3 PRE-BUILD INFORMATION

These notes assume the user and their old computer have been migrated to AD.

The DLM has been designed to install Windows XP on Dell Desktops and Laptops. It may work for other makes; see N:\Desktop Systems Development Team\Standard Desktop\MakeModel Database.rtf for a list of supported makes and models. If the computer you are imaging isn‟t in the list, speak to the Desktop Systems Team first as they will need to know the BIOS make and model number.

Try and have a preliminary meeting/discussion with the user to establish what needs moving from the old computer and clarify what software needs installing on the new computer.

Check if they need a static IP address; remember though that the usual situation is to be assigned a dynamic address.

Establish any licence considerations and how these should be followed up. Check with Sue Batty if unsure.

It could be useful to take a network cable and boot CD with you.

It is recommended that the user keeps their old computer for a couple of weeks in case you miss something or until they are satisfied they have all their data and are happy with their new PC.

Establish what is happening to their old PC, and give advice as appropriate. The hardware disposal webpage at http://www.its.ex.ac.uk/services/disposal.shtml may be helpful here.

4 STEPS TO FOLLOW ON THE OLD PC

1. Note down: a. Drive mappings b. Which printers they use c. What software applications they use d. Where their desktop picture is

2. Create a folder on the U: Drive called Old Computer and copy their Desktop Picture, Outlook.pst files, Outlook Profile.nk2 file, Templates, Quick Launch Folder, Proof Folder, Signatures Folder, Favorites and any files not kept on their AD filespace to this folder.

3. If they are a Firefox user, export their bookmarks to the Old Computer folder

4. If they are still using older e-mail clients, check for local folders and move these to the mail server.

5. If they use Dreamweaver, note the address of their local and remote sites.

6. If the PC is going to be re-deployed, remove any licensed software which is being transferred to the new computer and tell the user to contact Sue Batty to update the licence agreement.

7. If they have a PDA do a final synchronization.

8. Turn off PC, disconnect and put to one side.

Note: Favourites are usually in C:\Documents and Settings\‘User name’. To find the Outlook.pst and .nk2 files, firstly make sure hidden files and folders are shown by going to My Computer, Tools, View, Show hidden files and folders. The pst file is in C:\Documents And Settings\’User name’\Local Settings\ Application Data\Microsoft\Outlook. If the user doesn’t use local folders there may not be a .pst file. The nk2 file is in C:\Documents and Settings\’User name’\Application Data\Microsoft\Outlook. The Templates, Proof and Signatures folders are in the Application Data\Microsoft folder. Double-check that they haven’t put any templates anywhere else

5 STEPS TO FOLLOW ON THE NEW PC

5.1 BEFORE THE USER LOGS ON

1. Check all parts are present, noting down serial numbers and EA/GVA numbers.

2. Turn on the PC and enter the BIOS Settings by pressing F2 when the Dell Logo is shown. See troubleshooting section if you are prompted for a password.

3. If Vista is the pre-installed OS and you are installing XP, switch off the Flash Cache Module (if present) and under SATA operation enable ATA and disable AHCI.

4. Locate the Integrated NIC settings and select the On/PXE option if not already enabled. Turn SMART monitoring on to enable BIOS warning when the HDD is about to fail. Save changes, exit the BIOS and restart the PC if it does not do so automatically.

5. Press F12 to enter the Boot Device Menu and then select the Onboard Network Controller option. When a menu appears, choose the first option “SCCM wds”. This is the default and will be automatically selected after 5 seconds. When prompted, press F12 for the Network Service Boot.

6. Task sequence wizard appears, click next.

7. A list of task sequences appears, choose the appropriate image and click next. Verify the computer name and click Start Installation.

8. Install Windows XP SP3 from \\mcrfs04\dst\Applications\Microsoft Updates\Windows XP Service Pack 3 (KB936929) – other windows updates will be applied using SUS later.

9. Check Device Manager for any drivers that were not installed during the Image setup. Some PCs require HD Audio driver updates. See Appendix 3 for model specific information. Notify Desktop Systems team of any missing drivers.

10. Go to Control Panel and check the Regional and Language settings are all set to UK both on the Regional Options and Advanced tabs. Also, in the Advanced tab, tick the box to Apply all settings to the current user account and to the default user profile. When done, click on OK and restart when prompted.

11. Create a VPN connection as described in http://its.exeter.ac.uk/services/vpn/it8977.pdf for all users and place a shortcut in C:\Documents and Settings\Default User\Desktop.

12. Install the 2003/2007 compatibility kit that enables to use Office 2007 files (converter) from \\Mcrfs04\DST\Applications\Microsoft\Office\2007to2003FormatConverter.

13. Install SP3 for Office 2003, available on mcrfs04. Install further office updates - Go to http://office.microsoft.com/en-gb/downloads/default.aspx and choose Get additional Office Update from the link on the left of the page.

14. Install PrimoPDF from \\Mcrfs04\DST\Applications\PrimoPDF.

15. Install PowerDVD and Roxio Creator for DVD play back and CD/DVD writing. Both are in \\Mcrfs04\DST\Applications

16. Install updates for Acrobat reader (this requires proxy access) and Flash player for both Internet Explorer and Firefox (IE requires a VPN connection).

17. Add the user to the local administrators group; to do this go to Control Panel\User Accounts and click on Add. In the window that opens enter their user ID in the first box and ISAD in the second. Click next, then other and select Administrators.

5.2 WITH THE USER LOGGED ON

1. Customize the desktop - Right click anywhere on the Desktop and select Properties. Click on the Settings tab and ensure the resolution is set to the maximum native resolution for the display. Click on the Appearance tab then Effects and change the method of smoothing fonts to ClearType. Put the user‟s Desktop picture back if they have one, then check the user is happy with the image and adjust as required.

2. Tidy the desktop by removing unnecessary application shortcuts.

3. Right click the Taskbar and select Properties, deselect the Lock the Taskbar and Hide Inactive Icons option and turn on the Show Quick Launch option.

4. Click the Start Menu tab, click the Customize button and then click on the Advanced tab. Turn off the two options at the top; Open submenus when I pause on them with my mouse and Highlight newly installed programs.

5. Go to My Computer\Tools\Folder options\View. De-select Auto search for network printers and folders and Use simple file sharing.

6. Add shortcuts to the Quick launch for the most common applications.

7. Open Word and go to View\Toolbars\Customize\Options. Check Show Standard and Formatting toolbars on 2 rows and Always show full menu. Click on Tools\Options\View and uncheck Show Startup Task Pane. Check the default dictionary is UK; to do this go to Tools\Language\Set Language, select English UK and click on Default.

8. Check Network Drives have mapped correctly. Everyone should see Drives N and U, APTOS/EAS users should also have Drive T. If Drive T is missing this is probably because they are not registered to use any MIS applications. If they are registered, or Drives N and U are missing, this is a fault and should be investigated.

9. Setup Printers – To setup an AD printer, click Start, Printers & Faxes then Add Printer. When the Add Printer Wizard opens, select the network printer option then select the Find Printer in directory. The Find Printers directory opens, click Find Now to bring up a list of all printers that are on the network or restrict search to area. For example, lav* would find all printers in the Laver building. Locate the printer that the user prints to and double click it. The Wizard will ask if you want the printer to be your default printer (check with user), then select Yes or No. Print off a test page for each printer.

10. Configure Outlook2003 - Click Start, All Programs, Configure Outlook, Configure Outlook. You will be prompted and asked: „Do you wish to configure Outlook now?‟ Click OK, Outlook opens, wait for it to update all folders. Close Outlook.

Note: If the Configure Option doesn’t appear, type the following into run to configure Outlook:

outlook.exe /importprf \\isad.isadroot.ex.ac.uk\NETLOGON\OutlookUOEv1.4.PRF

11. Check Outlook settings – set the calendar to show 12 months and don‟t use word as the email editor. Switch off Cached Exchange Mode in Outlook if setting up a desktop

12. Transfer all Templates, Proof, Signatures, Favorites, and Outlook.pst/nk2 files into their respective locations on the C: Drive. If they are a Firefox user, restore their bookmarks to the relevant folder.

13. If the user has any Outlook.pst files, open Microsoft Outlook and go to File, Open, Outlook Data File and here it will show you the files that were copied into the folder on the C: Drive. Click on the .pst file(s) then click OK to open them in Outlook. You should encourage the user to migrate their PST files to the Mailbox that is stored on the server.

14. Open and configure IE7. Turn on the phishing filter, choose Google for the default search provider, switch on Clear Type and set language to UK. Check that the proxy settings have only Automatically detect settings ticked.

15. Fill in the on-line registration form if the user needs a static IP address using http://its.exeter.ac.uk/network/registration.shtml.

16. If a laptop, check it synchronises automatically on final log off. If not, investigate.

17. If the user wants to see archived emails off-line, the laptop client need to be installed from https://emailarchive.exeter.ac.uk/client/laptop.exe. They also need to let the IS team know they want to be enabled for off-line access.

18. If the user has a laptop and a docking station check the power settings when docked allow the lid to be closed and the laptop to remain on (usually set to standby).

6 INSTALLING APPLICATIONS

6.1 MANDATORY APPLICATIONS

1. AssetWorks (formerly PCAudit).

2. A PCBackup client

3. RealPlayer 11.0 (Enterprise Edition)

6.2 OPTIONAL APPLICATIONS

Install any applications required by the user. See Appendix 2 for instructions.

7 ADMIN TASKS

1. Dell Discs & Documentation - place all discs and documentation that came with the computer into an envelope and write the make, model and serial number on it and ask user to put it somewhere safe in case it is needed for any reason.

2. Email the serial number and GVA/EA numbers noted earlier to [email protected] and the DST liaison contact.

8 WHEN THINGS GO WRONG

1. If you are prompted for a BIOS password, enter weefreemen, and then remove it by going to the Security Options and selecting the System Password option.

2. If the image fails, start the image process again and as soon as the Win PE GUI appears at Step 6, press F8 to open the command window. You can‟t open it later, so you must do it at this stage. The window can remain open (but minimised) while the OS is installed and gives you a means of running diagnostics or commands if you need to. Type ipconfig to see if the computer has a working NIC driver, if it is missing the imaging process cannot continue. Type C:\ to check you can access the HD. If you can‟t, the MSD driver might be missing. Contact Desktop Systems if either of these drivers is missing.

3. If the image isn‟t successful a second time, reformat the HDD. Do this from the command window: type format /q C:. The Volume disk label is OSDisk. Re-start the computer and continue the imaging process from section 5.1.5. Press F8 at the appropriate time again and check to that the C:\minint folder has been removed. If the image fails again, speak to Desktop Systems for further advice.

4. Sometimes a desktop behaves like a laptop and tries to synchronise (has double arrows). A reboot should fix this.

5. If old cluster machines are being passed on to staff, let Desktop Systems know the computer name before applying the image. This is to clear the PC from the clusters group and allow a standard staff image to apply.

6. If streaming media does not work in Realplayer, change the streaming proxy settings to wwwcache.ex.ac.uk for all lines. Change port 80 to 8080 and exclude local addresses 144.173.*.*, *.ex.ac.uk, *.exeter.ac.uk.

10 APPENDIX 2 – SOFTWARE INSTALLATIONS

Application installers are all on \\mcrfs04\dst\Applications unless mentioned. If any installation notes or licence keys/codes exist, they will be found in the same locations. To install and run the MIS applications, Drive T must be mapped to \\isad.isadroot.ex.ac.uk\uoe\mis. This should be done on login for users registered to use the MIS applications, but check anyway. Users need to register to use MidlandTrent, SITS and APTOS so check new users are aware of this. ACT! (formerly Sage) - This software requires a license. (Business School currently have 10 licences). Adobe Products - Acrobat Pro, Captivate, Contribute, Creative Suite, Dreamweaver, Photoshop, Premiere etc - All items require a license. Alta HR - This software is not used and should be installed for accessing old data only. In IE>Tools>Options>Privacy>Pop-up Blocker, uncheck or add https://hr.ex.ac.uk/altahr to exceptions and uncheck Reuse windows for launching shortcuts in IE>Tools>Internet Options>Advanced. Delete existing AltaHR icons and copy new icons to desktop. The new icons are located in T:\AltaHR\Icons\AltaHR_Web_icons\ HRLiveIcons\Live AltaHR Web – IE Run Alta HR by double clicking on the icon Live AltaHR Web – IE. Answer [OK] or [Yes] or [Continue]. Run jinitiator and accept default settings. Accept certificate permanently. Close IE. Check system tray. If jinitiator icon refuses to disappear from system tray, reboot. Copy T:\AltaHR\Icons\AltaHR Web icons\certdb.txt to C:\Program Files\Oracle\JInitiator 1.3.1.22\lib\security, overwrite if necessary. Double-click "Live AltaHR Web" shortcut. Accept security certificate / security warning always. For login use database HR. Go to Control Panel>Jinitiator 1.3.1.22>Proxies and untick "Use browser settings" APTOS - Users need to register for APTOS use. To install and run the MIS applications, Drive T must be mapped to \\isad.isadroot.ex.ac.uk\uoe\mis. After installing this, you need to add it as an exception in the Windows Firewall or it won‟t refresh. Thomson Financial – is licensed for on any staff or cluster PC in the Business School. Ulead VideoStudio - This software requires a licence. WinDIP - Note: if there is already a WinDip shortcut the shortcut should be deleted and the installation procedure carried out.

11 APPENDIX 3 – MODEL SPECIFIC INFORMATION

This section gives information about model-specific driver issues for various Dells. Most Dell drivers can be found on \\mcrfs04\dst\Drivers\Computers\Dell. Some laptops also require Bluetooth cards to be installed.

The Dell website provides a driver install order if you are experiencing problems.

11.1 LATITUDE D630

Install audio driver followed by modem driver to fix the sound problems.

11.2 LATITUDE E SERIES

Install audio driver followed by modem driver.

Install USH driver (\\mcrfs04\dst\Drivers\Computers\Dell\Latitude\Exxxx\XP\(USH) Dell_ControlPoint-Security-M_A07_R206690)

If there is still an HD Audio error with the device not correctly configured, try reinstalling the Graphics driver.

If you are obtaining the driver via the Dell Support website, make sure you select the tab for „Results for all latitude D430‟ and select the driver for Wireless 5520 Vodafone Mobile Broadband (3G HSDPA) MiniCard (R164067).
