“It was so easy to mirror our existing processes in DocuWare. The new electronic version of our workfl ow has created accountability from our employees. I can look up by whom and when a document was processed,” says Tani Michaud, an owner of ACD. Now, fi les are stored in one secure and organized document pool that’s accessible company-wide, increasing productivity with information that is so easily shared. Annotations directly made to blue-prints ensure that the entire team works with the most up-to-date information (no need to add changes to 12 cop-ies by hand!). DocuWare even helped ACD mirror its paper process of “red-lining” a blueprint: employees can make changes using a virtual red pen. Electronic stamps route the blueprint until all changes are approved.

Better access to information means employees on the shop fl oor are part of the review process, empowering them to suggest better and cost-effective ways to construct proj-ects. After a CAD drawing is complete, the information goes to the saw computer where the wood is cut automatically.

While mobile users have mainly been using their devices for news, weather, entertainment and videos, the future will hold a lot more in the way of Mobile Business and Mobile Learning. New and less expensive hardware - such as Smartphones and iPads - as well as faster wireless networks are paving the way for the rapid rise in mobile use around the globe.

This trend is of course also impact-ing document management. As the workplace becomes any place, docu-ment-related tasks will increasingly be portable: authorizing an invoice for payment on an iPhone, archiving e-mail directly from a Blackberry, etc. DocuWare is working on a number of exciting and easy-to-use applications in this arena. With proactive reviews, the need to re-cut jobs has been significantly reduced - creating further savings in time and materials.

Savings were also realized by mov-ing meeting notes and agendas into DocuWare. Instead of wasting time on packets that ended up in the recycle bin after the meeting, they now use a pro-jector to display the agenda, job photos and notes typed during the meeting. Afterwards, it’s all stored in DocuWare and made available electronically.

DocuWare has been successful in es-tablishing its document management solutions worldwide. The US subsidiary, DocuWare Corporation, based in New York, is enjoying its tenth anniversary this year. They marked that milestone with excellent 2010 mid-year results: revenue growth of 27.5 %.

DocuWare Ltd, the UK subsidiary founded in 2005, is also driving busi-ness forward. With mid-year growth of 12.3 %, the company is also marking a banner anniversary year.

At the beginning of this year, the DocuWare Group invited its Sales Partners from around the world to its annual Partner conferences, known as DocuWorld. The fi rst event was held in February in Mallorca, Spain, where over 130 Partners from German-speaking regions met at DocuWorld DACH. This was followed by DocuWorld Americas in Miami at the end of March, where over 180 attended from North, Central and South America- the largest event of the series. At the end of May, over 100 Partners from Europe (except the DACH group), the Middle East and Africa came together in the Bavarian town of Fuer-stenfeldbruck. With the motto “Building a Sustainable Solution Business with DocuWare” Thomas Schneck (President / Sales & Marketing) spurred on Partners to make the most of the current mar-ket’s potential. This was followed by a Product Roadmap presented by Juergen Biffar (President / Product & Finance) which gave participants many new in-sights as to the direction in product de-velopment. The 3 DocuWorld meetings provided the participants with many excellent opportunities to exchange ideas and make new contacts. S.A.

Secure Access to Payroll Statements

Distributing payroll statements is handled via e-mail and is easy to confi gure. The payroll accounting system simply generates one defi ned link per month out of DocuWare and sends it out in a single e-mail addressed to all colleagues. Employ-ees then use this e-mail to access their individual payroll statements. Magic? Not really! Employees sim-ply click on the link and DocuWare will guarantee with 100% security that they can only access their own documents via Web Client. Because of security and data privacy issues, employees need to fi rst register in DocuWare.

Within seconds, they can access their payroll information – to view, print and forward (to a private e-mail). With settings made in DocuWare, it is impossible for employees to see the payroll information of col-leagues. Not even an administrator has access to this sensitive informa-tion since it is encrypted in a high security fi le cabinet provided as a standard feature in DocuWare. It’s not even possible for employees who happen to have the same name in a company to open the wrong fi le. Distributing payroll is easier, more secure and much less work…thanks to DocuWare.
