Long-time Darwin recruiter and Avant principal Alison Hucks SOMETIMES getting others to under- stand what we are saying, or to under- stand what we are trying to communi- cate — feels sort of like herding cats. Every one of us approaches things with our own perspective, our own agenda, our own paradigm. So how do we get others to understand us? First and foremost we need to organise our own thoughts. Whether it be an idea for improving efficiencies; or explaining how a certain task is done; or trying to let a colleague know that you need help; or asking for additional resources; what- ever the reason — whenever we want others to understand what we are com- municating its a great idea to practise the following: Make notes: not Wikipedia lengths, a few key bullet points will do. Something written down previously is more likely to be recalled and it will keep you on topic/on task. Always use objective language, stick with facts: in the workplace, if you are able to deal with facts and keep your emotions separate — you are more likely to have success. Sub- jective or emotive language can be too easily misinterpreted. Put yourself in your audience’s shoes: whoever it is you want to con- vey your message to, think of their cir- cumstance, their environment, the best time for them to receive your message. Understand the WIFT & the WIFM: you most likely have heard of WIFM (what’s in it for me) and that’s usually the easy part to communicate! Don’t neglect the WIFT (what’s in it for them). If you can clearly communicate mutual benefits, you will more readily gain mutual support. Research risks: be your own devil’s advocate — it’s easy to come up with all the good things/the good out- comes, much harder to face the issues that might arise/the hurdles we may have to cross. By checking out all the risks, the pits, the stumbling blocks, the down- falls before you communicate with others you will be able to present or communicate from a position of more knowledge. You will have broadened your own paradigm and be able to understand and respond to others more readily. Mind mapping is a great way to make sense of all the thoughts and ideas you may have scampering around in your head. From what may seem random thoughts can come fan- tastic organisation. Rehearse: once you have your thoughts together, practise how you will communicate. Rehearsing will give you more confidence and will help with your delivery enormously. These are just a few ways that help organise your thoughts so that can enable you to communicate more ef- fectively with others at work. Those others could be your col- leagues, your boss, your suppliers, your customers. A clear head is cer- tainly going to help you more than a muddled mind. Having a ‘‘buddy’’ who can help new staff navigate office culture, policies and pro- cedures can help them feel more welcome and get up to speed more quickly. Organisational psychol- ogist Jenny Clavio says buddy programs can help set the scene in the crucial first days and weeks for new staff, and they can also boosting their productivity. ‘‘Buddy programs can be a really important retention strategy for businesses as they contribute to making new starters feel happier about their work environ- ment and they provide the ongoing support to help peo- ple get up to speed quickly,’’ she says. ‘‘But it’s important that buddies are carefully selec- ted as they need to be people who are experienced enough to understand the key poli- cies and procedures of an or- ganisation and who have a helpful, positive and patient attitude,’’ she adds. Law firm Finlaysons introduced a similar buddy system 10 years ago, which it partly credits for its low turnover rate. Buddies sit close to the new recruit and are prepared to be called upon with gen- eral questions. The two workers are formal buddies for three months and all new staff, from junior workers to new partners, are involved in the system. Chief executive Gerry Mak says new employees need to hit the ground running, so having a friendly colleague who can help them integrate faster into the workforce tends to reduce stress and en- able them to contribute to their full potential more quickly and capably. ‘‘Having a buddy from a different practice area from the new starter can also be really valuable in terms of meeting everyone across the organisation and breaking down silos,’’ he says. Associate Daniel Verow joined Finlaysons from the UK last year and says his buddy, Deb Carroll, helped him feel part of the team, en- ergised and productive from day one. ‘‘Having someone assigned to assist with logistics and general tips really helped me to get up to speed,’’ he says.

SOMETIMES getting others to under-stand what we are saying, or to under-stand what we are trying to communi-cate — feels sort of like herding cats.
