time a scan is made.

• To remove a Favorite contact, select the star icon (Favorite) to clear the star,select the contact name, and perform a scan. The Favorite is removed from thecontact the next time the feature is used.

This example shows using a Terminal Action that sends a scan as a fax.

2 Select Exchange fax. Exchange fax was set as the name of the Parameterused to access the Exchange Code Book in this example.

3 Select an entry where the scan will be sent. Note that in this example, AcmeCorp has 3 different fax numbers. For this example, the Business number isselected

4 The Embedded Terminal displays the name of the contact that was selected.Select the check mark to scan and send the fax.

Easy Copy: Enable Duplex to Simplex and Simplex to Duplex optionsUsers can select an option on Easy Copy to:

• Copy 2-sided documents (duplex) and have the printed output be 1-sided (simplex)• Copy 1-sided documents (simplex) and have the printed output be 2-sided (duplex)

This feature must be enabled to let users access the feature.

1 Go to Settings > Printers > Terminal Actions.

2 Select Easy Copy.

3 Select the Parameters tab.

4 Open the Duplex parameter.

5 To allow users to choose the 1-sided to 2 sided or 2-sided to 1-sided option onthe Embedded Terminal, clear the Prohibit change of value check box.

6 Select Save.

Once the setting change is made, when a user selects Easy Copy on the EmbeddedTerminal, they see the Duplex option is available.

Users can select an option for scanning and output.

Easy Copy: Using the Duplex to Simplex and Simplex toDuplex feature

With this feature enabled on Easy Copy:

• Users with 2-sided (duplex) documents can scan and print them as 1-sided(simplex) documents

• Users with 1-sided (simplex) documents can scan and print them as 2-sided(duplex) documents

The Binding setting is fixed as Left/Right.

1 On the Embedded Terminal, select Easy Copy.

2 Place your documents in the document feeder.

This example shows how to add parameters that can be used in an Easy ScanTerminal Action.

The example adds two parameters to the same Terminal Action:

Requirements for using the Connect as optionThe instructions and examples that follow assume that KNM is in a domainenvironment using network shares and that you want to control who is the owner ofa scanned file.

If you use Workgroup (Peer to Peer) sharing to provide shared folderswhere KNM scanned files are placed, do not use the C:\Users folder orany C:\Users sub-folders, including the Desktop, as a shared folder. Forexample, the owner of a scanned file cannot be changed if C:\Users\acosta\Documents is used as a destination for scanned files

Work with your local IT team to ensure that the network shares and users set up areappropriate for this feature.

Before setting up an Easy Scan Terminal Action using any of the three Connect asoptions, note the following:

Connect as: Other user

This example procedure demonstrates how to set the Easy Scan destinationparameter to Connect as: Other user.

The "Other user" is a user account that has read/write access to the Destination folderwhere the scans are sent. Selecting the Make the user doing the scan of the ownerof the file check box changes the owner of the scanned file from the "Other user" tothe user logged on to the Embedded Terminal.

Use the account of the domain user that was set up as an administratoras part of the requirements for using the "Connect as" option.

Easy Scan / Easy Copy / Easy Fax: Validator field for Text parameterfield

Easy Scan, Easy Copy, and Easy Fax can have Text parameters validated against aregular expression. Text input on the Embedded Terminal will only be accepted if itmatches the regular expression in the Validator text box. If the Validator is empty, novalidation is performed on text input.

The regular expression must be written without delimiters. For example, ^[1-5]$, not/^[1-5]$/

Create Validator for text Parameter

This example demonstrates how to create a Validator for a Text parameter in EasyScan. This same method can be used for Easy Fax and Easy Copy. A Validator canbe added to existing Terminal Actions with Text parameters to test text entries on theEmbedded Terminal.

Create an Easy Scan Terminal Action

1 Create an Easy Scan Terminal Action.

2 Go to Settings > Printers > Terminal Actions.

3 Select +Add > New Node > Easy Scan.

4 On the General tab, enter a title for this Terminal Action. For this example, enterEasy Scan with Priority.

5 Select Save.

External Systems: Scan to AWS S3 cloud storageAmazon Web Services (AWS) Simple Storage Service (S3) is a hosted storageservice. KNM can use ASW S3 as an external system to save scans safely andsecurely.

An AWS S3 account, Access Key ID, Security Key, a Bucket, and Regioncode are required for this procedure. Check with your local IT team for thisAWS S3 data.

Enable AWS S3 on KNM

To enable AWS S3, enter the AWS S3 account's Access Key ID and Security key.

1 Go to Settings > External Systems > AWS S3.

2 Enter the AWS S3 Access Key ID and Security key.

3 Select Save.

After saving the AWS S3 credentials, the storage system is available as a Cloudstorage type for Easy Scan.

Set AWS S3 as a destination for Easy Scan

With AWS S3 enabled as an External System, it can be selected as a destination forEasy Scan. This example shows how to set Amazon S3 as a parameter so that scansgo to AWS S3 for storage.

An AWS S3 account, a Bucket, and Region are required for thisprocedure. Check with your IT team for your Bucket name, Region code,and Folder path.

1 Go to Settings > Printers > Terminal Actions.

2 Select +Add > New Node > Easy Scan to add a new Easy Scan TerminalAction.

3 On the General tab, enter a Title such as "Easy Scan to AWS S3."

4 Specify any printers and users who will have rights to see and use this TerminalAction. The default setting makes this Terminal Action available on all printersand for all users.

Jobs: Jobs via AirPrintAirPrint is a native Apple technology for wireless printing using Wi-Fi. The AirPrintfeature in KNM provides Apple Macintosh, iOS, and iPadOS users access to KNMprint queues without having to install additional drivers on their devices.

There are two steps to activate this feature:

• Enabling the AirPrint feature on KYOCERA Net Manager.• Installing Mobile Print Agent

Jobs: Enable Jobs via AirPrint

On the KNM server, enable the AirPrint feature.

1 Select Settings > Jobs > Jobs via AirPrint.

2 Select Enabled to turn the feature on.

3 Set the Port to 8632.

4 Select Save.

After enabling AirPrint, install the KNM Mobile Print Agent to advertise KNM queues toiOS devices.

Jobs: Install KNM Mobile Print Agent

KNM Mobile Print Agent (MPA) advertises KNM queues to iOS mobile devices toenable printing via AirPrint. MPA can be installed on the KNM server but should alsobe installed on any computers on subnets that can access the KNM server.

The Client ID and Secret strings for the Mobile Print Agent from the KNM server arerequired for the installation.

Copy Mobile Print Agent Client ID and Secret from the server

1 On the KNM server go to Settings > External system > Mobile Print Agent >Show information.

2 Copy the Client ID and Secret strings from the External system window andpaste them into a text editor, such as Notepad.

Set up queues for AirPrint

Queues must be set up on the KNM server so they can be accessed by AirPrint users.Print&Follow, Tandem, and Delegated printing queues are supported for AirPrint.

1 On the KNM server, go to Printers > Queues.

2 Create a new queue and make these changes to the default values on theGeneral tab:

a) Name: Provide a name that can be recognized by your users as anAirPrint queue.

b) Type: Select a queue type from Print&Follow. Tandem, or Delegatedprinting.

c) User detection method: Select Job sender.d) Select Save.

3 On the Printers tab, make sure that the printer or printers to be used for thisqueue are added. All printers is the default setting.

4 On the Rights tab, make sure that the users or groups that are to have accessto this queue are added. All users is the default setting.

5 For Delegated printing queues:a) Go to Users.b) Select the user that is going to have a delegate or delegates assigned to

them.c) Select the Delegates tab and from the Delegates menu, choose the

delegates who can release print jobs on behalf of the selected user.

After the queues have been added, test the AirPrint queues on an Apple device tomake sure they work as expected.

Jobs: Using AirPrint

Once AirPrint has been activated on the server and queues set up, a user with anApple device can select and use available KNM queues to print.

1 From the application, access the Print menu.

2 If the application provides the opportunity to select Print or AirPrint, selectAirPrint.

3 Choose Select Printer.A list of printers and available AirPrint queues display.

AirPrint queues display with lock icons next to their queue names:

• A locked icon indicates that you have not logged in to this queue before orthat a period of time has elapsed since you last logged in.

• An unlocked icon indicates that you have successfully logged in this queue

4 Select the AirPrint queue. If you have not logged in to the queue on this devicebefore, a Password required dialog box displays.

If you select an AirPrint queue with a locked icon and you haveused that queue before, your retained login credentials will log youinto the queue.

5 Enter your KNM user name and password and select OK.

If your account requires a PIN to log in, enter your PIN in thepassword text box.

6 Once your credentials are accepted, you are returned to the Print menu.

7 Select Print.

The print job is then treated as any other KNM print job.

Remove KNM Mobile Print Agent

1 Go to Control Panel > Programs and Features.

2 Locate and select KNM Mobile Print Agent.

3 Select Uninstall/Change.

4 From the KNM Mobile Print Agent window, select Remove.

Jobs: Jobs via IPPSWith the Jobs via IPPS feature enabled, users can securely send jobs to using theIPPS protocol from Windows, Macintosh, or Linux computers.

Each queue is accessible via the following URL: https://{KNM_server_name}:{IPP_IPPS_port}/queue/{Queue_name}

A valid SSL certificate from a trusted certification authority must beinstalled on the KNM server and on any client computers wanting to printvia IPPS. Check with your local IT team regarding certificate generationand installation.

Jobs: Enable Jobs via IPPS

The IPPS protocol enables secure printing of documents over the internet. By default,it is set for Port 8631 and is disabled on the KNM server.

KNM uses Port 631 for Mobile Print IPP and Port 717 for Mobile PrintIPPS so these ports cannot be used for IPPS printing

On the KNM server, enable the Jobs via IPPS feature.

1 Select Settings > Jobs > Jobs via IPPS.

ScannerVision version 8.10.0 or later requires a secure connection on the KNMserver.

1 On the KNM server, go to Settings > Network.

2 In the Communication Security area, turn on Enable only secure connection.

ScannerVision: Add security certificates to KNM server andEmbedded Terminal

SSL certificates must be added to the KNM server and to any Embedded Terminalswhere ScannerVision will be available.

The KNM server can generate a self-signed SSL certificate or you canobtain an SSL certificate from a certificate authority. Which one you usedepends on if your network requires SSL certificates from a certificateauthority. Check with your local IT department regarding SSL certificates.

This example imports an SSL certificate from a certificate authority.

If you want to use the KNM self-signed certificates, they are located on the KNMserver at C:/ProgramData/Kyocera/KYOCERA Net Manager/Cert.

Add SSL certificate to KNM server

1 On the KNM server, go to Settings > Network.

2 In the Communication Security area, select Change certificate.

3 Select Browse next to the certificate type you are adding and browse to thecertificate.

4 If you are using a PFX (P12) format certificate, enter the Password associatedwith the certificate.

Remove any Server Certificates from Certificate Manager on Embedded Terminals

8 Check to see if there are existing certificates for the KNM server on CertificateManager.

a) Open a web browser and go to https://[Printer with EmbeddedTerminal address]:8083 to open the HyPAS Device Onlineapplication.

b) Enter the Admin Username and Password for the device and select OK.c) From the Contents menu, select Certificate.d) On the Certificate Manager window, select Server Certificate.e) If there is an existing certificate for the KNM server, delete it.

Run Remote Setup with KNM server Hostname

9 The SSL certificate is mapped to the KNM server Hostname, not the server IPaddress so Remote setup must be done using the server Hostname.

a) On the KNM server, go to Printers.b) Select the printer or printers you need to update.c) From the Actions menu, select Remote setup.d) In the Network area, select Hostname: [hostname of the KNM server].

e) Select Run above the list of printers.After Remote setup, a secure connection isn't established. AnyEmbedded Terminals where Remote setup was run will display an InvalidSSL certificate message. This is correct since the SSL certificate is notinstalled on the Embedded Terminals.

Import Server SSL certificate to Certificate Manager

10 The same certificate that was installed on the KNM server now needs tobe installed on each Embedded Terminals where the Invalid SSL certificatemessage is displayed.

a) Open a web browser and go to https://[Printer with EmbeddedTerminal address]:8083 to open the HyPAS Device Onlineapplication.

b) Enter the Admin Username and Password for the device and select OK.c) From the Contents menu, select Certificate.d) On the Certificate Manager window, select Server Certificate.e) Select Browse and locate the same certificate that is installed on the

After restart the SSL connection is established and the error message no longerdisplays.

ScannerVision: Add External System to KNM server

ScannerVision must be added as an External system on the KNM server.

1 Select Settings > External systems.

2 In the External system area, select +Add new External System.

3 In the Title text box, enter ScannerVision Smart Workflows.

4 Copy the Client ID and Secret strings to Notepad or a text editor. These stringsare required for ScannerVision installation.

ScannerVision should be installed on a server that is separate from the KNM server.

If .NET Framework 3.5 is already installed, skip these steps.

d) After the installation complete, close the Programs and Features window.

ScannerVision has its own FTP service and is used to transfer files from the printer toScannerVision for processing.

Set the ScannerVision FTP service:

Add a client and then set the name and the IP address for a printer:

2 From the Clients area, select Add.

ScannerVision: Add external workflow to KNM

Admins can add an external workflow in a Terminal Action to integrate ScannerVisionon KNM. Once added, a button appears on the Embedded Terminal panel on targetprinters.

This procedure assumes that the ScannerVision server has already beenset up. The ScannerVision IP address and web server port number arerequired for this integration.

1 Select Settings.

2 In the Printers area, select Terminal Actions.

3 Select Add.

4 From the menu presented, select New node.

5 From the menu presented, select External workflow.The External workflow properties panel displays.

6 On the properties panel, rename and edit the node:a) Change the Title to ScannerVision.b) From the Printers menu, select which printers will have this External
