BOOKING CONFIRMATIONWe can only secure your booking once we have received the full room hire payment & a signed copy of the agreement form.

PAYMENTPayment for food, minimum beverage spend & security is required in full 14 days prior to the function.

All other payments are required in full upon completion of the function, this includes any miscellaneous charges incurred during the organisation of the function. Any extra charges that may arise from the client or guests during the course of the function itself must be paid on completion of the function. Payment may be made via credit card or cash. The hotel will hold a credit card for the duration of your function / Event

CANCELLATIONSIn the event of a cancellation after a booking has been confirmed via payment of the room hire the following terms apply.

• 45 days or more prior to the function date100% of the room hire will be refunded

• 21 days to 44 days prior to the function date50% of the room hire will be retained

• Less than 21 days prior to the function date100% of the room hire will be retained

In the case of the client requiring the date of the booking to be changed, The Grand will attempt to roll over the booking date, subject to availability. If it is not possible to locate another date suitable for both the client and The Grand, this will be treated as a cancellation and the deposit will be forfeited as a cancellation fee.

Notification of final guest numbers attending is required no less than 14 business days prior to the function (depending on the function package). This confirmed number will form the basis for the final charge for the function, any 'no shows' will still be charged for at the selected menu price.

Increases in guest numbers will be accepted subject to permission from Management and charges will apply on a per guest basis.

MENUS AND BEVERAGESThe Grand reserves the right to alter menus and services in consultation with the client. Our menu’s change seasonally. All functions require a minimum bar spend of $1500, which is required 14 days prior to the function.

Cocktails are available at an additional cost, please enquire with the Functions Manager.

DIETARY REQUIREMENTSShould you, or any of your guests, have any special dietary requirements, The Grand will aim to meet your needs wherever possible. Please be aware that at least 7 days notice is required to accommodate special dietary requirements, including vegetarian, gluten free & vegan.

LIQUOR LICENCE AND VENUE RESTRICTIONSThe Grand holds an 'on premise’ licence until 12am

B.Y.O of alcohol is not permitted. B.Y.O of outsourced food is not permitted.

B.Y.O cake is allowed with prior arrangement and approval of The Grand management. A surcharge of $3.00pp to cut & serve cake. Charged on consumption, served with ice-cream. Please notify us if refrigeration is required upon delivery of the cake.

AUDIO VISUAL/SET UPYou may bring your own playlist on an iPod, and AV and/or decorations with prior arrangement and approval from The Grand management. The Grand holds no responsibility for 3 rd party equipment brought into the venue.

All efforts will be made to allow access to the room as early as possible on the day for set up only. You will have at least 1hour prior to the event to set up if the room is occupied for another event prior to yours.

Decorations are allowed to be set up with prior confirmation from management. No pins, nails or sticky tape permitted on walls (Blu Tak is permitted). Guests are to remove all decorations & helium balloons at the end of the night. Storage may be offered with prior arrangement.

SECURITYSecurity is required for any function that has a band or any type of live music. It is a legal requirement that for every 60 guests there needs to be a security guard in attendance. On confirmation of numbers The Grand will arrange the required security. A charge of $160.00 is required and must be paid 14 days prior to function.

PUBLIC TRANSPORTTrain: Nearest train station is Ringwood station, approximately a 15min drive Bus: 906 Bus heads towards Melbourne CBD and the 364 Bus heads to Ringwood station All times are subject to change without notice. Please confirm with: www.ptv.vic.gov.au

LIABILITY LIMITATIONSYou, the client, is financially responsible for any damage to The Grand and its contents prior to, during or after the function by the client, guests or contractors engaged by the client. The client agrees to pay the full amount of any repairs, replacements or other financial loss resulting from that damage.

The Grand does not accept responsibility for any damage or loss to the clients’ property left unattended prior to or after the function.

You will release The Grand and The Grand employees to the full extent permitted to by law from all claims and demands of any kind and from all liability which may arise from any accident or negligence of any kind for loss or damage to property or injury to any person in or near the venue arising from the use of The Grand Hotel by you or your guests The Grand reserves the right to refuse the service of alcohol at any time to patrons who appear intoxicated. The Grand Management reserve the right to exclude or remove any person from the venue for any reasons deemed necessary, including intoxications and disorderly behaviour at any time. In the event that that venue is not available due to fire,flood, damage or other reasons, the Management will not be responsible for any loss, damage or injury suffered as a result of this unavailability.
