Shared Automation Systems Users' Group September 28, 2017

Livonia Civic Center Library Meeting called to order by Garrett Hungerford (REDF) at 9:36 am. Approval of Agenda: motion to approve agenda by Connie Jo Ozinga (COMM), seconded by Becky Willemsen (MDHT). Motion passes. Approval of Minutes: motion to approve minutes of July 27, 2017 meeting as amended by Joan Rogers (WATE), seconded by Becky Willemsen (MDHT). Motion passes. System update (Anne Neville, TLN): TLN performed a test of the calling tree on Friday, September 8, 2017: 87% of libraries at the bottom of the calling tree branches received the call. Barring the need for a critical update, TLN is planning no further upgrades of WorkFlows or Enterprise. Likewise, WorkFlows classes will not be scheduled after mid-November: contact Brigette Felix if a training need arises after that time. Anne Neville (TLN), John Inman (TLN), Celia Morse (TLN) and Andrea Dickson (WIXM) will attend the TLC/Carl Users' Group annual conference, November 6-8, 2017. Report from TLN Board (Paul McCann, DEXT): Paul McCann shared recent TLN Board activity: the TLN Board passed the 2017-2018 budget. Additionally, all TLN Board members whose terms were up were reelected. Report from Executive Committee (Paul McCann, DEXT): Paul McCann shared recent Executive Committee activities. At the most recent Executive Committee meeting, Angie Michelini (TLN) shared that the telecommunications RFP had been released and is due in mid-September. Additionally, the Executive Committee discussed the Carl migration update, with the final migration set to take place over Memorial Day weekend, 2018 (pushed back from Easter weekend, as was originally projected). Report from Circulation Committee (Brigette Felix, TLN): the Circulation Committee welcomed Vince Nash (TLN) at their September meeting; Vince gave attendees a delivery overview and answered questions. The Circulation Committee issued a reminder regarding the see note in patron accounts: do not delete those notes unless the note is only relevant to your library. The Circulation Committee also discussed Food for Fines and held elections: the new Circulation Committee chair is Jonathan Deahl (WATE). Additionally, the circulation committee issued a request that libraries review their TLN member directory listings and submit updates as necessary. New business Election results for Ex-Comm: Garrett Hungerford (REDF) shared the elections results for the Executive Committee. Amy Rosen (WHLK) is the group 3 representative, Martin Smith (REDF) is the group 4 representative; Patty Braden (ROMS) and Ed Rutkowski (BRIT) were each elected member-at-large.

Nominations for SASUG chair-elect and secretary: Connie Jo Ozinga (COMM) motioned that Lori Coryell (CHEL) be elected chair-elect by acclimation. Seconded by Ed Rutkowski (BRIT). Motion passes. The committee continues to search for a volunteer for the secretary position. Report on Brandon data extract: Anne Neville (TLN) reported that Sirsi extracted Brandon's data on September 19, 2017 and Brandon went live with Biblionix on September 20, 2017. Brandon's data will not be moved to the Carl system. If you have a Brandon patron using your library, make sure you change that patron's home library to your library in WorkFlows. Migration update: Celia Morse (TLN) shared that Don West of TLC/Carl will be at MLA. She encourages everyone attending to stop by and introduce yourself to Don. The start of the migration process has been delayed until November. The first data extract will take place in early December. Training will begin in late March. The final data migration will take place Saturday-Monday, May 26-28, 2018 and we will start live on Carl on Tuesday, May 29, 2017. Our contract with Sirsi will be extended as the original contract ends 3/31/2017. Discussion on training follows Celia's report. Carl utilizes a hub training model, with one representative from each library attending an initial training facilitated by Carl and then utilizing that knowledge to train their staff. Training will be offered at a variety of locations. Item type clean-up: Garrett Hungerford (REDF) led a discussion of item type clean-up in preparation for the migration to Carl. Library staff members are encouraged to investigate and clean up item types. He suggests that library staff members look at the current month's Total Items by Item Type and Item Category 2 report for their library (available on the shared system statistics page of the TLN website) to see if there are items that are part of collections that you no longer own and were mistakenly not discarded. Note: Local Item 1, Local Item 2 and Local Item 3 will not be migrated to Carl. Motion to adjourn by Connie Jo Ozinga (COMM) at 10:55 am, seconded by Amy Rosen (WHLK). Motion passes.

Baldwin Public Library - Position Posting

The Baldwin Public Library is the public library of Birmingham, Beverly Hills, Bingham Farms, and Bloomfield Hills. It is a Class V library with a service population of 35,000 and an annual operating budget of $3,500,000. Its annual circulation is 488,000 items, its gate count is 270,000, and its program attendance is 35,000. The Library’s collection consists of 144,000 physical items and over 500,000 electronic resources. The annual acquisitions budget is $560,000. POSITION: TECHNICAL SERVICES COORDINATOR– FULL-TIME

Oversees the Library’s Technical Services Department and supervises the Department’s other staff, which currently consists of one full-time employee and three part-time employees. Oversees the acquisition, cataloging, and processing of 18,000 physical items per year; integrates electronic resources into the Library’s database; and administers the Library’s integrated library system

HOURS: 40 hours per week—primarily daytime hours Monday through Friday, but

some evening and weekend work might be required RESPONSIBILITIES: Reports to the Library Director, but must cooperate closely with the Library’s

other Coordinators and Department Heads. The Technical Services Coordinator needs to fulfill the following duties:

Ensure that materials become available to the public in a timely manner,

that they are cataloged in a way that enhances their accessibility, and (in the case of physical materials) that they are processed attractively

Administer the Library’s integrated library system (ILS), which is currently Sirsi

In fiscal year 2017-18, assist in issuing an RFP for ILS services, evaluating the responses, and selecting a vendor. Then, potentially, manage the transition to a new vendor

Coordinate the Library’s ILS with MeLCat Perform copy and original cataloging Do necessary authority work Keep the Library’s bibliographic database accurate and up-to-date Serve as the primary contact for material vendors Maintain excellent financial records Represent the Department at management meetings Establish and document Department goals, priorities, and procedures Hire, train, supervise, and evaluate staff Train and supervise volunteers Other duties as assigned

QUALIFICATIONS: Candidates should be innovative and enthusiastic; possess a broad knowledge

Thursday August 10, 2017

Milford Public Library

Committee Chair Dustin Brown called the meeting to order at 10:03 a.m. Approval of Agenda. The agenda for the meeting was approved. Approval of Minutes The minutes of the May 4, 2017 meeting were approved. Download Destination:

a. Budget Review: Renee Holden passed out the current budget information. The budget year ends July 31. New funds will be coming soon for budget year 2017/18. Additional content from TLN will go towards the purchase of new materials and not to fulfill holds.

b. Digipalooza: Committee members discussed their take-aways from the 2017 Digipalooza conference in Cleveland. Renee mentioned a conversation with a librarian facing a similar situation with regards to holds and that this librarian had instituted a cap on the number of copies of bestsellers, and that patrons expect to wait for their bestseller holds. This allowed for more focus on bottom level holds that were not being fulfilled. The Policy Committee will discuss the possibility of a cap on major bestsellers. Renee shared the list of titles that have shortened loan times. Certain titles with a large amount of holds go on a shortened loan period of two weeks. Other things mentioned at this year’s Digipalooza include: electronic library cards which allow for digital access and registration for patrons without a regular library card, patron check-out history, the cost-per-circ model for some materials, magazines are returning to the Overdrive platform, messaging service a possibility, AI capabilities for support questions. Recommend to library carts are problematic for libraries. They are hard to decipher and are too large to sort into meaningful carts for purchase. Question about whether we can turn this feature off, or can we make a request that pre-pub titles are only available for request a few months before the purchase date. There was a big push at Digipalooza for curated collections to drive use of less popular or older titles. Cathy Beuhner mentioned the use of individual library URLs linked to websites to highlight advantage titles. Digipalooza slides should be available soon. The cost-per-circ model allows for libraries to choose titles and turn off or turn on the feature. This would be useful for short term high demand titles or book-club titles.

c. New Overdrive Advantage Plus: Dustin circulated a hand-out describing the new Advantage Plus program. The new program allows libraries who opt-in to share titles with the consortium but still retain priority for their patrons on the hold list. Proposed criteria for Advantage Plus eligible titles include: titles that have been checked out in the last month will be excluded, only titles past their 30 day on sale date will be included, only titles under one copy, one user model can be shared, libraries will have the ability to run this plan whenever they choose. Proposed criteria can be adjusted in the future if necessary.

d. Libby: Not a lot of mention of Libby at Digipalooza. Libby should be recommended for new users. There is a help site right on the app. The old Overdrive app will be eventually phased out.

e. Other Business: none

RBDigital: a. RB App News: No new information about the app. The new app debuted on June 27th. There are

91 libraries in the TLN RBDigital group.

LIBRARY DESK ASSISTANT

Department: Berkley Public Library

Supervised By: Library Director

Supervises: No supervisory responsibilities

Position Summary:

Under the supervision of the Library Director, assists the public with library services

including materials checkout, library card registration, library equipment, and

information regarding library policies and procedures. Performs other clerical tasks

to support library operations.

Essential Job Functions: An employee in this position may be called upon to do any or all of the following essential functions. These

examples do not include all of the duties which the employee may be expected to perform. To perform this

job successfully, an individual must be able to perform each essential function satisfactorily.

1. Greet and assist library patrons. Answer questions, locate or direct patrons to

requested books and other materials throughout the library; advise them

concerning library policies and procedures.

2. Perform circulation desk tasks. Issue and renew library cards. Check items in

and out accurately and efficiently using the online system. Collect and

handle cash, checks, and credit card transactions for library fees and other

services.

3. Answer phone calls; provide information to callers or direct call to the

appropriate individual.

4. Assist patrons in use of online catalog, photocopier, scanner, and other

library equipment.

5. Prepare library for opening and closing.

6. May oversee the activities of library pages and prepare returned books for

shelving.

7. Assist with the processing of new materials and the disposition of outdated or

damaged materials.

8. Perform clerical duties such as copying, filing and word processing.
