Welcome from the Chair

On behalf of the management group and committee and all members of the club, I would like to take this opportunity to welcome you to Newcastle (Staffs) Volleyball Club. We are a club that is run by volunteers but is always as professional as possible in everything we try to do, this member handbook is designed to let our members know as much as possible about the club and the expectations that members can have of the club, and the expectations that the club has of its’ members.

We hope that everything you need to know is contained in this handbook, but if you do have any questions, feedback, or simply want to get more involved in the club please just let us know.

Newcastle (Staffs) Volleyball Club strives to provide its’ members with the best volleyball environment possible, regardless of their level of experience or ability. In doing so we will be known in our community as a leading voluntary organisation providing a professionally run structure for our members encouraging all to fulfil their potential as players, coaches, officials and volunteers.

Bill of Rights for Young People

Young people participate in sport for many reasons including making friends, having fun & learning new skills. Whilst competing & participating in Volleyball activities young people have certain rights that should allow them to get the most from their experiences. Newcastle (Staffs) VC believes every young person has the right: To participate in Volleyball. To be treated with respect by all adults and players. To compete and train as a child. To report any problems to the Club Welfare Officer. To be considered for every match or competition. To train and compete safely and have appropriate medical treatment if required. To be coached by a Volleyball England qualified and registered coach. To have fun.

The Management Group

NSVC takes its’ strategic leadership from the Management Group which meets approximately every two months. The role of the group is to monitor progress against the club’s Development Plan 2007-2012, and to ensure that the club’s financial and managerial structures are functioning correctly. The Management Group is made up of:

The Club Committee

The Club Committee meets 3-4 times per year in conjunction with the Management Group, and its’ function lie in the operational day-to-day running of the club. For example it is the role of the club committee to ensure that club events, fundraising, membership fee collection, kit/equipment servicing/purchase etc. are all delivered according to what is planned for and needed. The club committee consists of the Management Group plus:

Jeanette Carter NSVC is very proud both of its history and also of how we look forward by involving young people. In addition to the formal management structures above we also have two life members who retain a strong interest and provide support to the club, having been involved since its formal establishment in 1980, they are Dorothy Knight and Barrie Jenkins. To support our young members under the age of 18 each year we have two champions of their needs.

Constitution A) The name of the club will be NEWCASTLE (STAFFS) VOLLEYBALL CLUB

B) The aims & objectives of the club will be: - to offer coaching & competitive opportunities in Volleyball - to promote Volleyball within the local community - to ensure a duty of care to all members of the club - to provide all its services in a way that is fair to everyone - to ensure that all present & future members receive fair & equal treatment

C) The affairs of the club will be in the hands of a Management Committee. The Management Committee to consist of at least six elected members (elected at AGM by vote of members) Two members to retire in alphabetical rotation at each A.G.M. Retiring members eligible for re-election. Ex Officio members to be Team Coaches, Captains – player representatives co-opted for one season at A.G.M.

D) The Management Committee will be responsible for adopting new policy, codes of conduct & rules that affect the organisation of the club. The Management Committee will have powers to appoint sub-committees as necessary & appoint advisers to the Management Committee as necessary to fulfil its business. The Management Committee will be responsible for disciplinary hearings of members who infringe the club rules/regulations/constitution. The Management Committee will be responsible for taking any action of suspension or discipline following such hearings.

E) Meetings of the Committee will be held as required & any paid up member will be allowed to attend, but only elected members may vote. In the event of a tied vote, the Chairman will have a second & casting vote. All Agenda items will be advised to Committee Members beforehand with at least 7 days notice of time, date, place of the meeting. A quorum shall be 50% of the Committee Membership in addition to the club chair.

F) Membership of the club will be open to all persons upon payment of the appropriate subscription to be determined at the A.G.M. with fees set annually and agreed by the Management Committee. Fees will be paid monthly by standing order or by some other individual arrangement with the Management Committee. The Club reserve the right to refuse membership to any person who the majority of the paid up membership does not accept. Upon refusal of membership the individual has the right to appeal.

G) At least every 14 months the club will hold an Annual General Meeting open to all paid up members. An Agenda is to be sent to all paid up members at least 14 days in advance giving date, time, and place. Motions are to be decided by a ... ...continued

... simple majority with each fully paid up member having one vote except in the case of changes to the constitution when a majority of at least 2:1 is required. The Chairman of the meeting has a second casting vote in the event of a tie. At the AGM Officers for the year are to be elected & subscriptions for the coming year decided.

H) The main funds of the club are to be held in a bank or Post Office or Building Society Account in the name of the club. All orders are to be signed by any two of the Chairman, Secretary, Treasurer. At the AGM & at other times upon reasonable notice if so requested, the Treasurer will produce an audited statement of income & expenditure. In the case of the annual statement this should be audited by some responsible individual before presentation.

I) If at least three paid up members supply the Secretary with a written request, the club may hold an Extraordinary General Meeting (EGM). Within a maximum of 21 days from receipt of such a request, the meeting will be held with the same conditions such as an AGM.

J) All complaints regarding the behaviour of members should be submitted in writing to the Secretary. The Management Committee will meet to hear complaints within 28 days of a complaint being lodged. The committee has the power to take appropriate disciplinary action including the termination of membership. The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint & the member against whom the complaint was made within 7 days of the hearing. There will be the right of appeal to the Management Committee following disciplinary action being announced. The committee should consider the appeal within 21 days of the Secretary receiving the appeal.

K) In the event of the paid up membership of the club falling below 5, the club shall be dissolved & any assets shall be passed to the (County Association) in trust. If no County Association exists, they are to be conveyed to the E.V.A.

L) NEWCASTLE (STAFFS) VOLLEYBALL CLUB hereby adopts & accepts this constitution as a current operating guide regulating the actions of members.

This document was updated in 2006 and signed by Chair & Secretary in the presence of the membership at AGM on 19th May 2006

Equity Policy Newcastle (Staffs) Volleyball Club is committed to ensuring that equity is incorporated across all aspects of its development. In doing so it acknowledges and adopts the following English Volleyball Association’s definition of sports equity: “The English Volleyball Association (EVA) supports the principle of equal opportunities for all... ...continued

... participants, members, representatives and employees whilst working for, or on behalf of the EVA. It opposes all forms of unlawful and unfair discrimination on the grounds of age, colour, race nationality, religion, ethnic or national origin, gender, marital status, sexuality, or unrelated criminal convictions, or disability.”

The club respects the rights, dignity and worth of every person and will treat everyone equally within the context of their sport, regardless of age, ability, gender, race, ethnicity, religious belief, sexuality or social/economic status.

The club is committed to everyone having the right to enjoy Volleyball in an environment free from threat of intimidation, harassment and abuse.

All club members have a responsibility to oppose discriminatory behaviour and promote equality of opportunity.

The club will deal with any incidence of discriminatory behaviour seriously, according to club disciplinary procedures through the management committee.

In this manner Newcastle (Staffs) Volleyball Club abides by the following Equity statement:

Vulnerable Adults Policy

Newcastle (Staffs) Volleyball Club acknowledges that safeguarding the welfare of any vulnerable adults that take part in club, or club-related activities is of paramount importance. The club is committed to providing an environment where everyone can learn about, participate in & enjoy volleyball free from harassment or abuse. The club believes that special care is needed in dealing with vulnerable adults & other members of society whose age, inexperience or physical state makes them particularly vulnerable to abuse.

Additionally, Newcastle (Staffs) Volleyball Club believes that everyone who has a role in working with vulnerable adults has a moral responsibility to safeguard & promote each individual’s welfare, particularly when it comes to protecting a vulnerable adult from abuse.

Coaches and volunteers at Newcastle (Staffs) Volleyball Club have read this vulnerable adults policy statement & have access to this at any time. This vulnerable adults policy has been created with reference to the “Protection of Vulnerable Adults Act (2004). This means that before embarking upon any work with vulnerable adults .... continued

a club member must have undergone a full enhanced CRB/DBS check, thus revealing whether they have committed any offence against vulnerable adults.

In addition to this safeguarding the club will support, financially or otherwise any club member who wishes to assist in delivering Volleyball to vulnerable adults, by attending an appropriate coach/ volunteer development course, for example those provided by Sports Coach UK.

The Policy is predicated on the following three principles: 1) The vulnerable adult’s welfare is the paramount consideration. 2) All individuals, regardless of age, disability, gender, racial origin, religious belief & sexual orientation or identity have a right to be protected from abuse. 3) The rights, dignity & worth of every individual should always be respected. Any disciplinary matter in relation to this policy will follow the guidelines of the club con-stitution, & with reference to the guidance of the National Governing Body.

Code of Conduct: Club Officials (Applies to coaches, referees, and other volunteers)

Newcastle (Staffs) Volleyball Club is fully committed to maintaining and promoting the wellbeing of all its members, and believes that it is important that members, coaches, administrators and parents associated with the club should show respect and under-standing for the safety and welfare of others. Therefore, members are encouraged to be open at all times to share any concerns or complaints that they may have about any aspect of the club with their coach or another adult club member that they trust. NSVC has a Welfare Officer to deal with any concerns; this is Libby Bellamy (2010 –2013)

Consider the wellbeing and safety of participants before performance

Develop suitable working relationships with performers based on mutual trust & respect

Hold the appropriate, valid qualifications & insurance cover with Volleyball England

Make sure all activities are appropriate to the age, ability and experience of those taking part and ensure all participants are suitably prepared physically and mentally when learning new skills

Display consistently high standards of behaviour and appearance, dressing suitably and not using inappropriate language at any time whilst involved with activities.

Always report any incidents, referrals or disclosures immediately

Never condone rule violations, unsporting play or prohibited substances

Instil in the performers the values of respect, discipline effort and loyalty

Promote the positive aspects of Volleyball (e.g. Fair play & good conduct on court)

Encourage performers to value their performances and not just results

Encourage the performer to develop their talent and their sporting mind ....continued

Respect fellow team managers, parents and coaches and their good work

Understand the difficult task of the officials, especially if they are young people, and respect their decisions

Recognise good performances of the young athlete alongside those of their competitors

Follow all guidelines laid down by the English Volleyball Association and NSVC

Never exert undue influence over performers to obtain personal benefit or reward

Code of Conduct: Parents/Guardians and Spectators

Support your child’s/team’s involvement and help them to enjoy their volleyball

Encourage your child to learn the rules of the game and play within them

Discourage unfair play and arguing with officials

Help your child to recognise good performance, not just results

Never force your child to take part in volleyball

Ensure that your child arrives in time for the start of their session so that they can fully take part in the warm-up

Set a good example by recognising fair play & applauding the good performances of all

Never punish or belittle a child for losing or making mistakes

Publicly accept officials’ judgements

Use correct and proper language at all times

Respect the coach and other volunteers for their efforts

Try to ensure that your child is always dressed appropriately for the activity

Try to ensure that your child has always taken on enough liquid prior to the activity and has an appropriate drink with them at the session

Code of Conduct: Junior Members (under 18 years) Newcastle (Staffs) Volleyball Club is fully committed to maintaining & promoting the well-being of all its members, & believes that it is important that members, coaches, adminis-trators & parents associated with the club should show respect and understanding for the safety & welfare of others. Therefore, members are encouraged to be open at all times to share any concerns or complaints that they may have about any aspect of the club with their coach or another adult club member that they trust. Junior members are not allowed to smoke on club premises or whilst representing the club at competitions

Junior members are not allowed to consume alcohol or drugs of any kind on the club premises or whilst representing the club

Set a positive example for others, particularly younger athletes and spectators

Child Welfare Policy Newcastle (Staffs) Volleyball Club has adopted the English Volleyball Association’s Child Protection Policy and therefore believes that the safeguarding of children’s welfare is of paramount importance. The club is committed to providing an environment where children can learn about, participate in and enjoy volleyball free from harassment or abuse. The club believes that special care is needed in dealing with children & other members of society whose age, inexperience or physical state makes them particularly vulnerable to abuse. Additionally, Newcastle (Staffs) Volleyball Club believes that everyone who has a role in working with children has a moral responsibility to safeguard and promote a child’s welfare particularly when it comes to protecting children from abuse. Coaches & volunteers at Newcastle (Staffs) VC have read the English Volleyball Association’s Child Protection Policy and have access to this at any time. In addition, the Children Act 1989 (as amended by the Children’s Act 2004) provides that anyone who is involved in the care of children should “do what is reasonable in the circumstances for the purpose of safeguarding or promoting the child’s welfare”. To help ensure that the club maintains this commitment to Child Protection it annually appoints a Club Child Welfare Officer, who must have attended the Sports Coach UK workshop, “Safeguarding and Protecting Children.” The Club Child Welfare Officer helps the club to follow the guidelines of the English Volleyball Association, ensures that any updates to this policy are communicated to all club members & ensure that club volunteers are appropriately aware & trained in Child Protection issues. The Club Child Welfare Officer is not however the recipient & solver of all problems & issues: it is important that all children (under 18) at the club feel that they can approach the club volunteer with which they feel most confident. This Child Protection Policy applies to volunteers who are over 18 years old who come into contact with children at any event organised by or held under the authority of the English Volleyball Association. Emergency Procedures

Stay calm but act quickly and observe the situation to make an initial assessment:

is there risk of further injuries?

Listen to what the injured person is saying

Alert the first aider (club coaches have first aid training) who should take appropriate action for minor injuries.

If the event requires specialist attention, dial 999 for the emergency services

Give the injured person space, moving other group members away ensuring that they are adequately supervised.

If the injured party has major injuries do not try to move them: wait for the emergency services.

Contact the injured person’s parent/ guardian/ nominated contact

Complete an incident/ accident report form and give to the Club Welfare Officer (Libby Bellamy 2010-2013)

NEAREST ACCIDENT & EMERGENCY: North Staffs , Newcastle Rd , Stoke on Trent ST4 6QG Tel.: 01782 715444 Signposted from both the A34 and A500 Our designated first aider is Rod Stockwell, our coaching arrangements ensure that a level 2 qualified coach is at all sessions. A number of our coaches and volunteers at-tended A Sports Injury Course in June 2011.

The club has purchased 3 first aid kits for use at sessions, all three venue all also provide first aid equipment in varying degrees e.g. Keele University only venue with ice therefore dry-crunch ice packs included in First Aid kits.

All club coaches must have mobile telephones at sessions (see reference in club hand-book) and landlines also available at Madeley High School, Keele University and New-castle Community High School.

Annual risk assessment s are conducted at each venue through the Management committee, with club policy being for a risk assessment and identification to be made at every training session/match by coaches.

Membership Costs The club has a detailed pricing structure according to level of membership as indicated below (2012-13):

u12s: no charge for PL4S but £5 per season if join club

u13-u16: £60 per season (£40 if join after Christmas, £20 if join after Easter) NVL players:

to pay NVL registration fees to Volleyball England as appropriate £18 or £28

u18 NVL players in education or unemployed - £10/month or £100 per season

over 18 but in education/unemployed - £15/month or £150 per season

over 18 and employed - £25/month or £250 per season If fees present a problem all members can approach the Management Group or Club Committee confidentially Social players : £3 per session
