Sir/Madam:

The Principals of all polytechnic colleges are requested to go through the instructions issued in the following circular and submit the necessary inputs within the due date(s) mentioned for the smooth conduct of the April 2015 Board Examinations.

Since Nominal Roll is a base document for the entire examination process, its accuracy is very important. Hence the Principals are requested to bestow their personal attention in ensuring the correctness and completeness of data.

Updated Draft Nominal Roll

The updated draft nominal roll (effecting the revaluation results) with title SECOND DRAFT NOMINAL ROLL (AFTER REVALUATION) is published in the TNDTE website.

Please use this draft nominal roll only as a base document for Nominal Roll Scrutiny.

Input Database

The Microsoft Access File Structure (NR.MDB) can be downloaded from the TNDTE website. Please rename the NR.MDB as NR???.MDB (where ??? is the institution code).

Please do not change the design of the MDB file. It has some built-in integrity checks and constraints. Just fill-up the data in various tables.

The Nominal Roll Scrutiny is divided into two phases:

Phase – I Candidates who remitted fees without Fine & with Fine of Rs. 100Phase – II Candidates who remitted fees with Tatkal Fine of Rs. 500

This circular is issued for Phase – I Nominal Roll Scrutiny only, i.e. Candidates who remitted fees without Fine and with Fine of Rs. 100 only (i.e. who remitted fees on or before 24-Feb-2015 only).

Separate instructions will be issued for Phase – I Nominal Roll Scrutiny separately.

Please fill-up the following tables as detailed below:

Please give the total examination fees paid by the Institution for the April 2015 Examination in this table.

For SEM1 … SEM8, give only arrear subjects only. For example, if the candidate appears ALL PAPERS in IV Semester, SEMESTER should be 4 and SEM4 should be empty.

NRCORRECTION

The details of corrections required in the Second Draft Nominal Roll are to be given in the NRCORRECTION table.

In this table: INS, REGNO are mandatory for all rows. Please fill-up only the column where correction is required.

For example if you require DOB correction, please give INS, REGNO and DOB (correct date of birth).

If you want to remove all papers in 4th semester, please give INS, REGNO and SEMESTER only with SEMESTER = 9.

For example, in the Second Draft Nominal Roll, if the arrear subjects of III Semester for a particular student is given as 1235. But his/her actual arrears is 125. Then give INS, REGNO and SEM1. SEM1 = 125

If you require name correction for a student, please give INS, REGNO and NAME. NAME = correct name as per SSLC marksheet.

Last Date for Submission of Data for Phase – I NR Scrutiny

All the institutions are requested to submit the filled-in NR???.mdb to [email protected] on or before 27-Feb-2015 (Friday). Late submission will not be entertained. The MDB has to be sent only from the official e-mail id. Only one submission is allowed. Hence please ensure correctness in all respects before sending the e-mails.

For name and date of birth corrections, please attach scanned image of the SSLC marksheet of the respective candidate as PDF fle with File Name: <INS>_<REGNO>.PDF

For example: 101_12345678.PDF for student with register number 12345678 of institution code 101. Please scan the documents at reasonable size that the page is readable as well as at minimum size.

Please periodically check your mail box. If any clarification/additional input is required on the data submitted by you, a mail will be sent by the DOTE Computer Center.

For grace chance appearance, please collect filled-in application forms and suppoting marksheets from the candidates. They have to submitted a single booklet after TATKAL.

Third Draft Nominal Roll (NR Scrutiny Phase – I) will be hosted in the TNDTE website by First Week of March 2015.

Instructions regarding NR Scrutiny Phase – II (for Tatkal Candidates) will be issued later.
