Contacts : customers and leads

For each contact, DS-mobileo displays all the useful information the nomad salesperson may need. Details, addresses, administrative documents, contacts, in-process actions, statistics, charts, events, pricelists are immediately available.The salesperson is also able to run processes from the contact information slip : entry of an estimate, an order or a form, creation of an event or a visit report.DS-mobileo makes it possible to centralize all the activity on the contact’s slip.

Administrative documents

DS-mobileo enables administrative document management (estimate, order, invoice, credit note). The field worker can access his customers’ document history, whether they have been created from the ERP or directly from the mobile device.There are many functionalities helping the software field-use, such as the possibility to turn estimates into orders and to copy estimates or orders. Documents can be found easily through search criteria and filters.

Product catalogue and tariffs

With DS-mobileo you can not only browse the item catalogue but also select products according to their family or sub-family, search an item by its name, reference, customer reference, technical characteristics and even use customized filters. Media files (pictures, documents, videos) can also be attached to item datasheets as complementary data that may play a key role in the sales process. Customer tariffs are available in DS-mobileo to provide customers with commercial proposals in accordance their usual price conditions.

Order and estimate placing

DS-mobileo ergonomics is 100% suitable to mobility conditions, which is one of its strengths. The order and estimate placing interface has been designed to ease the salesforce work in the field, and to increase the information accuracy. The data entry screen also displays data on packaging, stocks, discounts, purchase history and proposes order templates pre-filled with the customer’s shopping patterns. At the end of the selling process, the professional is able to invite the customer to sign the order directly on the screen and then to mail or fax it to the customer.

Customer relation management

DS-mobileo back-office offers you an access to a centralized view of leads and customers data : Social information, details, addresses, administrative documents (estimates, orders, invoices, credit notes, delivery slips, return slips, receipts), contacts, visit reports, scenarios, statistics, graphs, sales goals and events. Many criteria help you selecting and exporting data into different file formats.

Schedule and sales trip

DS-mobileo includes a graphic schedule. Through this graphic interface, salespersons access the appointment details and the customer additional information. In addition to the usual scheduling functionalities, DS-mobileo enables the salesperson to create and organize his/her sales trips, thus optimizing the knowledge of the visited customers.

Business messaging system

DS-mobileo includes a messaging system for the salesperson and sedentary teams to communicate through the back-office portal or the management software when possible. The purpose of such a messaging system is to improve business exchanges and separate them from the classic email flow. Thanks to a acknowledgement of receipt functionality, the office can check that the nomad worker has effectively read the priority message he/she has been addressed.

Activity monitoring and forms

With DS-mobileo, the mobile sales staff can complete customized forms, either during or after the visit. It is then very easy to report the sales activity thanks to prepared visit scenarios, special actions, satisfaction surveys, sales campaigns, etc. Each questionnaire and form is pre-filled depending on which criteria the salesperson previously selected, enabling him / her to benefit from easy-to-complete and customized documents.

Sales events

DS-mobileo centralizes all the events entered from the company business management software. Schedules, tasks, questionnaires are synchronized. Salespersons are also allowed to create all kinds of events through their mobile device and transmit the information directly to the company’s software.

Statistics

Sales statistics are available offline anytime. DS-mobileo proposes various views, per customer, per product range, per item, and also presents vendor-specific statistics. Results can be displayed as a chart, graph or histogram.

Intervention management

With DS-mobileo, technicians have on their device the list of all interventions to be carried out. They can access the resume and the technical context, the machinery equipment, the contracts, the passed interventions and the commercial operations in process. They are able to specify the actions to be launched, provide the intervention times and used parts automatically, and run intervention reports on site, signed by the customers, printed locally and sent by fax or email.

Machinery equipment and contracts

DS-mobileo enables technicians to view the material list and check if machines are covered by a service contract. They can easily identify the machine to be handled and check the current contracts. The error rate is lower and technicians do know whether they can intervene directly or first give customers an estimate.

Interventions qualifying

Thanks to DS-mobileo back-office, managers and call agents are able to create and qualify interventions when customers call. They just have to complete a customizable form with the actions and diagnostics to be carried out by technicians, the items required to achieve the mission and eventually specifying the possibility of a multi-resource intervention.

Real time activity monitoring

Each time an intervention changes status, it is transferred to the activity monitoring center of DS-mobileo back-office, making it possible to plan adjustments and optimize resources. The whole technicians’ detailed activity is gathered in this interface : intervention reports, deliveries, vehicle inventories, inventories, recorded times, item orders, estimates, payments, etc.

Contracts and equipment management

DS-mobileo back-office offers you a full access to contracts and machines by customer, and this database may be automatically fed with a CRM tool or manually modified. Interventions are recorded in a history and linked with the related equipment. It is even possible to provide final customers with such information through a customer extranet.

Action and diagnostics

For every visit, technicians may use business-specific scenarios. By first answering preliminary questions, technicians get pre-filled and adapted forms helping them make appropriate diagnostics. Photographs can be captured with the forms as observations or evidences on the ground.DS-mobileo also includes a visual measurements-reading tool. As they progress in their intervention, technicians have the possibility to enter the different values on a diagram or a picture.

Time management

Service engineers are able to register their service and travel times directly in DS-mobileo. It is therefore very easy to categorize and valuate times spent in the field.Many rules may also be established for technicians to justify a given number of hours per day.

Intervention planning

DS-mobileo back-office scheduling module is a way to get the planned intervention flow (included in the contracts or specific requests) and to assign them to the resources available. The resource list depends on the accreditations and displays as a multi-planning overview, making it easier to make right decisions. Using a geo-optimization functionality available from a « central » intervention helps you optimize service engineer travels by proposing new interventions within the same geographical area.

Collection and delivery

DS-mobileo covers the whole process of collection and delivery. The delivery man loads all the articles before leaving. He is then able to start his delivery round while completing delivery scenarios for postponements or unexpected events. Thanks to the extended forms, pictures and customers signatures may also be directly captured into the system. The customer may be given a delivery slip in real time. DS-mobileo is compatible with different barcode (1D / 2D) and RFID devices.

With DS-mobileo it is very easy to record working hours and time per activity : construction site, new works, maintenance, case, folder, travel, etc. If required, time entry may be complemented with geolocation details via the device GPS. An automatic pre-control of data entry, relying on several management rules, shall avoid inconsistent or missing information. Times are automatically allotted to a customer or internal activities, and the report is transmitted to managers for validation in DS-mobileo back-office.

Time validation

Reported time (per day, week or month) reading and validation are carried out from DS-mobileo back-office. These data may then be transmitted to the business management software

delivered. The loading sequence can be calculated according to the delivery roung reverse order. At the end of the round, DS-mobileo enables to check the unloading of collected and undelivered packages.

Round follow-up and update

DS-mobileo back-office contains a graphical interface with the round mapping, to facilitate round management. Along his round, each time the delivery man validates an action, it can be geolocated and transmitted to the managers. When required, the manager can change the road map and inform the delivery man through the internal messaging system. Combined with a round geo-optimization solution,DS-mobileo back-office becomes the delivery men activity central management tool.

teams using DS-mobileo are synchronized, approved and then transferred to the payroll management software, if possible.

Mileage report

DS-mobileo includes a vehicle kilometres monitoring functionality. Salespersons are able to record, for each day or for each visit, the start and the arrival mileage of their vehicle. Data are the synchronized and processed in the portal.

The off-line mode

The solution relies on a well-establish technology able to manage the daily and peak-time activity of thousands of mobile users while maintaining optimized synchronization times (depending on data-volumes and network quality).DS-mobileo Synchro Engine techology allows differential data updates, file transfers and automated software update, app-store excepted.
